Keep hypotheses, draft text, proposals, confidential manuscripts, partner information, and identifiable data out of public or personal AI accounts unless your institution has approved the exact service, account configuration, contract, and data types. Even then, verify retention, training, access, deletion, intellectual-property rights, and disclosure duties before you upload anything.
What is safe to give an AI tool during a literature review?
The safest default is to provide only material that is already public and that you are permitted to process. Examples include published article titles and abstracts, public keywords, broad subject descriptions, and your own non-sensitive search questions. You can ask an AI system to suggest synonyms, expand a Boolean query, organize citations you already have, propose screening criteria, or produce a preliminary list of resources.

Your literature review also contains material that is not public, even when it sits beside published papers. An unpublished hypothesis, a novel theoretical connection, a grant proposal, draft prose, private annotations, a confidential peer-review manuscript, partner details, or a dataset containing identifiable information can reveal an idea before you are ready to disclose it. Treat these items as sensitive by default.

- Internal: notes, working documents, or project information limited to your team.
- Confidential or contractual: information covered by a nondisclosure agreement, sponsor terms, collaboration agreement, or another obligation.
- Personal or identifiable: information that can identify a participant, patient, student, reviewer, colleague, or other person.
- Unpublished and potentially protectable: hypotheses, methods, results, inventions, proposal content, or original synthesis that could affect publication, patenting, or a competitive funding decision.
If a prompt would disclose any category other than clearly public material, pause. Ask your research-data, information-security, privacy, or research-integrity office what is allowed under your institution’s policy and the relevant agreement. A paid subscription, an “enterprise” label, a private workspace, a setting that disables training, or deleting a conversation does not by itself discharge a confidentiality obligation.

Why public or personal AI accounts can expose unpublished work
A cloud AI service processes your prompt and any attached files under a particular set of terms. The important questions are not the marketing label but the enforceable details: whether inputs are retained, whether they may be used for model training or service improvement, who can access them, where processing occurs, how deletion works, and what rights the provider receives in inputs and outputs. Your institution may also restrict which account, region, or configuration can be used.
Official policies illustrate the risk. Columbia University tells researchers to avoid uploading unpublished research data or other confidential information to a generative AI tool unless validated contract language and approved security controls apply. The University of Oxford says sensitive commercial, intellectual-property, contractual, export-controlled, or personal information should be uploaded only when confidentiality can be guaranteed, and tells users of personal ChatGPT accounts not to transmit internal or confidential information. The U.S. National Science Foundation (NSF) warns that it cannot protect non-public information disclosed to third-party generative AI and prohibits reviewers from putting proposal or review content into non-approved tools.
These are organization-specific rules, not proof that every service is unsafe or that every literature review must avoid AI. They show why you must identify the governing institution, funder, journal, contract, and account before deciding what to upload.
How to choose among public cloud, contracted enterprise, and local tools
No category is automatically safe. Protection depends on the provider’s terms, your configuration, the data classification permitted by your organization, and whether the service has actually been approved for your workflow. Use this comparison to structure the questions you need answered.
| Option | Questions to answer before use | What it may be suitable for |
|---|---|---|
| Public or personal cloud account | Are prompts retained? Can they be used for training or improvement? Who may access them? How are files deleted? What rights apply to inputs and outputs? Is this account permitted by your institution? | Public literature discovery and other non-sensitive assistance, when policy allows. |
| Institutionally contracted enterprise service | Does the contract prohibit training on your inputs? What retention and deletion schedule applies? Which administrators, subprocessors, and regions are involved? Is the exact account and configuration approved for your data class? Are audit records available? | Potentially more controlled workflows, but only for the data types expressly approved by your institution. |
| Locally deployed model | Who operates the infrastructure? Are logs, backups, telemetry, and updates controlled? Can access be restricted and audited? What privacy, security, intellectual-property, and support obligations apply? | Potentially sensitive work where local deployment is approved and competently governed; it is not automatically confidential. |
Oxford identifies an institution-governed enterprise license or a locally deployed model as options to consider for sensitive workflows. That advice does not approve a particular service for another university. As a concrete local example, the University of the West of England Bristol (UWE) designates Microsoft Copilot in its Enterprise version and tells its users to confirm that the Work tab and green shield are present. A UWE control is not evidence that the same screen, account, or product is approved at your institution.
A step-by-step workflow for a privacy-conscious AI literature review
1. Classify every item before prompting
Make a quick inventory of the material you plan to use. Mark each file, note, citation, and data field as public, internal, confidential, personal or identifiable, contractual, or unpublished and potentially protectable. Do not classify an entire project as public merely because its bibliography is public. A private annotation or original synthesis can be sensitive even when every cited paper is openly available.

For anything sensitive, stop and consult the appropriate institutional office and the agreement that governs the work. Ask whether an approved service exists, which account must be used, what data types are allowed, and whether ethics or data-protection approval imposes additional limits.
2. Define a narrow, public-material task
Write the task so it can be completed without revealing your idea. Useful examples include:
- “Suggest synonyms and spelling variants for this public research topic.”
- “Convert these public keywords into Boolean searches for multidisciplinary databases.”
- “Group these published article titles by method or population; flag uncertain classifications.”
- “Suggest inclusion and exclusion criteria for a review of this publicly described question.”
- “Create a preliminary list of databases and public organizations that may index this topic.”
Do not paste your unpublished hypothesis to make the prompt more precise. Describe the public field at a level that does not reveal your novel mechanism, target partner, unannounced result, or competitive strategy.
3. Ask for search support, then run the search yourself
An AI-generated query is a starting point, not a search result. Take suggested synonyms, subject headings, Boolean operators, and database ideas into the scholarly databases your discipline uses. Record the databases, date searched, exact strings, filters, and result counts in your review log. An AI system may omit a term, misunderstand a controlled vocabulary, or favor highly visible English-language work.
For a resource list, ask the tool to label uncertainty and to separate known citations from suggestions. Never treat a title, DOI, quotation, page number, or author combination as real until you locate the original record.
4. Keep sensitive material out of prompts and attachments
Exclude unpublished hypotheses, draft paragraphs, proposal sections, confidential reviewer manuscripts, private laboratory or field notes, partner names, and identifiable records. Remove hidden metadata and tracked changes from any public file you are permitted to use. Do not assume that a redacted excerpt is harmless: a distinctive combination of details can identify a project or reveal the underlying idea.

Review copied text for names, email addresses, grant numbers, contract references, sample identifiers, and unpublished results. If a task genuinely requires sensitive content, use only a service and account that your institution has expressly approved for that data class, and follow its required access and logging controls.
5. Verify every substantive output against the original
Read the cited paper or authoritative record yourself. Check that the paper exists, answers the stated question, uses the claimed population and method, and actually supports the sentence generated by the tool. Compare quotations and page details with the source. Check whether the list is incomplete, skewed toward highly cited work, or missing contradictory findings, languages, disciplines, or recent publications.
Use summaries as navigation aids. The reviewer’s or author’s human judgment must determine eligibility, quality assessment, interpretation, and synthesis. Keep a correction log when an output contains a fabricated citation, unsupported inference, or material omission.
6. Keep an audit record
When policy, a journal, or good research practice calls for it, save the tool name and version, date, purpose, prompts, outputs, and the changes you made after verification. Store that record under the same access controls as your review documentation. Preserve only what you are permitted to retain; an audit record must not become a second uncontrolled copy of confidential material.
7. Check disclosure rules before submission
Disclosure depends on the destination. Review the current instructions for your journal, funder, institution, and any sponsor or collaboration agreement. Substantive assistance may need to be described in the manuscript, acknowledgments, methods, cover letter, proposal, or another designated location. Do not list an AI system as an author; authors remain responsible for accuracy, originality, integrity, and appropriate attribution.
What major policies actually say
Elsevier journal policy
Elsevier permits supportive uses such as synthesis, research-gap identification, organization, and readability when authors retain human oversight and responsibility. It tells authors to review accuracy, comprehensiveness, impartiality, privacy, intellectual property, and tool terms, including whether inputs are used for training beyond service delivery. Relevant manuscript-preparation use should be disclosed. Elsevier also treats submitted manuscripts as confidential and says reviewers should not upload manuscripts or portions of them to AI tools. This policy applies to Elsevier journals; it is not a universal rule for every publisher.

APA Journals guidance
APA advises authors not to enter confidential material into open tools and to verify AI search results by reading the original sources. It asks authors to disclose substantive use in an appropriate part of the work. For an AI-generated literature resource list, its example recommends documenting the prompts, keywords, and tool in the introduction and preserving the output. That is APA guidance and should not be treated as a formatting requirement for every journal.
NSF merit-review rules
NSF says its merit-review process cannot protect non-public information disclosed to third-party generative AI. Reviewers may not upload proposal or review content to non-approved tools. NSF also encourages proposers to indicate the extent and manner of AI use in project descriptions and holds proposers responsible for proposal accuracy and authenticity. These requirements apply to NSF’s process and related roles; other funders may set different rules.
“The agency cannot protect non-public information disclosed to third-party GAI from being recorded and shared.”
Oxford, Columbia, and UWE institutional examples
Oxford advises checking training terms and confidentiality protections and considering an institution-governed enterprise license or locally deployed model. It also says substantive use should be declared. Columbia requires validated contract language and approved security controls before confidential or personal information is entered and tells researchers to avoid uploading unpublished research data. UWE’s guidance illustrates how local approval may depend on a particular enterprise account and visible configuration indicators. None of these policies automatically governs a different institution.

How to evaluate an approved service before sensitive use
Obtain written answers, not just a product name or sales description. Confirm all of the following for the specific account and configuration:
- Allowed data: Which classifications may be entered? Are unpublished ideas, personal data, export-controlled information, or contractual material excluded?
- Retention and deletion: How long are prompts, files, logs, backups, and abuse-monitoring records kept? Who can request deletion, and what is excluded from deletion?
- Training and improvement: Are inputs or outputs used to train, tune, evaluate, or improve models? Is any opt-out enforceable under the contract?
- Access: Which provider staff, administrators, subprocessors, or collaborators can view content, and under what circumstances?
- Location and processing: Where are data and backups processed, and do location or transfer rules matter to your project?
- Rights: What rights do you retain in inputs and outputs, and do third-party terms affect publication, patenting, or confidentiality?
- Controls and evidence: Can your institution restrict sharing, export, connectors, and public links? Are audit logs, privacy documentation, and incident procedures available?
- Account identity: Are you using the institution-managed account rather than a personal account, and can you verify the approved workspace or security indicator?
If any answer is unclear, do not infer protection from the interface. Ask your data-protection, security, procurement, or research office for a determination.
Common mistakes and how to recover
“I removed the chat, so the idea is gone.”
Deletion controls may not cover backups, logs, administrator records, or copies already processed under the service terms. Treat a disclosure as a potential incident. Stop further sharing, preserve the relevant facts, and contact your institutional security or research-integrity office for instructions.
Recommended Free Tools
“The plan is paid or called private.”
Price and labels do not establish confidentiality. Check the contract, retention schedule, training provisions, access model, and approved data classification for your exact account.
“The output has convincing citations.”
Fluent prose does not make a reference real or a conclusion supported. Locate every source, read it, and record corrections before relying on the output.
“I only uploaded a small excerpt.”
An excerpt can reveal a distinctive hypothesis, participant, partner, or result. Classify the information, not the file size. Use public descriptions or synthetic examples for exploratory prompting.
“A publisher allows AI, so my funder does too.”
Publisher, funder, institutional, ethics, and contract rules can differ. Check each authority that governs the work and follow the strictest applicable requirement when they conflict until you receive advice.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsA practical decision checklist
- Is every prompt element already public and cleared for this use?
- Could the combination of details reveal an unpublished idea, person, partner, or result?
- Which institution, funder, journal, ethics approval, or contract governs the material?
- Is this exact tool, account, workspace, and configuration approved for the data class?
- Have you confirmed retention, deletion, training, access, processing location, and input/output rights?
- Can you verify every citation and claim in an authoritative original source?
- Have you documented substantive use and preserved prompts or outputs where the applicable rule requires it?
If the answer to an approval or confidentiality question is unknown, keep the material out of the tool and seek local guidance. For most researchers, that means using AI to expand and organize searches over public literature while keeping the actual novel synthesis, unpublished evidence, and identifiable data under approved research controls.
