1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsPut travel-time and travel-expense terms in the signed agreement or statement of work before anyone books a trip. State which travel hours are billable and at what rate, which expenses are reimbursable, who must approve them, what records an invoice must include, and how disputes are handled. There is no generally applicable travel-time rate: the parties need to agree on one that fits their work and client relationship.
Put the policy in the agreement before travel is arranged
Write the terms into the governing client agreement or statement of work, or incorporate them through a clearly identified attachment. Make clear that the policy applies to the specific engagement and takes effect only when both parties accept it. Identify the client representative authorized to approve travel and whether approval must be written.

Specify whether the client must approve the trip itself, the itinerary or travel mode, estimated travel hours, and estimated expenses. A filed consulting-agreement example makes advance approval a condition of reimbursable travel costs; it illustrates one negotiated arrangement, not a rule for all private contracts. Describe the travel segments covered rather than relying on a phrase such as “travel time.” For example, say whether the clock starts at an agreed departure point and ends at the client site, and whether travel to an airport, local transportation, layovers, or a return journey count. Specify whether ordinary commuting is excluded or treated differently. If the parties intend to bill door-to-door time, define the endpoints.

Address interruptions and unusual trips directly. State how the parties will record delays, overnight travel, and travel outside normal working hours. There is no universal source-backed answer for these cases; a clear agreement prevents either side from having to infer the rule after the trip.
Choose and explain a pricing method
Pick a method and describe its calculation. The right choice depends on the engagement; examples found in company and consultant policies vary, so none should be treated as an industry-standard rate. Talan’s travel and expense policy and a FY26 consultant billing-policy attachment illustrate context-specific approaches.

| Method | What the agreement should specify | Practical trade-off |
|---|---|---|
| Full hourly rate | Which hours qualify, the applicable hourly rate, and how partial hours are rounded. | Easy to calculate from time records, but the client pays the full rate for qualifying transit. |
| Reduced travel rate | The separate rate or calculation, and precisely when it applies. | Can distinguish transit from service work, but requires clear boundaries and rate records. |
| Fixed travel fee | The amount or calculation, what trip it covers, and treatment of material itinerary changes. | Predictable for the client, but may not track actual travel time. |
| Capped travel hours | The cap per trip or billing period, the rate, and what happens if the cap is exceeded. | Limits exposure while leaving the provider responsible for time above the cap unless otherwise agreed. |
| No charge for travel time | That time spent traveling is not billed, and whether any exceptions apply. | Simple to administer, but the provider absorbs the travel-time cost. |
If the rate changes based on distance, time of day, or whether the professional is working, define the threshold and calculation. Say whether the professional may perform client work while in transit and how that work and transit are recorded. Prevent double billing by stating that an hour cannot be charged both as travel time and as service time unless the agreement expressly explains a different arrangement.
Keep reimbursable expenses separate from time charges
Use separate terms and invoice lines for labor or travel hours and out-of-pocket costs. Specify which categories may be reimbursed—such as transportation, lodging, meals, or local travel—and whether reimbursement is for actual, documented costs or follows a stated allowance or mileage method. Set any spending limits, booking requirements, and exceptions that need advance approval.

Federal acquisition rules distinguish travel costs from contract-service costs and describe documentation and reasonableness requirements in that setting; they are not a universal standard for private client agreements. FAR Subpart 31.2, Contracts with Commercial Organizations. IRS Publication 463 addresses accounting for reimbursed travel expenses, not whether a client agreed to pay for travel hours. The IRS says: “If you received a reimbursement or an allowance for travel, or gift expenses that you incurred on behalf of a client, you should provide an adequate accounting of these expenses to your client.” IRS Publication 463 (2025), Travel, Gift, and Car Expenses.
Require approval, records, and a legible invoice
Name the person or role authorized to approve travel and whether approval must be in writing before booking or incurring costs. Give the client a way to approve an estimate and document any later change, such as a revised destination or unexpected extra night. Keep approvals with the engagement records.
Require enough information for the client to verify each charge. A travel entry should identify the traveler, date, origin and destination, business purpose, hours, applicable rate, and calculation. An expense entry should identify the date, category, amount, and supporting receipt or other agreed documentation. FAR travel-cost documentation includes the date and place, purpose, and traveler identity and title; that is an example from federal contracting, not a universal private-contract checklist.
- Show travel hours and travel expenses as distinct invoice lines.
- For hours, include the dates, trip segment or destination, hours claimed, rate, and total.
- For expenses, itemize the costs and attach the receipts or records the agreement requires.
- Identify any approved exception or changed itinerary that explains a charge outside the original estimate.
Resolve edge cases in advance
Use short, explicit rules for situations likely to produce different assumptions. No single treatment is established across the examples, so choose the answer that suits the engagement and state it in the agreement.

Set a workable process for invoice questions
Specify how long the client has to raise a question after receiving an invoice, what details a dispute must identify, and which supporting records the provider will supply. Agree that undisputed amounts remain payable under the contract while the parties review the specific disputed line, and name an escalation contact or process if they cannot resolve it promptly. A dispute deadline and payment arrangement should be negotiated for the contract; the examples cited do not establish a mandatory timetable for private clients.
Check the policy’s scope before using it
Contract terms, applicable jurisdiction, profession, and client procurement rules can affect the result. Federal Acquisition Regulation provisions apply in federal acquisition contexts, and IRS Publication 463 is tax guidance; neither decides what a private client agreed to pay for travel time. Company policies and filed agreements are examples of their own terms, not legal requirements for every engagement. Have the final language reviewed for the governing agreement and applicable law when the consequences warrant it.
