Use AI at work only through an employer-approved service and account, and keep confidential information out of prompts unless your organization has explicitly authorized that tool, data class, and workflow. For routine work, replace real names, customer details, contract terms, credentials, internal project names, and other identifying facts with generic placeholders. Ask for a structure or method, then complete the sensitive parts inside approved company systems.
A work login is not blanket permission. Product protections, logging, retention, administrator access, geographic processing, and model-training terms vary by service and subscription. Treat every fluent answer as unverified until you check its facts, calculations, privacy implications, and fit with company policy.

Start with the company rule, not the chatbot
Before opening an AI service, read your employer’s current AI-use policy and approved-service list. If no list exists, ask your manager, privacy lead, security team, or designated AI-tool owner which service and account are permitted. A public chatbot used with a personal account is not automatically approved for work simply because it is convenient or free.

Microsoft’s employee guidance recommends using authorized services, avoiding sensitive or confidential company details, and checking generated results. Its advice is specific to Microsoft’s products and workplace context, not a universal guarantee for every vendor. The practical rule is broader: approval must cover the exact service, account, data category, and purpose.

Keep a copy of the policy’s definitions. Terms such as public, internal, confidential, restricted, personal data, and regulated data may have different meanings at different organizations. When a classification is unclear, pause rather than guessing.
Classify information before you enter it
Use the most restrictive applicable classification. The table below is a practical starting point; your employer’s labels and rules take precedence.
| Information type | Examples | Default AI treatment |
|---|---|---|
| Public | Published documentation, public web copy, released product specifications | Usually suitable for an approved tool, subject to policy and copyright rules. |
| Internal | Unreleased schedules, ordinary internal procedures, non-public project context | Use only with an employer-approved account that permits internal data; remove unnecessary details. |
| Confidential | Customer records, supplier terms, pricing plans, source code, incident details, employee information | Do not paste into a general service. Use only an explicitly approved workflow with the required controls. |
| Restricted or regulated | Passwords, API keys, payment data, health information, government identifiers, legally protected records | Keep out of prompts unless a formal process specifically authorizes the exact data and tool. Many workflows should prohibit it entirely. |
The Federal Trade Commission’s business guidance recommends collecting only what is needed, limiting access, setting retention and disposal practices, and training employees. Those principles apply when deciding whether an AI prompt contains more information than the task requires.

- Check the approved service. Confirm the tool appears on the current company list and that you are using the work tenant or account intended for the task.
- Identify the data class. Look at every item you might paste, upload, or expose through a connected application. Include hidden metadata, attachments, screenshots, and copied email threads.
- Remove sensitive detail. Delete names, email addresses, account numbers, exact contract language, secret values, internal project names, distinctive dates, and any detail that could identify a person, customer, or deal.
- Ask for a reusable method. Request an outline, checklist, formula, test plan, explanation, or template using fictional or generic values. Keep the company-specific facts in an approved system.
- Verify before use. Check facts, calculations, citations, policy implications, confidentiality, bias, and tone. Compare important claims with the authoritative source or have a qualified colleague review them.
- Record and report when required. Follow internal rules for documenting AI assistance, labeling generated material, retaining prompts, or disclosing automated processing.
If you cannot determine whether a use is allowed, do not experiment with real data to find out. Ask the person or team named in the policy.
How to rewrite a risky prompt
Prompt minimization often lets you get useful help without exposing the underlying record. Replace values, not just names: a supposedly anonymous combination of a rare job title, location, date, and contract amount can still identify someone or a deal.

Turn a customer analysis into a generic method
Risky prompt: “Summarize the complaint from Jane Smith at Northwind, account 48192, who reported a $37,400 billing error on 14 September.”
Safer prompt: “Create a neutral template for summarizing a customer billing complaint. Include issue, evidence, requested remedy, owner, deadline, and unresolved questions. Use fictional examples and do not include personal or account information.”
Turn a contract request into a checklist
Risky prompt: “Review this unreleased supplier agreement and identify our termination exposure.”
Safer prompt: “Provide a checklist for reviewing termination clauses in a supplier agreement, including notice, fees, cure periods, data-return duties, and governing law. Do not analyze a real contract.”

Why a work account helps—and what it does not prove
Signing in with a work or school identity can connect an AI service to organizational access controls, but it does not automatically authorize every kind of information. Ask what the service logs, how long it retains prompts and responses, who can review them, whether administrators can audit them, and which connected files or applications it can reach.
Microsoft says its Copilot Chat provides enterprise data protection when a user signs in with a work or school account. Microsoft also says prompts, triggered Bing searches, and responses are logged, and that prompts and responses are not used to train foundation models under the described service terms. The product name changed from Microsoft 365 Copilot Chat to Microsoft Copilot Chat; Microsoft says the data-protection terms did not change. Check the current documentation because names, features, and subscription requirements can change.
Microsoft’s enterprise data-protection documentation describes encryption, tenant isolation, existing identity and permission controls, sensitivity labels, retention policies, and audit support. It also states that the controls available to an organization vary with the underlying subscription plan. These protections reduce risk; they do not replace your employer’s approval decision or data-classification rules.

OpenAI states that data from ChatGPT Enterprise, ChatGPT Business, ChatGPT Edu, ChatGPT for Healthcare, ChatGPT for Teachers, and its API platform is not used for model training by default, according to its business data privacy information. That statement applies to the named services and their terms. Do not extend it automatically to consumer accounts, another vendor, a different plan, or every form of retention and administrator access.
Questions to ask about any approved AI service
- Training: Are prompts, files, outputs, or feedback used to train or improve models? Is the setting a default, an opt-out, or a contractual commitment?
- Retention: How long are prompts, uploads, outputs, backups, and abuse-monitoring records kept? Can the organization set shorter periods?
- Access and audit: Which vendor staff, company administrators, applications, or legal processes can access content? Are access logs available?
- Identity and permissions: Does the service enforce single sign-on, multifactor authentication, role-based access, and existing file permissions?
- Data controls: Does it honor sensitivity labels, retention rules, e-discovery requirements, encryption, tenant isolation, and data-loss-prevention policies?
- Location and legal terms: Where is data processed and stored? Which contractual, sector-specific, and cross-border requirements apply?
- Connected features: Can browsing, plugins, connectors, agents, or uploads send information to another service? What approval applies to each connection?
Ask for written answers in the current contract, administrator settings, and product documentation. A marketing statement about “enterprise security” is not a substitute for a control your organization can configure and verify.
Consumer tools versus employer-approved tools
The relevant comparison is not which chatbot sounds smartest. It is whether the workflow is permitted and controllable for the data involved.
| Decision factor | Consumer or personal account | Employer-approved service |
|---|---|---|
| Permission | May lack a documented business-use approval and data-class allowance. | Should be covered by policy, contract, and a defined business purpose. |
| Model training | Terms and settings may differ by plan and can change. | Training commitments should be documented for the specific plan and service. |
| Retention and deletion | User controls may be limited; deleting a visible chat may not address backups or logs. | Retention, legal hold, and deletion can be managed under organizational policy when supported. |
| Administration and audit | Usually little or no employer visibility or centralized audit. | May support administrator access controls, audit records, and incident review. |
| Identity and data controls | Often disconnected from company identity, permissions, labels, and data-loss controls. | Can integrate with single sign-on, permissions, sensitivity labels, and approved connectors. |
| Plan and jurisdiction limits | Features and processing locations may be unclear for company requirements. | Still requires checking the exact subscription, region, sector rules, and contract. |
An approved tool can still be misused. If a connector exposes a folder you are not authorized to share, or a prompt includes restricted information outside the permitted workflow, the fact that the service is enterprise-branded does not cure the violation.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Keep secrets, personal records, and regulated data out
Never place passwords, private keys, API tokens, session cookies, recovery codes, or unredacted authentication headers in a prompt. Rotate a secret immediately if it may have been exposed. Do not paste full employee files, customer exports, medical information, payment details, government identifiers, or legal advice requests unless the organization has a documented, approved process for that exact use.
Best Value
Microsoft’s employee safety guidance states: “Avoid disclosing sensitive or confidential company details, including personal information about employees or vendors, to AI services.” The same caution applies to proprietary source code, unreleased financial results, acquisition plans, security vulnerabilities, and internal investigation material.
Review every answer before it enters your work
AI can produce a polished answer that contains a false citation, invented policy, arithmetic error, outdated requirement, copied phrase, or biased recommendation. Microsoft advises: “Always double-check AI-generated results before using them in your work.”
- Recalculate numbers in the approved spreadsheet, application, or script rather than trusting generated arithmetic.
- Open and verify every cited source; do not assume a plausible-looking reference exists.
- Compare legal, financial, medical, security, and compliance claims with the responsible specialist or authoritative policy.
- Check whether the answer repeats confidential input, reveals a hidden identifier, or infers sensitive attributes.
- Test generated code in an isolated environment with synthetic data before deployment.
- Check for licensing, attribution, accessibility, and bias requirements relevant to the output.
Keep a human accountable for the final decision. “The AI said so” is not an approval, audit trail, or professional judgment.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteControls organizations should put around AI use
Employees need clear instructions, and organizations need technical and operational safeguards. A workable program normally includes:
- A maintained inventory of approved AI services, plans, connectors, and prohibited uses.
- Data-classification rules that state which categories may be entered, under what conditions, and by whom.
- Single sign-on, multifactor authentication, least-privilege access, and rapid offboarding.
- Retention, deletion, legal-hold, audit, and incident-response procedures that cover prompts and uploads.
- Training using realistic examples of safe redaction, prompt minimization, hallucination checking, and secret handling.
- Review gates for high-impact decisions, regulated data, external communications, production code, and automated actions.
- Monitoring for accidental disclosure, with clear limits. The AWS security guidance on generative AI controls notes that data-loss controls may help detect inadvertent disclosure but can be less effective against deliberate obfuscation; no control catches every risky prompt.
- Periodic reassessment when a vendor changes its model, terms, retention behavior, connected features, or processing locations.
The voluntary NIST AI RMF Playbook provides a structure for integrating trustworthiness and risk management into AI use. It is a resource, not a replacement for legal obligations or company-specific controls.
If you pasted sensitive information by mistake
Do not assume that closing a tab or deleting a chat removes every copy. The service may retain logs, backups, abuse-monitoring records, administrator exports, or connected-system copies according to its terms.
- Stop further sharing and note what information, account, tool, workspace, and time were involved.
- Follow your employer’s incident-reporting policy immediately; use the designated security, privacy, or compliance channel.
- Ask the response team whether credentials must be revoked, tokens rotated, customers notified, access reviewed, or legal obligations assessed.
- Preserve the details the response team needs, without forwarding the sensitive material to additional people or services.
- Do not promise colleagues or customers that deletion is complete unless the responsible team confirms the applicable retention and deletion behavior.
There is no universal incident process across employers or vendors, so your organization’s instructions control.
A short decision test before you press Send
- Is this service and account explicitly approved for work?
- Am I allowed to use this exact data classification in this workflow?
- Can I complete the task with fictional, aggregated, or de-identified information?
- Do I understand training, retention, logging, administrator access, and connected-service behavior for this plan?
- Would I be comfortable explaining this prompt and its output during an audit or incident review?
- Have I planned how a human will verify the result?
If any answer is no or unknown, remove the sensitive information and ask for guidance before proceeding. The safest productive pattern is to use AI for generic structure and reasoning, then apply company-specific facts inside systems your organization has approved and controls.
