There is no single switch that removes every Copilot prompt from every Microsoft app. For supported Windows and Mac desktop editions of Word, Excel, and PowerPoint, sign in with a personal Microsoft account, open the app’s Copilot settings, clear Enable Copilot, confirm, and restart. Outlook has a separate account-level toggle, while Excel formula suggestions have their own controls. Hiding a Copilot icon only changes its visibility; it does not disable Copilot.
Choose the control that matches what you want to stop
“Copilot prompts” can refer to several different behaviors. The correct setting depends on the app, device, account type, and whether you want to disable all Copilot capabilities or only one type of suggestion.

| Remove a visible icon | Apps showing a Copilot ribbon or Dynamic Action Button | Ribbon customization or button repositioning | Visual placement only; Copilot remains available |
Microsoft’s documented app-level switch disables Copilot capabilities in that app, but it is not a global Microsoft 365 control. You may need to repeat the change in several apps and on more than one device.

- Open Word, Excel, or PowerPoint.
- Select File, then Options.
- Open Copilot in the left-hand options list.
- Clear Enable Copilot.
- Select OK.
- Close the app completely and open it again.
Repeat those steps separately in every app where Copilot should be disabled. The setting is per app and per device. Turning it off on a shared Windows computer affects anyone who uses that device, so do not assume that changing Word also changes Excel or PowerPoint.
Windows version floors listed by Microsoft
Microsoft lists these minimum versions for the app-level checkbox, with availability information stated as of March 13, 2025:
| App | Minimum Windows version listed |
|---|---|
| Word | Version 2412 |
| Excel | Version 2501 |
| PowerPoint | Version 2501 |
| OneNote | Version 2502 |
OneNote appears in Microsoft’s Windows availability list, although the same list does not provide a Mac equivalent for this control. If Copilot does not appear in File > Options, check the version and account before assuming the setting has been removed.
Recommended Free Tools
Turn off Copilot in Word, Excel, or PowerPoint on Mac
On a Mac, the setting is in the app’s preferences rather than under a Windows-style File menu.
- Open Word, Excel, or PowerPoint.
- Open the application menu at the top of the screen and select Preferences.
- Choose Authoring and Proofing Tools.
- Open Copilot.
- Clear Enable Copilot.
- Close the preferences window, quit the app, and relaunch it.
Use a personal Microsoft account. The change must be made separately in each supported Office app and on each Mac where you want Copilot disabled.
| App | Minimum Mac version listed by Microsoft |
|---|---|
| Word | Version 16.93 |
| Excel | Version 16.93.2 |
| PowerPoint | Version 16.93.2 |
Microsoft does not document this same checkbox for the iOS, Android, or web versions of Word, Excel, and PowerPoint. Updating the desktop app can make the control appear when the account and platform are otherwise eligible.
Turn off Copilot in Outlook
Outlook uses a different control from Word, Excel, and PowerPoint. Microsoft calls it Turn on Copilot, and the location depends on the Outlook client.

Outlook for iPhone and Android
- Open Outlook.
- Open Quick Settings.
- Select Copilot.
- Turn off Turn on Copilot.
Microsoft advises mobile users to use the latest Outlook app. Menu labels can differ slightly until the app has been updated.
Outlook for Mac
- Open Outlook.
- Open Quick Settings.
- Select Copilot.
- Turn off Turn on Copilot.
Microsoft lists Mac version 16.95.3 or later for this Outlook toggle.
Outlook on the web and new Outlook for Windows
- Open Outlook.
- Select Settings.
- Open Copilot.
- Turn off Turn on Copilot.
Unlike the Word, Excel, and PowerPoint checkbox, the Outlook preference applies across Outlook devices signed in with the same account. You normally do not have to repeat it on every phone, Mac, browser, or new-Outlook installation.
Classic Outlook for Windows
Microsoft’s guidance states that there is no estimated availability date for this Outlook toggle in classic Outlook for Windows. If you use the classic client and cannot find Settings > Copilot, the absence may be a client limitation rather than an account error. New Outlook for Windows and Outlook on the web use the documented Settings path.
Stop only Copilot formula suggestions in Excel
If the problem is a formula suggestion rather than the Copilot pane or other Copilot features, Excel provides two narrower controls. They can be disabled independently, so you can stop one behavior while retaining other Excel features.
What the two options do
- Show Copilot suggestions for completing formulas: suggests a formula when you begin entering one by typing
=. - Show Copilot suggestions for formulas based on patterns in your content: detects a pattern in example values and proposes a formula to fill a column.
Excel for Windows
- Open Excel.
- Select File, then Options.
- Select Copilot.
- Clear one or both formula-suggestion checkboxes.
- Select OK.
Clear only the option that is causing the interruption, or clear both to stop these two types of suggestions. Microsoft says the choices remain in effect until you turn them back on.
Excel for the web
- Open Excel in your browser.
- Open File, then Options (…).
- Select Copilot Settings.
- Clear the relevant formula-suggestion checkbox or checkboxes.
- Select OK.
Excel for the web also lets you disable formula completion directly from a suggestion card. Select More options (…), then choose Turn off Copilot suggestions for completing formulas. That command targets formula completion; it does not necessarily disable the separate pattern-based option.

Use the broader privacy setting only when the app switch is unavailable
Microsoft documents a fallback under connected-experience privacy settings: turn off Turn on experiences that analyze your content. This is broader than disabling Copilot in one app and should be treated as a last resort when the specific Copilot checkbox is missing or does not address the behavior.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsWindows Microsoft 365 apps
- Open a Microsoft 365 desktop app.
- Select File, then Account.
- Open Account Privacy.
- Select Manage Settings.
- Turn off Turn on experiences that analyze your content.
- Confirm the change and restart the app.
Mac Microsoft 365 apps
- Open a Microsoft 365 desktop app.
- Open the app menu and select Preferences.
- Choose Personal Settings, then Privacy.
- Open Connected Experiences and select Manage Connected Experiences.
- Turn off the setting for experiences that analyze your content.
- Confirm and restart the app.
Microsoft says that changing this setting in one app takes effect in other apps the next time they open. It can disable features you may still want, including Outlook suggested replies, Word text predictions, PowerPoint Designer, and automatic image alt text. Connected experiences also include functions such as design recommendations, editing suggestions, data insights, Dictate, and Translator.
A broader connected-experience change can affect co-authoring and online file storage, although Microsoft says certain essential services remain available. Because of those side effects, use the app-level or Excel-specific switch whenever it solves the actual problem.
Use a simple decision path before changing settings
Start with the exact prompt you see rather than disabling every AI-related option. If a pane, ribbon command, or generated action appears in Word, Excel, or PowerPoint on a supported desktop build, use Enable Copilot. If the interruption is an email summary or writing aid in Outlook, use Outlook’s own Turn on Copilot preference. If Excel offers a formula while you type or fills a column from examples, use one or both formula checkboxes instead.
Next identify the client. Windows and Mac desktop Office apps expose different menus, and the web, iOS, and Android editions do not expose the same app-level checkbox. Outlook is especially client-specific: mobile and Mac use Quick Settings, while the web and new Windows client use Settings. Finally identify the account. The documented Office checkbox is for personal Microsoft accounts; a work or school administrator may control Copilot separately, so a missing checkbox cannot be fixed by changing a personal-account instruction.

Hiding the Copilot button is not the same as disabling Copilot
Removing the Copilot icon from a ribbon changes the interface, not the feature. Microsoft says Copilot can remain accessible through other methods, including a shortcut menu. If you want Copilot unavailable, use the app’s Enable Copilot or Outlook’s Turn on Copilot control instead.

The Copilot Dynamic Action Button
Word, Excel, and PowerPoint may show a newer Copilot Dynamic Action Button. Moving it to the ribbon or docking it changes where the entry point appears; it does not change Copilot capabilities. Microsoft says the button appears only for people with Copilot access and that this entry-point change does not affect Outlook.
Microsoft states that the worldwide rollout began in April 2026 and was scheduled to complete by June 2026. Customers in GCC, GCC High, and DoD environments were scheduled to start seeing it in October 2026. Those dates describe Microsoft’s rollout plan, not a guarantee that every account currently has the same interface. The button’s presence or position therefore should not be used as proof that Copilot is enabled or disabled.

What to check when the Copilot switch is missing
- Confirm the account type: the Word, Excel, and PowerPoint app-level checkbox is documented for personal Microsoft accounts, not work or school accounts.
- Check the client: mobile and web versions of Word, Excel, and PowerPoint do not expose that checkbox. Outlook also has different paths for classic Windows, new Windows, web, Mac, and mobile.
- Check the version: compare your desktop build with Microsoft’s listed floors: Windows Word 2412, Excel and PowerPoint 2501, OneNote 2502; Mac Word 16.93, Excel and PowerPoint 16.93.2.
- Restart after changing the setting: the app-level change is applied after closing and reopening the app.
- Look in the correct menu: on Windows use File > Options > Copilot; on Mac use app menu > Preferences > Authoring and Proofing Tools > Copilot.
- For Outlook, use the client-specific path: mobile and Mac use Quick Settings > Copilot; the web and new Windows client use Settings > Copilot.
- For formula prompts, use Excel’s formula controls: disabling all Copilot capabilities is unnecessary if only formula completion or pattern detection is unwanted.
- Use the privacy fallback carefully: it can remove unrelated connected features, so review the trade-offs before confirming.
Why Copilot may still appear after you turn it off
The icon is still visible
An icon can remain if you only changed ribbon customization or if the app has not been restarted. Visibility and availability are separate: hiding a button does not disable Copilot, while disabling Copilot can make the ribbon icon unavailable.
You changed one app but are checking another
The desktop Enable Copilot checkbox is per app and per device. Disabling it in Word does not automatically disable Copilot in Excel, PowerPoint, or another computer.
You are seeing an Excel formula suggestion
Formula completion and pattern-based formula suggestions have their own checkboxes. Turn off the relevant option under Excel’s Copilot settings; the general app switch is not the only way to stop these prompts.
You changed Outlook on one device
Outlook’s documented toggle is account-synced, so the change should apply to other Outlook clients using the same account. If a client still shows Copilot, verify that it is signed into that account and that it supports the toggle. Classic Outlook for Windows is specifically not assigned an estimated availability date for this control.
Limits of a complete Copilot shutdown
Microsoft’s support material does not describe one master control that turns off every Copilot prompt and every AI-assisted feature across all Microsoft software. Controls vary by app and feature. Microsoft’s Copilot subscription FAQ also states that Copilot cannot be turned off in Designer, Notepad, or Paint. Those apps therefore require their own product-specific behavior rather than the Word, Excel, PowerPoint, or Outlook settings described above.
Best Value
The practical approach is to identify the exact interruption, use the narrowest available setting, and reserve the connected-experience privacy control for cases where the specific switch is unavailable or insufficient.
Frequently Asked Questions
Can I turn off Copilot everywhere with one Microsoft 365 switch?
No. Microsoft documents separate controls for Office apps, Outlook, Excel formula suggestions, and connected experiences. Designer, Notepad, and Paint also have product-specific limitations.
Why is the Enable Copilot checkbox missing in Word or Excel?
Check that you are using a supported Windows or Mac desktop version and a personal Microsoft account. The checkbox is not documented for work or school accounts or for the iOS, Android, and web versions of Word, Excel, and PowerPoint.

One-click scans. No signup required.
Does turning off Copilot in Word also turn it off in Excel?
No. The desktop checkbox is set separately for each app and each device. Repeat the steps in every Office app and on every computer where Copilot should be disabled.
Will the Office setting follow me to another computer?
No. The Word, Excel, and PowerPoint setting is per app and per device. Outlook is different: its documented toggle syncs across Outlook clients using the same account.
How do I stop only Excel formula suggestions?
In Excel’s Copilot settings, clear Show Copilot suggestions for completing formulas, Show Copilot suggestions for formulas based on patterns in your content, or both. Excel for the web also offers a turn-off command directly on a formula suggestion card.
Does hiding the Copilot button disable Copilot?
No. Ribbon customization and the Dynamic Action Button only change where an entry point appears. Copilot may remain available through other methods, so use the functional Copilot or Outlook toggle when you need it disabled.
What will I lose if I turn off experiences that analyze my content?
The broader setting can disable Outlook suggested replies, Word text predictions, PowerPoint Designer, automatic image alt text, design and editing recommendations, data insights, Dictate, and Translator. It can also affect co-authoring and online file storage.
Why can’t I find the Outlook toggle in classic Outlook for Windows?
Microsoft says there is no estimated availability date for that toggle in classic Outlook for Windows. The documented path is available in Outlook on the web and new Outlook for Windows, while mobile and Mac use Quick Settings.
The Bottom Line
Use the narrowest control that matches the interruption: Enable Copilot for supported desktop Word, Excel, and PowerPoint apps, Turn on Copilot for supported Outlook clients, and Excel’s dedicated checkboxes for formula prompts. Repeat the desktop setting per app and device, remember that Outlook syncs by account, and treat icon hiding and broad privacy changes as different operations.
