Use AI as an editor and planning aid, not as a substitute for your experience or judgment. Start with your own verified work history, examples and qualifications. An AI tool can help you organize that material, match it to a job description, improve clarity and rehearse answers. It must not invent achievements, inflate your expertise, create a fictional example or answer a test or interview when the employer has prohibited assistance.
Rules vary by employer, country and application stage. Read the vacancy instructions before using AI, and follow any requirement to disclose or identify AI-generated content. The safest standard is simple: a hiring manager should be able to ask about every statement you submit and receive a truthful, specific answer from you.

The line between assistance and misrepresentation
AI changes the wording and structure of an application, but it cannot supply evidence that you have not earned. Honest use preserves your facts, decisions and voice while improving how clearly they are presented.
Generally defensible uses
- Correcting spelling, grammar, punctuation and awkward sentences in a draft you wrote.
- Suggesting a clearer structure for a résumé, cover letter or selection response.
- Highlighting which requirements in a job posting are addressed by your existing experience.
- Turning your own notes into concise bullet points, provided you check every resulting claim.
- Suggesting questions to practise for an interview before a formal assessment.
- Pointing out jargon, repetition or places where an example needs more context.
Uses that can misrepresent you
- Inventing a project, job duty, qualification, award, metric, employer or software skill.
- Adding a confident-sounding answer to a competency question when you have no real example.
- Submitting an AI-generated response to an exercise designed to measure your capability when assistance is not allowed.
- Allowing an AI tool to answer a live interview question for you.
- Copying text you cannot explain, reproduce or defend in a follow-up conversation.
The Solicitors Regulation Authority (SRA) states: “The most important principle is that your application and any subsequent assessment must accurately reflect your own skills, experience, knowledge and judgement.” That principle is more useful than trying to guess whether a particular tool can be detected.

Why employer and stage rules matter
There is no single worldwide rule for AI-assisted applications. A company may allow editing before submission but prohibit AI in an online test. A public-sector process may permit AI at a specified stage and require you to identify generated content. The same tool can therefore be acceptable for preparation and unacceptable during assessment.
| Source and scope | What it permits or requires | What the example does not establish |
|---|---|---|
| Solicitors Regulation Authority candidate guidance, updated 1 October 2026 | Spelling, grammar, clarity, structuring and refining an applicant’s own draft can be acceptable. It prohibits invented or exaggerated experience and AI use on tasks intended to assess the applicant’s capability. | It is the SRA’s recruitment rule, not a universal policy for every employer. |
| Shell applicant guidance | AI may help organize and refine application materials and practise responses before formal assessments or live interviews. | Its online assessments and live interviews prohibit AI assistance. |
| Canada’s federal public-service guidance | Hiring managers can define stages where AI is allowed or prohibited. Permitted assessments may include an explicit requirement to identify AI-generated content and its source. | The disclosure wording applies when the vacancy or assessment says it applies; it does not create a disclosure duty for every private employer. |
| Registers of Scotland guidance | Submitted material must be truthful and authentic, and applicants should not claim unverified skills or experience. | It does not set a rule for every organization or jurisdiction. |
Read the instructions attached to the vacancy, assessment invitation and candidate portal. Look for terms such as “artificial intelligence,” “generative AI,” “unaided,” “independent work,” “external assistance,” “citation” or “disclosure.” If instructions conflict, ask the recruiter which rule applies to the specific stage.
A defensible workflow from job posting to submission
- Create a source-of-truth file. Gather your current résumé, employment dates, education records, certifications, project notes and several real examples of work. Include only information you can verify. This file is your factual boundary; an AI suggestion that is absent from it needs independent proof before it can be used.
- Break the posting into criteria. List each required qualification, responsibility and behaviour. Mark the criterion as “evidence available,” “transferable evidence” or “not yet demonstrated.” Do not ask AI to turn the last category into a claim that you meet it.
- Choose a narrow task for the tool. Ask for an outline, a list of unclear phrases, a comparison between your draft and the stated criteria, or a clarity edit. Tell the tool not to add facts, numbers, employers, technologies or achievements.
- Keep substantive examples yours. Write the events, actions and outcomes in your own notes first. AI can help order them, but you decide what happened, what you did and what changed.
- Verify every sentence. Check dates, job titles, scope, tools, results, percentages and the level of responsibility against your records. Delete a sentence if you cannot explain how it was established.
- Personalize the language. Replace generic claims with a specific real example. Remove phrases you would not say aloud. UVic and UK JobHelp both advise critical review and personalization so the final text sounds like the applicant and genuinely reflects their skills.
- Run the employer-policy check. Re-read the rule for the exact stage. If disclosure, citation or a statement about AI use is required, complete it accurately. If AI is prohibited, do not use it for that stage, even if it was allowed while preparing.
- Keep a final human copy. Save the version you actually reviewed and submitted. Be prepared to discuss its examples without opening the AI tool.
Bounded prompts that keep facts under your control
A precise prompt limits the chance that an assistant will fill gaps with plausible fiction. For example:
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Using only the facts in the text below, identify which job requirements I address. Do not add skills, metrics, employers, dates or achievements. Flag any requirement for which I have no evidence.
Edit this draft for grammar and clarity. Preserve every fact, number, qualification and level of responsibility. If a sentence is vague, ask a question instead of inventing detail.
Suggest three possible structures for this selection response. Do not write new examples. Use placeholders only for questions I must answer from my own experience.
Review the output in a separate document rather than accepting changes automatically. “Sounds professional” is not evidence that a statement is true.

Using AI with a résumé
Tailoring without inflating your background
Give the tool the job description and a factual résumé, then ask it to map existing evidence to the employer’s criteria. It can suggest that a bullet about coordinating a release belongs near a requirement for cross-team delivery. It cannot turn occasional exposure into expertise, rename an informal task as management, or add a tool you have only seen demonstrated.
Keep distinctions that affect meaning: assisted versus led, studied versus used in production, a one-time task versus repeated responsibility, and an approximate result versus a measured result. If the posting asks for a certification you do not hold, write that truthfully or leave it out; do not rely on a synonym that implies the credential.
Checking résumé bullets
For each bullet, ask:
- What action did I personally take?
- What was the setting, team or scope?
- What result can I substantiate?
- Is the verb stronger than the evidence supports?
- Could I explain the process and answer a follow-up question?
Remove unsupported numbers. An invented percentage is still a false claim even when the underlying project is real. When a result was qualitative, describe the observable change without manufacturing a metric.
Using AI with a cover letter
A cover letter should connect a real example to the employer’s stated need, not repeat the résumé in polished language. Draft the example yourself: explain the situation, your action, the reasoning behind it and the result. Then ask AI to improve flow or identify missing context while preserving those facts.

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
Check that the letter does not imply enthusiasm, knowledge or experience you do not possess. Generic statements about an organization’s mission can be inaccurate if the tool supplied them. Remove claims about products, offices, culture or strategy unless you confirmed them from the employer’s own current information and can explain why they matter to you.
Read the final letter aloud. A sentence that is grammatically perfect but unlike your normal vocabulary can create a credibility problem when an interviewer asks you to expand on it.
Selection questions, work samples and written tests
Application questions often assess judgment, prioritization or communication rather than formatting. Treat them as evidence-producing tasks. AI may help you understand the wording of a question before you answer, if the instructions allow that, but the example and reasoning must be yours.

When assistance is allowed
Use the permitted tool only for the function described by the employer—for example, proofreading or organizing a response. Keep a record of what was generated if the instructions ask you to disclose it. Attribute AI-generated passages or identify the tool and source in the format requested by the assessment.

When assistance is prohibited
Stop using the tool for any exercise marked unaided, confidential, independent or otherwise restricted. The SRA specifically prohibits AI for tasks intended to assess capability. Shell’s applicant guidance prohibits AI in its online assessments. Submitting a generated answer in those settings can make the work cease to be an assessment of you, regardless of whether every sentence happens to be factually correct.
Interview preparation versus live interview use
Preparation before the interview
Before a formal interview, an AI assistant can produce practice questions, challenge an answer for missing detail and help you rehearse a concise structure. Feed it your real examples and ask it to pose follow-up questions such as “What did you do personally?” or “What would you change?” Do not memorize invented responses. Shell’s guidance expressly distinguishes preparation and practice from the formal assessment itself.
During a live interview
Follow the employer’s rule exactly. If live AI assistance is prohibited, do not use a hidden transcription, answer generator or real-time coaching service. Even where a tool is technically available, relying on it can prevent you from demonstrating your own judgment and may breach confidentiality. Answer in your own words and ask the interviewer to repeat a question when you need clarification.

Disclosure is conditional, not universal. Follow the vacancy’s instructions and any assessment declaration. Canada’s federal public-service guidance gives examples of permitted stages where candidates may be required to identify AI-generated content and its source. Other guidance reviewed here emphasizes truthful, authentic work and stage restrictions without prescribing one statement for every application.
Best Value
Use this decision sequence:
- Does the employer expressly require disclosure or citation? If yes, provide the requested details, including which content was generated or edited and which tool or source the instructions name.
- Does the employer prohibit AI at this stage? If yes, do not submit AI-assisted content where the rule covers the work, and ask whether earlier preparation must also be declared.
- Is the policy silent? Do not claim that disclosure is either always required or never needed. Ask the recruiter a focused question, such as whether grammar editing of your own draft is permitted and whether it must be identified.
- Whatever the answer, never use disclosure to excuse false content. A statement that AI helped write an invented achievement remains misleading.
Protecting personal and confidential information
Do not paste more information into an AI tool than the task requires. UK JobHelp advises against entering personal information, and Registers of Scotland warns against sharing sensitive organizational information. A résumé can contain contact details, employment records and identifying information; a work example can contain a client name, internal figures or confidential processes.
Safer handling practices
- Remove names, addresses, phone numbers, account numbers and other identifiers before asking for editing.
- Generalize a client, project or employer when the identity is not needed for the writing task.
- Do not paste non-public code, contracts, customer data, internal strategy or assessment questions unless you have confirmed that the tool and use are permitted.
- Read the tool’s privacy and retention settings and the employer’s confidentiality rules.
- Keep the original sensitive material offline or in an approved workplace system when required.
Changing a name to “Client A” does not make confidential details safe if the surrounding facts still identify the organization. Minimize the data before you start.
Common failure modes and repairs
| Failure | Why it is risky | Repair |
|---|---|---|
| The tool adds a plausible metric | A polished number can be read as a measurable achievement. | Delete it or replace it with a result you can document. |
| A synonym upgrades your responsibility | “Supported” can become “led,” or “familiar with” can become “expert in.” | Choose the strongest verb your evidence supports and state the level of involvement. |
| The answer uses a fictional scenario | It fails an authenticity requirement and cannot be defended in follow-up questions. | Use a real example, even if it is smaller, or state that you have not yet encountered the situation. |
| The writing no longer sounds like you | A mismatch between written material and spoken explanation can undermine credibility. | Read it aloud, simplify unfamiliar wording and restore your normal voice. |
| AI is used in a restricted assessment | The submission may violate the employer’s explicit process rule. | Stop, reread the instructions and contact the employer if the boundary is unclear. |
| Sensitive data is pasted into a public tool | You may expose personal or organizational information without authorization. | Redact, generalize or use an approved system before continuing. |
What you can and cannot infer about employer reactions
The guidance cited here does not establish a general success rate for AI-assisted applications, a universal rejection rate or a reliable method employers use to detect AI. Do not treat a detector score, an online anecdote or a tool’s confidence as proof that your application is acceptable. The relevant questions are whether the content is true, whether it reflects your capability and whether you followed the stated process.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsLikewise, an employer’s permission to edit wording is not permission to outsource judgment. An employer may allow a résumé edit and still require unaided work in a later test or interview.
A final pre-submission check
- Every qualification, date, title, tool, responsibility and result is accurate.
- Each example describes something you actually did and can explain in detail.
- No AI-generated metric, credential, employer, project or capability remains without proof.
- The wording reflects your normal voice and the selection criteria.
- You checked the rule for this employer and this exact stage.
- You completed any required disclosure or source identification.
- You removed unnecessary personal and confidential information from prompts.
- You know which parts were edited and are ready to discuss them without AI assistance.
Used this way, AI reduces avoidable writing friction while leaving the evidence, judgment and accountability with you—the person the employer is evaluating.
“AI tools can be helpful for refining ideas and improving clarity, but it’s essential that your application remains an authentic representation of your skills, experiences and personality.” — Shell applicant guidance
“An employer is looking to recruit you, not a machine, so if you use AI to help your job search, make sure what you use is accurate and truthful.” — UK JobHelp
