When goods move in a different vehicle, update Part B of the existing e-way bill with the replacement vehicle details. Use the e-way bill portal’s Update vehicle number function while the e-way bill is active and still within its original validity period. You normally do not create a replacement e-way bill just because the vehicle changed.
Who can submit the change depends on the transporter assignment: the generator can update Part B when no transporter is assigned, while the transporter currently assigned to the e-way bill can update it when a transporter is assigned. The process and required fields also depend on whether the movement is by road, rail, air or ship.

The correct rule when the conveyance changes
An e-way bill must reflect the conveyance actually carrying the goods. If the original vehicle is replaced after the bill is generated, enter the new vehicle details in Part B of that same e-way bill and continue the journey under the existing record. Who is allowed to update Part B?
Check the transporter assignment on the e-way bill before attempting the change. The official FAQ and API guidance distinguish between an unassigned bill and one assigned to a transporter.

Do not assume that any party who can view the bill can edit Part B. If the portal does not permit your login to update the record, verify whether a transporter is assigned and ask the assigned transporter to submit the change.
What information belongs in Part B?
Part B records conveyance information for the movement. For a road leg, the vehicle number is the key field. The official API reference says that the road mode requires a vehicle number; a transport-document number is optional for road movement. Update Part B | Vehicle Number Update
For rail, air or ship movement, the API validation guidance requires the relevant transport-document number. A vehicle registration number is not the defining identifier for those modes in the same way it is for road transport. Select the mode that actually applies to the new leg and provide the required document information before submitting.

Use the number and format shown on the vehicle or transport document. A typographical error can leave the electronic record inconsistent with the conveyance, so compare the entry with the physical document before submitting.

Step-by-step: update a changed road vehicle
The official sources establish the function and eligibility rules, but portal screens can change. The following procedure uses the stable function name documented by the FAQ and manual without inventing a current menu path.
- Confirm that the existing e-way bill is active. Check its number, movement details and validity end date. The update must be made within the existing validity period.
- Sign in to the official e-way bill portal. Use the credentials and role associated with the bill. If a transporter is assigned, confirm that the current transporter will perform the update.
- Open the Part-B vehicle-update function. Look for the portal function labelled Update vehicle number or Update Part B/Vehicle. The official user manual uses “Update Part B/Vehicle” for a vehicle omitted at generation, a vehicle change during transit and a breakdown. The manual is version 1.6, released 2023-01-01; verify labels on the live portal because the interface may have changed. e-Way Bill System User Manual, version 1.6
- Retrieve the relevant e-way bill. Enter the bill number or use the portal’s available search controls. Confirm that the displayed bill is the one accompanying this consignment.
- Select the road movement details. Choose the applicable movement mode and enter the replacement vehicle number exactly as recorded on the vehicle document. Provide any other road fields the live form marks as required.
- Check the validity date before submitting. A Part-B entry does not recalculate validity. If the original period has expired, the vehicle-update function cannot be used as a way to create a new deadline.
- Submit the update and retain the updated record. Verify that the portal accepts the submission and that the e-way bill now shows the new vehicle details. Keep the updated electronic record with the transport documents for the onward journey.
If the portal rejects the entry, read the validation message and correct the relevant field rather than generating a second bill merely to bypass a Part-B error. Common causes include an expired bill, an incorrect bill number, an unauthorized user role, or a vehicle number that does not match the required format.
Vehicle breakdown: repair, replace or record the next leg
Repairing the original vehicle
The FAQ allows the transporter to repair a broken-down vehicle and continue using the same e-way bill, provided the movement remains within the original validity period. If the goods stay in the original vehicle after repair, the conveyance details do not change simply because the vehicle was temporarily stopped.
Transferring the goods to a replacement vehicle
If the goods are moved into another vehicle, update Part B with that vehicle’s details before continuing. The replacement entry belongs in the existing e-way bill. Do not treat a breakdown as an automatic reason to issue a new e-way bill when the only change is the conveyance.
Recording a multi-stage trans-shipment
For a consignment that changes vehicles at trans-shipment points, update the conveyance details for each applicable movement leg. The FAQ specifically identifies trans-shipment as a reason to change the vehicle number. Each entry must be made while the e-way bill remains valid, and the final movement must still finish within the original validity period.

Validity: what a Part-B update does not do
The most important timing point is that changing the vehicle does not create a fresh validity period. The official FAQ states that the new vehicle must continue the journey within the original validity period, and its general guidance says subsequent Part-B entries do not recalculate validity. The date and time already attached to the e-way bill remain the controlling deadline.

- Make the update while the e-way bill is active.
- Do not wait until the original validity has ended and expect the vehicle-update function to revive it.
- Do not describe a successful Part-B update as an extension, renewal or reissue.
- If the consignment cannot continue before expiry, obtain current, case-specific tax advice rather than assuming that another vehicle entry solves the validity problem.
The official material supplied for this procedure does not establish a general extension process for an expired e-way bill. It is therefore safer to treat expiry as a separate compliance issue, not as a vehicle-change option.
How often can Part B be changed?
The FAQ does not impose a small fixed numerical cap on vehicle changes. It says Part B may be updated as many times as needed for movement to the destination, as long as each update occurs within the e-way bill’s validity. This covers successive vehicle changes caused by trans-shipment or repeated breakdowns, provided the electronic record stays aligned with the actual conveyance.
“As many times as needed” is not permission to enter speculative or inaccurate numbers. Update only when the goods actually move in the stated vehicle or transport mode, and check each entry before submission.
Road, rail, air and ship: choose fields for the actual leg
Part-B information is mode-sensitive. A road replacement normally means entering a vehicle number. If the consignment switches to rail, air or ship, use the transport-document details required for that mode in the official validation rules.
Road
Enter the current road vehicle number. The API documentation identifies the vehicle number as mandatory and the transport-document number as optional for road movement. If the goods later move in another road vehicle, add the new vehicle through the same Part-B update function.
Rail
Provide the required rail transport-document number for the movement leg. Do not substitute a road vehicle number for a rail document identifier when the mode is rail.

Provide the required air transport-document number. Ensure the mode and document details correspond to the actual air movement represented by the e-way bill.

Provide the required shipping transport-document number. The relevant document, rather than a road registration number, is the required identifier under the API guidance.

The same Part B/Vehicle function is used when a vehicle number was omitted at the time the e-way bill was generated. The user manual groups omission at generation with a later vehicle change, transit movement and breakdown. Once the vehicle is known and the bill is still active, add the required conveyance information before the movement proceeds.
This is different from changing a vehicle already recorded in Part B: in both cases, the goal is to make the existing e-way bill accurately describe the current leg, not to create an unnecessary replacement bill.
Pre-submission checklist
- Confirm the e-way bill number and consignment.
- Check that the bill is active and the original validity has not ended.
- Identify whether a transporter is assigned.
- Use the generator login only when no transporter is assigned, or use the assigned/current transporter’s access when one is assigned.
- Choose the actual movement mode for the next leg.
- For road movement, verify the replacement vehicle number character by character.
- For rail, air or ship movement, have the required transport-document number available.
- Confirm that the goods have actually changed conveyance before recording the new details.
- Submit through Update vehicle number or Update Part B/Vehicle.
- Verify that the updated details appear on the e-way bill and retain the record for the journey.
Common mistakes and how to correct them
Generating a second e-way bill only because the vehicle changed
The official FAQ directs users to enter the new vehicle details in the existing e-way bill. A second bill is not the prescribed response to a vehicle change by itself. Use the Part-B update instead, unless a separate fact creates a different legal requirement.
Assuming the update extends validity
A new vehicle entry does not recalculate the deadline. Check the original validity before dispatching the replacement vehicle.
Using the wrong account
If a transporter is assigned, the generator may not be the party permitted to edit Part B. Confirm the assignment and have the assigned/current transporter make the update.
Entering a vehicle number for a non-road leg
Rail, air and ship movements require transport-document information under the official API validation guidance. Select the correct mode and provide its required identifier.
Updating after the bill has expired
The vehicle-update rule applies while the e-way bill is valid. An expired record cannot be treated as automatically restored by changing Part B.

The user manual’s version 1.6 documentation was released on 2023-01-01. The function names “Update vehicle number” and “Update Part B/Vehicle” are the useful reference points, but live labels and screen order can change. Follow the current portal’s prompts while preserving the official eligibility and validity rules.
What evidence should the transporter retain?
After submission, verify the updated e-way bill rather than relying only on a confirmation message. Retain the bill number, the updated vehicle or transport-document details, and the movement documents used for the new leg according to your organization’s record-keeping process. The purpose is operational as well as compliance-related: the electronic record should match the vehicle carrying the goods if it is checked during transit.
If a breakdown caused the change, keep the underlying transport records that explain the transfer or repair in accordance with your normal business and tax-document procedures. The official sources establish the Part-B update rule, but they do not prescribe a universal evidence packet or a portal processing time.
