How to Turn an Interactive Urban Systems Map Into a Presentation-Ready PDF

Turn the interactive map into a deliberate static composition before exporting: freeze the layers, extent and projection, then use a layout exporter rather than a browser screenshot. ArcGIS Online can print a map layout directly; ArcGIS Pro or QGIS provide finer control over labels, page geometry, vectors and typography. For print-oriented work, set raster content to 300 DPI, preserve vector text and linework, and inspect the actual PDF at its final slide or paper size before delivery.

What changes when an interactive map becomes a PDF

An interactive urban systems map is a state that can change as a reader pans, changes scale or toggles layers. A presentation PDF is one fixed view. It has one extent, one visible layer set, one page size and one reading context. Exporting successfully therefore starts with editorial decisions, not an export button.

As an Amazon Associate I earn from qualifying purchases.

  • Freeze the story: decide which systems and relationships the audience must see together.
  • Freeze the extent: set the geographic area and projection so the comparison is visible in one frame.
  • Freeze the audience and distance: a projected slide, an office print and a large poster need different type sizes and detail.
  • Freeze the version: record the data date, map revision and attribution in the layout.

Do not rely on a browser capture as the primary deliverable when labels, legends, scale bars or source notes matter. A layout export can keep text and vector graphics sharp, place map furniture consistently and produce a page that can be proofed.

Choose the export route

Route Best use Control Output considerations
ArcGIS Online Map Viewer print layout A quick, printer-friendly page from an existing web map Templates, title, scale, DPI, legend, north arrow, scale bar, author/copyright and basemap attribution Fastest path; inspect the print-area preview for clipping and label collisions
ArcGIS Pro layout A publication, poster or slide requiring editorial refinement Page geometry, label placement, symbology, fonts, map frames and layout hierarchy Keep Output as image unchecked; use adaptive compression, compress vector graphics, embed fonts and set raster resolution to 300 DPI
QGIS Print Layout An open desktop workflow or a layout needing geospatial PDF options Map items, text, legends, scale bars, coordinates, images, tables and HTML frames Can export PDF or SVG; options include vector export, geometry simplification, georeferencing and vector feature information
Browser screenshot A quick visual reference when no layout project is available Viewport and browser state only Usually rasterized; interactive layers, responsive changes and hidden overlays can produce inconsistent results

Esri’s Map Viewer guidance describes the Print tool as a way to export “a printer-friendly page of your map.” Desktop layouts are the stronger choice when the map must read like an authored figure rather than a captured application window.

Route 1: Export from ArcGIS Online Map Viewer

  1. Open the web map in Map Viewer. Confirm that the intended basemap, operational layers and labels are loaded.
  2. Set the final extent and scale. Pan and change scale until the geographic comparison fits the intended page. Do not leave a layer toggle or temporary filter that the audience will not understand from the PDF.
  3. Open Print and choose Layout. Select a page template appropriate to the destination. A slide, letter/A4 handout and poster should not share the same proportions by default.
  4. Enter a concise title. State the place and the urban-systems theme. Keep the title in the layout rather than relying on a filename.
  5. Configure map furniture. Add only the legend entries that correspond to visible layers, plus a scale bar and north arrow when distance or orientation matters. Include author/copyright and basemap attribution.
  6. Review the print-area preview. Check the map edge, title, legend and attribution for clipping. Make sure labels are not hidden beneath the legend or outside the printable area.
  7. Export to PDF and download it. Keep the exported file with a versioned name that records the map date or revision.

Map Viewer is direct, but its templates and browser rendering limit how much you can refine label hierarchy, page geometry and whitespace. Move to a desktop layout when the preview cannot resolve those issues.

Route 2: Refine the map in ArcGIS Pro

ArcGIS Pro is suited to a presentation or poster in which the map frame is only one part of a designed page.

  1. Add the web map or its layers to a project. Verify that the coordinate system and scale are appropriate for the geographic extent.
  2. Create a layout at the destination size. Use the slide, paper or poster dimensions supplied by the venue. Reserve margins for titles, legends and source notes before placing the map frame.
  3. Refine labels and symbology. Establish one visual emphasis for the principal system or relationship. Reduce saturation, line weight or opacity in secondary layers so they do not compete with the message.
  4. Build the hierarchy. Add a short title, explanatory subtitle if needed, legend, scale bar, north arrow, source/attribution text and a date or version line. Align these elements to a small number of guides.
  5. Open the PDF export settings. Leave Output as image unchecked so text and vector graphics remain vectors. Use adaptive compression, enable compression of vector graphics and embed fonts.
  6. Set raster resolution to 300 DPI. This is the practical target identified in Esri’s tutorial for raster content in a print-oriented PDF. The tutorial notes that resolutions above 300 DPI are not visibly noticeable on ordinary printed documents, while they can increase file size.
  7. Export and inspect the result. Open the PDF in a viewer, check the page at its actual display size, then magnify linework and labels to catch rasterization, substitutions or clipping.

Raster basemaps and imagery still need an appropriate resolution even when the surrounding text and linework remain vector. A very large poster may expose pixelation that is invisible on a slide, so proof at the intended paper size.

Route 3: Build the page in QGIS Print Layout

QGIS provides an open workflow for loading or recreating the map and composing a complete page. The Print Layout can contain a map item, title, text blocks, legend, scale bar, coordinates, images, tables and HTML frames.

  1. Load the urban-systems data or web layers. Match the map’s projection and verify that labels and scale-dependent styling appear at the chosen extent.
  2. Create a new Print Layout. Set the page size and orientation to the delivery specification before adding decorative elements.
  3. Add and lock the map item. Set its extent and scale, then lock it so later edits to text or legends do not move the geography accidentally.
  4. Add supporting elements. Use a title that names place and theme, a legend containing only visible layers, a scale bar, a north arrow where useful, and source, attribution and date information.
  5. Open PDF export options. Enable Always export as vectors when the layer and effect stack supports it. Review geometry simplification, georeferenced output and inclusion of vector feature information according to the recipient’s needs.
  6. Check effects that force rasterization. Transparency, blending and some rendering effects can turn portions of a page into pixels. Inspect those areas at high magnification and adjust the style if sharpness is lost.
  7. Export the complete layout. QGIS’s Export as PDF command saves the defined print layout directly as a PDF; SVG is another option when a downstream illustration workflow is required.

Use a georeferenced PDF only when the recipient’s software can read it and the coordinate behavior is useful. A standard presentation PDF is often more portable and easier for a general audience to open.

Design the presentation hierarchy

Title and framing

Make the title answer “where?” and “what?” in one line, such as a place followed by the systems or relationship being compared. A subtitle can state the date, scenario or data status without competing with the map.

Visual emphasis

Choose one primary relationship or system. Give it the strongest contrast, line weight or color. Keep contextual systems quieter and avoid assigning equally strong colors to every category; that produces a legend that the audience must decode before seeing the point.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Legend discipline

A legend is a contract with the reader. Remove symbols for hidden layers, filtered categories and incidental basemap features. Order entries in the sequence used in the explanation, not merely the order in a layer panel.

Scale, orientation and attribution

Add a scale bar when distance or service areas are part of the argument. Add a north arrow when the orientation is not obvious or when the map is rotated. Keep source, author/copyright, basemap attribution and the data date legible at the final output size.

Slide versus print

A projected slide is normally viewed from several metres away; a handout is held close; a poster may be read at changing distances. Select type, line weights and the amount of detail from that viewing condition. The official guidance does not prescribe universal font sizes, bleed, color profiles, contrast ratios or accessibility rules, so follow the destination’s specification and record the choice in production notes.

PDF settings that protect fidelity

  • Keep vectors: export text, linework and vector shapes as vectors wherever possible. They stay sharp at different scales and usually remain searchable.
  • Use 300 DPI for raster content: treat this as a practical print target, not a universal law. Higher values can enlarge files without visible benefit in ordinary printing.
  • Embed fonts: embedding prevents unexpected substitutions on another computer. If a font cannot be embedded, verify the substitute in the exported file.
  • Compress deliberately: adaptive compression and vector-graphics compression reduce file size while preserving the elements that need precision.
  • Consider transparency: transparent overlays and blending can trigger rasterization in QGIS and other exporters. Test those regions rather than assuming the whole page is vector.
  • Choose georeferencing intentionally: georeferenced output adds spatial behavior for compatible GIS software; it does not automatically improve a slide’s appearance.
  • Set page geometry first: changing paper size after labels and legends are positioned is a common cause of clipping and reflow.

Quality-control checklist

  1. Open the exported PDF in at least one standard viewer, not only the GIS application that created it.
  2. View every page at the intended slide or paper size.
  3. Magnify labels, thin lines, transparency edges and raster basemaps to detect blur or unwanted pixelation.
  4. Confirm that fonts are embedded or that substitutions are acceptable.
  5. Check the page edge for clipped titles, legends, scale bars, north arrows and attribution.
  6. Compare the visible layer set with the legend; remove anything that is not actually shown.
  7. Verify source, attribution, date and version text.
  8. For printing, make a test page or proof on the intended paper and printer. Colors and contrast that look correct on a monitor can change on paper.
  9. Record the export application, settings, projection, DPI and data revision so the figure can be reproduced.

Troubleshooting common failures

Labels disappear or overlap

Cause: the interactive map used a different scale, label priority or collision rule than the final page. Fix: set the final extent first, then adjust label classes and priorities in ArcGIS Pro or QGIS. Reduce secondary labels and leave whitespace around the principal relationship.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The PDF is blurry

Cause: the map or basemap was rasterized at a low resolution, or a browser screenshot was enlarged. Fix: preserve vectors, export raster content at 300 DPI for print-oriented work, and avoid enlarging a screenshot beyond its capture dimensions.

Text changes on another computer

Cause: the source font was not embedded or is unavailable. Fix: embed fonts during export and inspect the file on a second system; if embedding is impossible, choose a widely available substitute and proof it.

The legend does not match the map

Cause: hidden, filtered or scale-dependent layers remained in the legend. Fix: remove those entries and regenerate the legend after the final layer visibility and extent are locked.

Attribution or the title is clipped

Cause: the page template or paper size changed after layout, or the print area was not checked. Fix: return to the destination page size, keep essential text inside the safe area and inspect the export preview and PDF edges.

Effects look different or become pixelated

Cause: transparency, blending or other effects forced rasterization. Fix: simplify the effect stack, export a test region and retain vector output for unaffected elements.

The file is too large to share

Cause: oversized raster images or excessive DPI. Fix: keep vectors, crop imagery to the map frame, use adaptive compression and reserve resolutions above 300 DPI for a documented production need.

The PDF is spatially aware but unusable in a slide deck

Cause: georeferencing was added for a GIS recipient even though the presentation audience only needs a portable figure. Fix: export a standard presentation PDF unless the receiving software explicitly requires geospatial information.

If the map is publicly reachable and you need a clean browser capture for a layout, ScreenshotNeo can return a screenshot or PDF from one GET request. It accepts cookie or consent banners as a visitor and removes more than 60 known consent platforms, newsletter popups and chat widgets before the capture; each cleanup step can be disabled. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads and cache hits are not billed, and the response identifies the page verdict and billing status in headers. Its MCP server provides take_screenshot, get_page_info and capture_pdf tools for Claude, Cursor and other MCP clients.

Use the documented options at ScreenshotNeo’s API documentation when you need a specific format or page behavior. The following calls use the supplied endpoint and save a WebP capture; replace the example map URL with your own public map URL.

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://example.com/urban-systems-map -o shot.webp
import requests
r = requests.get("https://api.screenshotneo.com/v1/shot", params={"access_key": "YOUR_API_KEY", "url": "https://example.com/urban-systems-map"}, timeout=90)
r.raise_for_status()
open("shot.webp", "wb").write(r.content)
const q = new URLSearchParams({ access_key: 'YOUR_API_KEY', url: 'https://example.com/urban-systems-map' });
const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);
if (!res.ok) throw new Error(`HTTP ${res.status}`);
const fs = await import('node:fs/promises');
await fs.writeFile('shot.webp', Buffer.from(await res.arrayBuffer()));

ScreenshotNeo also supports full-page capture with lazy images loaded, CSS-selector element capture, dark mode, device presets, arbitrary viewports, retina scale, custom CSS and JavaScript, click-before-capture, hidden selectors, waits for selectors, delays or network idle, request and resource blocking, custom headers, cookies, user agents, authorization, timezone and geolocation, transparent backgrounds, resizing, selectable caching TTLs, signed image links, asynchronous jobs with signed webhooks, bulk capture of up to 100 URLs per call, a usage API and an OpenAPI specification. Parameter names used by other screenshot APIs are accepted to ease migration. These controls can produce a clean image to place in the ArcGIS Pro or QGIS layout when a native GIS export is unavailable.

The Free plan includes 1,000 screenshots per month with no card. Paid plans start at $5 for 3,000 shots; every feature is available on every plan, and yearly billing provides two months free. Create a free ScreenshotNeo account to start.

Performance, reliability and cost decisions

Performance

Desktop layout exports take longer than a browser screenshot because they render page geometry, labels and export settings, but they avoid rework caused by a poorly framed capture. Keep the map extent tight, crop imagery to the frame and avoid unnecessary high-resolution raster layers. For repeated web captures, a chosen cache TTL and asynchronous jobs can reduce waiting; verify the resulting page verdict before using the file.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Reliability

Reliability comes from a reproducible layout and an inspection step. Save the project, data revision, projection and export settings. For a web capture, ensure the map has finished loading, wait for a decisive selector or network idle when supported, and keep a copy of the source URL and timestamp. A static PDF cannot reveal a later layer update, so the date/version line is part of the evidence chain.

Cost

Native ArcGIS or QGIS export uses the software and access your organization already has; the trade-off is setup time and, for ArcGIS Pro, desktop licensing and hardware. A screenshot service adds a per-capture plan but can remove browser automation work. ScreenshotNeo’s failed loads, bot checks, blank pages, timeouts and cache hits are not billed, which makes automated retries easier to budget. Select the route based on how many maps must be produced, whether a geospatial PDF is required and how much layout control the audience expects.

FAQ

Frequently Asked Questions

Can a presentation PDF keep the map’s interactive layer toggles?

No. A PDF records the exported state. If viewers need alternatives, export separate, clearly labelled pages or provide the interactive map as a companion deliverable.

When is a georeferenced PDF worth the extra complexity?

Use one when the recipient will open it in compatible GIS software and needs to query or align the page spatially. For ordinary slides and handouts, a standard PDF is generally more portable.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should I deliver the PDF alone or also keep the layout project?

Keep the editable ArcGIS Pro or QGIS project, source data references, export settings and a versioned PDF. The project is what lets you correct labels or attribution without rebuilding the map.

The Bottom Line

A presentation-ready urban systems map is a composed, fixed view—not a browser window saved as a file. Freeze the story and extent, export through a layout tool, preserve vectors, target 300 DPI for raster content, and proof the finished PDF at its real display or print size.
