How to update your résumé for an applicant tracking system

Update your résumé for an applicant tracking system (ATS) by tailoring truthful content to the specific vacancy, keeping the document’s structure conventional and readable, checking the text that the final file contains, and following the employer’s file instructions. There is no universal ATS score, rejection rule, or guaranteed keyword formula: systems and employer settings differ, and a résumé still has to make sense to a human recruiter.

How do I update my résumé for an applicant tracking system?

Use this sequence for each application:

  1. Keep an editable master. Save a clean copy of your complete résumé before tailoring it. Work from a duplicate so you can restore omitted achievements or create another version for a different opening.
  2. Read the entire vacancy. Mark required qualifications, preferred qualifications, tools, methods, certifications, job titles, industry terms, and recurring responsibilities. Note the employer’s requested file type and any instructions about naming or uploading documents.
  3. Map the posting to evidence. For every important requirement, identify a real project, result, responsibility, credential, or skill in your background. Add or clarify only information you can support in an interview or with documentation.
  4. Use accurate posting language in context. Where the wording genuinely describes your experience, use the employer’s term in a profile, accomplishment bullet, skills entry, or job description. Explain how you used the skill rather than pasting an unexplained keyword list.
  5. Keep the reading order obvious. Use familiar section headings, consistent dates, and a simple layout. Do not let columns, text boxes, graphics, headers, footers, or decorative elements make it unclear which employer, title, or date belongs to which accomplishment.
  6. Inspect the edited file and its extracted text. Check spelling, dates, phone number, email address, links, and every newly added term. Copy the document into a plain-text editor, or use another text-extraction method, and look for missing, duplicated, or jumbled content.
  7. Submit the requested format and review the application. Upload the file type the employer specifies. After parsing, inspect fields populated in the application form and correct errors before submitting when the form permits it.

This process improves the chance that relevant information is findable and understandable, but it cannot promise a particular match score, interview, or hiring outcome.

What does an ATS actually do?

An ATS is an employer’s application-management software. The materials reviewed describe systems that parse résumé text, organize information, support searching, and classify or otherwise process details for an employer’s workflow. A résumé may be converted into fields such as contact details, employment history, education, skills, and dates so staff can review applications in the system.

That description is deliberately narrower than common internet claims. The guidance does not establish that every ATS automatically rejects most applicants, ranks every résumé with one universal score, or applies the same keyword rules. Roche’s résumé-parsing FAQ explains one organization’s process, while guidance from the University of Connecticut describes text analysis and classification more generally. An employer can configure its system, fields, searches, and review process differently from another employer.

Think of parsing as a handoff. Your original layout is converted into information that the employer’s software and people must be able to interpret. A clear document helps both audiences; a decorative design is not useful if it changes the apparent order of your work history or hides a qualification.

How should I tailor résumé content to one job?

Separate requirements from preferences

Make two working lists from the posting. The first contains requirements such as a licence, degree, years of experience, security clearance, language, location, schedule, or named technical capability. The second contains preferred qualifications, recurring duties, and outcomes the employer values. This distinction tells you what deserves prominent placement and what can remain a supporting detail.

Do not copy every phrase. A term belongs in your résumé when it accurately describes what you have done, learned, or earned. If a posting asks for “vendor management” and you negotiated contracts, monitored service-level agreements, and resolved supplier issues, use the term and then show those activities. If you have only observed vendor meetings, do not claim ownership of vendor management.

Translate equivalent experience carefully

Employers sometimes use a title or tool name that differs from yours. You can make the connection explicit without changing your history. For example, a bullet can say that you “managed sprint planning and backlog refinement for a cross-functional software team,” even if your former title was operations analyst. If a common acronym has a less familiar full name, introduce both once, such as “search engine optimization (SEO).” Keep your official job title in the employment heading; clarify equivalent responsibilities in the bullets.

Put terms where they explain evidence

A skills section can provide a quick inventory, but it should not carry the whole document. Place important terms in the experience, project, education, or certification content where a reader can see your level and context. A concise bullet with an action, method, and result is more informative than a string such as “Python, Python, Python, analytics.”

Use the posting’s spelling and capitalization when it is accurate, including a product name, certification designation, or common abbreviation. Do not add a term solely to make the résumé appear denser. Keyword stuffing, hidden text, misleading titles, and invented credentials are inaccurate and can create contradictions during human review.

Prioritize what the opening asks for

Move the most relevant accomplishments into the first page or first few bullets of each applicable role. You do not need to rewrite every line of your career. A targeted version can shorten unrelated duties, expand a directly relevant project, and reorder bullets so the evidence for the vacancy appears earlier. Preserve enough dates, employers, titles, and context for the career history to remain understandable.

Which résumé sections and layout are easiest to interpret?

Use recognizable section labels

Common labels such as Summary, Skills, Professional Experience, Projects, Education, Certifications, and Volunteer Experience make boundaries clear to software and people. Choose one label for each category and use it consistently. A creative heading may look attractive but can make a section’s purpose less obvious.

Within each role, keep a predictable pattern: employer, location if relevant, job title, and dates, followed by accomplishment bullets. Use one date style throughout, for example “March 2022–Present” or “2022–Present.” Make the relationship between a promotion and each title clear instead of placing several titles beside one undifferentiated block of bullets.

Prefer a single, logical reading path

A straightforward one-column layout generally makes text order easier to follow. If you use columns, verify that extracted text appears in the intended sequence rather than reading down one column and then jumping unpredictably. Be cautious with tables used solely for visual alignment, floating text boxes, sidebars, decorative icons, logos, charts, and information placed only in a header or footer. Such elements can separate a label from its value or omit content from an extraction.

Use ordinary text for contact information, section headings, dates, and achievements. A phone icon next to a number may be visually clear but can add irrelevant characters or hide the number from a parser. Spell out an important credential or skill in text rather than communicating it only with a logo, image, star rating, or progress bar.

Keep formatting consistent, not merely plain

Readable formatting is compatible with ATS use and human scanning. Apply the same font treatment to equivalent headings, align dates consistently, use standard bullets, and leave enough white space to separate roles. Check that line breaks do not split a name, certification, or phrase in a confusing way. “Simple” does not mean your résumé must be unattractive; it means visual choices should reinforce hierarchy instead of carrying information that the text does not state.

Should I submit my résumé as a PDF or Word document?

Follow the employer’s stated format. There is no evidence-supported rule that PDF is always best or that Word is always best. The University of Virginia Career Center says PDF, .doc, or .docx may be accepted for many submissions, notes that PDF can preserve formatting across devices, and still tells applicants to check the formats allowed for each application. The requested format and the particular application system take precedence over general advice.

Format What the guidance establishes What to verify before upload
PDF UVA lists PDF as an option for most submissions and notes that it can preserve formatting across devices. Confirm that the employer accepts PDF, that the text can be selected and copied, and that the reading order remains sensible.
.doc UVA lists .doc among formats that may be used for most submissions, subject to each application’s rules. Confirm that the application accepts the older Word format and that the final file opens with the intended layout and text.
.docx UVA lists .docx among formats that may be used for most submissions, subject to each application’s rules. Confirm the extension requested by the employer and inspect the saved file after reopening it.

A text-based PDF contains selectable characters. An image-only scan is different: it may display correctly to you while offering little or no text for a parser to extract. If you must submit a scanned document, check the application’s instructions and verify the extracted text; do not assume visual appearance proves machine readability.

An older University of Illinois Chicago résumé guide recommends a standard Word document and simple formatting. Its advice about readable, job-specific content remains useful, but its broad format recommendation should not override current instructions or be treated as a comparison test of today’s ATS products. The available guidance does not provide a controlled test showing that one format wins across current systems.

How can I check what the ATS may extract?

Inspect selectable text

Open the final PDF or Word file and try to select a sentence from every section. Paste the selection into a plain-text editor. Read the pasted version from top to bottom. Look for headings separated from their content, dates detached from employers, bullets in the wrong order, missing symbols, repeated lines, or text that has disappeared.

For a PDF, test several pages, not only the first. A résumé can contain selectable text in one area and an image or problematic object elsewhere. Check hyperlinks by selecting or opening them, but keep the visible URL or link label understandable if the link is not available to the recipient.

Compare extracted content with the visual file

Keep the rendered document beside the plain-text copy. Confirm that every employer, title, date, qualification, skill, project, and contact detail appears once and in a sensible order. If a two-column layout extracts in the wrong sequence, rebuild it with a clearer structure rather than hoping a particular ATS will repair it.

Proofread after tailoring

Editing for a vacancy often introduces errors: a copied tool name can be misspelled, an old date can remain in one bullet, or a new accomplishment can use a tense inconsistent with the rest of the role. Check proper names, certification numbers, locations, phone digits, email spelling, punctuation, and the exact wording of terms you borrowed from the posting. Roche’s parser guidance emphasizes that the output should be readable to the person receiving the application and highlights spelling as part of that check.

What should I do after the application parses my résumé?

Some application forms populate fields from an uploaded résumé. Treat those fields as a draft, not as proof that the file was interpreted correctly. Compare the populated employer names, titles, dates, education, skills, and contact details with the document you submitted. Correct omissions, merged entries, broken dates, or misplaced text wherever the form allows it.

Also complete fields that the résumé cannot reliably supply, such as work authorization, location preferences, availability, salary information, demographic questions, references, or answers to screening questions. Use the same truthful dates and titles across the résumé and application. If the form’s instructions require a particular format, naming convention, or additional document, satisfy those instructions even when a general résumé guide suggests something else.

What ATS résumé mistakes cause the most trouble?

Using a universal résumé for every opening

A generic document may omit the employer’s terminology or bury the evidence that matters for this role. Start from your master résumé, then make a focused version for the vacancy. Tailoring does not mean inventing experience; it means selecting and explaining the experience that is relevant.

Replacing evidence with a keyword block

A long list can make a résumé harder for a person to evaluate and does not establish proficiency. Pair a skill with a context, method, scope, or result. If you list a certification, place it in the certification section and, where useful, show how the knowledge was applied.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Hiding terms or manipulating titles

White text, tiny text, hidden layers, repeated phrases, and altered job titles can create an inaccurate record. Clear, contextual writing is safer and more credible than trying to exploit an assumed scoring rule. The reviewed sources do not support a guarantee that such tactics work, and they can damage trust with a recruiter.

Putting essential information only in graphics

Charts, logos, skill bars, icons, and photographs may not supply machine-readable wording. State the information as text and use visual elements only when they add value without changing the reading order.

Ignoring dates and employment relationships

Unclear date formats, overlapping entries, or a promotion presented as a single title can make an otherwise qualified history difficult to interpret. Use a consistent month-and-year or year-only convention, and explain internal moves with separate titles or a clearly labeled progression.

Assuming a successful upload means a successful parse

An application accepting a file only confirms that the upload met a technical condition. It does not confirm that every field was extracted correctly. Inspect the parsed form and the copied text before submitting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I balance ATS readability with human review?

Write for a recruiter who may open the original file after a search or parse. Lead bullets with the work you performed, name the relevant method or tool, and show a concrete outcome when you have one. For example, “Rebuilt the monthly inventory report in SQL and reduced manual reconciliation from two days to four hours” communicates an activity, a skill, and a result without relying on a detached keyword list.

Keep the opening summary specific to the role rather than filling it with broad adjectives. A useful summary can identify your level, domain, strongest relevant capabilities, and the type of problem you solve. Remove claims you cannot demonstrate elsewhere in the document. Every section should help a reader answer why you fit this opening.

Readable content also protects against parsing ambiguity. A human can infer that a logo means a certification or that a shaded sidebar contains skills; software may not. State the same facts in ordinary text and let design provide hierarchy, not hidden meaning.

What if the employer gives no file-format instruction?

Use a common, text-based document format that you can verify after saving. A PDF may preserve your intended appearance, while a Word document may be the format a particular workflow expects; neither is universally superior according to the available guidance. Choose one that opens correctly on another device, allows the relevant text to be selected and copied, and maintains a logical reading order. Keep the editable master separately from the submission copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before uploading, revisit the employer’s portal for any instructions that appear at the document-selection or screening-question stage. A format rule in the application itself outranks a general recommendation from a university career page.

How should I handle conflicting ATS advice?

Give priority to instructions attached to the specific vacancy and organization. Next, apply the robust practices shared across the guidance: truthful job-specific language, recognizable sections, consistent formatting, selectable text, careful proofreading, and a final check of extracted content. Treat claims about a guaranteed score, automatic rejection, or one perfect file type as unsupported unless the employer explicitly documents a rule for its own system.

Different sources describe different levels of specificity. Roche explains its own parsing process; university career centers describe common applicant-facing practices; an older UIC document offers practical formatting advice but cannot establish how every current product behaves. Those differences are a reason to verify your file and follow the application’s instructions, not a reason to add speculative tactics.

When is individual résumé feedback useful?

A trusted colleague, career adviser, or paid professional reviewer can help identify unclear accomplishments, inconsistent dates, spelling errors, or a mismatch between the posting and your evidence. Such assistance is optional. No reviewer can guarantee that an employer’s ATS will produce a particular score or that an application will be selected, so retain responsibility for the accuracy of every claim and for following the employer’s instructions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I remember before submitting?

  • The vacancy determines which truthful skills and accomplishments deserve emphasis.
  • The employer’s upload instructions determine the acceptable file type.
  • Recognizable sections and a consistent reading order help software and people interpret the document.
  • Selectable text is preferable to information supplied only as an image or decorative object.
  • Spelling, dates, contact details, and extracted text require a final review after editing.
  • Any fields populated by parsing should be checked and corrected in the application.
  • ATS products and employer configurations vary; no universal score, rejection rule, or interview promise is established.

The practical goal is not to trick a system. It is to submit an accurate, targeted résumé whose important evidence survives file conversion and is easy for a recruiter to understand.
