Then identify which products or services are affected, apply the local transition rules to transactions spanning the date, update only the relevant software settings, and test draft invoices before issuing them. GST rates, invoice requirements and transition rules vary by jurisdiction, so there is no universal rate or menu path.
How do I update GST rates and tax codes in my invoicing software?
- Confirm the rule. Check the current notice or rate schedule from your tax authority for the supply and effective date. Record the country, registration status, supply type and any exceptions.
- List affected items. Map each affected product or service to its current tax code and the new treatment, including the date it applies.
- Resolve transition transactions. Check the local rules for supplies where the invoice, payment, delivery or service date falls on a different side of the change.
- Update the relevant setting. In your application, look for tax, GST or sales-tax settings; create or edit the applicable rate or code; and assign it only to the affected items or services. If available, set an effective date.
- Review defaults. Check item records, recurring invoices, templates and saved customer or product defaults that may use the old code.
- Test and verify. Prepare draft examples, check the displayed code, tax calculation, total and required invoice information, then review the first live transactions and any available GST summary.
Labels and behavior differ across applications. Do not assume a change to a default will alter—or preserve—previously issued invoices in a particular way. Keep issued documents and prior-period entries intact. If the software cannot handle effective-dated rates or separate item mappings, consult its vendor documentation or support team before making a bulk change.

What should I confirm before changing a rate or code?
Country, registration and supply
Identify the applicable tax jurisdiction and whether your business is registered there. Confirm the treatment for the specific goods or services rather than applying a general rate to every sale. Use categories such as exempt, zero-rated or reverse charge only where the relevant authority recognizes them and the transaction qualifies.
Effective date and exceptions
Use the date stated in the official notice or legislation, and check for product-specific exceptions or later amendments. For example, India’s Ministry of Finance said most changes from the 56th GST Council took effect on 22 September 2025, while specified tobacco products remained at existing rates pending a later notified date (Ministry of Finance GST Council FAQ, 3 September 2025). A separate FAQ identifies Notification No. 9/2025-Central Tax (Rate), dated 17 September 2025, for CGST rate changes on goods (Ministry of Finance GST Council FAQ-3, 18 September 2025). These are India-specific examples, not a general rate schedule; verify current notifications and the applicable product classification.

Which records and invoice details are required?
Requirements vary as much as rates do. India’s CBIC FAQ lists invoice details including supplier and recipient identifiers, a unique invoice number and date, description, value, rate and tax amount (CBIC GST Sectoral FAQs). New Zealand has used “taxable supply information” instead of a tax-invoice requirement since 1 April 2023; Inland Revenue explains that compliant invoice wording from before the change remains compliant and that the information may be exchanged electronically (Inland Revenue: Taxable supply information for GST). Confirm the records required where you operate before changing document templates.
How do I handle invoices around the effective date?
Do not choose the rate based on invoice date alone unless the local rule says to. Depending on the jurisdiction and transaction, invoice issue, payment, delivery or service performance can affect the applicable treatment. Review the authority’s transition guidance for the actual dates and facts; do this separately for supplies that cross the effective date rather than relying on the new default tax code.

Singapore illustrates why this check matters: IRAS’s guidance for the 2024 increase from 8% to 9% explains transition rules for supplies spanning the change and provides examples and concessions (IRAS: Transitional Rules for GST Rate Change). India’s 2025 FAQ also addresses cases where supply and invoicing fall on different sides of a rate change (Ministry of Finance GST Council FAQ, 3 September 2025). Apply the rule for your own jurisdiction; these examples are not interchangeable.

How should I change the software setting without affecting old records?
Use the tax or GST settings to create or edit the applicable code, then map it to the affected items or services. Where supported, give the new rate an effective date and retain the old code for historical transactions. Review recurring invoices, templates and saved item defaults: these can continue to generate documents using an outdated setting if they are not updated.

Before a bulk edit, determine how the product handles issued invoices, posted transactions and prior-period reports. The official tax guidance establishes the need to apply the correct rules and keep proper records; it does not establish how any particular invoicing application behaves. If you cannot confirm the effect of an edit, ask the vendor before changing live records.
How do I test the change before issuing invoices?
Create draft examples that cover an ordinary affected sale and any relevant transition or special-case transaction. Check each item against the official rule and verify:

If your software provides a GST summary or tax report, compare a sample transaction with a manual calculation and the official treatment, then review the first live transactions. Keep the rate notice and a record of when you changed the setting. IRAS notes that accounting software can assist with record keeping and tax obligations, but the software does not determine the legally correct treatment for you (IRAS: Getting ready for GST rate change).
Will changing a tax code affect old invoices?
That depends on the software and the type of record. Do not assume a changed default updates historical invoices—or that it cannot—without checking the vendor’s documentation. Preserve finalized invoices and prior-period entries, and avoid silently overwriting an issued document to correct a tax error.

If an invoice has already been issued
Check the tax authority’s correction process and any applicable deadline before taking action. In Singapore, IRAS describes credit notes and replacement tax invoices for affected supplies, including supporting details for adjustments; it also says the GST rate change does not change how a GST return is completed (IRAS: Adjustments and Concessions for GST Rate Change). India’s CGST Rules provide for revised invoices and credit or debit notes with prescribed particulars (CBIC: Central Goods and Services Tax Rules, 2017, Rule 53). These are jurisdiction-specific examples; use the process that applies to your business and transaction.
