How to troubleshoot video calls that freeze, drop, or have poor audio

Use a symptom-led test instead of guessing that the internet is slow. During an affected call, first determine whether the fault follows one participant, device, location, or app. Then read the service’s call-health indicators, verify the camera and audio devices, test connection stability, and change one variable at a time. This separates a bad network path from a muted microphone, wrong device, overloaded computer, sender-side video problem, or managed-network policy.

What can make a video call freeze, drop, or sound bad?

Real-time calls depend on several systems at once. A poor connection can produce delayed, blocky, or missing audio and video, but it is not the only explanation. The selected microphone, camera, or speakers may be wrong; the app may lack permission; a computer may be short of CPU or memory; one participant may be sending faulty video; or a VPN, firewall, proxy, Wi-Fi network, or quality-of-service policy may be altering traffic.

Microsoft Support states that a poor internet connection can cause low-quality audio and video, delays, and dropped calls. Google Meet Help likewise says bandwidth issues are a major cause of poor video quality. Those statements identify common causes, not a diagnosis for every call. A high result from a one-time speed test also does not prove that latency, packet loss, jitter, or congestion stayed acceptable for the entire meeting.

1. Identify exactly where the problem occurs

Diagnose while the fault is happening if possible. Ask other participants what they see and hear, and record whether the symptom changes when you switch device, network, or app. The pattern usually points to the next test.

Observed pattern Most useful first checks
Everyone sees one participant’s video freeze or break up Investigate that sender’s camera, lighting, CPU and memory, selected camera, and upload path. Google Workspace Help says a sender-side issue is likely when all viewers receive poor video from the same participant.
Only one viewer sees a frozen or missing stream Check that viewer’s network, Wi-Fi signal, browser or app resources, and receive-side device settings.
Only one person has bad audio Check that person’s mute state, selected microphone and speakers, permissions, volume, headset or Bluetooth connection, and local network.
All calls fail on one computer Compare another app or device, inspect CPU and memory use, test the camera and microphone independently, and confirm operating-system permissions.
All devices at one location are affected Test Ethernet and another network, check router placement and Wi-Fi congestion, and give the organization’s administrator or ISP the timing and measurements.
Only one calling app is affected Use that app’s own diagnostics, verify its permissions and device selection, and compare with a test call in another service.

Keep a simple note of the platform, time, duration, affected people, device, connection type, and whether the symptom was outgoing, incoming, audio-only, or video-only. That record prevents you from changing several things at once and losing the evidence.

2. Read the calling app’s own health indicators

Built-in diagnostics observe the call itself, so they are more useful than an unrelated speed test. Labels and locations can change with app versions, but the following paths are the documented checks for the major services.

Microsoft Teams: Call health

  1. While in the meeting or call, select More actions.
  2. Open Settings, then choose Call health.
  3. Watch the readings while the fault occurs. Microsoft says the metrics update every 15 seconds.

The page gives typical Teams reference values of round-trip time below 200 ms, received packet loss below 2%, and received jitter below 30 ms. These are Teams guidance values, not universal limits for every service or network. Use them to spot deterioration and to give IT a reproducible snapshot, not as a guarantee that a call above one value must fail.

Teams also reports frame rate and other media details. Microsoft cautions that a low frame rate alone does not necessarily mean a poor call experience; it can reflect available hardware resources. Correlate the reading with what people actually hear and see.

Zoom: network and media indicators

The desktop app shows network-stability indicators for video feeds and audio sessions, and network statistics are available in its settings. A warning about audio-stream instability describes the audio stream; it is not, by itself, a diagnosis of video quality.

Use Zoom’s Network Connectivity Tool to measure round-trip latency, packet loss, and jitter. For a full audio-and-video exercise, Zoom says to invite other participants to the test meeting; a solo test cannot show how another participant receives your media. Zoom also documents bitrate indicator bands for standard high-quality one-to-one video and notes that group calls or 720p-and-higher feeds require faster bitrates. Treat those bands as Zoom-specific guidance rather than general internet requirements.

Google Meet: Troubleshooting & help

During a Meet call, open the in-call Troubleshooting & help panel when it appears. Meet can offer suggestions when it detects a network or device problem. Follow one suggestion, observe the result, and note whether the change helped before trying another.

3. Test connection stability, not just peak speed

Run a speed test while the call is affected and, if possible, repeat it at different times. Record bandwidth and latency rather than relying on a single number. Persistent packet loss, jitter, queueing, or brief outages can ruin a call even when the advertised download speed is high.

Use Ethernet as an isolation test

Connect the computer directly to the router with a wired Ethernet cable when the device and router have suitable ports. A wired test removes radio interference, weak signal, and many Wi-Fi congestion variables. If the call becomes stable on Ethernet, the fault is probably on the wireless path or its placement; if it does not, continue with device, service, or upstream-network checks. Ethernet is a diagnostic comparison, not proof that every wireless call will fail.

Improve the Wi-Fi test conditions

  • Move closer to the router and reduce walls, metal objects, and other obstacles between the device and access point.
  • Pause large downloads, cloud synchronization, game updates, and other video streams during the test.
  • Compare the two common bands at the actual calling location. Microsoft describes 5 GHz as offering faster throughput and less-congested channels, but shorter range and poorer penetration through obstacles than 2.4 GHz. Choose the band that produces the steadier call where you sit; 5 GHz is not a universal fix.
  • Test a phone hotspot or another authorized network briefly. Improvement on a different network implicates the original router, ISP path, Wi-Fi environment, or organization policy.

Handle VPNs, firewalls, proxies, and QoS carefully

Google advises testing whether VPN routing changes Meet quality because routing through another network location can add delay. Hardware firewalls and security devices that inspect or alter meeting traffic can also reduce quality. Google’s guidance suggests considering a temporary QoS disablement for Meet as a diagnostic because Meet already performs network prioritization and overlapping QoS can hurt video quality.

Do not bypass an employer’s or school’s VPN, firewall, proxy, or QoS policy on your own. Ask the administrator to perform the comparison, inspect the affected network segment, and confirm that real-time media traffic is not being inspected, misrouted, or deprioritized. On a personal network, restore any diagnostic setting after the test and avoid leaving security controls disabled.

4. Fix poor, missing, or echoing audio

Audio problems are often solved locally, but only after the app is using the intended devices.

  1. Check that you and the other speaker are not muted in the meeting and that a physical headset mute switch is off.
  2. Confirm the microphone, speaker, and camera selected in the calling app match the devices you intend to use. Check the operating system’s input and output selection too.
  3. Verify that the app has microphone permission and that input and output volumes are not at zero. If the app offers an input meter, speak and confirm that it moves.
  4. Disconnect and reconnect USB or wired devices. For a Bluetooth headset, disconnect other Bluetooth audio connections and compare the result with a wired headset if one is available.
  5. Record a short message with the app’s microphone test, then play it back. Zoom specifically recommends recording and listening to verify capture and checking the selected output.
  6. Ask everyone to mute. If the dropouts or echo disappear when participants mute, investigate an open microphone, speakers feeding back into a microphone, or an audio peripheral rather than assuming the network is at fault.

Google recommends a headset with a microphone, correct device selection, current headset and camera firmware, and headphones or lower speaker volume to reduce echo. Google Workspace Help recommends a boom-microphone headset for meeting-room audio and warns that excessive microphone gain or sensitivity can create echo or stuttering. A headset can improve acoustic isolation and capture clarity; it cannot repair packet loss or an unstable route.

If audio disappears for a long period rather than merely sounding muffled, Google Workspace identifies an unstable network as one possible cause. Check the call-health readings and alternate-network result before replacing hardware.

5. Troubleshoot frozen, blurry, or missing video

Check the sender and the receiver separately

Ask whether the affected person’s own preview is frozen, whether other participants see the same freeze, and whether only one viewer is affected. If every viewer sees one sender’s bad image, test the sender’s camera, lighting, CPU and memory, and upload path. If one viewer alone sees it, test that viewer’s receive path and device.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Verify camera selection and physical conditions

  • Open the app’s device settings or a test meeting and select the intended camera.
  • Check that a privacy shutter, lens cover, docking station, or another application is not blocking or claiming the camera.
  • Improve front lighting and avoid a bright window behind the subject. Poor lighting can look like a low-quality stream even when transport is healthy.
  • Update camera firmware when the manufacturer provides a compatible update, then restart the app.

Check computer resources

Close unneeded video, browser, and synchronization applications and watch CPU and memory use during the call. An older or heavily loaded computer may skip frames or stop processing video. Teams’ warning that low frame rate alone does not prove a bad call is important here: compare the frame reading with freezes, delay, and what participants report.

As an isolation step, turn your camera off, reduce the service’s video quality, switch to another device, or join by phone for audio. Google recommends these measures for constrained hardware or networks. They reduce demand and help identify the limiting side, but a successful low-bandwidth call does not by itself identify whether the original limit was CPU, Wi-Fi, or the service path.

6. Change one factor at a time

A controlled sequence produces a useful answer faster than rebooting everything simultaneously. Use the comparison that matches your symptom.

Comparison What it can reveal Trade-off
Ethernet versus Wi-Fi Whether wireless range, interference, or congestion is involved. Requires a usable cable and port; removes mobility during the test.
Wired headset versus built-in microphone and speakers Whether echo, gain, or device routing is local to the audio hardware. Improves capture and isolation but cannot fix network instability.
Video reduced or disabled versus full video Whether media demand or computer resources are contributing. Uses less bandwidth and processing while sacrificing picture detail.
Another device on the same network Whether the original computer, camera, permissions, or resources are responsible. Does not isolate a location-wide network fault.
Another authorized network Whether the original Wi-Fi, router, ISP path, VPN, or policy is implicated. Hotspots and other networks may have their own limits and security restrictions.
Another calling app Whether the symptom is service-specific or follows the device and network. Different apps use different codecs, routes, and diagnostics, so results are directional rather than directly comparable.

7. Use a symptom-specific decision path

The picture freezes but audio continues

  1. Ask whether all viewers see the freeze or only one.
  2. For a sender-wide problem, check camera selection, lighting, CPU and memory, and upload-side call health.
  3. For one viewer, test that viewer’s network and device, then compare Ethernet or another network.
  4. Turn video off or lower quality briefly. If audio remains stable, media demand or video processing is a contributor.

The whole call drops

  1. Note the exact time and whether every participant was disconnected.
  2. Check latency, loss, and jitter in the service’s diagnostic panel during the next occurrence.
  3. Compare Wi-Fi with Ethernet and, where permitted, another network.
  4. On a managed network, have IT review VPN routing, firewall or proxy inspection, QoS, and the affected segment.
  5. If several devices remain slow and measured service frequently falls below the ISP’s subscribed level, contact the ISP with the time-stamped results.

People cannot hear you or you cannot hear them

  1. Check mute state, physical connections, selected input and output, volume, and microphone permission.
  2. Run a recording or microphone test and play it back.
  3. Switch to a known-good wired headset or built-in device for one call.
  4. If the issue affects all devices or lasts for long periods, inspect call-health readings and network stability.

There is echo, robotic sound, or intermittent stuttering

  • Use headphones or a headset and lower speaker volume.
  • Mute participants one by one to identify an open microphone or feedback loop.
  • Check microphone gain or sensitivity; excessive gain can cause echo or stuttering.
  • Compare Bluetooth with a wired device, because Bluetooth headsets can behave differently in meetings than in ordinary phone calls.
  • Check jitter, packet loss, and latency if the sound remains broken after the audio-device tests.

8. Escalate with evidence that an administrator or ISP can use

Escalation is most effective when it includes a reproducible pattern rather than “the call was bad.” Provide:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Calling platform and app or browser version, if visible.
  • Date, start time, time zone, duration, and whether the issue was continuous or intermittent.
  • Which participants were affected and whether the fault was outgoing, incoming, audio-only, or video-only.
  • Device model, operating system, camera and headset type, and whether the connection was Wi-Fi, Ethernet, VPN, or cellular.
  • Call-health readings, including Teams’ time-stamped values or Zoom’s latency, packet-loss, and jitter results.
  • Results of the Ethernet, alternate-device, alternate-network, reduced-video, and headset comparisons.

For a managed network, ask IT to check firewall and proxy inspection, VPN routing, QoS, and the specific access point or network segment during the reported time. For persistent problems across several devices, give the ISP repeated speed and latency observations and ask whether the service is meeting its subscribed performance. Keep security controls and organizational policies enabled unless the administrator directs a controlled test.

9. A short pre-call checklist

  • Connect power and close heavy downloads, sync jobs, and unnecessary video applications.
  • Open the app’s device settings and confirm the intended camera, microphone, and speakers.
  • Check microphone permission, mute state, input level, and speaker volume.
  • Position near the router or use Ethernet when reliability matters more than mobility.
  • Use a headset in rooms where speaker feedback or multiple open microphones are likely.
  • Keep a backup plan, such as joining by phone for audio, for meetings where continuity is critical.

These checks reduce avoidable failures, but they do not replace the diagnostic sequence when a call is already failing. The decisive clue is whether the symptom follows a person, device, network location, or app.
