How to Verify Whether a Suspicious Video or Voice in a Teams Meeting Is Authentic

Do not trust a convincing face, familiar voice, or Teams warning as proof of identity. Pause any payment, credential change, data disclosure, or other consequential request. End or suspend the conversation, then contact the person through a phone number, directory entry, or established communication route you already trust. Ask that person to confirm the request. If you cannot independently confirm who is on the call, leave the meeting and share no passwords, authentication codes, financial details, or confidential information.

Microsoft describes its “Scam suspected” notice as a risk signal, not a forensic judgment that a face or voice is synthetic. Teams encryption protects media while it travels across networks, but encryption does not establish that the human shown or heard is the claimed person.

The only dependable test is an independent identity check

A live Teams conversation can supply context, but the meeting itself should not be the sole evidence of identity when the request has serious consequences. Use a communication path that was established before the suspicious call and that the caller cannot control.

  • Call a telephone number already stored in your organization’s directory or contact system.
  • Start a new conversation with an account you have used previously, rather than replying to contact details supplied in the meeting.
  • Use an established internal procedure, such as a manager’s published extension or a second-person approval process.

Ask the person to confirm the specific request, not merely “Were you just on Teams?” For a payment, confirm the amount, recipient, and destination account. For a password reset, confirm that the reset was actually authorized. For a disclosure, confirm exactly which information should be shared and with whom. Do not resume the original action until the independent response matches the request.

Microsoft Support’s guidance states: “Verify unexpected requests through another communication channel.” That instruction remains appropriate even when the caller looks exactly like a colleague or the warning appears to be a mistake.

What to do during a suspicious Teams meeting

Use this sequence when a voice, video, or request feels wrong. It is designed to prevent an attacker from using urgency to keep you engaged while you verify.

  1. Stop the consequential action. Do not transfer money, approve a vendor change, reset credentials, disclose a one-time code, open a sensitive file, or send confidential information while identity is unresolved.
  2. Record the context without arguing. Note the display name, organization, meeting subject, time, requested action, destination account or link, and any warning shown by Teams. Do not copy secrets into your notes.
  3. Review the caller and organization details. Check whether the call was expected, whether the stated organization is plausible, and whether the identity information matches your normal records. A familiar name or logo is not independent confirmation.
  4. Do not use contact information introduced in the call. A caller can provide a new phone number, email address, QR code, callback link, or “assistant” who is part of the same deception. Use records you already trusted before the meeting.
  5. End the risky conversation before checking. Tell the participant you must verify the request, then leave the call. If leaving immediately could create a safety concern, mute and involve a colleague through a separate channel; do not continue sharing information.
  6. Contact the person independently. Use the known number, directory record, or established conversation. Ask for confirmation of the exact request and relevant details. Do not disclose what the caller told you beyond what is needed to test the story.
  7. Make a binary decision. If the trusted contact confirms the request and the details align, continue through your normal approval process. If the person cannot be reached, denies making the request, or gives different details, treat the Teams identity as unconfirmed and do not proceed.
  8. Report and document the event. Use the Teams reporting option if your organization provides it, and follow its security or incident-reporting procedure. Include the time, account, meeting details, warning, requested action, and evidence you preserved.

Requests that should trigger an immediate pause

Identity scams become dangerous when a believable conversation is used to obtain something valuable. The following requests warrant an independent check before any response:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Passwords, passkeys, multifactor authentication codes, recovery codes, or approval of an unexpected sign-in prompt.
  • Urgent wire transfers, gift-card purchases, cryptocurrency transfers, payroll changes, or new bank details.
  • Personal information, customer records, source code, legal material, trade secrets, or other confidential files.
  • Credential resets, creation of a new administrator account, installation of software, or changes to security settings.
  • Instructions to keep the call secret, bypass a manager, skip a written approval, or act before a deadline that exists only in the conversation.

Urgency is not proof of fraud by itself. It is a reason to slow down and apply the same independent verification rule. A genuine executive, supplier, or support technician should be able to tolerate a normal identity check.

Why a good-looking face or familiar voice is not authentication

Video and audio are representations of a person, not a cryptographic identity credential. A high-quality camera feed can show a real participant, a manipulated feed, a prerecorded segment, or a synthetic rendering; a clear voice can belong to the claimed speaker, another person, or generated audio. Ordinary network delay, compression, lighting, microphones, and camera autofocus can also produce glitches. Conversely, a polished feed can conceal manipulation. No single visual or acoustic artifact reliably settles the question.

Do not turn lip movement, blinking, background detail, eye contact, accent, or a request to turn on a camera into a pass-or-fail test. Those observations may justify caution, but they do not replace an out-of-band confirmation. The practical question is not “Can I spot a deepfake?” It is “Has the person’s identity and request been confirmed through a channel the caller cannot control?”

What the Teams “Scam suspected” warning means

Microsoft Support documents a “Scam suspected” warning for potential impersonation during incoming calls from outside an organization. The guidance tells users to review the caller and organization information, consider whether the call was expected, verify through a trusted channel, and leave when identity remains uncertain.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The warning is a risk indicator, not a verdict about a manipulated face or cloned voice. Microsoft also notes that legitimate callers can occasionally be flagged. Therefore:

  • If the warning appears, stop sensitive actions and perform the independent check. Do not dismiss it merely because the caller looks familiar.
  • If the warning does not appear, do not treat that absence as a clean bill of health. Normal identity procedures still apply to unexpected or high-impact requests.
  • If the warning seems wrong, verify the caller first. A false positive can be resolved by the trusted contact confirming the request; it should not be resolved by arguing with the warning inside the same call.

Microsoft’s support guidance also recommends reporting suspicious calls when the organization’s Teams configuration offers that option. Reports can contribute to detection and protection, but they do not substitute for handling the immediate request safely.

What Teams security controls can—and cannot—prove

Teams has controls for protecting communications and controlling meeting access. Each addresses a different risk from the question of whether the visible or audible participant is authentic.

Control What it helps protect What it cannot establish
Encryption and SRTP for audio, video, and application-sharing media Media in transit against specified network threats, including interception and replay. That the person speaking or appearing is the real-world owner of the account or the claimed identity.
Meeting lobby and direct-admission settings Who can join immediately and who must wait for an organizer or presenter to admit them. That an admitted participant is genuine, unmanipulated, or authorized to make a particular request.
External and anonymous-join controls Whether people outside the organization or without an authenticated organizational account can enter. That a permitted external account belongs to the person named on screen.
Verification checks such as CAPTCHA for eligible anonymous or untrusted joiners Reducing web-based bots that attempt to join, record, or disrupt meetings. Whether a live human’s voice or video is authentic, or whether an account is being used by an impostor.
In-product reporting Giving the organization and Microsoft a signal about a suspicious call when reporting is enabled. Immediate identity proof or recovery of information already disclosed.

Microsoft’s Teams security documentation describes encryption and SRTP as network protections. Microsoft’s meeting-security guidance describes lobby, external-access, and anonymous-join practices. CAPTCHA documentation describes a bot-resistance check. None of these mechanisms is a deepfake certification service.

Meeting settings that reduce access risk

Organizers and administrators can make impersonation attempts harder to stage, even though access controls do not authenticate a person’s face or voice.

Use the lobby deliberately

Require people who are not already trusted by the meeting policy to wait. An organizer or presenter can inspect the joining identity and admit only expected participants. This limits surprise access, but the organizer must still verify a participant who makes a sensitive request.

Review anonymous and external participation

Allow anonymous or external joining only when the business purpose requires it. For recurring meetings, define which guests are expected and how their identities will be confirmed before admission. An external account that passes the join policy is still an account, not proof of the person behind it.

Consider verification checks for untrusted joiners

Microsoft documents CAPTCHA-style verification checks for some anonymous or untrusted joiners. These checks are aimed at web-based bots that join, record, or disrupt meetings. They do not analyze whether a participant’s audio or video has been synthetically generated.

Publish a separate verification route

Give employees and suppliers a directory, phone tree, ticketing system, or other channel that is known before an incident. A documented route makes it possible to challenge a suspicious request without asking the caller to supply the only way to reach the supposed account owner.

Current status of Teams synthetic-media detection

Microsoft 365 roadmap item RM573451 was listed as In development and last updated October 7, 2026. It targets general availability in November 2026 for third-party synthetic audio and video detection in Teams. The roadmap says certified third-party solutions perform the media analysis, send detection signals, and that Teams supplies the integration and in-meeting experience.

This is a roadmap target, not confirmation that the capability is generally available on October 16, 2026. The reviewed entry does not identify supported providers. Availability, supported clients, licensing, regional rollout, data handling, and alert behavior should be checked in the current Microsoft documentation and your tenant before relying on the feature.

Even after such an integration becomes available, a detection signal should be treated as one input to an identity procedure. A detector can produce false positives and false negatives, and detecting synthetic media does not necessarily identify the real person operating the account.

Questions to ask when evaluating an enterprise detection service

Evaluation question Why it matters
Does it analyze live meeting audio and video, recordings, or both? A recording-only service cannot protect a decision made during a live call.
What identity claim does its result support? “Possible synthetic media” is different from “this is the named employee.” Do not treat the two as equivalent.
How are false positives and false negatives handled? Users need a safe response when the signal is wrong or absent.
Which Teams clients, meeting types, and regions are supported? A control that works only in a subset of calls can create gaps if users assume universal coverage.
What data is sent to the provider, how long is it retained, and who can see alerts? Audio and video may contain personal, confidential, or regulated information.
Is there independent validation? Vendor claims alone do not establish performance in your languages, devices, lighting, or network conditions.
What are the price and contractual terms? Licensing, minimum commitments, support, and data-processing obligations affect whether deployment is appropriate.

An organization’s response playbook

Individual caution works best when the organization has already decided what “verify independently” means.

  1. Define trusted channels. Maintain accurate directory numbers, escalation addresses, and ticketing routes. Tell staff never to replace those records with contact details introduced during an unexpected call.
  2. Set approval rules for high-impact actions. Require a second person or a separate written workflow for payments, payroll changes, privileged access, credential resets, and disclosure of protected information.
  3. Train people to pause without penalty. Make it acceptable to end a call and verify, even when the request appears to come from a senior executive or an important customer.
  4. Configure meeting access deliberately. Review lobby, external-access, anonymous-join, and available verification-check settings for each meeting type.
  5. Test reporting and escalation. Users should know where to report a suspicious call and whom to contact if money, credentials, or data may already have been exposed.
  6. Review new detection integrations carefully. Confirm rollout status, provider terms, retention, consent, alert ownership, and what the signal does—and does not—mean before making it part of an identity decision.

If someone already shared information

Act on the exposure rather than continuing the conversation to seek reassurance.

  • End the call and stop replying through every channel controlled by the suspected caller.
  • Notify your security or incident-response team using the organization’s established route.
  • For exposed passwords or authentication factors, use the legitimate service’s sign-in page or help process to change or revoke them. Do not follow reset links supplied by the suspicious meeting.
  • For financial instructions or account details, contact the bank, payment team, or supplier through a previously known number and request immediate review.
  • Preserve meeting times, caller identifiers, messages, transaction records, and screenshots according to organizational policy. Avoid circulating confidential content unnecessarily.
  • Tell affected colleagues or customers through trusted channels if they might act on the same impersonation.

Fast reporting can limit damage, but it cannot make a disclosure harmless. Treat credentials, codes, money, and confidential data as compromised until the responsible team determines otherwise.

Why this matters beyond one meeting

Microsoft’s Digital Defense Report 2025 gives broad indicators of the scale of identity and fraud abuse. Microsoft reported blocking fraud schemes worth USD 4 billion during April 2024 through April 2025, blocking 1.6 million fake-account-creation attempts per hour on its services, and observing a 195% global increase in the use of AI-generated IDs. Those figures cover Microsoft services and synthetic-identity activity broadly; they are not measurements of Teams deepfake calls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The implication for a Teams user is practical: a plausible voice or video should not be allowed to bypass a control that would apply to an ordinary email or phone request. Independent confirmation is inexpensive, works whether or not a warning appears, and remains useful even when automated detection is unavailable or uncertain.

A simple decision rule

When a Teams participant requests something consequential, ask three questions:

  1. Is the request sensitive, financial, credential-related, confidential, or unusually urgent? If yes, pause.
  2. Can I verify the person through a channel that was trusted before this meeting? If no, do not proceed.
  3. Does the independent contact confirm the exact request and details? If no—or if confirmation cannot be obtained—leave the call, report it, and follow incident procedures.

That rule avoids two common errors: treating a Teams warning as conclusive proof of fraud, and treating a clean-looking call as proof of authenticity. The identity decision belongs to the independent check, not to the pixels, audio, or pressure inside the meeting.
