Gmail’s Help me write uses Gemini to create a first draft from your instructions or revise text already in a draft. On a computer, open Gmail, choose Compose, a reply, or an existing draft, enter a prompt in the Help me write bar, and select Create. You can then ask for a more formal, friendlier, or shorter version. Read every generated sentence before sending: Google warns that Gemini suggestions can be inaccurate or inappropriate, and availability depends on your account, plan, country, language, and device.

Help me write is a Gemini writing feature inside Gmail. It can produce a new email from a natural-language instruction and revise text that is already in a draft. The result is suggested copy, not an automatically sent message: you remain responsible for the recipients, facts, attachments, tone, and final decision to send.

Help me write is different from Smart Compose. Smart Compose supplies predictive writing suggestions as you type; Google says it is not designed to provide answers and may not always predict factually correct information. Help me write instead accepts a larger instruction and returns a draft or a requested rewrite. The features can appear in the same compose window, but they serve different purposes.
Check whether your account can use it
The control may be absent even when Gmail itself works normally. Google’s current availability pages describe access by account type, eligible plan, supported language, location, and platform. Those details can change, so use your own Gmail account and the current tables in Get started with Google Workspace with Gemini and Learn about Gemini features in Gmail as the final check.

The desktop workflow is the clearest documented path. You can start with an empty message, a reply, or text you have already saved as a draft.
- Open Gmail and start the message. Select Compose for a new email, choose Reply in an existing conversation, or open an existing draft. Add recipients and a subject if you know them, or leave the body blank while you plan the request.
- Find the Help me write prompt bar. In the compose window, use the bar at the bottom. If it is not visible, click Help me write to reveal it.
- Describe the job. State who the message is for, why you are writing, what the recipient should do, the facts that must appear, and the tone or format you want.
- Generate the draft. Enter the instruction and click Create. Gmail inserts a suggested message into the compose window for you to inspect.
- Check the result before editing further. Compare names, dates, amounts, links, deadlines, attachments, and commitments with your source material. Remove claims you did not supply and soften language that promises more than you can deliver.
- Edit and send normally. You can type directly in the message, add or remove recipients, attach files, and use Gmail’s ordinary send controls. Help me write does not replace Gmail’s final review step.
A prompt that gives Gmail enough context
Use a compact brief rather than a vague request. Include these elements in one or two sentences:
- Recipient: who will read it and your relationship to that person or group.
- Purpose: the outcome you need, such as confirming a meeting or requesting an approval.
- Required facts: dates, times, project names, amounts, links, and any sentence that must remain exact.
- Action: what the recipient should do and by when.
- Tone and shape: formal, friendly, concise, apologetic, bullet-based, or another clearly defined style.
For example: “Write to our supplier to confirm the delivery address, ask them to acknowledge the Friday deadline, and keep the tone professional and concise.” Google’s own examples include “Make it more professional.” and “Mention the Friday deadline.” Those examples work best when the draft already contains the facts they refer to.

When to provide a source email or file
Google recommends referring to a specific email or file when that material contains the facts you need. Identify the relevant thread or document in your instruction and verify the resulting wording against the source. A reference helps Gemini preserve context; it does not guarantee that every detail will be copied correctly.
Refine an existing draft
Help me write can change a draft’s tone and length without requiring you to rewrite every sentence. Open the draft or reply, select Help me write, and describe the change you want. Gmail documents three refinement controls:

You can also enter a specific change request, such as asking Gmail to put the request in the first paragraph, turn a list of requirements into bullets, or mention a particular deadline. The more exact the requested change, the easier it is to see whether the result complied.
Undo and redo a rewrite
Google documents Undo and Redo for switching between drafts. Use them immediately when a refinement removes a qualification or changes the meaning. If the revised version is not recoverable through the controls, reopen the draft and restore your own text from the message history or another copy before continuing.
Prompt patterns for common email jobs
These patterns are starting points. Replace the placeholders with real facts and review every output.
Meeting confirmation
Write a concise confirmation to the project team for Tuesday, 14 April, at 10:00 UTC. Include the video-call link already in this draft and ask attendees to send agenda items by Monday noon. Use a professional, direct tone.

Polite follow-up
Rewrite this email as a friendly follow-up to a client who has not replied. Keep the quoted price and the 30 April expiry date unchanged, and ask for a yes-or-no response.
Declining a request
Draft a respectful reply declining the proposed work because our team has no capacity this month. Do not suggest that we can meet the deadline, and offer to reconsider in June.
Turning notes into a clear request
Turn the notes in this draft into a short email to the finance team. State the amount, invoice number, requested approval, and Friday deadline as separate bullet points. Do not add facts that are not in the notes.

Plain-language revision
Make this message easier to understand for a reader who is not familiar with the project. Keep all technical names, dates, and instructions exact, and explain the next action in one sentence.
Do not ask Help me write to make a decision that requires professional judgment, such as legal, medical, tax, employment, or safety advice. It can help with wording, but the responsible professional or decision-maker must supply and verify the substance.
Review every generated draft before sending
A polished paragraph can still contain a wrong name, invented detail, or unintended promise. Use a deliberate review instead of relying on grammar and tone.

- Recipients: confirm every address, reply-all choice, and distribution list. Remove anyone who should not see confidential context.
- Facts: compare names, figures, dates, time zones, locations, product or project identifiers, and quoted text with the original email or file.
- Commitments: look for accidental promises about delivery, refunds, approvals, availability, or deadlines.
- Action and timing: make the requested next step explicit and ensure the deadline is correct.
- Tone: check whether the wording is appropriately direct, respectful, and proportionate to the situation.
- Privacy: remove personal or sensitive information that the recipient does not need, and verify attachments and links before sending.
- Formatting: inspect bullets, quoted replies, signatures, line breaks, and mobile rendering.
Google’s Gmail guidance warns that Gemini features may suggest inaccurate or inappropriate content and may not support every request. Treat the generated text as an editable proposal. A confident sentence is not evidence that it is true.
Privacy and data-use qualifications
Privacy terms depend on the account and program. The Workspace Experiments documentation specifically says that, when a tester uses its Help me write prompt, Google uses and stores the prompt, generated text, feedback, the draft being refined, prior messages in the thread, and relevant emails and documents for personalized messages. That page also says Workspace Experiments data may be read, rated, annotated, and reviewed by human reviewers, and tells testers not to put personal, confidential, or sensitive information in prompts. Read those statements as warnings for the Workspace Experiments program, not as proof that identical processing applies to every current paid or personal plan.
For a normal Gmail or Workspace account, check the terms and administrator settings that apply to that account before using the feature with sensitive material. If you do not need a confidential detail to produce the wording, leave it out or replace it with a neutral description while drafting. You can then insert the verified detail yourself after the structure is right.
Safer handling of sensitive drafts
- Classify the information before prompting: personal identifiers, customer records, credentials, health details, financial data, and confidential business information deserve extra care.
- Give Gmail only the context needed for the writing task. Use labels such as “the client” or “the renewal date” when the exact identity is irrelevant.
- Do not paste passwords, access tokens, payment-card data, or secrets into a prompt.
- Check your organization’s AI and data-retention policy, especially when using a managed Workspace account.
- Review the final draft for copied confidential content before forwarding or sending.
Mobile use: what is established and what can vary
Google’s current feature availability documentation lists Help me write on both iOS and Android as well as the web. The exact placement of the control and the set of refinement buttons can change with the Gmail app version, account rollout, and screen size. In the app, start a compose message or reply and look for Help me write in the compose experience. If it is not present, update Gmail, verify the account and language, and test the same account at mail.google.com. Do not assume that an option shown in a desktop screenshot is available on your phone.
Mobile editing is especially worth checking for lost context: small screens can hide quoted text, attachments, and long generated passages. Scroll through the entire message before sending and confirm that the intended recipients and files are still attached.

Troubleshoot a missing or unusable control
“Help me write” is not shown
- Confirm that you are in the account that has the eligible Google Workspace or Google AI plan, rather than a different signed-in account.
- Check whether your country and Gmail language are supported. The current list names English, French, German, Italian, Japanese, Korean, Portuguese, and Spanish.
- On Workspace, ask the administrator whether Gemini features are enabled for your organizational unit.
- Update the Gmail mobile app or reload Gmail on the web, then open a fresh compose window.
- Consult Google’s current feature-availability pages because rollouts and plan names can change.
The prompt creates an unusable draft
- State the recipient, purpose, required action, facts, and tone explicitly instead of asking for “a good email.”
- Break a large request into two passes: generate the basic message first, then request one change such as “Shorten this and keep the Friday deadline.”
- Point to the exact email or file containing the facts, then compare the output with that source.
- Remove unsupported claims and regenerate only the sentence or paragraph that needs work.
A rewrite changed the meaning
Use Undo to return to the prior draft, or restore your original wording manually. Ask for a narrower revision—such as “change tone only; keep all facts and commitments unchanged”—and still verify the result line by line.
The feature refuses a request
Gemini may not support every request. Rephrase the task as a writing operation, supply the necessary context without sensitive data, or write the content yourself. A refusal or incomplete answer is not a reason to remove Gmail’s ordinary review and approval process.

Choose the ordinary editor whenever you need complete control over wording or are handling information that your organization does not permit you to submit to an AI feature. Choose Help me write when a generated first pass or targeted rewrite will save time and you can perform the required factual and privacy review.
A repeatable workflow for reliable results
- Prepare: collect the source email or file, the recipient, the requested outcome, and the facts that must remain exact.
- Prompt: specify purpose, action, deadline, tone, and format in plain language.
- Generate: create the draft or apply one documented refinement control.
- Compare: check the output against the source material and your intended commitments.
- Refine narrowly: ask for one change at a time, using Undo if a revision damages meaning.
- Finalize: verify recipients, attachments, links, formatting, and sensitive details in Gmail’s normal compose window.
- Send only when accountable: you, not the feature, own the message and its consequences.
With that process, Help me write is most useful as a fast drafting and editing aid: it can provide structure and alternate wording, while the human sender supplies the facts, judgment, and final approval.
