Workflow memory apps do not all “remember” in the same way. One may keep a searchable recording of your screen, another may ask you to maintain a project brief, an AI coding assistant may save notes at user, repository, or session scope, and a newer class of tools may try to infer a complete work thread from your activity. The practical questions are: what is captured, where is it stored, how long does it persist, and what can you do when you return?
Those differences determine whether returning to a task means scrubbing a timeline, reviewing a handoff, retrieving a memory file, or reopening a reconstructed set of files and conversations. The sections below explain each design, its restoration process, and the privacy and accuracy decisions that come with it.

What “workflow memory” means
Workflow memory is an umbrella term for software that preserves enough context to continue interrupted work. Context can include pixels and extracted text, project status, decisions, files, links, open questions, and the next action. The software may capture that context automatically, require deliberate entry, or infer relationships among the things you were using.

A useful return state also tells you why the task mattered, what decision was made, which question is unresolved, and what should happen next. The right design depends on whether you need a forensic record, a concise handoff, a private assistant memory, or an inferred thread of related activity.

Four designs that are often called workflow memory
1. Passive, searchable activity archives
Rewind Desktop describes a background recorder for Mac. After macOS screen-recording permission is granted, it continuously captures the screen, extracts text, and builds a searchable timeline. You can search for a phrase you remember and then scrub around the matching moment to see the surrounding activity.
This model is closest to a personal activity archive. It can recover details you did not think to write down: a sentence in a browser tab, a command shown in a terminal, or the exact point in a document where you stopped. Its strength is coverage rather than interpretation. A recording can show what was on screen, but it does not automatically mean the system understands your goal or can state the next action accurately.
2. Explicit project state and session handoffs
Project Memory uses a compact, structured brief. Its named fields are Current Status, Next Action, Important Context, and Open Issues. Instead of retaining every screen, the user maintains the facts that make a project resumable.
A session represents a reviewable block of work. The resume flow surfaces the project memory, open work, the recent session, and GitHub context. When you end a session, the handoff reviews tasks, issues, commits, changed files, discussions, and outcomes before producing a factual summary. Optional AI-assisted resume and handoff drafts require confirmation; they are not silent changes to the project record.
3. Assistant memory with explicit persistence scopes
Microsoft’s VS Code documentation describes a memory tool that lets agents save and recall notes while they work. It separates three scopes:

- User memory: persists across conversations and workspaces for that user.
- Repository memory: persists across conversations inside one workspace.
- Session memory: applies only to the current conversation.
The documentation says these memory files are local. That makes scope and ownership explicit: a personal preference can remain personal, repository guidance can follow a codebase, and a temporary observation can disappear with the conversation. The recommendation is to move reviewed, durable team guidance into source-controlled project documentation or custom instructions rather than leaving it only in an individual’s local memory.
4. Inferred work-thread reconstruction
Recall presents a Capture, Understand, Hold, Return sequence. Its product page says it connects related tabs, files, and messages, preserves the goal, context, and stopping point, and restores a session containing the relevant file, related context, open question, next action, and tasks from chat or email services.
That is a vendor capability description, not an independently verified performance result. It is reasonable to treat the feature as an attempt to reconstruct a work thread rather than merely reopen applications. Do not assume it will reliably restore every application, infer every relationship, or outperform a structured handoff without testing the exact workflow you care about. Recall’s product page summarizes the problem this way: The apps are still open. What disappears is the goal, the decision, and the next thing you meant to do.
How capture becomes a usable return state
Although the products differ, a workflow-memory system has four separate jobs. Keeping them distinct helps you evaluate a product accurately.
- Capture: record activity, accept a deliberate note, or observe events from connected tools.
- Index or structure: turn raw material into searchable text, named fields, memory files, or linked artifacts.
- Persist: decide whether the information lasts for a conversation, repository, project, user, or archive.
- Return: provide a search result, project brief, retrieved note, or reconstructed work thread that lets you continue.
A product can be strong at one stage and weak at another. A complete screen archive may capture more detail than a handoff form, yet require you to interpret the timeline yourself. A concise project brief may restore intent quickly, but only if someone keeps the fields current. An inferred thread may be convenient, but its links and next-action suggestions need review.

Passive screen history: what happens in practice
With a screen-history design, the key setup step is granting the operating system’s screen-recording permission. Once enabled, the recorder runs in the background and builds the timeline. Search is based on remembered words rather than a manually maintained project name, so a phrase from a page or conversation can be enough to find the relevant interval.

Screen history may include sensitive information from applications and websites that you did not intend to preserve as a durable note. Rewind’s privacy policy, effective October 4, 2026, says recordings, extracted text, and the search index are stored locally by default and warns that captured history can contain sensitive information.
Optional archive and recovery path
The policy describes an optional archive to a user-owned Amazon S3 bucket. Older recordings and recovery backups are encrypted on the Mac before upload. Text search remains local; when you browse an archived period, the video is downloaded. If you replace the Mac, account recovery can restore searchable history while the new computer is connected to power and an unmetered network.
Encryption does not, by itself, answer who can access recovery material. The same policy says the account-recovery service can decrypt and return the recovery package, which means the service can recover the archive key for that process. Anyone evaluating this design should distinguish local storage, encrypted cloud archives, and the separate question of who can help recover the key.
Structured memory: turning a work session into a handoff
A project-state system works best when the interruption point can be expressed in a few sentences. Before stopping, record what is true now, the next concrete action, context that would otherwise be forgotten, and issues that still need decisions. During resume, inspect the recent session and linked project evidence instead of searching through every prior screen.

Project Memory’s ending flow reviews tasks, issues, commits, changed files, discussions, and outcomes before producing the handoff. That review is important for accuracy: an AI-generated draft can suggest wording, but the user confirms what becomes durable memory. Editing and reviewed updates provide a correction path when a summary is incomplete or wrong.
This design also has a collaboration advantage. A concise project brief can be shared and discussed, while a private activity recording may expose unrelated personal or confidential material. The cost is discipline: if the next action and open issues are never updated, the system cannot restore information that was not entered.
Scoped memory in an AI coding workflow
Scope prevents accidental mixing of contexts. In VS Code, a repository note can describe conventions that apply to one codebase, while a user note can capture a personal preference across projects. Session memory is appropriate for a temporary hypothesis or a detail that should not persist.
Because the documented memory files are local, teams should not treat them as the authoritative shared specification. After reviewing a useful note, move durable guidance into source-controlled documentation or custom instructions. That creates an auditable ownership path and lets teammates receive the same instructions rather than relying on one developer’s machine.
How to choose a workflow-memory design
Choose a searchable archive when recall of detail matters most
- You regularly forget the wording, URL, command, or visual state you saw.
- You can accept reviewing a timeline to infer the task’s meaning.
- You need a local-first default and are prepared to manage sensitive captures.
Choose structured project memory when handoffs and decisions matter
- You work in projects with explicit status, owners, issues, and next actions.
- You need a short, reviewable summary rather than a recording of everything.
- You want AI assistance to propose updates that a person approves.
Choose scoped assistant memory for repeatable development context
- Some instructions belong to you, some to one repository, and some only to today’s conversation.
- You want local files and clear persistence boundaries.
- You can promote important notes into shared, version-controlled documentation.
Evaluate reconstruction tools as convenience layers
- You switch among tabs, files, chat, and email and want related artifacts grouped.
- You value a suggested goal, open question, and next action.
- You are willing to verify inferred links and summaries before acting on them.
Privacy, security, and deletion questions to ask
Before enabling any continuous or connected capture, answer these questions for the specific product and current policy:
- What is captured? Screen pixels, extracted text, microphone audio, browser content, files, messages, or only notes?
- When does capture start? Check operating-system permissions, pause controls, exclusions, and whether capture covers every account on the computer.
- Where is it stored? Identify local databases, cloud archives, backups, and the region or account that controls them.
- Who can recover keys? An encrypted archive may still have a recovery service that can access key material.
- How do deletion and retention work? Look for controls that remove recordings, extracted text, indexes, backups, and cloud copies separately.
- Can you inspect and correct memory? A durable note should be reviewable, editable, and attributable to a scope or project.
Rewind’s policy illustrates why these questions belong together: local defaults, optional encrypted S3 archiving, replacement-Mac recovery, and recovery-key access are separate properties. “Encrypted” is not a complete privacy comparison.
Accuracy limits and failure modes
The archive is searchable but not self-explanatory
A phrase search can locate the right minute while leaving you to determine which decision was final. Use a short project note alongside an archive when the consequence of misunderstanding is high.
The handoff is stale
If status, next action, or open issues were not updated, the resume screen reflects an earlier state. Treat the ending review as a required closeout step, not an optional summary.
The memory scope is wrong
A repository instruction saved as user memory can leak into unrelated work; a session-only note can disappear before it is useful. Select the narrowest scope that still supports the intended reuse.
The inferred thread makes a wrong connection
Related filenames, tabs, or messages do not prove that they belong to the same goal. Verify the proposed file, open question, and next action before changing data or sending a message.
The device or archive is unavailable
Local-first systems need the original computer unless an archive and recovery process has been configured. For Rewind’s documented recovery path, the replacement Mac must be on power and an unmetered network while history is restored.
A practical return routine
- State the goal: write one sentence describing the outcome you were pursuing.
- Locate the evidence: search the activity timeline, open the latest project session, or retrieve the note at the correct memory scope.
- Confirm the stopping point: identify the last completed action and any decision that changed the plan.
- Check unresolved work: review open issues, linked files, tasks, and the next action rather than trusting that applications merely remain open.
- Correct the record: edit stale fields, reject an inaccurate AI draft, or move a durable team instruction into shared documentation.
- Close out deliberately: before the next interruption, update status, next action, context, and open issues or save the relevant scoped note.
What the current evidence does—and does not—show
These designs demonstrate different ways to preserve context, but the available product documentation does not establish a common productivity score, accuracy rate, or side-by-side winner. Recall’s page displays a resume-time figure and attributes it to the University of California, Irvine, but the underlying study is not verified here, so it should not be treated as established evidence.
