Google Meet: turn off Ask Gemini, notes, and automatic capture separately
Disable Ask Gemini for the meeting
The host or co-host can turn off Ask Gemini for everyone during the meeting: open Host controls > Gemini, or open the menu from the Gemini icon. Before the meeting, edit the Calendar event and go to Video call options > Gemini, then turn off Meeting attendees can use Ask Gemini. If you are a participant without host controls, ask the host to change it. [Google Meet Help]

Stop “Take notes for me”
To prevent Gemini notes from being enabled on a scheduled call, edit the Calendar event and choose Video call options > Meeting records, then uncheck Take notes with Gemini. If notes have already started, stop note-taking in the meeting. When Host Management is enabled, only the host can turn note-taking on or off. [Google Meet Help]
Check recording, transcription, and consent settings
Review the event for automatic starts: Google says hosts can configure recording, transcription, and Gemini notes to start when the meeting begins. A host or co-host needs the required recording permission to control or stop these features. Workspace eligibility and storage conditions depend on the organization’s setup. Microsoft Teams: stop live capture and block automatic starts
Stop an active recording or transcription
During a meeting, open More actions > Record and transcribe. Choose Stop recording to stop both the recording and live transcription. Choose Stop transcription if transcription should stop but recording should continue. Microsoft’s instruction is explicit: “Stop recording to stop the recording and live transcription.” [Microsoft Support]
Prevent automatic or attendee-started capture
For a scheduled meeting, the organizer should open Calendar > meeting > Meeting options and review Record and transcribe automatically and Who can record and transcribe. Microsoft documents a No one option to prevent attendees from starting recording or transcription, subject to license and policy constraints. That option cannot be No one when Copilot is allowed during and after the meeting, so review the Copilot setting too. [Microsoft Support]

For a Teams town hall, Microsoft also documents an event-level Record and transcribe automatically option in Meeting options; the organizer can turn it off before the event. [Microsoft Support]
Review Copilot and Facilitator independently
Turning off recording or transcription does not necessarily turn off Copilot. Microsoft documents Copilot notes and task assistance during a meeting without transcription when the organizer selects Only during the meeting. Post-meeting Copilot requires live transcription. Purview retention policies may also retain Copilot prompts and responses even when recording and transcription are off. Zoom: transcript retention is not a meeting-summary off switch
Zoom’s documented administrative path for transcript retention is Account Management > Account Settings > AI Companion > General. Group administrators can manage the related group setting, and the documented controls include host access to view and delete those transcripts. This setting concerns retaining transcripts generated by AI Companion meeting summary for other AI Companion services; it does not establish how to disable meeting summary or its capture.
