How to Update Vehicle Details on an E-Way Bill During Transit (2026 Guide)

Update the e-way bill’s Part B before goods move in a different vehicle or by a different transport mode. On the official E-Way Bill System portal, use “Update vehicle number”, select the active e-way bill, enter the conveyance that will actually carry the goods, and save the change. The e-way bill generator can do this when no transporter is assigned; otherwise, the transporter currently assigned to the bill can update it.

The replacement entry must be made while the original e-way bill is active and within its existing validity period. Updating Part B does not restart, extend, or recalculate that period.

What must be updated, and who can do it?

Part B records the transport information used for the current movement. It should match the conveyance carrying the consignment at that point in the journey. If the goods move from one vehicle to another, the new conveyance must be entered before the transfer and before the goods continue moving.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

There are normally two eligible users:

  • The e-way bill generator: the person who generated the bill may update Part B when no transporter has been assigned to that specific bill.
  • The currently assigned transporter: once a transporter is assigned, that transporter can update the conveyance details, provided the user has the required portal access.

Do not treat a transporter’s access to another shipment as permission to edit every bill. The user must be connected to the relevant e-way bill in the portal.

Conditions that must be true before you start

Check What to confirm Why it matters
Bill status The e-way bill is active, not cancelled or otherwise closed. The portal API specification permits a Part B update only for an active bill.
Validity The original validity period has not expired. A later vehicle entry cannot revive an expired bill.
Authority You are the generator or the transporter currently assigned to that bill. The portal restricts who can submit the change.
Actual conveyance You know the vehicle or transport document that will carry the goods next. Part B must describe the real movement, not a planned or previous vehicle.

Information to gather before signing in

Have the e-way bill number, the remaining validity, and the details for the next movement leg ready. For a road replacement, this means the registration number of the truck that will actually take custody of the goods. For rail, air, or ship, keep the applicable transport-document number and date available. The portal/API field list also identifies the place, state, reason code, transport mode, and vehicle type. Gathering these details at the transfer point reduces the risk of saving an incomplete or inaccurate entry.

Keep evidence of the operational event as well. A breakdown note, transshipment record, or handover document can show why the conveyance changed and when the replacement movement began. The portal entry is the formal Part B update; internal records help reconcile the entry with dispatch and delivery paperwork.

Step-by-step: update the vehicle number in Part B

  1. Confirm the timing. Check the e-way bill number, current status, and expiry time before opening the update screen. If the bill is already expired, a Part B change is not a substitute for whatever fresh compliance action the applicable rules require.
  2. Sign in to the official E-Way Bill System portal. Use the credentials for the bill generator or the transporter assigned to that bill. Keep the e-way bill number and the transport details at hand.
  3. Open the vehicle-update function. In the portal menu, choose “Update vehicle number”. The National Informatics Centre user manual describes this as the “Update Vehicle for Generated EWB” workflow.
  4. Retrieve the e-way bill. Enter or select the relevant e-way bill number and confirm that the displayed consignment, generator, and transporter information are the intended records.
  5. Choose the current transport mode. Part B can represent a road, rail, air, or ship leg. Select the mode for the movement that is about to occur, rather than leaving the previous leg’s information in place.
  6. Enter the required conveyance information. For a road leg, enter the registration number of the vehicle that will carry the goods. For rail, air, or ship, enter the transport-document number required for that mode in the API specification. Depending on the screen and mode, the record also includes the place, state, reason code, transport-document date, transport mode, and vehicle type.
  7. Choose an accurate reason. A vehicle breakdown and a transshipment are examples of legitimate reasons for replacing the conveyance. Select the reason that describes what actually happened; do not use a generic reason to conceal a different movement.
  8. Save and verify the result. Submit the update, note the confirmation or updated Part B record, and check that the vehicle or transport-document number, mode, place, and date are correct. Keep the updated record with the consignment documents.

If a shipment changes vehicles again, repeat the same process for the next leg. Each new entry should be made before the goods move onward and while the original e-way bill remains valid.

What to do when goods are transferred to another vehicle

Rule 138(5) of the E-Way Bill Rules states: “Any transporter transferring goods from one conveyance to another in the course of transit shall, before such transfer and further movement of goods, update the details of conveyance in the e-way bill on the common portal in FORM GST EWB-01.”

In practical terms, the sequence is:

  1. Stop the movement at the transfer point.
  2. Identify the replacement vehicle or the transport document for the next mode.
  3. Update Part B before loading or transferring the goods to the replacement conveyance.
  4. Verify the saved entry.
  5. Resume movement only after the portal record reflects the conveyance now carrying the goods.

The portal FAQ specifically identifies breakdown and transshipment as situations in which the generator or transporter may enter a replacement vehicle. A transfer can involve several legs, such as truck to rail, rail to truck, or truck to ship. Update the latest applicable information for each leg rather than retaining the first vehicle throughout the journey.

Examples of timing

Situation Part B action When to submit
Original truck is replaced after a breakdown Enter the replacement truck’s registration number and the applicable reason. Before the goods are transferred and the replacement truck departs.
Road movement changes to rail Replace the road vehicle information with the rail transport-document number and the current mode details. Before the rail leg begins.
Rail movement ends and a delivery truck is used Enter the delivery vehicle number and select the road mode. Before unloading onto that truck and continuing movement.
Several vehicles are used during one journey Make a separate update for every new conveyance that carries the goods. Before each onward movement, subject to the bill’s remaining validity.

Planning a multi-leg movement

For a shipment that changes modes, treat each leg as a separate Part B decision. At the start of the road leg, the vehicle registration identifies the truck. When the consignment is handed to rail, the latest mode and rail transport-document number replace the road details. At the destination railhead, the delivery truck’s registration becomes the current identifier before that truck takes the goods onward.

This does not mean a new e-way bill is automatically created for every transfer. The same bill may receive repeated conveyance updates while it remains active and unexpired. What changes is the latest transport information in Part B; the bill number and its original validity clock remain unchanged.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Coordinate the update between the generator and transporter before a scheduled handover. If the party expected to edit the bill cannot access it, check the assignment and status before moving the goods. A rushed transfer followed by an attempted correction can leave the portal record out of sequence with the physical movement.

Required information by transport mode

The field you enter depends on the mode selected. The API documentation distinguishes a vehicle number for road from a transport-document number for rail, air, and ship.

Mode Primary Part B identifier Other information identified in the API specification
Road Vehicle registration number Place, state, reason code, transport mode, vehicle type, and any applicable transport-document details.
Rail Rail transport-document number Place, state, reason code, transport-document date, mode, and other fields requested by the portal.
Air Air transport-document number Place, state, reason code, transport-document date, mode, and other fields requested by the portal.
Ship Ship transport-document number Place, state, reason code, transport-document date, mode, and other fields requested by the portal.

Do not force a truck registration number into a non-road movement when the portal calls for a transport-document number. Conversely, when the next leg is by road, use the vehicle that will physically carry the goods on that leg.

Validity: what a vehicle update does not change

The e-way bill keeps its original validity period. A Part B update can be made more than once while movement continues, but every update must be completed before that original period expires. The later entry does not start a new clock, add days, or recalculate validity from the date of the update.

This distinction matters when a truck breaks down near the end of a bill’s validity. Updating the replacement vehicle may correct Part B, but it does not by itself authorize movement after expiry. Check the bill’s remaining validity before arranging the transfer and follow the applicable procedure if the consignment cannot legally complete its movement in time.

Short-distance exceptions require context

The rules and the portal FAQ describe different short-distance situations. The rule excerpt gives an exception for a final movement of less than 10 kilometres within the State or Union territory from the transporter’s place of business to the consignee. The portal FAQ separately discusses a less-than-50-kilometre exception for certain same-State movements between the consignor and transporter, and for another movement between the transporter and consignee.

These are not interchangeable distances and are not a blanket exemption from updating vehicle details on every short trip. The applicable exception depends on the exact leg, the locations, the parties, and the current rule text. If a consignment changes vehicles, verify which exception—if any—covers that particular movement before relying on distance alone.

Who should make the change?

Bill situation Likely authorised updater Practical check
No transporter assigned Generator Use the generator’s portal login and update the vehicle before dispatch or transfer.
Transporter assigned Assigned/current transporter Confirm the transporter shown for this e-way bill has access and is entering the conveyance actually used.
Vehicle breaks down during transit Generator or transporter, according to the bill assignment and portal access Coordinate the update before the replacement vehicle moves the goods.
Multiple transporters or modes The user responsible for the current assigned leg Ensure the latest mode and conveyance are entered for the specific e-way bill, not for a different consignment.

If the intended user cannot see the bill or the update option, first check the e-way bill number, login account, transporter assignment, and bill status. Do not create an unrelated duplicate entry simply because the correct bill is not visible.

Common compliance pitfalls

  • Updating after the handover: Rule 138(5) places the update before transfer and further movement. A later correction may not cure the timing issue.
  • Using the first vehicle for the whole journey: Part B should show the latest conveyance, including after a breakdown or mode change.
  • Confusing validity with update history: Multiple entries are permitted while valid, but none adds time to the original bill.
  • Applying a distance exception broadly: The 10-kilometre final-leg wording and the separate 50-kilometre same-State situations have different scopes.
  • Choosing the wrong identifier: Road uses a vehicle number; rail, air, and ship use the applicable transport-document number in the cited specification.
  • Editing the wrong bill: Match the e-way bill number and displayed consignment before submitting, especially when several consignments are moving at once.

Troubleshooting common failures

“Update vehicle number” is missing or unavailable

  • Confirm that the bill is active and unexpired; the API restriction applies to both conditions.
  • Check whether a transporter has been assigned. If so, the assigned transporter may need to perform the update.
  • Sign out and use the account associated with the generator or current transporter for that bill.
  • Verify that you selected the generated e-way bill, not a draft, cancelled record, or unrelated document.

The vehicle number is rejected

  • Re-enter the registration exactly as shown on the vehicle’s official registration record and in the portal’s accepted format.
  • Check for transposed characters, extra spaces, or a state code entered in the wrong field.
  • Make sure the vehicle belongs to the selected road leg. A rail, air, or ship leg requires its transport-document information instead.

The goods were transferred before the update

Stop further movement if possible, record what happened, and update Part B immediately before the replacement conveyance continues. The rule requires the update before transfer and further movement; a late entry does not erase the timing problem. Keep internal records of the breakdown or transshipment and obtain advice on any consequential compliance issue.

The bill is close to expiry

Complete the update without delay, but do not assume that saving Part B extends validity. Check the original expiry and determine whether the movement can finish within it. If not, follow the applicable GST/e-way bill process rather than repeatedly changing the vehicle number in the hope of gaining more time.

The wrong vehicle or mode was saved

Use the portal’s vehicle-update workflow again while the bill remains active and valid, enter the correct current conveyance, and verify the latest record. Preserve the confirmation and explain the correction in the shipment’s internal documentation.

Operational checklist for dispatch and transshipment

  • Record the e-way bill number and its original expiry before dispatch.
  • Confirm whether a transporter is assigned and who has authority to edit Part B.
  • Match the portal entry to the vehicle, rail document, air document, or ship document actually used.
  • For a vehicle change, update before the goods are transferred and before the replacement conveyance moves.
  • For a mode change, replace the previous leg’s information with the latest mode and required identifier.
  • Enter the relevant place, state, reason code, transport-document date, transport mode, and vehicle type where requested.
  • Save the update and verify the displayed Part B record.
  • Repeat for each later leg only while the original e-way bill remains valid.
  • Do not rely on the update to restart or extend validity.
  • Treat the 10-kilometre and 50-kilometre provisions as different, fact-specific exceptions rather than a general short-distance waiver.

Official guidance behind the workflow

The workflow is described in the E-Way Bill System FAQ on updating transportation, vehicle, and Part B details; the E-Way Bill System FAQ covering validity; the E-Way Bill System API documentation for “Update Part B | Vehicle Number Update”; the CBIC/E-Way Bill System chapter containing the E-Way Bill Rules; and the National Informatics Centre e-Way Bill System user manual, released January 1, 2023. These official materials were accessed October 13, 2026. The CBIC E-way Bill FAQs were published March 24, 2018.

Frequently Asked Questions

Can I update Part B after the truck has already broken down?

Update the replacement conveyance before the goods are transferred and before the replacement vehicle continues. If the transfer already occurred, stop further movement if possible, make the correction immediately, and document the breakdown; a late entry does not erase the timing requirement.

How many times can vehicle details be changed?

The details may be updated more than once as movement continues, including for successive vehicles or modes, provided each update is made while the original e-way bill remains active and within its original validity period.

Does updating the vehicle number extend the e-way bill?

No. A Part B update does not restart, extend, or recalculate validity. The original expiry remains the controlling deadline.

Who can update the vehicle when a transporter is assigned?

The transporter currently assigned to that specific e-way bill can update Part B through the portal. If no transporter is assigned, the generator can make the update.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What do I enter for rail, air, or ship movement?

Use the transport-document number required for that mode in the cited API specification, along with the requested date, place, state, reason, mode, and other fields. A truck registration number is for a road leg.

Is a vehicle update required for every short movement?

Do not assume so. The rules describe a less-than-10-kilometre final-leg exception, while the portal FAQ describes separate less-than-50-kilometre same-State situations. Their scopes differ, so check the exact leg and current rule before relying on distance.

Why can’t I see the update option?

Check that the e-way bill is generated, active, and unexpired; confirm the bill number; and use the generator or currently assigned transporter account. A cancelled, closed, expired, or unrelated record cannot be updated through this workflow.

Can I keep the original truck number after a transshipment?

No. Part B should show the latest conveyance carrying the goods. Update it before the transfer and further movement, then repeat the process for any later leg.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Bottom Line

Use the E-Way Bill System’s “Update vehicle number” function to keep Part B aligned with the conveyance actually carrying the goods. The generator or assigned transporter must update the active bill before each transfer or mode change, using a vehicle number for road and the applicable transport-document number for rail, air, or ship. Updates do not extend the original validity, and short-distance exceptions depend on the exact movement.
