To replay a recorded trade show presentation as a scheduled YouTube Live event, schedule a stream in YouTube Studio, then use an encoder such as OBS to send the video file to that event. YouTube schedules the event; the encoder plays and sends the recording. Rehearse the full setup, check YouTube’s preview and a separate viewer device, and keep a local recording as backup.
Choose the right way to present the recording
| Option | Best fit | Trade-offs to consider |
|---|---|---|
| Software encoder with a local media source | A team that already has a computer and wants flexible playback and production controls. | The computer, encoder, media file and network must remain reliable throughout the event. OBS documents local video playback; YouTube documents the encoder setup. OBS Media Sources · YouTube encoder setup |
| Dedicated hardware encoder | A team that wants scheduled prerecorded playback without leaving a computer running. | Compare device cost, installation, file compatibility and remote controls. YouTube’s verified encoder listing identifies the AJA HELO Plus and its PlayToStream feature for scheduled prerecorded playback to YouTube Live. It is an option, not a requirement. YouTube’s verified encoder listing |
| Normal video upload or Premiere | A team whose main goal is a scheduled viewing time rather than an encoder-driven live stream. | Choose based on whether the event needs live-stream interaction, overlays or simply a scheduled release. Check YouTube’s current options and settings before deciding. YouTube live-stream options |
The workflow below uses OBS and a computer. For a standalone hardware setup, follow the device maker’s instructions and confirm that its YouTube integration supports your planned schedule and file.

Prepare the presentation and confirm rights
- Check the complete recording. Play it from beginning to end and verify that the picture, sound, slides and transitions are correct. Note the intended start and end points.
- Review everything viewers will hear or see. Trade show footage may include music from the hall, speaker slides, product demos, licensed clips or material supplied by exhibitors. You are responsible for having the necessary rights for both the live stream and its archive. YouTube terms and conditions
- Resolve Content ID issues before event day. YouTube scans live streams for third-party content. If it identifies material, it may replace the stream with a placeholder, interrupt it or terminate it. A license by itself may not prevent interruption; where applicable, the rights owner may need to add your channel to its Content ID allowlist. YouTube copyright issues with live streams
- Make a separate local backup. Keep the source presentation file and plan to record locally during the event. YouTube says streams under 12 hours can be archived automatically, while streams longer than 12 hours may not be captured. YouTube archive guidance
Schedule the YouTube Live event
- In YouTube Studio, open Create → Go live and choose the option to schedule a stream. Follow the current Studio flow to create the event. Create a YouTube live stream with an encoder
- Enter the event title, description and other details, add a thumbnail, and choose visibility deliberately. A scheduled public event can appear as upcoming, and viewers may be able to set a reminder. Check the event’s watch page while signed out or from a separate account to confirm what attendees can see. Manage live stream settings
- Share the event link early enough for attendees to plan and opt into notifications. After the event, you can organize the archive and highlights in playlists. Promote your live stream
Set up OBS to play the recorded presentation
- Install and open OBS. Create a scene for the event, then add the presentation video as a Media Source. OBS Media Source can play local video files, including MP4. OBS Media Sources
- Configure playback. Browse to the correct file and check playback controls such as Loop and Restart playback when source becomes active. For a single scheduled presentation, normally leave looping off unless you explicitly want the recording to repeat. Start the source during rehearsal and verify that it begins at the intended point, plays through, and has synchronized audio.
- Connect OBS to the scheduled event. Open the event in YouTube’s Live Control Room and copy the stream URL and stream key into OBS’s streaming settings. Treat the key like a password: anyone who has it may be able to send a feed to your channel. Use the key shown for the intended event and do not post or share it publicly. YouTube encoder setup and stream key guidance
- Match the output to your production and connection. Select a resolution and bitrate your computer and upload connection can sustain without interruption. YouTube’s streaming guidance emphasizes having enough upload bandwidth for the planned bitrate and accounting for primary and backup streams. The appropriate bitrate depends on the output resolution and frame rate; follow YouTube’s current encoder recommendations for the selected settings rather than guessing. YouTube streaming tips
- Send the feed before the event begins. Start OBS streaming in time for YouTube to receive and process the signal. Confirm in Live Control Room that the preview shows the correct recording and that audio is present. The scheduled event itself does not automatically start a local file on your computer: the encoder is what plays and sends that file. YouTube encoder workflow
Rehearse the complete setup
YouTube recommends setting up the encoder at least two hours ahead and starting it at least 15 minutes before the event. Use those lead times as rehearsal guidance, not as a substitute for checking the actual feed. YouTube streaming tips
- Use the actual event computer, presentation file, OBS scene, network and audio path.
- Check YouTube’s preview and watch the event from a separate device, including a phone. Confirm the image, sound, start point and playback are right.
- Check the upload connection against the planned stream bitrate. If using a backup stream, allow for its additional bandwidth.
- Start a local recording and verify that the recording file is growing and can be played back.
- Confirm the event watch page is accessible to the intended audience and that its visibility is correct.
- Keep someone available to monitor picture and sound while the presentation is streaming.
Go live, end the stream and verify the archive
- At the event time, confirm that the scheduled stream is receiving the intended video and audio. Monitor the preview and a separate viewer device during playback.
- When the presentation is over, stop the stream cleanly from the encoder and follow the Live Control Room prompts to end the event. YouTube documents the encoder workflow and end-of-stream steps in its setup guide. YouTube encoder setup
- In YouTube Studio, check that the archive exists and has the intended visibility. Retain and inspect the local recording as well; an automatically created YouTube archive is not a replacement for a backup, particularly for a stream longer than 12 hours. YouTube archive guidance
- Organize the archive and any edited highlights into playlists if attendees will need to find them later. YouTube promotion and playlist guidance
Troubleshoot common problems
- YouTube preview is blank or shows the wrong content: Confirm OBS is streaming to the URL and key for the scheduled event, the intended scene is active, and the Media Source points to the correct file. Restart source playback and check the preview before proceeding.
- Viewers hear no audio or audio is out of sync: Check the source’s audio path and OBS meters, then listen from a separate device. Rehearse the same file and scene rather than relying only on the local preview.
- The stream buffers or drops: Check whether upload bandwidth can sustain the selected bitrate, reduce output demands if necessary, and test the connection again. Account for backup-stream bandwidth where relevant. YouTube streaming tips
- The stream is interrupted despite having a music or clip license: Check YouTube’s copyright guidance and contact the rights owner about Content ID allowlisting where applicable. The license may not automatically prevent live-stream interruption. YouTube copyright issues with live streams
- The archive is missing or incomplete: Check Studio after the stream, but keep the local recording as the recovery copy. YouTube says streams longer than 12 hours may not be captured in the archive. YouTube archive guidance
Or let it run in the cloud
If you want the recording to keep streaming without leaving a production computer on, StreamNeo runs an uploaded video or playlist continuously to YouTube from the cloud. Upload the presentation, add your YouTube stream key, then go live. Nothing has to stay on at home; each slot streams the uploaded video at its original quality up to 4K 60fps for one flat price per slot. It automatically recovers if YouTube drops the stream. The first day is free with no card. Monthly pricing is $9.99 per month. For a one-time scheduled presentation, check that a continuous cloud stream fits your event workflow and timing.
