Custom emojis are a third, organization-managed option. On a computer, create one from a conversation’s Add emoji picker by selecting Create, uploading an image, and saving it. To use an existing organization emoji, open Add emoji and choose Custom emojis.
Custom emojis are restricted to work and school accounts, can be disabled by a Workspace administrator, and cannot be shared with people outside the organization. Ordinary emoji reactions work independently of that custom-emoji setting. In other words, you can usually react with Google’s standard emoji even when your organization does not allow custom emoji.

Choose the right emoji action
The control you need depends on whether you are composing a message or responding to an existing one. This distinction prevents a common mistake: looking for custom-emoji settings when you only want a reaction, or trying to create an emoji from a reaction menu.
| What you want to do | Where to start | What happens |
|---|---|---|
| Put an emoji in your own message | Open the conversation and select Add emoji in the composer | The emoji becomes part of the message you send |
| Use an organization custom emoji in a message | Add emoji → Custom emojis | You select an emoji made available to your organization |
| Create a custom emoji | On a computer: Add emoji → Create → Upload image → Save | The emoji is added to the organization’s collection, subject to account and administrator settings |
| Respond to someone’s message | Use the message’s reaction control, or a mobile touch gesture | A reaction appears on the existing message rather than in a new message |
The insertion and reaction workflows are separate. A thumbs-up reaction, for example, does not place a thumbs-up character in a new message, and opening the reaction menu is not how you create a custom emoji.

What counts as a custom emoji?
A standard emoji is part of the normal emoji set available in the picker, while a custom emoji is an image added to your organization’s Google Chat collection. Custom emoji are useful for a company logo, project mark, mascot, team shorthand or recurring internal expression. They are not a private library tied only to the person who uploaded them: once saved, an organization emoji can be selected by people covered by that organization’s Chat settings.
That shared scope is also why custom emoji need more care than an ordinary reaction. A creator can remove an emoji, and an emoji manager can remove one created by anyone. Removal changes what other people can use and can erase the emoji’s appearances from existing messages and reactions.
Check eligibility before looking for custom emojis
Google’s help documentation states: “Custom emojis are only available for work and school accounts.” A personal Google account is therefore outside the documented eligibility. A Workspace administrator can also turn the feature off, so an eligible account may still lack the custom-emoji controls. See Google’s overview and desktop instructions at Google Chat Help.
- Organization scope: Custom emojis belong to the organization that created them. They are not a personal library that follows you to unrelated accounts.
- External conversations: The documented feature cannot be shared with people outside the organization. Do not assume an external guest will be able to see, select, or reuse your organization’s custom emoji.
- Administrator control: If the option is missing, the administrator may have disabled it. The help pages identify emoji managers and their permissions, but do not provide a universal current Admin console path for assigning that role.
If you have several Google accounts open, check the account avatar before diagnosing a missing option. Being in a personal Gmail account or in a different Workspace organization can make the picker look different even when Chat itself is working normally.
Google’s documentation does not specify accepted upload formats, image-size limits, crop behavior, or a required image-editing application. Do not rely on an unofficial limit when preparing an upload; use the controls shown in your own Chat interface.
Create a custom emoji on a computer
The documented creation flow is for Google Chat or Gmail opened on a computer. You create the emoji from a conversation, so begin in the space or direct message where you want to compose.
- Open Google Chat or open Gmail and go to Chat on a computer.
- Open the conversation in which you want to use the emoji.
- At the lower-right of the conversation, click Add emoji.
- Beside the emoji search field, click Create.
- Click Upload image and choose the image you want to turn into the custom emoji.
- Click Save.
Those are the complete creation steps documented by Google; the source does not state a required file extension, maximum dimensions, maximum file size, or an editing or cropping step. If Create is absent, first confirm that you are using a work or school account. If the account qualifies, ask the Workspace administrator whether custom emojis are enabled.

Saving makes the custom emoji available through the organization’s collection rather than creating a private emoji visible only to you. Before uploading a logo, mascot, or internal shorthand, make sure your organization’s policies allow that image to be used in Chat. A clear, recognizable image and a name that teammates can remember will make the collection easier to search, but Google’s help pages do not prescribe a naming convention or image-design specification.
Find and insert an existing custom emoji
On desktop
- Open the relevant Chat conversation in Google Chat or Gmail.
- Click Add emoji in the message composer.
- Select Custom emojis.
- Choose the organization emoji you want, then send the message.
On desktop, hovering over an emoji in the collection shows its name. To search or manage the collection, open Custom emojis and select Manage; the collection can be searched by name. This is particularly useful when many project marks or team symbols appear together. The desktop instructions are documented in Google Chat Help.
On Android
- Open a conversation in the Google Chat app, or open Gmail and switch to the Chat tab.
- Tap Add emoji.
- Tap Custom emojis.
- Select the organization emoji to insert it into your message, then send the message.
The Android help page also documents Manage and name search from the custom-emoji collection: Google Chat Help for Android. The reviewed mobile instructions establish how to find and use the collection; they document creation on desktop, not a guaranteed creation workflow on every mobile platform. If your phone does not show Create, use a computer rather than assuming the feature is broken.
What recipients can expect
Custom emoji use is organization-scoped. Someone inside the organization can use an available custom emoji in Chat, while an outside person is not guaranteed access to that emoji. This matters when a conversation includes external participants: use a standard Unicode emoji or text when you need the meaning to travel beyond the organization’s custom-emoji collection.
Add an emoji reaction to a message
Reactions attach to an existing message. They are useful for acknowledgement or quick feedback without sending a separate reply. The touch controls differ from desktop keyboard navigation, and a reaction does not create a new message in the conversation.
Android
- Open the conversation in the Google Chat app.
- Double-tap a message to add a thumbs-up reaction immediately.
- For a different emoji, tap and hold the message, or tap the message’s emoji control.
- Choose an emoji from the reaction options. Google also documents choosing from recent emoji options in the long-press menu.
Google’s Android reaction instructions are at Google Chat Help for Android reactions. If a double-tap produces a thumbs-up when you intended to open options, use the tap-and-hold gesture or the message’s emoji control instead.
iPhone and iPad
- Open the conversation.
- Double-tap the message for the default thumbs-up reaction.
- To choose another reaction, tap and hold the message or use its emoji control.
- Tap the emoji you want to add.
The iOS help page documents these touch actions at Google Chat Help for iPhone and iPad reactions. A mobile long-press is not the same workflow as desktop keyboard navigation.

Desktop keyboard and screen-reader workflow
On desktop, move to the message’s Add reaction button and press Space. Type part of the emoji name, tab to the matching list, move to the emoji, and press Enter. Google’s keyboard and screen-reader instructions are at Google Chat Help for keyboard and screen-reader interaction.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Pressing Enter on an existing reaction adds or removes your own reaction. That toggle applies to your reaction; it does not delete another person’s reaction or remove the underlying message. The keyboard path is therefore useful both for adding a reaction without a mouse and for reversing your own selection.
Message emoji versus reaction emoji
Use an inserted emoji when the symbol is part of what you want to say: for example, a celebration emoji at the end of an update or a custom project mark in a status message. Use a reaction when you want to acknowledge, vote informally, or signal a quick response to someone else’s message without adding another entry to the conversation.
The same visual symbol can have different practical effects in these two places. An emoji inserted into a message remains part of that message’s text or content. A reaction is attached to the existing message and can be toggled by the person who added it. Custom emoji selection belongs to the message composer; reaction selection belongs to the message’s Add reaction control.
Manage and delete custom emojis
What a regular creator can delete
A user can delete custom emojis that they created. The management view can be searched by name, which is useful when an organization has a large collection. On desktop, open Add emoji → Custom emojis → Manage, then locate the emoji you own. Google’s desktop documentation describes the collection and management controls at Google Chat Help.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsWhat an emoji manager can delete
Emoji managers can delete custom emojis created by anyone in the organization. Google’s documentation says managers can inspect an emoji’s image, name, creator, and creation date, and search by name. Those details help a manager distinguish duplicate symbols, identify an owner and decide whether an older project emoji should remain available.
The exact current Admin console steps for assigning the manager role are not specified in the cited help pages, so administrators should use the controls available in their current Workspace administration interface rather than follow an assumed menu path. The documented distinction is about permission: creators control their own uploads, while emoji managers have organization-wide deletion authority.

Deletion is organization-wide
Deleting a custom emoji is not a personal cleanup action. It removes the emoji for everyone in the organization. Google states that the deleted emoji is removed from messages and reactions where it was used; organization members can no longer share or use it. Treat deletion like a shared content change, especially when the emoji represents a team, project, or internal term.
If a deleted symbol represented a status or project, explain the replacement in a normal message and use a standard emoji or text until a new organization emoji is created. Do not assume old messages will continue displaying the image after deletion: Google’s documented behavior includes removing it from messages and reactions where it was used.

Troubleshoot missing or unusable emoji controls
The Custom emojis option is missing
- Confirm that you are signed in with your work or school account rather than a personal Google account.
- Check whether you are in the intended organization account when several Google accounts are open.
- Ask the Workspace administrator whether custom emojis have been disabled.
- On mobile, compare the control with the documented Android path in Chat or Gmail’s Chat tab. If you need to create an emoji and the mobile picker has no creation control, use the documented computer workflow.
These checks separate eligibility problems from interface problems. If standard emoji and reactions work but Custom emojis does not appear, account type or the organization setting is more likely than a problem with your phone’s keyboard.
You can see the picker but not the organization emoji you expect
- Open Custom emojis rather than the standard emoji categories.
- On desktop or Android, use Manage and search by the emoji’s name when that control is available.
- Confirm that the emoji has not been deleted by its creator or an emoji manager. Deletion removes it from the organization, including prior messages and reactions where it appeared.
- If you are in a conversation with an external participant, remember that organization emoji cannot be shared outside the organization. That participant may not have the same collection.
An external participant cannot use the emoji
That behavior is consistent with the feature’s organization scope. Custom emojis cannot be shared with people outside the organization. Use a standard emoji or explain the intended meaning in text when the conversation includes external participants. This is especially important for a customer, vendor or guest who may not have access to the organization’s custom-emoji picker.
The upload process does not behave as expected
Google’s cited instructions confirm the sequence Create → Upload image → Save, but they do not publish universal file-type, size, or crop requirements. If saving fails or the image is rejected, check the current in-product message and ask your Workspace administrator for organization-specific guidance instead of relying on an unverified limit. If the Create control itself is absent, return to the account and administrator checks rather than repeatedly changing the image.
You cannot remove an emoji another person created
That is expected for a regular user. A creator can delete only custom emojis they created. An emoji manager can delete any organization emoji. Ask the manager to review the image, name, creator and creation date in the management view if the item needs to be removed for everyone.
Platform comparison at a glance
| Task | Computer | Android | iPhone or iPad |
|---|---|---|---|
| Insert an organization custom emoji | Add emoji → Custom emojis | Add emoji → Custom emojis | The cited instructions establish reactions, not a guaranteed custom-emoji creation or collection workflow on every iOS version |
| Create a custom emoji | Add emoji → Create → Upload image → Save | Use a computer if Create is not shown; mobile creation is not established by the cited instructions | Use a computer if Create is not shown; mobile creation is not established by the cited instructions |
| Quick thumbs-up reaction | Use the message’s reaction control | Double-tap the message | Double-tap the message |
| Choose another reaction | Open Add reaction; keyboard users can search by name | Tap and hold or use the emoji control | Tap and hold or use the emoji control |
The table separates documented actions from assumptions. In particular, mobile reaction gestures are not instructions for creating a custom emoji, and an Android custom-emoji picker path should not be presented as proof that every iPhone or iPad build offers identical creation controls.

- Need an emoji inside a new message? Open Add emoji in the composer. Choose a standard emoji, or open Custom emojis for an organization emoji.
- Need to acknowledge an existing message? Use the message’s reaction control. On Android and iPhone/iPad, double-tap for thumbs-up or long-press for another emoji. On desktop, use Add reaction and keyboard navigation.
- Need a new team-specific symbol? On a computer, open Add emoji, select Create, upload the image, and save it.
- Need to remove a symbol? A regular user can remove only emojis they created; an emoji manager can remove any organization emoji. Remember that deletion affects everyone and removes its appearances from messages and reactions.
- Cannot find the feature? Check the account type and administrator setting before troubleshooting the image itself.

The cited Google help instructions do not specify accepted file types, image-size limits, crop behavior or a required editing tool. Follow the current upload control and any message shown in your Chat interface.
The Bottom Line
Use Add emoji in the composer to insert a standard or organization custom emoji; use a message’s Add reaction control, double-tap or long-press to react. Custom emoji creation is documented on a computer through Create → Upload image → Save, and it requires a work or school account with the feature enabled by the Workspace administrator. Custom emoji stay within the organization, and deleting one removes it for everyone, including its appearances in messages and reactions.
