Yes. Excel can become a practical, searchable file index by using Power Query’s From Folder connector. Power Query imports a folder’s file metadata into a worksheet table; Excel can then filter and sort that table by name, extension, path, modified date and other columns. You can add links that open the listed files and refresh the query whenever the folder changes.
This creates a searchable list of file records, not a full-text index of every PDF, Word document or spreadsheet. If you only need Windows to locate files on your own PC, Windows Search is usually simpler because it maintains an index for configured locations and File Explorer uses it automatically.

What an Excel file index actually does
The folder connector reads the directory information that Windows exposes and returns one row per file, including metadata such as the file name, extension and folder path when those fields are available. The resulting worksheet table behaves like any other Excel table: you can type into its filter boxes, sort columns, search for text, and add your own calculated columns.
That distinction matters. The connector does not, by itself, open every document and make the words inside those documents searchable. A row can tell you that a PDF exists, where it is stored and when it was modified; it does not make the PDF’s body text an Excel search field. Building a content index would require separate text-extraction processes for each format and is outside this workflow.

Power Query is designed to be refreshed. Treat the workbook as a refreshed snapshot of a folder rather than a continuously synchronized database. New, deleted or renamed files appear in the table after a refresh, not necessarily at the instant the change occurs.
Check your Excel edition and choose a sensible scope
Confirm Power Query is available
Microsoft documents Power Query for Excel on Windows, Mac and the web, but connector availability and menu wording vary by platform and release. In current Windows builds, the modern Get Data dialog is associated with Excel version 2510; another release may show a slightly different ribbon. If you do not see Data > Get Data, check your edition’s documentation or update channel before troubleshooting the query itself.
Pick a root folder deliberately
Choose the highest folder that contains the files you genuinely need. Microsoft’s folder-import guidance includes the selected folder and its subfolders, so selecting an entire user profile, a drive root or a cloud-sync directory can produce a large, noisy list. A project folder, documents archive or dedicated shared directory is easier to understand and refresh.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute- Use a dedicated root when the workbook is for one project or department.
- Use a broader root only when you have a reason to search across all of its subfolders.
- Keep unrelated system, cache and temporary folders out of the query unless they are part of the job.
- Make sure you have permission to read the folder; inaccessible locations can produce errors or missing rows.
Build the searchable index with Power Query
1. Start the folder connection
- Open a blank workbook or the workbook that will hold the index.
- On the ribbon, choose Data > Get Data > From File > From Folder.
- Browse to the root folder you selected and confirm the choice.
- Inspect the preview. Depending on your Excel release, choose the option to transform the data before loading it so you can clean the list first.
The preview is an important scope check. Confirm that the path is the one you intended and that subfolder files are present. If the list is unexpectedly broad, cancel and reconnect to a narrower root instead of trying to hide thousands of irrelevant rows later.
2. Shape the columns in Power Query
Power Query opens an editor with a table of file records. Keep the fields that make a useful index. Common choices are:
- Name: the file’s visible name.
- Extension: useful for filtering by PDF, DOCX, XLSX, image and other types.
- Folder Path: the directory containing the file.
- Date modified: useful for finding recent or stale material when the connector supplies it.
- Content or attributes: retain these only when you have a specific need; binary content columns can make a workbook harder to manage.
Select a column and use the filter menu to remove rows you do not want in the index. For example, you can restrict the extension to document types, exclude a temporary subfolder, or keep only files whose paths contain a project code. You can also remove columns that add no value so the loaded table remains readable.

These transformations are recorded as query steps. They will be applied again on the next refresh, which is why filtering in Power Query is preferable to manually deleting rows in the worksheet.

3. Load the result to a worksheet table
- In Power Query, review the applied steps and verify that the preview contains the intended records.
- Choose Close & Load, or use Close & Load To if your version offers a destination choice.
- Select a table on a new worksheet or an existing worksheet location with enough room.
- Give the resulting table a clear name, such as
FileIndex, from the Table Design tab.
The loaded table supplies Excel’s everyday search surface. Each column has a filter arrow, and the table expands when a refresh returns additional rows.
4. Search and filter the table
Use the filter arrow on Name to type part of a filename, select a particular value, or apply a text condition such as Contains. Filter Extension to show one or more file types, and filter Folder Path to limit results to a branch of the directory tree. Date columns can be filtered to a period when the connector has supplied a usable date value.
Multiple filters work together. For example, selecting the PDF extension and a path containing Contracts leaves only PDF records in contract folders. Clear a filter from its menu when you need to broaden the result; do not delete the hidden rows, because they will return on refresh anyway.
Excel’s normal Find command can also locate text in the visible table. Table filters are usually better for repeatable searches because the criteria remain attached to the column and can be changed without editing the query.

=HYPERLINK($B2&$A2,'Open')
That example assumes the path in B2 already ends with the appropriate separator. If it does not, concatenate the separator explicitly, for example =HYPERLINK($B2&''&$A2,'Open') on Windows. Adjust the cell references to match your table. A structured-reference version can be used when your Excel build accepts it, such as =HYPERLINK([@[Folder Path]]&[@Name],'Open').
Excel supports absolute and relative file links. When a link path is unspecified, Microsoft says Excel treats it as relative to the active workbook by default. Consequently, moving the workbook without moving the target files, or moving both to a different relative arrangement, can break links. Test several links after relocating, copying or sharing the workbook; do not assume a link that works on your PC will work for another user whose folders are mapped differently.
If the query refresh replaces the worksheet table, keep the hyperlink formula as a table column so Excel fills it down for newly returned rows. If your version does not preserve a calculated column during refresh, recreate the formula after loading or maintain a separate view that references the query table.

Refresh on demand
When files are added, removed or renamed, select a cell in the query table and choose Data > Refresh All, or right-click the table and choose Refresh. Power Query reruns the folder connection and its recorded transformation steps. The table then reflects the folder state observed at that refresh.
Configure refresh behavior where supported
Excel releases expose different refresh settings. In versions that provide connection properties, you may be able to refresh when the workbook opens or at a recurring interval while the workbook is open. These settings still represent periodic refreshes, not a file-system watcher. Close the workbook, change files, and reopen or refresh it before relying on the results.
Plan for renamed and deleted files
A renamed file normally appears as a new metadata value on the next refresh, while a deleted file disappears. Any notes, manual classifications or formulas that you attach by row can become misaligned if they are not keyed to a stable identifier. If you need annotations, consider adding a calculated key from the full path and keeping editorial notes in a separate table that you join or look up by that key.

Design the table for fast, useful searches
Use columns that answer real questions
Start with fields that help a person decide which result to open: name, extension, folder path and modification date. Add a size field or an owner field only if the connector and your permissions provide reliable values and the information supports a real workflow. Extra columns increase visual clutter and make filters harder to scan.
Make paths readable
Long paths can dominate the worksheet. Keep the full path for link construction, but place it after the most useful columns and widen it only when needed. You can add a separate display column that extracts a project or department segment while retaining the original path for auditing and links.
Use views for recurring audiences
One workbook can serve different searches without duplicating the query. Keep the master table on one sheet, then create filtered views or PivotTables for teams that routinely need a subset, such as invoices, images or recently changed files. Those views are presentations of the same refreshed metadata; they do not create additional file indexes.
Know the limits of folder metadata
The connector’s output is limited to information exposed by the folder listing and the transformations you apply. It does not automatically search the text of a PDF, the body of a Word document, comments in a presentation or cells inside another workbook. A filename filter may find budget-2026.xlsx, but it will not find an unrelated file whose contents mention the word budget unless that word is represented in an imported metadata column.
Full-text indexing is a separate engineering project. It would need a process that opens each supported format, extracts text, handles encrypted or damaged files, records extraction failures and refreshes that content database. Because formats and permissions differ, do not present the basic From Folder workflow as a substitute for that system.
Excel index versus Windows Search
Choose based on the job rather than assuming one tool is universally better. Windows Search is built into Windows, tracks changes for files in indexed locations and supplies results to File Explorer. Excel is a user-controlled table that you can shape, annotate and share as a workbook.

| Need | Excel with Power Query | Windows Search |
|---|---|---|
| Primary purpose | A sortable, filterable inventory of folder metadata. | Finding local files through the Windows search experience. |
| Update model | Refresh the query after folder changes; settings may allow periodic or on-open refresh. | Maintains an index for configured locations and tracks changes. |
| Custom columns and labels | Add calculated fields, categories, notes and presentation views. | Uses Windows’ search fields and file properties rather than a custom workbook schema. |
| Clickable results | Can include explicit file hyperlinks whose paths must be tested after moves or sharing. | Opens files from the standard search and File Explorer interface. |
| Portability | A workbook can be copied, but links and folder permissions may differ on another PC. | Works against the indexed locations configured on that Windows installation. |
| Document-body search | Not provided by the folder connector alone. | Depends on Windows indexing configuration and supported file handlers. |
| Maintenance | You own the folder scope, query steps, refresh schedule and workbook permissions. | Windows manages the index after locations and indexing options are configured. |
Use Excel when the inventory itself is valuable: for example, when a team needs sortable metadata, a controlled list of project files, custom status columns or links in a report. Start with Windows Search when the only requirement is to locate files on one Windows PC and you do not need a portable, annotated catalog. Microsoft does not publish a benchmark in the cited guidance that would justify claiming one is faster for every folder or workload.
Privacy, permissions and sharing considerations
The workbook can reveal filenames, directory structure and sometimes sensitive project names to anyone who can open it. Store it in a location with access at least as restrictive as the files it describes. If you share a copy outside the original team, remove rows and columns that disclose confidential paths and test whether its hyperlinks expose locations the recipient cannot access.
Power Query runs under the account and permissions available to Excel. A workbook does not grant a reader access to a file merely because a row or hyperlink exists. Conversely, a reader who already has access may be able to follow links that reveal more than the index owner intended, so review both workbook permissions and target-folder permissions.
Troubleshoot common problems
The From Folder option is missing
- Check whether your Excel edition supports Power Query and whether the ribbon is collapsed or customized.
- Look under Data > Get Data; menu labels differ between Windows, Mac, web and release channels.
- Install available Office updates or consult the documentation for your exact build before following a Windows-only path.
Files are missing from the preview
- Confirm that the selected root actually contains the files; the connector includes that folder and its subfolders, not unrelated locations elsewhere on the PC.
- Check permissions and whether the missing files are hidden behind a location that your account cannot read.
- Review query filters and applied steps. An extension, path or name filter may have removed the rows intentionally.
- Refresh after the files are closed or copied completely, then inspect the preview again.
The table contains too many rows
Reconnect to a narrower root or add a Power Query filter for the relevant folder, extension or naming convention. Filtering after loading can hide rows in the view, but narrowing the query reduces the amount of data that the workbook must carry and refresh.
A refresh fails
- Open the query and read the error details; the message often identifies a moved folder, unavailable share or permission problem.
- Verify that the root path still exists and that the account running Excel can open it in File Explorer.
- Check each applied step for assumptions about a column name or data type that changed when the folder contents changed.
- If the folder was replaced, edit the source step and select the current root, then refresh and validate the row count.
Hyperlinks open the wrong place or stop working
- Inspect the assembled path in a temporary column and check for a missing separator or duplicated separator.
- Confirm whether the formula is using an absolute path or a relative path based on the workbook location.
- Test links after moving the workbook, moving the target folder, changing a mapped drive or opening the file on another PC.
- Remember that a valid path can still fail when the reader lacks permission to the target file.
Search results look stale
Refresh the query rather than editing or deleting rows manually. The worksheet is a loaded snapshot; changes in the folder are not guaranteed to appear until Power Query runs again.
A practical operating routine
- Choose a specific project, archive or shared root and document that scope in a note above the table.
- Connect through Data > Get Data > From File > From Folder.
- In Power Query, retain name, extension, path and modification fields, then filter out irrelevant folders or file types.
- Load to a named Excel table and freeze the header row so filter controls remain visible while scrolling.
- Add a hyperlink column only after verifying how the path and filename fields are joined in your environment.
- Search with table filters, and refresh before a report, hand-off or cleanup session so the inventory represents the latest folder state.
- Protect or restrict the workbook when its paths reveal information that should not be broadly shared.
When to move beyond Excel
An Excel index is a good fit for a bounded set of folders and human-scale metadata work. Reconsider the design when you need continuous updates, millions of records, full-text extraction across many formats, centralized permissions, audit trails or concurrent editing by many users. Those requirements call for a purpose-built search or document-management system rather than progressively more formulas in a workbook.
For ordinary personal file finding, try Windows Search first and ensure the locations you care about are indexed. For a curated inventory that people can sort, annotate and open from one controlled sheet, Power Query provides the practical middle ground: it turns a folder listing into a repeatably refreshed Excel table without pretending to be a document-content search engine.
