Yes—AI can help you find language problems, inconsistent terminology, mismatched numbers, missing cross-references and claims that need checking before you submit a manuscript. It is a second-pass checker, not a scientific validator. You remain responsible for every result, number, citation, quotation, table, figure and interpretation.
The safest workflow is to read the target journal’s AI, confidentiality, disclosure and data-handling rules first; preserve an untouched human-authored baseline; run narrow, evidence-seeking checks; verify every flag against your data and sources; and document what you accepted or rejected.

What AI can—and cannot—check
A language model is useful for surfacing issues that are easy to miss during a tired final read. It can compare passages, identify patterns and produce a review list. That output is a set of hypotheses for you to investigate, not a certificate that the paper is correct.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →| AI can help surface | What still requires human evidence |
|---|---|
| Grammar, spelling, punctuation, awkward wording and ambiguous sentences | Whether a change preserves the intended scientific meaning |
| Inconsistent names, abbreviations, units, capitalization and tense | Which term, unit or convention is scientifically correct |
| Apparent mismatches between the abstract, methods, results, tables, figures, supplements and conclusion | Which section reflects the actual analysis and whether the interpretation is justified |
| Possible arithmetic or transcription discrepancies | Recalculation from source data or a trusted script |
| Claims without an obvious citation and references cited in text but absent from the bibliography | Whether the cited paper truly supports the claim and whether every reference is genuine |
| Possible copied phrasing, unattributed quotations and unsupported assertions | A recognized similarity-checking process, source review and a decision about attribution |
AI cannot certify that a result is true, that a statistical method is valid, that a citation supports a claim, that a quotation is exact or that a manuscript is free of plagiarism. It can also produce incorrect, incomplete or biased suggestions. Never ask it to “fix the science” or silently rewrite results.

Read the journal’s rules before uploading anything
Policies differ by journal, publisher, field and use case. The International Committee of Medical Journal Editors (ICMJE) recommendations were updated in January 2026, but they are a general framework, not permission for every tool or manuscript. Check the exact instructions for your target journal before sending text to a service.
- Find the AI policy. Look for rules covering language editing, generative text, data analysis, figures, peer review and disclosure. Note where a declaration must appear: cover letter, acknowledgments, Methods, manuscript submission form or more than one location.
- Check confidentiality requirements. ICMJE describes submitted manuscripts as privileged communications and warns that using AI systems when confidentiality cannot be assured may require permission. A journal may prohibit external processing even when the tool is marketed as private.
- Check data-handling terms. Establish whether prompts and uploads are retained, used for training, accessible to staff or subcontractors, exportable, and deletable. Check account logging, regional storage, encryption claims and whether an administrator can enforce controls.
- Check institutional approval. Your university, funder, hospital or study sponsor may impose stricter rules for participant data, clinical information, proprietary methods or export-controlled material.
- Decide whether uploading is acceptable. If retention, training use, access or deletion cannot be established, use a locally controlled or institutionally approved option—or perform the review without uploading the manuscript.
Do not upload participant identifiers, confidential correspondence, proprietary datasets, unpublished inventions or any other material whose disclosure would breach an agreement. Removing names is not always enough: rare diagnoses, locations, dates and combinations of variables can re-identify participants.
Protect a human-authored baseline
Before the first AI pass, create a read-only package of the version you intend to review. Keep the manuscript file, data dictionary, analysis scripts, figures, tables, reference library, supplementary files and the applicable reporting checklist together. Record the manuscript version, date and who created it.
Recommended Free Tools
Work on a copy. Turn on version history or use a change-tracking system that lets you compare the original with every accepted edit. Do not paste an AI rewrite over the source document. If a suggestion changes a sentence, retain the original, the proposed wording and your decision.
Run narrow, evidence-seeking passes
One broad request such as “proofread and improve my paper” encourages silent rewriting and makes review difficult. Ask for one class of check at a time. In every prompt, require the exact passage, a reason, the smallest safe change and an uncertainty label.
1. Language pass
Ask for grammar, spelling, punctuation, ambiguous wording and readability problems. Tell the tool not to alter numbers, methods, statistical terms, qualifiers or the strength of a claim. Require a table with the section or page, original sentence, proposed edit and explanation.
Review only grammar, spelling, punctuation and unambiguous readability problems in the text below. Quote each sentence exactly, explain the problem, propose the smallest edit, and label uncertainty as low, medium or high. Do not change scientific meaning, numbers, statistical terms, hedging or citations. If no issue is found, say “no issue identified.”
2. Terminology pass
Provide the manuscript in manageable sections and ask for inconsistent names, abbreviations, units, capitalization and tense. Make the model list every variant before suggesting a preferred form. You decide which form matches the study protocol, field standard and journal style.

3. Internal-consistency pass
Supply the abstract, methods, results, tables, figure captions, supplement and conclusion as clearly labeled sections. Ask the model to report only apparent contradictions or missing cross-references. Useful checks include sample size, inclusion criteria, study dates, primary outcomes, subgroup labels, confidence intervals, p-values, table totals and the wording of the conclusion.
An apparent mismatch is not proof that a section is wrong. A flow diagram may describe screened participants while a results table describes the analyzed subset. Inspect the underlying definitions and document the reason for any difference.
4. Numerical pass
Ask the model to flag arithmetic or transcription discrepancies, not to recompute the analysis as an authority. Give it the relevant table and prose together and request the formula or values it used. Then recompute independently from the source data or a trusted script. Check rounding, denominators, missing data, units, confidence-interval limits and whether percentages use the same population.
Compare the numerical statements in these sections. For every possible discrepancy, quote both passages, list the numbers and denominators, show the arithmetic you checked, and state what source data or calculation must be verified. Do not choose which value is correct.
5. Citation and reference pass
Ask for claims that appear to lack citations and for in-text citations that do not appear in the bibliography. Treat every AI-suggested reference as unverified. Open each cited paper yourself, confirm the authorship and publication details, read the relevant passage and decide whether it supports the precise claim—including its population, method, direction and limitations.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Never accept a plausible-looking reference generated by a model without checking the original source. A citation can be real yet still fail to support the sentence you attached to it.
6. Reporting-checklist pass
Identify the study design and compare the manuscript with the target journal’s required checklist. Ask the tool to point to the section where each item is addressed or to mark it as not located. Examples include participant selection, outcomes, missing data, statistical methods, ethics approval, registration, funding and conflicts of interest. You must determine whether the description is complete and accurate.
7. Integrity-signal pass
Ask for possible copied phrasing, unattributed quotations, unsupported claims and abrupt shifts in voice for follow-up. This is not a plagiarism verdict. Compare flagged language with the original sources and use a recognized similarity-checking process and human judgment before deciding whether quotation, citation or rewriting is required.

Design prompts that preserve scientific meaning
A reliable prompt states the scope, supplies context, constrains the output and forbids unsupported invention. Include these instructions:
- Role and task: “Act as a cautious manuscript checker; identify issues, do not silently edit.”
- Evidence boundary: “Use only the supplied text and clearly identified source material; do not invent references, data or explanations.”
- Output schema: location, quoted passage, concern, evidence needed, smallest safe change and uncertainty level.
- Meaning guardrail: “Do not change effect direction, causality, sample size, statistical significance, limitations or certainty.”
- Stop condition: “If the text does not establish a problem, say that it requires human verification.”
For long manuscripts, work section by section and retain stable labels for tables, figures and references. After each pass, save the output with the manuscript version and date. Do not assume that a model remembers earlier sections accurately when they were submitted in separate sessions.
Keep an audit trail for every suggestion
A review log turns an opaque chat into a reproducible editorial decision. Use a table such as this:
| Location | AI flag | Source or calculation checked | Decision | Reviewer initials/date |
|---|---|---|---|---|
| Results, paragraph 3 | Percentage may use a different denominator | Recomputed from analysis dataset and script version | Accepted; denominator clarified | AB / date |
| Table 2, row 4 | Possible transcription mismatch | Compared with locked output file | Rejected; table value is correct | AB / date |
| Introduction, sentence 5 | Claim may need a citation | Read the cited review and primary study | Accepted; added appropriate source | CD / date |
Record rejected suggestions as well as accepted ones. That prevents the same issue from being reconsidered later and shows coauthors what was actually reviewed.
Give special attention to tables, figures, equations and references
Tables and figures
Models may misread column headers, superscripts, footnotes, legends or image resolution. Provide the underlying table as text or a structured file when policy permits, and compare every displayed number with the analysis output. Check that labels, units, denominators, statistical markers and captions agree with the prose. Do not rely on an image-only review for small decimals or symbols.
Equations and statistical notation
Paste equations in a form the tool can parse and ask it to reproduce them before commenting. Verify signs, subscripts, exponents, degrees of freedom, transformations and definitions against the analysis plan or code. A fluent explanation is not evidence that the formula is valid.
References
Export the reference library from your reference manager and compare it with the manuscript. Check duplicate records, title spelling, author order, journal, year, volume, pages, identifier and retracted or corrected status using the authoritative record. Open the source paper rather than trusting a model’s summary.

Verify every flag against primary evidence
ICMJE states: “In all use cases, authors should check the accuracy and validity of their content before submission.” Apply that rule to every accepted edit, including a seemingly harmless grammar change if it alters tense, certainty or causality.
- Locate the exact passage in the current manuscript.
- Identify the evidence that could resolve the concern: source dataset, analysis script, laboratory record, original paper, protocol, consent record or journal instruction.
- Perform the check independently. Recalculate numbers in a trusted script, read the cited source and compare the relevant file versions.
- Ask a coauthor or subject-matter colleague to inspect claims and interpretation, not just wording.
- Record the decision and keep the original text available for rollback.
Humans remain accountable even when a tool produced the wording. The Committee on Publication Ethics (COPE) states that authors are fully responsible for manuscript content, including parts produced by an AI tool, and are liable for breaches of publication ethics.
Complete a final human sign-off
After all edits are resolved, read the clean manuscript from start to finish without the AI output beside it. Then perform a targeted inspection:
- Abstract-to-main-text agreement for objectives, sample size, methods, results and conclusion
- Every number, unit, denominator, confidence interval, p-value and rounding rule
- Table and figure numbering, labels, legends, captions and cross-references
- All quotations, paraphrases and citations against the original sources
- Ethics approval, consent, registration, funding and conflict-of-interest statements
- Supplementary files, data and code availability statements, file names and required forms
- Journal word limits, formatting rules and reporting checklists
Language polishing cannot replace scientific review. The person who owns the study must approve the final interpretation and submission package.
Disclose AI use accurately
Follow the target journal’s exact wording and location. ICMJE says authors should disclose at submission whether AI-assisted technologies were used and describe the tool and purpose in the cover letter and submitted work where applicable. Writing assistance may be described in acknowledgments. Use for data collection, analysis or figure generation should be described in Methods when the journal requires it.
Describe what the tool actually did—for example, language checking, consistency screening or generation of questions for human review. Do not claim that AI validated the analysis. Do not list an AI system as an author: it cannot take responsibility for accuracy, integrity or originality. COPE likewise says AI tools cannot meet authorship requirements because they cannot accept responsibility for the submitted work.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsCompare tools and workflows by risk, not just convenience
If you are choosing between a hosted service, an institutionally managed system and a local tool, evaluate the entire workflow:
Best Value
| Criterion | Questions to answer |
|---|---|
| Confidentiality and retention | Is the manuscript retained, who can access it, and can you prove deletion? |
| Training use | Are prompts or uploads used to train models by default, and can an administrator disable that? |
| Approval | Has your institution, sponsor or journal approved this use and data class? |
| Citation transparency | Can the system show the source passage, or does it merely generate a plausible citation? |
| Meaning preservation | Can you constrain edits and inspect the original beside the suggestion? |
| Traceability | Are prompts, outputs, versions and reviewer decisions exportable as an audit log? |
| Document handling | Does it preserve tables, equations, references, footnotes and supplementary files? |
| Deletion and export | Can you retrieve your records and remove uploaded material on a defined schedule? |
| Human review | Is qualified editorial or subject-matter review available, and is it separate from automated output? |
| Cost and availability | Does the service fit your budget, region, institution and submission deadline without weakening safeguards? |
A convenient interface is not a substitute for confidentiality, evidence verification or an audit trail. If the safeguards are unclear, do not upload the manuscript.
Common failure modes and how to recover
The model rewrites the results
Cause: an open-ended editing request invited it to optimize prose. Recovery: restore the baseline, rerun a language-only prompt and require quoted passages plus minimal edits. Recheck every changed qualifier, number and verb.
A fabricated or mismatched citation appears
Cause: the model predicted a plausible reference instead of consulting a source. Recovery: remove the unverified citation, search your reference library and authoritative databases, then read the original paper before citing it.
Free tools Windows power users keep installed
One-click scans. No signup required.
Confidential text was uploaded accidentally
Cause: the service’s retention or access terms were not checked first. Recovery: stop further uploads, use the provider’s deletion and incident channels, notify your institution or sponsor as required, document what was exposed and follow applicable privacy procedures. Do not assume deleting a chat proves all copies are gone.
The tool reports a contradiction that is actually a defined subgroup
Cause: the model lacked the denominator or section context. Recovery: supply the definitions and participant flow, then verify against the protocol and analysis dataset. Clarify the manuscript if readers could reasonably be confused.
Different sessions give different answers
Cause: probabilistic output, changed context or a model update. Recovery: treat the output as non-deterministic, preserve the prompt and version information, and base the decision on primary evidence rather than consensus between responses.
AI use was not disclosed
Cause: the author assumed language editing did not count. Recovery: reread the journal policy, disclose the tool and purpose in the required locations and ask the editorial office for clarification before submission if the policy is ambiguous.

- Confirm the journal, institution and sponsor policies.
- Remove or protect confidential material and choose an approved environment.
- Archive the human-authored baseline and supporting files.
- Run separate language, terminology, consistency, numerical, citation, reporting and integrity passes.
- Log each flag with its evidence check and decision.
- Apply only human-approved edits with tracked changes or version control.
- Have a coauthor or qualified colleague review claims and interpretation.
- Perform the final checklist and read-through.
- Prepare the required AI disclosure and retain the audit record.
- Submit only after the responsible authors approve the complete package.
Bottom line
Use AI as a structured second reader: narrow the task, demand quoted evidence and uncertainty labels, protect the manuscript, and verify every suggestion against the original data, code, sources and journal rules. The final paper—and every error that remains in it—belongs to the authors, not the tool.
