How to use Windows Search to find files, apps, and settings faster

Press Windows+S, click Search on the taskbar, or open Start and begin typing. Use that broad search for apps, settings, files, OneDrive items and web results; use File Explorer when you need to limit a search to a folder or drive. If a file is missing, search This PC, try an extension such as *.doc, and check indexing coverage.

Start with the fastest Windows Search shortcut

Windows has three equivalent quick entry points:

  • Press Windows+S.
  • Select Search on the taskbar.
  • Open Start and type immediately.

Type an app name, a setting keyword, a filename or a phrase from a document. Windows Search can combine local results with items from personal or work or school cloud accounts and Bing-powered web results. Check the result category and location before opening anything: a web answer is not the same as a file stored on your computer.

For the quickest result, enter a distinctive word rather than a long sentence. If several matches appear, use the filters or switch to File Explorer for a controlled folder search.

Find an app or Windows setting

Open an installed app

  1. Press Windows+S, click taskbar Search, or open Start.
  2. Type the app’s name, such as its full name or a distinctive part of it.
  3. Select the app from the local result list. If the list instead emphasizes a web result, look for the app result or refine the wording.

This is usually faster than browsing the Start menu, especially when you remember the name but not its pinned location. Search can also find files and settings at the same time, so confirm that the selected result is the installed application you intended to launch.

Jump to a setting

  1. Open Windows Search with Windows+S or Start typing.
  2. Enter a keyword such as Bluetooth, display, printer or search indexing.
  3. Select the matching Settings result rather than a similarly named web page.

Windows 11 on Copilot+ PCs may offer natural-language descriptions in Settings search, allowing you to describe an action instead of using the exact setting name. That capability depends on the device; it is not a promise that every Windows 11 computer supports semantic Settings searches. Microsoft documents Windows Settings search at Exploring Windows settings.

Choose the right place to search for a file

The starting location determines how much Windows has to examine and how useful the results are. Use the taskbar or Start when you want a broad, quick mixed search. Use File Explorer when you know approximately where the file belongs or need to inspect a specific drive.

Starting point Best use What to expect
Taskbar Search, Windows+S or Start Quickly finding a file, app or setting across the device Mixed local, cloud-account and possible Bing web results; broad scope can produce more noise
A known folder in File Explorer Searching a project, Downloads folder or other likely location Narrower, more controlled results and less irrelevant content
This PC in File Explorer Finding a file when its folder is unknown Broader and more in-depth, but slower than searching a specific folder

Search a likely folder in File Explorer

  1. Open File Explorer with Windows+E.
  2. Browse to the folder where the file is most likely stored, such as Documents, Downloads or a project folder.
  3. Select the Search box in the upper-right corner.
  4. Type part of the filename or a word you expect inside the document, then press Enter.
  5. Review the results and use Open file location when you need to see the containing folder.

Starting in the likely folder prevents unrelated directories from overwhelming the result list. It is also a useful way to distinguish two files with similar names that live in different projects.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Search the whole computer with This PC

  1. Open File Explorer.
  2. Select This PC in the navigation pane.
  3. Enter the filename, part of a name or a distinctive keyword in the Search box.
  4. Allow more time than a folder search, particularly on a large drive or when the item is not indexed.

Microsoft characterizes This PC searching as slower but more in-depth. It is the appropriate escalation when searching Documents or another likely folder produces nothing, but it still does not establish that every file on every drive will always appear.

Search by filename, extension or document text

Use a partial filename

Enter the portion you remember. A distinctive word, date fragment or project code can be enough to narrow the results. If you know the extension but not the complete name, use a wildcard such as *.doc. Microsoft also gives *.mp3 as an example for locating music files by type. Wildcards are especially useful when a filename was renamed or you remember only its format.

Search words inside a document

A content search can find a phrase stored inside a supported file, but only when that file type is configured for content indexing and the location is covered by indexing. A filename or metadata search can still work when only properties are indexed; text inside the file will not be available through that configuration.

Cloud files have additional qualifications. A taskbar search may show OneDrive or other personal or work or school account results, but availability depends on synchronization, account access and the file’s searchable state. Do not assume that every online-only item or every file format is searchable in the same way as a local indexed document.

Expand or limit what Windows indexes

Indexing creates a catalog that Windows Search can consult quickly. The first indexing pass can take time: Microsoft Support states, “When you first run indexing, it can take up to a couple hours to complete.” After that initial pass, the index is updated in the background, so a newly added file may not be immediately discoverable.

Windows 11: open Searching Windows

  1. Open Settings.
  2. Select Privacy & security.
  3. Choose Searching Windows.
  4. Review the current indexing mode and select Customize search locations when you need to add or remove locations.

Windows 10: open the legacy indexing controls

  1. Open Start and select Settings.
  2. Choose Search.
  3. Select Searching Windows.

These Windows 10 directions remain useful on systems that still run Windows 10, although Microsoft support for Windows 10 ended on October 14, 2025. Labels can change between releases, so if a path differs slightly, search Settings for Searching Windows or indexing.

Classic versus Enhanced indexing

Mode Coverage Trade-off
Classic Common user folders such as Documents, Pictures, Music and Desktop by default Less coverage and generally less indexing work; add locations through Customize search locations
Enhanced All user folders and files Broader local results, with potentially greater use of system resources

Choose Classic when your files are organized in the standard folders and you prefer a smaller indexing scope. Choose Enhanced when files are spread across many user folders and finding them is more important than minimizing indexing activity. Enhanced does not mean that every external drive, network share or cloud-only item is automatically included.

Decide whether file contents should be indexed

Indexing settings for file types determine whether Windows records just properties or also the text inside a file:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Indexing choice Finds Effect
Properties only Filename and metadata such as file type or other properties Smaller indexing workload; searches do not inspect text inside the file
Properties and content Filename, metadata and text in supported files Useful for phrase searches, but creates a larger index and still depends on file-type support

Enable content indexing only for formats where searching inside documents is valuable. It can improve discovery of a phrase whose filename you do not know, but it does not make unsupported formats readable to Search and should not be treated as a guarantee for every cloud file.

Fix a file that does not appear

Work through these checks in order. Each step addresses a different reason a result may be absent.

1. Search from This PC

Return to File Explorer, select This PC, and repeat the search. A search started in the wrong folder can legitimately exclude the file. This PC broadens the scope, although it may take longer.

2. Try the extension wildcard

If you remember the format but not the name, search for an extension such as *.doc or *.mp3. This can expose renamed files or files whose names no longer contain the word you expected. Use the extension that matches the actual format; a .doc search will not find a file saved as a different extension.

3. Check hidden and cloud locations

Confirm that the file is not hidden and that you are signed in to the personal or work or school account that owns the cloud location. OneDrive items can appear differently depending on whether they are synchronized locally or remain online-only. Search results that come from the web are not evidence that a local copy exists.

4. Confirm indexing coverage and wait for the first pass

Open the version-appropriate Searching Windows page and check whether the folder is included. Add it through Customize search locations or consider Enhanced indexing if files are distributed throughout your user folders. If indexing has just been enabled or expanded, allow the initial pass to finish; Microsoft says it can take up to a couple hours.

5. Check content-indexing requirements

If the filename appears but a phrase inside the file does not, review the file type’s indexing choice. Properties-only indexing supports name and metadata searches, not text-inside-file searches. Even with properties-and-content selected, the file format must be supported and the location must be indexed.

6. Run the Search and Indexing troubleshooter

  1. Open Advanced indexing options.
  2. Use the available Search and Indexing troubleshooter.
  3. Choose the symptom that matches the missing or incomplete results and apply the suggested repair.
  4. Search again from This PC after the troubleshooter finishes.

The troubleshooter can identify indexing problems, but it cannot guarantee that every file will be returned. If the file still does not appear, use File Explorer to inspect likely folders directly and verify the file’s actual name, extension and storage location.

Keep results relevant and protect privacy

Windows Search may combine several sources:

  • Device results: installed apps, settings and files stored on the computer.
  • Personal or work or school cloud results: items available through connected accounts, subject to account access and synchronization state.
  • Bing-powered web results: online pages and answers returned because the query could be interpreted as a web search.

When searching for a private filename or document phrase, verify the result’s location before opening or sharing it. A cloud result may be governed by your organization’s account permissions, while a web result is outside your local file system. Narrowing the search in File Explorer is also a practical way to reduce irrelevant results.

Fast workflows for common searches

You know the app or setting name

Press Windows+S, type the name, and choose the local app or Settings result. This avoids browsing menus and is normally the shortest route.

You know the folder but not the exact filename

Open that folder in File Explorer and search there. Try a memorable word, then an extension wildcard if necessary. Use Open file location to verify the result’s folder before editing or moving it.

You know only that the file exists somewhere

Search This PC, accept the slower scan, and use the extension or a distinctive keyword. Once you locate one matching result, open its location and inspect neighboring files rather than repeating a broad search.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You remember a sentence from a document

Search a likely folder first with the sentence’s most distinctive words. If no result appears, verify that the file type is set to Properties and content and that the folder is indexed. A properties-only index cannot answer a text-inside-file query.

What to expect after changing indexing

Changing from Classic to Enhanced, adding a location or enabling content indexing does not instantly rewrite the catalog. Windows must process the files, and the first run can take up to a couple hours. During that period, results may be incomplete. After indexing settles, routine updates occur in the background, but newly created or downloaded files can still take a short time to appear.

Broader coverage and content indexing improve what can be found, while narrower coverage and properties-only indexing reduce the amount of data Windows catalogs. Select the smallest scope that reliably contains your files, then expand it only when your searches show a real gap.

Windows 10 and Windows 11 differences at a glance

Task Windows 11 Windows 10
Open indexing settings Settings > Privacy & security > Searching Windows Start > Settings > Search > Searching Windows
Quick Search entry Taskbar Search, Windows+S or Start typing Windows+S, taskbar Search or Start typing, depending on taskbar configuration
Natural-language Settings search May be available on Copilot+ PCs; device-dependent Do not assume this Copilot+ capability
Support status Current Windows release family Support ended October 14, 2025

Microsoft’s interface and search behavior can change with updates. If a label moves, use the Settings search box to look for Searching Windows, indexing or Search and Indexing rather than assuming the older path is still present.

Practical decision guide

  • Choose taskbar or Start Search for an app, setting or broad mixed query.
  • Choose a known File Explorer folder for speed and relevance.
  • Choose This PC when the file’s location is unknown and you can wait longer.
  • Choose Classic indexing when standard folders cover your work.
  • Choose Enhanced indexing when files are distributed across user folders and broader coverage justifies the resource cost.
  • Choose properties and content for supported document formats when searching inside text matters.
  • Choose properties only when filename and metadata searches are sufficient or you want a smaller index.
