Hubstaff combines time tracking with optional employee monitoring, workforce analytics, project-cost tools, and payment workflows. Its breadth is useful when a team needs tracked hours to support project oversight, client billing, attendance, or payroll processes; it may be unnecessary if all you need is a personal timer. The important distinction is that features such as screenshots and GPS depend on settings, while activity metrics are only indirect signals of work—not a definitive measure of performance.
What Hubstaff is designed to do
Hubstaff presents itself as a workforce-management platform for recording time and connecting those records to projects, reporting, workforce oversight, and payment workflows. People can track time against projects, tasks, or clients using desktop, browser, web, or mobile apps. Depending on the organization’s setup and plan, the platform can also include automated timesheets, scheduling, time off, reports, app and URL tracking, optional screenshots, GPS, role-based access, and integrations.

The practical value is in connecting these functions: recorded hours can inform project costs, utilization, billing, or payroll processes. That does not mean every organization needs every feature, or that every feature is included in every plan. Hubstaff’s product descriptions are vendor claims, not independent performance findings.

Users can start and stop a timer and assign tracked time to a project, task, or client. Hubstaff says the workflow is available across desktop, web, and mobile. Timesheets and reports can bring recorded hours together with earnings and overtime information, giving managers a way to review time records alongside project activity.

Before adopting the workflow, decide how specific time entries need to be. A team that bills clients by project may need consistent project and task selection; a team focused on attendance may care more about hours and schedules. The usefulness of the resulting records depends on employees tracking time consistently and managers reviewing and correcting them through the organization’s process.
What productivity monitoring collects
Depending on organization settings, Hubstaff can report which apps and websites are used and summarize keyboard or mouse activity as an activity rate. Hubstaff’s FAQ says the rate is measured across ten-minute intervals and that the app does not record the actual keystrokes. Its feature descriptions also include idle-time prompts and optional screenshots.
These are configurable monitoring features, not a single unavoidable recording mode. What is collected can vary by user and plan, so administrators should confirm the settings that apply to each role and explain them to employees before tracking begins.
Does Hubstaff record your screen?
Hubstaff describes screenshot capture as periodic images, not continuous screen video. Desktop screenshot capture can be configured for up to three screenshots in ten minutes; an organization can reduce the frequency, turn capture off for a user, or blur screenshots. Hubstaff says it does not record continuous video of the screen, audio, or webcam video.
That distinction matters when communicating monitoring policies: periodic screenshots may still contain sensitive work information, even when blurred. Teams should decide whether screenshots are necessary, who can access them, and how their use fits internal policy and applicable law.

How GPS tracking works—and when it can run
Hubstaff’s mobile apps support GPS tracking. Its FAQ describes location capture while a person is tracking time or when fleet tracking is enabled. A separate support-documented setting called “Always” can allow the app to collect location in the background while installed, including outside tracked work hours, if location permission is granted.
These modes should not be conflated: GPS does not necessarily operate only while a timer is running. Hubstaff recommends giving written notice, reviewing local privacy and employment laws, and limiting Always tracking to company-managed devices where possible. The appropriate setup depends on jurisdiction, device ownership, and the organization’s actual field-work requirements; this is not legal advice.
How to interpret activity and analytics
Hubstaff describes analytics for utilization, capacity planning, unusual activity, app use, work-hour classifications, and reporting. Those can help managers spot patterns or organize workloads, but keyboard and mouse activity is a proxy—not a direct measure of output, quality, or effort.
Hubstaff itself notes that low activity rates can be normal for work such as video editing, rendering, or research-heavy writing. A rate that looks low in one role may be expected in another. Use activity information as context for a conversation or operational review, not as a standalone performance score; pair it with role-relevant outcomes and managerial judgment.
Projects, budgets, billing, and integrations
Hubstaff’s product pages describe tracking time to projects, budget and labor-cost visibility, invoicing, and global payments based on approved time. The listed integrations span project-management, communication, accounting, and payment services, including Asana, ClickUp, Jira, Slack, QuickBooks, PayPal, Deel, and Wise. Hubstaff’s FAQ says the platform has over 30 integrations; a separate affiliate page gives a different count, so treat any total as changeable and consult the live integration list when a specific connection matters.

A listed integration does not establish that every feature or data flow is available in every configuration.

Supported devices and feature differences
Hubstaff lists options for Linux, Mac, Windows, Chrome, Firefox, Android, and iOS. However, the web app and Chrome extension do not offer proof-of-work features, and GPS and geofencing are mobile-app features. A team should therefore verify not just whether a device is supported, but whether the particular feature it needs is available in that app.
Pricing, trial, and purchase checks
Hubstaff’s official pages describe a 14-day trial without a credit card, but no ongoing free plan. Billing is per seat, and the company describes a 30-day money-back guarantee subject to conditions. Exact plan names, prices, seat minimums, add-ons, and feature availability can change. The FAQ’s annual-plan example gives a Team plan price of $120 per seat annually, but that example is not a complete or universal current quote; check the live pricing page for the plan and billing terms that apply to your purchase.
Seat changes can also affect the bill: Hubstaff says removing seats mid-term does not generate prorated refunds or credits, while added seats may be prorated on annual plans. Confirm those terms alongside the renewal period and any required add-ons before committing.
Who is Hubstaff a good fit for?
Consider it if
- Your organization needs time records connected to projects, costs, billing, attendance, or payroll processes.
- Managers need scheduling, reporting, or workforce analytics alongside a timer.
- Your work includes field teams for whom mobile location workflows are relevant and can be governed appropriately.
- You need configurable monitoring controls and are prepared to set clear policies about what is collected.
Look elsewhere if
- You want only a lightweight personal time tracker and do not need the broader workforce-management functions.
- Your team does not need monitoring or location controls, making those capabilities unnecessary overhead.
- Your roles produce little keyboard or mouse activity, and the organization would be tempted to treat activity rates as a measure of performance.
Hubstaff identifies software development, BPO, staffing, virtual assistant services, advertising, marketing, and consulting as audiences for its product. Those are vendor-identified use cases, not independent endorsements. Fit depends less on the industry label than on whether the team will use the time, oversight, cost, and payment workflows responsibly.
