That handoff might be a URL or an editor-specific reference; it is not universal. Canva Apps and CKEditor 5 illustrate two different approaches, so first identify the editor, version, and host application you are integrating.
Start with the editor’s integration contract
An embedded editor does not automatically know how to browse your application’s media library. Your host application must provide a way to find or upload assets, and the editor must provide a supported way to receive them. Before building a picker, check the editor’s documentation for one of these integration seams:
- Asset manager or file-picker integration: the editor opens or embeds a library you configure.
- Upload adapter or callback: the editor asks your application to upload a file and return an identifier or URL.
- URL insertion: your application selects an asset and supplies its accessible URL.
- Vendor SDK: the editor accepts a product-specific reference or insertion call.
Do not assume these approaches are interchangeable. For example, Canva Apps uses an asset reference returned by its SDK upload flow, while CKEditor 5 documents image insertion by URL and an asset-manager integration option. Use the documentation for the exact editor and version deployed in your application: Canva’s asset guide and CKEditor 5’s URL insertion documentation.
Design ownership, identity, and access before coding
Decide where the original files live and who controls them. In a host-managed library, your service can own storage, search, permissions, and stable application IDs. In a vendor-managed library, the editor provider may store uploaded assets in each user’s account. That difference affects authorization, lifecycle, quotas, and what happens when a user switches accounts.

- Keep your durable asset ID and metadata in your application; do not treat a vendor reference as your permanent database key unless the vendor explicitly promises that stability.
- Check that the signed-in user is allowed to view and insert the selected asset. A picker is not an authorization boundary.
- Decide whether the editor needs a publicly fetchable URL, a short-lived signed URL, an opaque reference, or an upload result.
- Specify accepted file types, maximum sizes, alt text, thumbnail behavior, and how deleted or replaced assets are handled.
- Keep private credentials and authorization checks on your server where possible; do not expose a storage secret to browser code.
Canva says its asset refs are opaque and warns apps not to rely on them remaining the same. Treat them as vendor handoff values rather than durable application identifiers. Canva also distinguishes public assets from private assets uploaded to a user’s library. See Canva’s Assets documentation.
Canva Apps: upload an image, then insert its reference
Canva’s documented Apps pattern has two distinct operations: upload an image to the user’s media library, then insert the returned ref into the design. The app needs the permissions canva:design:content:write and canva:asset:private:write. This is a Canva-specific flow, not a generic editor API.
- Request the permissions. Configure the app for design content write access and private asset write access. Confirm the user has authorized those permissions before attempting the operation.
- Obtain an image URL that Canva can fetch. The documented SDK example uploads from an internet-accessible URL; a localhost address is not suitable because Canva’s backend must retrieve the file. Provide the MIME type, thumbnail URL, and AI disclosure value required by the SDK call.
- Upload through the Canva Apps SDK. Use the upload method documented for your SDK version and retain the returned
reffor the insertion call. It may be usable while the file is still uploading, so handle the documented upload state rather than assuming every request has already completed. - Insert the image into the design. Call
addElementAtPoint, or the insertion method appropriate to the user interaction, with the returned ref and alt text. Once inserted, Canva says the image can be manipulated using the design editor’s normal tools.
Canva’s images guide describes the model directly: “When an app adds an image to a user’s design, the image file is uploaded to the user’s media library.” Follow the current SDK example and parameter requirements at Creating images; do not copy a call signature from a different SDK release without checking it.

Canva’s assets guidance also says thumbnails and previews must support CORS. If an image appears in the library but its thumbnail does not, check the thumbnail host’s cross-origin response headers and accessibility from Canva’s environment, not just from a developer’s local browser.

Canva REST Assets API: validate upload limits and job states
Canva’s REST Assets API is a separate route from the Apps SDK flow. It supports image and video assets in a user’s library, including asynchronous upload jobs and upload from URL. The API reference lists endpoints to inspect, update, or delete asset metadata. Its published file constraints are product-specific:

The size wording is “smaller than,” so do not treat a file exactly at the stated threshold as valid. Validate MIME type and file size before upload, and surface asynchronous job status to the user instead of presenting a queued upload as finished. CKEditor 5: insert a URL or connect an asset manager
CKEditor 5 demonstrates a different integration family. Its image insertion documentation describes inserting by URL through the ImageInsert plugin and toolbar item. Its image installation documentation separately describes an assetManager integration option. Choose the route supported by your application and editor build:
- URL insertion: your picker returns an image URL that the editor can load. Ensure the URL remains reachable for the period the saved content needs it.
- Asset manager integration: connect the editor’s supported option to your picker or media service, then return values in the format CKEditor expects.
Do not pass a Canva ref into CKEditor or assume a CKEditor URL is acceptable to Canva’s insertion API. Each product defines its own handoff contract. Consult CKEditor 5 image insertion and image feature installation and configuration for the build and configuration you use.
Build a reliable picker-to-editor handoff
A robust implementation keeps library selection separate from editor insertion. The picker should return a selected asset in your host application’s own data model; an adapter then converts that result into the editor-specific representation. This makes it easier to change editors or storage providers without rewriting search and permissions.

- Search and select: show useful metadata such as filename, dimensions, file type, owner, and alt text. Filter assets the current user is authorized to use.
- Validate before handoff: check the editor’s supported media type and any product-specific size, URL, or thumbnail requirements.
- Convert the selection: map the app’s stable asset ID to a URL, upload result, or vendor ref as required by the editor.
- Insert and confirm: use the editor API or configured picker callback, then report success only when the editor accepts the item.
- Persist the right identity: save your application’s durable asset ID alongside editor content when possible, rather than depending on an opaque vendor ref to remain stable.
For URL-based insertion, think beyond whether the image loads in the picker. The URL may be requested later when saved content is reopened, rendered on another domain, or exported. Decide whether it is public, authenticated, or signed and how expiry and access control affect those later views.

Vendor storage limits and account behavior belong in the product-specific part of your user experience. Canva’s guide states that its user media library quota is 1 TB for Canva Pro accounts and 5 GB for other Canva accounts; Canva reports an error when a user exceeds the quota. These are Canva account details, not general embedded-editor storage benchmarks. See Canva’s Creating images guide.

- Permission denied: confirm the required Canva permissions were requested and authorized, or ask the user to reconnect the relevant account.
- Upload rejected: check file type and size against the specific API constraints, then offer a clear replacement or conversion path.
- Remote URL cannot be fetched: verify it is accessible from the vendor’s backend, not just the user’s browser; do not use localhost for a service-side fetch.
- Preview or thumbnail missing: check URL reachability and CORS behavior for the preview host.
- Quota exceeded: explain that the vendor account’s storage limit was reached and direct the user to remove assets or use an account with sufficient available storage.
- Insertion fails after upload: preserve enough upload state to retry insertion without creating confusing duplicate uploads, and show an actionable error instead of silently closing the picker.

Choose the handoff that fits your editor
There is no universal custom-asset-library API for embedded editors. Use the editor’s documented asset manager, upload mechanism, URL insertion feature, or SDK, and keep your library’s permissions and durable asset identity under your control. Canva’s upload-then-insert flow and CKEditor 5’s URL or asset-manager options are concrete examples of how different the integration contract can be.
