Use Word’s desktop mail merge to turn one cover-letter template and an Excel contact list into a separate, personalized letter for every selected row. Excel supplies fields such as the recipient’s name, company and address; Word supplies the layout, fixed text and final documents.
The dependable sequence is: clean the workbook, connect it through Mailings > Select Recipients, insert and preview the fields, then use Finish & Merge to create editable letters or print them. The steps below cover the setup, personalization choices, quality checks and the fixes for common failures.

What Word mail merge creates
Mail merge produces a batch of letters that share the same page design, formatting, wording and graphics while changing selected parts for each recipient. A single Word file can therefore generate a different salutation, employer name, job title, address or role-specific sentence for every selected Excel row.

- Excel is the data source. Each row is a recipient and each column is a field that Word can insert.
- Word desktop is the document engine. It holds the cover-letter text, places merge fields and generates the individual output.
The merge document remains useful after the first batch. When you save it, Word retains its connection to the workbook, so you can reuse the same letter design with an updated recipient list when the data source is still available.
“Mail merge lets you create a batch of personalized letters where each letter is identical in layout, formatting, text, and graphics, except for personalized parts like the salutation.”

Requirements and supported Word editions
Run the merge in the installed desktop application, not in a browser tab. Microsoft lists Word for Microsoft 365, Word 2024, Word 2021, Word 2019 and Word 2016 for supported Windows and Mac workflows.
| Application or edition | What it can do | Important limitation |
|---|---|---|
| Word desktop for Microsoft 365, 2024, 2021, 2019 or 2016 | Create, edit, preview and finish a letter merge on supported Windows and Mac installations. | The exact ribbon appearance can vary slightly by platform or update, but the Mailings commands remain the route to the merge. |
| Word for the web | Open a document that was prepared in desktop Word and preserve its merge settings. | It cannot execute a merge or edit merge settings. Open the file in desktop Word to connect data, preview records or finish output. |
| Excel workbook | Provide the rows and column fields used by the letter. | Keep the data in the first worksheet, use a contiguous table, and store the file locally or on a supported file share. An HTTP location is not supported as a mail-merge data source. |
Have the workbook and Word document available before you start. If more than one person will use the files, choose a shared location that Word supports rather than an HTTP address.
Prepare the Excel workbook before connecting it
Most merge errors originate in the source sheet, not in the letter. Finish additions and corrections in Excel before you connect the workbook. If you change the structure afterward, reconnect or refresh the data source as appropriate.
Use a clear header row
Put one header row at the top of the first worksheet. The headings become Word’s available merge fields, so name them for the information the cover letter actually needs. A practical set is:

- [Ideal for One Person] — With a one-time purchase of Microsoft Office Home & Business 2024, you can create, organize, and get things done.

Keep the data contiguous and on the first worksheet
Place the header row and all recipient records in one uninterrupted block on the first worksheet. Do not put blank rows, explanatory notes or a second unrelated table inside that block. Word reads the selected sheet or table as the recipient source, and a clean rectangular range makes the available records predictable.
Format values for the way they must appear
- Format postal codes as text when leading zeroes matter. A code such as 01234 must not be converted to 1234 before Word reads it.
- Review dates, currencies and percentages in Excel before linking. Word uses the source values and formatting it receives, so decide whether a date, amount or percentage should appear with a particular display format.
- Check capitalization, punctuation and spaces in names and company names. A merge will reproduce an extra space or an inconsistent abbreviation in every affected letter.
- Leave a field genuinely blank when you do not have the information. Then design the letter so a missing value does not leave awkward punctuation.
Save in a location Word supports
Save the workbook locally or on a supported file share, and keep its name and location stable while you build the merge. Microsoft’s data-source guidance does not support an HTTP location for mail merge. If a shared file is moved, renamed or permission-restricted, Word may ask you to locate or reconnect the source.

Start a letter merge
Open Word and choose Mailings > Start Mail Merge > Letters. You can begin with a blank document or open an existing cover-letter template. The Letters type tells Word that each output should use the same letter layout while varying the inserted fields.
-
Write or paste the fixed cover-letter content
Enter the date line, sender details, subject, body paragraphs, closing and any graphics that should appear in every version. Keep wording that is common to all applicants as ordinary text. Leave deliberate insertion points for the recipient’s name, company, job title, location or referral source.
-
Connect the Excel list
Choose Mailings > Select Recipients > Use an Existing List. Select the prepared Excel workbook, then choose the appropriate worksheet or table when Word prompts you. Confirm that the sheet containing the header row and contiguous records is selected.
-
Choose who will receive a letter
Open Mailings > Edit Recipient List. Clear the check box for any row that should not receive a letter. Use the list controls to sort or filter when you need a particular order or a subset, such as one job title or one location. The selected rows, not every row in the workbook, become the merge population.

Insert a standard salutation
Place the cursor where the greeting belongs and choose Mailings > Greeting Line. Select the greeting style and punctuation, then inspect the result in preview. This is convenient when a consistent salutation is appropriate and the source contains suitable name fields.

Insert address information when needed
Place the cursor in the recipient-address area and choose Mailings > Address Block. Select the address layout that matches your letter. Address Block is intended for address information; it is separate from the greeting and does not replace a custom company or job-title field in the body.
-
Insert custom fields
For a field that Greeting Line or Address Block does not cover, choose Mailings > Insert Merge Field and select the relevant column, such as
FirstName,Company,JobTitle,LocationorReferralSource. Type the surrounding words and punctuation as normal text. For example, a sentence can combine a fixed phrase with the Company and JobTitle fields. -
Preview every kind of record
Choose Mailings > Preview Results. Use the next and previous record controls to inspect the first, a middle and the last selected record, plus records with unusually long names or missing values. Check the greeting, address lines, company spelling, spaces, punctuation, line wrapping and page breaks before producing output.

Finish the merge
Choose Mailings > Finish & Merge. Select Edit Individual Documents when you want Word to create an editable document containing the personalized letters for a final per-letter review. Select Print Documents when the preview is correct and you are ready to send the selected letters to a printer. Save the merge document so its data-source connection remains available for the next batch.
Choose the right personalization method
Greeting Line for a conventional salutation
Greeting Line is the quickest way to create a repeated salutation such as a formal greeting. It keeps the greeting format consistent across records and is useful when your list has dependable first- and last-name data. Preview records with blank or unusual names; a standard greeting cannot fix a source row that lacks the information it needs.
Insert Merge Field for precise control
Use Insert Merge Field when you need exact placement or wording. A cover letter might insert FirstName in the opening, Company in a sentence about the employer, and JobTitle in a sentence explaining the applicant’s interest. Manual field placement also lets you separate a company name from an address block or include a referral source only where it belongs.
Rules for conditional wording
For genuinely different wording, use Mailings > Rules. A rule can customize text based on a value in the data source, such as adding one sentence for a particular location or referral source. Keep each branch short, make sure the underlying column has consistent values, and test every branch with Preview Results before finishing. Conditional text is powerful, but it adds another set of paths that must be proofread.
Control recipients and review the finished letters
Verify the recipient population
Open Edit Recipient List before previewing and confirm the selected count. Deselect people who have withdrawn, records outside the job search or rows that are incomplete. Sorting can make a review easier, while filtering can limit the batch to a defined group; neither changes the underlying workbook.

Use a deliberate preview sample
Do not inspect only the first row. Check the first, middle and last records, and deliberately select rows with long names, missing fields, unusual punctuation or different address lengths. Look for a blank greeting, a doubled space, a comma left behind after an empty field, an address that wraps unexpectedly or a paragraph pushed onto a new page.
Decide whether to edit or print
| Finish option | Best use | What you receive |
|---|---|---|
| Edit Individual Documents | You need a final editable review or an occasional per-letter adjustment. | A new Word document containing the personalized letters for the selected records. |
| Print Documents | The preview is approved and no individual edits are required. | The selected personalized letters sent directly to the printer. |
Even when you plan to print, use Preview Results first. If a particular letter needs a human change, choose Edit Individual Documents, make the correction in that generated document and retain the original merge document for future batches.
Keep the merge reusable
Save the Word merge document after connecting the workbook and placing the fields. Keep it with the source workbook, using stable file names and a location that future users can access. The saved connection allows the same layout to be reused rather than rebuilt for every hiring round.

The merge fields list is empty or incomplete
Check that you selected Use an Existing List, chose the correct workbook and selected the worksheet or table containing the header row. Make sure headings are in the first row of a contiguous range and that the workbook was saved after the headings were added. If you changed columns after connecting, reconnect or refresh the source.
Word inserts the wrong value under a field
Inspect the Excel heading and the row values. A heading becomes the field name, so similarly named columns can be easy to confuse. Rename ambiguous headings in Excel, save the workbook and reconnect if necessary. Then use Preview Results to verify that each insertion point displays the intended column.
Postal codes lose leading zeroes
Format the postal-code column as text in Excel before connecting. Correcting the display in Word cannot restore a zero that Excel already removed from the stored value. Reconnect or refresh after changing the format and preview a record from the affected region.

A greeting or sentence has awkward blanks
Preview rows with missing data. A blank field can leave extra spaces, punctuation or a sentence that no longer makes sense. Adjust the fixed wording, move the field, or use a Mailings > Rules condition that supplies alternate text. Test both the populated and blank cases.
The source cannot be opened from its location
Move or copy the workbook to a local folder or a supported file share and reconnect it. An HTTP location is not supported for Word mail-merge data sources. Also verify that you have permission to open the file and that it has not been renamed since the merge document was saved.
The document works in a browser but will not merge
Word for the web can preserve settings in a document created in desktop Word, but it cannot run the merge or edit its settings. Download or open the file in the installed desktop version, then perform the connection, preview and Finish & Merge steps there.
Page breaks or spacing change between recipients
Use Preview Results on records with long company names, addresses and job titles. Check paragraph spacing, table widths and the placement of the address block. If a field can contain a long value, allow the surrounding layout to wrap naturally rather than relying on a fixed line length.
Example cover-letter layout
The following illustrates where fields can sit; the surrounding prose remains ordinary Word text.
Dear «FirstName», I am applying for the «JobTitle» position at «Company». My experience in [fixed skills or experience] would allow me to contribute to your team. I would welcome the opportunity to discuss how my background fits the role and your needs in «Location». Sincerely, [Applicant name]
Insert the displayed fields through Mailings > Insert Merge Field rather than typing angle-bracket text as ordinary characters. If a standard salutation is sufficient, replace the first line with Greeting Line. If a recipient lacks a location, use a rule or rewrite the sentence so the blank does not damage the paragraph.
Final pre-output checklist
- The workbook has a clear header row, contiguous records and all data on the first worksheet.
- Postal codes, dates, currencies and percentages display correctly in Excel.
- The workbook is saved locally or on a supported file share, not at an HTTP location.
- The correct worksheet or table is connected through Select Recipients > Use an Existing List.
- Edit Recipient List contains only the people who should receive a letter.
- Greeting Line, Address Block and custom fields appear in the intended positions.
- First, middle, last, unusual-name and missing-field records have been inspected with Preview Results.
- Conditional branches created with Mailings > Rules have been tested.
- You chose Edit Individual Documents for a final editable review or Print Documents only after approval.
- The merge document and source workbook are saved together for reuse.
With a clean first worksheet, a deliberate recipient selection and a full preview, Word can reliably turn one cover-letter design into a separate, personalized letter for every approved Excel row.
