A strong virtual assistant proposal translates a client’s broad request into a specific agreement: the tasks you will handle, the conditions you will work under, when the work will happen, what it costs, and how the client can approve it. Reflect the client’s goal first, then make the scope and price clear enough that neither side has to guess what is included.
What a virtual assistant proposal should clarify
“Virtual assistant” describes a role, not a defined workload. One client may need inbox triage and calendar management; another may need customer-support coverage, research, or recurring administrative work. A useful proposal connects the client’s stated outcome to concrete tasks and operating conditions.

Before quoting, establish the expected volume, priorities, tools, access, availability, communication method, and approval or escalation process. If a missing detail could change the hours, schedule, or responsibility, ask about it before committing to a price or delivery date.

1. Open with the client’s goal
Name the project or client and briefly restate the result they want. This shows that the offer is tailored rather than a generic biography. Upwork’s guide recommends personalizing the proposal around the client’s needs and suggests a length of about 400 words; that is platform guidance, not a universal limit. Keep yours as short as possible while making the offer unambiguous. Upwork’s virtual assistant proposal guide

2. Establish relevant fit
In a few lines, describe experience, tools, or work samples relevant to this particular request. Be truthful and specific; do not imply results, credentials, or software expertise you cannot substantiate.
3. List the proposed tasks
Describe the work as actions, not just categories. For example, instead of “admin support,” specify whether you will sort incoming messages, draft replies for approval, schedule appointments, or update records. Separate one-time setup or project work from recurring tasks so the client can see what continues after onboarding.

4. Define scope, assumptions, and boundaries
Set out what the price covers and the conditions for doing it. Depending on the engagement, specify anticipated hours or workload, working days, time-zone overlap, tools and access, response expectations, communication channel, and who approves decisions or escalates exceptions. Freelancer.com’s VA guidance likewise highlights recurring tasks, tools, overlap, weekly hours, language needs, and confidentiality or data handling as useful details to establish. State what is excluded or needs a separate estimate. Explain that additional tasks or volume should be discussed and scoped before being added, rather than silently treated as part of the original fee. If the client has not specified message volume, task priorities at capacity, approval authority for outgoing communications or purchases, available system access, or response windows, ask before promising a workload or schedule.

5. Set a credible timeline and working rhythm
Identify onboarding needs, a realistic start or ramp-up, recurring delivery schedule, update or check-in cadence, and any milestones. Match the timing to the volume and complexity of the work; do not promise a turnaround that depends on assumptions you have not confirmed.
6. Make the price and payment basis legible
State the amount and currency, whether it is hourly, fixed-price, or a recurring package, and exactly what hours, tasks, or units it covers. Include the payment schedule and identify any separately priced work. A recurring arrangement should make clear what happens when the agreed hours or volume are used up. Do not add multiple packages simply to make the proposal look polished; one well-defined offer may be clearer when the client’s needs point to one arrangement.

Upwork’s guide, published December 15, 2025, reports that virtual assistants typically charge $10–$20 per hour on its platform. Upwork notes that rates vary with experience, specialization, and location; the range is not a guaranteed or universal market rate and does not establish an appropriate price for every region or service. 7. End with a concrete next step
Tell the client how to proceed: approve the offer in writing, book a call to resolve open questions, or submit the proposal through the marketplace. Say what you need before starting, such as access to specified systems, confirmation of priorities, or an agreed start date.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Questions to resolve before you commit
- What is the expected workload or volume, and which tasks take priority when capacity is full?
- Which tools and account permissions are available, and who will provide access?
- Who approves outgoing messages, purchases, or other decisions, and how should urgent exceptions be escalated?
- What response window, working hours, and time-zone overlap does the client expect?
- Does the work involve confidential information or sensitive data that requires agreed handling procedures?
Confidentiality and data handling may need to be addressed, but legal obligations depend on the contract, jurisdiction, and type of data. The cited platform guidance does not establish jurisdiction-specific legal requirements; seek appropriate professional review when contract terms or regulated information make it necessary.
If you are submitting through Upwork
Upwork’s submission flow is platform-specific and may change. Its help page instructs freelancers to set terms—an hourly rate with an optional scheduled increase, or a fixed-price bid with payment by project or milestone—estimate duration, write a cover letter, and answer screening questions. Samples or profile items can be added where available. Follow the current prompts shown in your account; a direct-client proposal or another marketplace may require a different process.
