You can also open it from Quick Settings, Start > All apps > Accessibility > Live captions, or Settings > Accessibility > Captions. Live Captions is available in Windows 11 version 22H2 and later; live translation requires a Copilot+ PC running Windows 11 version 24H2 or later.
Once it is running, the Live Captions window lets you choose its position, resize it, change caption styling, select languages, include microphone speech, and filter profanity. Speech recognition and caption generation happen on your device rather than in the cloud.

What Live Captions does and which Windows 11 versions support it
Live Captions automatically transcribes spoken audio from videos, calls, music, games and other applications into a caption window. It is a built-in accessibility feature, so you do not need to install a separate captioning program or buy a special keyboard.

Windows 11 version 22H2 and later support Live Captions. The feature uses downloadable language files for on-device speech recognition. The first launch therefore includes a consent prompt and a request to download the language file that matches your chosen caption language.

Live translation is a separate capability. On a Copilot+ PC with Windows 11 version 24H2 or later, Live Captions can translate live or prerecorded audio from more than 40 languages into English and from 27 languages into Simplified Chinese. A standard Windows 11 computer can still transcribe supported languages, but it does not receive this newer translation capability unless it meets the Copilot+ PC and version requirements.
Turn on Live Captions
Use the keyboard shortcut
- Press Windows + Ctrl + L.
- When the Live Captions window appears, accept the on-device voice-processing consent prompt.
- Choose a caption language if Windows asks, then allow Windows to download its speech-recognition file.
The shortcut toggles the feature without requiring you to open Settings. It is the quickest option when you need captions during a meeting, video or game.
Use Quick Settings
- Select the network, volume or battery area on the right side of the taskbar to open Quick Settings.
- Select the Accessibility button to open its flyout.
- Choose Live captions.
If the Accessibility button is not visible in your Quick Settings layout, use the keyboard shortcut or one of the Settings paths below. You can also edit Quick Settings to make commonly used accessibility controls easier to reach.
Open it from Start
- Open Start.
- Select All apps.
- Open Accessibility.
- Select Live captions.
This route is useful when you remember the feature name but not the shortcut.
Open it from Settings
- Open Start > Settings.
- Select Accessibility.
- Open Captions.
- Switch on Live captions.
The Captions page is also where Windows keeps caption-style controls. The Live Captions window itself provides a shortcut into those settings through its own Settings button.
Complete the first-run setup
Windows asks for permission to process voice data on the device the first time Live Captions starts. This consent is required for speech recognition. The audio, recognized voice data and generated captions are processed locally; they are not sent to Microsoft or another cloud service.
Next, Windows asks for a language file. Select the language you want to transcribe. If your preferred language is not available in the list, select another supported language during setup and return to the language menu later to install additional files.

The language download requires an internet connection even though transcription itself runs on the device. A download can therefore fail while the caption engine is otherwise working normally. Install the language before a meeting, class or trip rather than waiting for the first spoken audio.
Choose where the caption window appears
Open the Live Captions window, select its Settings button, choose Position, and then select one of the three layouts.
| Position | How it behaves | Best use |
|---|---|---|
| Above screen | Docks the caption bar at the top and reserves space so it does not cover application content. | Videos or documents where the lower portion of the window must remain clear. |
| Below screen | Docks the caption bar at the bottom and reserves space for it. | Watching video when captions are easier to read below the main content. |
| Floating or overlaid on screen | Places a movable window over other content. You can drag it away from controls or subtitles. | Apps that do not work well with a docked bar, or a second monitor arrangement. |
Docked positions change the usable work area because Windows reserves room for the caption bar. Floating placement leaves the work area unchanged but can cover buttons, subtitles or other text until you drag it elsewhere. Resize the window with a mouse, touch, or keyboard. Increasing its height shows more caption lines, which can help when several people speak quickly or when you need time to read before the text scrolls away.
Change caption size, color and style
Open the style editor from Live Captions
- In the Live Captions window, select Settings.
- Choose Preferences.
- Select Caption style.
Windows opens the Accessibility caption settings. Choose one of the built-in styles from the preview, or select Edit to create a custom style.
Open the same controls directly
- Open Start > Settings > Accessibility > Captions.
- Choose a style from the preview.
- Select Edit to adjust the style details.
Use a high-contrast built-in style when you need a quick readability improvement. A custom style is better when you need a particular text color, background color, opacity or font treatment to remain legible against a specific application. Preview the result before returning to your video or call; a style that works on a dark movie scene may be difficult to read over a bright webpage. Caption styling changes appearance only; it does not change the selected recognition language or improve a poor microphone signal.
Add or switch caption languages
Windows 11 current language menu
- Open the Live Captions window.
- Select Settings.
- Choose Change language.
- Select the language you want and choose Continue.
- If Windows reports that the language file is missing, select Download and wait for installation to finish.
Languages that are already installed appear in bold in the language list. Switching to an installed language is immediate; a new language cannot be used until its speech-recognition file has finished downloading. The language used for transcription is independent of the visual caption style, so changing color or size does not install another language.
Windows 11 version 23H2 and earlier
Older Windows 11 releases expose the controls through the language settings pages rather than the newer Change language menu.

- Open Live Captions and select Settings > Caption language > Add a language.
- Open Settings > Time & language > Language & region.
- Under Preferred languages, select Add a language.
- Choose a language that includes speech-recognition support.
- When Windows displays language features, make sure Enhanced speech recognition is selected.
Not every Windows language includes speech features. Windows downloads speech components over the internet, so a language can appear in the general language list without being usable for Live Captions. If a language lacks speech-recognition support, choose another supported language instead of repeatedly retrying the same installation.

Live Captions normally captions audio played by the device. To caption your own voice as well, open the Live Captions window and select Settings > Preferences, then turn on Include microphone audio. This option is off by default.
Check the selected input device
- Open Settings > System > Sound.
- Under input, select the microphone you intend to use.
- Speak toward that microphone and reduce nearby background noise.
Allow microphone access
- Open Settings > Privacy & security > Microphone.
- Turn on Let apps access your microphone if it is off.
- Return to Live Captions and enable Include microphone audio.
Microsoft cautions that when microphone captioning runs at the same time as device-audio captioning, overlapping speakers may not all appear as separate voices. For the clearest result, reduce competing audio and avoid having several people talk over one another. Enabling microphone audio is optional: leave it off when you only need captions for a video, call or game playing on the PC.
Use live translation on eligible PCs
Translation is available only on Copilot+ PCs running Windows 11 version 24H2 or later. On eligible systems, Live Captions can translate live or prerecorded speech from more than 40 languages into English and from 27 languages into Simplified Chinese.
Open the Live Captions language menu and select the source language. Windows displays the translated output in the selected destination supported by your PC. If the translation option does not appear, check both requirements: the computer must be a Copilot+ PC and the Windows installation must be version 24H2 or later. Installing an additional ordinary caption language on an older computer does not add translation. A PC that can transcribe a language therefore may still be unable to translate it.

What stays on the device
Microsoft states that all processing of audio and generation of captions from detected voice data occurs on-device. Audio, voice data and captions do not leave the device and are not shared with Microsoft or the cloud. Generated captions are not stored on the device or in the cloud.
Improve microphone accuracy
- Move closer to the microphone and speak toward it.
- Reduce fans, music and other background noise.
- Use the correct input device under Settings > System > Sound.
- Keep speakers from talking over one another when microphone captioning is enabled.
Reduce lag or disappearing captions
Real-time transcription uses system resources. Close applications you are not using if captions lag, stop updating or disappear. Resource-heavy video-sharing applications and visual effects can interfere with real-time captioning. After closing them, restart Live Captions with Windows + Ctrl + L if the window does not recover by itself. If the language file is still downloading, wait for that installation to complete before judging recognition performance.

Mask profanity
Open Settings > Preferences in the Live Captions window and turn on Filter profanity. Windows masks detected profanity in the displayed captions rather than removing the rest of the transcript.

- Confirm that the computer has working internet access.
- Try downloading or updating another Microsoft Store app. This distinguishes a general Store connection problem from a Live Captions language-file problem.
- Return to the Live Captions language menu and select Download again after a few minutes.
Check whether the Microsoft Store is blocked
On a work or school computer, an administrator may have disabled Microsoft Store access. In that situation, repeated retries will not install the language file. Contact the administrator rather than changing security settings yourself.
Options for managed deployments
Microsoft documents deploying the matching Store package in managed environments. An administrator can provide the required CAB, ZIP and MSIX contents, or manually install the MSIX package. If Windows does not associate the MSIX file correctly, PowerShell’s Add-AppxPackage cmdlet can install it. The package must match the Windows release and architecture; using an unrelated package can leave Live Captions without a usable speech component.
After installation
- Restart Live Captions.
- Open Settings > Change language.
- Confirm that the installed language appears in bold.
- Select it and play speech to verify that captions are generated.

What Live Captions can and cannot do
Live Captions is designed for real-time transcription, not for creating a saved transcript. Generated captions are not stored on the device or in the cloud. It can caption audio from applications and, when enabled, microphone input, but simultaneous speakers may not all be represented separately. Translation is also narrower than transcription: it requires the newer Copilot+ PC and Windows 11 24H2 combination.
These limits matter when planning an event. For a private video, choose an installed language and a readable style. For a meeting with your own voice, test microphone permission and the selected input first. For multilingual audio, confirm that the PC supports the desired translation direction instead of assuming that every installed caption language can be translated.
Quick checklist before a meeting or video
- Verify that the PC runs Windows 11 version 22H2 or later.
- Press Windows + Ctrl + L and complete the first-run consent prompt.
- Install the required speech language before the event begins.
- Choose a docked or floating position that will not cover controls.
- Increase the window height or select a more readable caption style.
- Enable microphone audio only when you need your own speech captioned.
- Check microphone permission and the selected input device.
- Close resource-heavy applications if captions lag.
- For translation, confirm both Copilot+ PC hardware and Windows 11 version 24H2 or later.
