Use a direct prompt for occasional work, or keep durable instructions and reference files in a Project or a purpose-built GPT for recurring campaigns. Treat every result as a draft: check the offer details, factual claims, and customer promises before publishing.
How can I make ChatGPT write in my brand voice?
“Sound like us” is too vague to guide a useful draft. Describe the voice in observable terms, then provide examples that show what those terms mean in practice. OpenAI’s Customizing ChatGPT guidance recommends direct tone preferences and style samples; its small-business templates also call for brand examples, approved claims, and rules about what not to say.

Build a short voice brief
Include the audience, tone, formality, characteristic vocabulary, typical sentence length, and phrases or claims the business should avoid. Add a few examples of past copy that genuinely sound like the business. Identify approved claims and any wording that must remain exact, such as policy language or offer terms.
- Audience: Who should the message reach, and what do they need to know?
- Tone: For example, neighborly and practical, rather than polished and corporate.
- Vocabulary: Words and phrases the business naturally uses, plus terms it avoids.
- Boundaries: Claims, guarantees, slang, hype, or promises that are not permitted.
- Examples: A few representative captions, emails, or other approved copy.
Concrete samples and constraints give ChatGPT something to follow and compare against. They are more useful than asking it simply to imitate an undefined brand voice.

What business information should go into each marketing prompt?
Separate information that is likely to stay stable from campaign facts that can change. A reusable reference can explain the business, services or menu, location, policies, recurring offers, approved claims, common customer questions, and voice rules. Each new assignment still needs its current campaign details.
Keep campaign details current
For each request, supply the live offer, valid dates, price, limits, target audience, channel, and desired action. State which facts are authoritative, and instruct ChatGPT not to fill gaps with guesses. OpenAI Academy’s Four GPT templates for small businesses describes a local marketing workflow built around business inputs, approved claims, and do-not-say rules.
Reusable context can reduce the work of restating stable facts; it does not make changing prices, hours, dates, or terms current automatically. Provide and verify those for every campaign.

Should I use a prompt, a Project, or a custom GPT?
Pick the simplest setup that fits how often you create marketing and who needs to maintain the instructions. OpenAI Academy discusses direct customization, Projects, and GPTs, while noting that most small-business cases do not need a custom GPT.
| Approach | Best fit | Trade-off |
|---|---|---|
| Direct prompt | One-off or occasional tasks, especially when one person can provide the brief and facts each time. | Low setup effort; the writer must include the needed context with each request. |
| Project | Recurring campaigns that benefit from keeping instructions and stable reference files together. | Requires someone to maintain the shared context and still supply current campaign facts. |
| Purpose-built GPT | Repeated work that benefits from a defined role and reusable instructions. | Requires setup and upkeep; it is not automatically better than a direct prompt for a small business. |
The cited guidance does not provide a quantitative performance comparison among these choices. Consider how often you reuse the brief, how many collaborators need it, whether shared reference files matter, and who will keep the instructions accurate. OpenAI’s ChatGPT for Small Business workshop resource hub includes a Project-based campaign workflow and emphasizes reviewing factual details.
Can ChatGPT create social posts and emails that still sound like my business?
Yes: ask for a coordinated set of drafts, grounded in the same approved message and current offer. Request a core message first, then versions for the channels you actually use, such as a social caption, email, short message, or sign. Specify length or format constraints where they matter, and tell ChatGPT to keep dates, prices, offer terms, and the call to action consistent across every version.

For occasional work, put the brief and examples directly in the prompt. For repeated campaigns, the same stable context can live in a Project or purpose-built GPT, with the live campaign details added for each assignment.

How should I review ChatGPT marketing drafts before publishing?
Keep an owner or authorized reviewer in the loop. Read for both voice and accuracy: a fluent sentence can still misstate an offer or promise something the business does not provide.
- Compare the voice. Check the draft against the supplied examples, tone traits, vocabulary, and do-not-say rules. Remove generic hype or unsupported urgency.
- Verify the details. Check dates, prices, hours, links, limits, terms, and claims against the business’s authoritative information.
- Check promises. Confirm that the copy does not imply a guarantee, outcome, availability, or policy the business has not approved.
- Check consistency. Make sure each channel version carries the same offer details and desired action.
- Revise reusable guidance. Save corrections that reflect durable preferences in the brief, then test the updated guidance on a real current offer.
OpenAI’s Think Bigger: How Small Teams Win with ChatGPT recommends testing outputs for accuracy and consistency and iterating with feedback. That is a useful approach for voice too: treat edits as evidence about what the reusable brief should say, not as a reason to trust future drafts without review.
What should a small business know about ChatGPT privacy settings?
Training controls and Memory settings do different jobs. OpenAI’s Data controls in ChatGPT says users can turn off “Improve the model for everyone”; when it is off, new conversations are not used to train OpenAI models. OpenAI says content in Business, Enterprise, Edu, and ChatGPT for Healthcare workspaces is not used for training by default.

Memory is a personalization feature, not the same control as model training. OpenAI’s Memory in ChatGPT and Memory FAQ (Business Version) describe settings and availability that can vary by plan, region, platform, and workspace; workspace owners may control whether Memory is available. Check the settings for your current account or organization rather than assuming a feature or control is present.
Do not put sensitive customer data into a marketing workflow unless your business policy authorizes it. Use the least customer information necessary for the task, and follow the rules that apply to your organization.
What ChatGPT can—and cannot—establish about marketing results
The cited guidance supports a practical drafting and review workflow, not a promised performance result. It does not establish a measured rate of brand-voice retention, improved engagement, or sales lift for small businesses. Evaluate your own approved drafts and campaign outcomes rather than treating a generated message as evidence of effectiveness.
