If Windows 11 search is slow or misses files, first check whether the right folders are indexed and whether indexing has finished. Then verify that the file type’s contents are included, search This PC for missing files, and use the Search and Indexing troubleshooter if it is available. Outlook-only search problems need a separate fix.
First, identify where search is failing
Check whether the problem occurs in the Start menu, File Explorer, or only in Outlook. For a missing file, open File Explorer and search for its exact name under This PC. Windows Search uses an index of file names, paths, properties and, when configured, file contents; a file or its contents may be missing from results if its location or content is not indexed. Microsoft explains how Windows search indexing works.

Check indexing coverage and progress
Open Settings > Privacy & security > Searching Windows. Review the selected mode and the indexing status shown on your device.

If you just enabled indexing or added a location, give it time to complete before treating missing results as a fault. Microsoft says initial indexing can take up to a couple of hours; check the status displayed in Settings.

Add the folder that contains the missing files
In Classic mode, files stored outside the indexed locations may not appear as expected. In Settings > Privacy & security > Searching Windows, choose Customize search locations and add the folder where the files are stored. Microsoft’s Windows indexing guidance describes the Classic and Enhanced coverage options.
Make sure Windows indexes file contents
Windows can index file properties only, or properties and content. Properties-only indexing can still find a document by its name, but not by words inside it.

Look for files that seem to have disappeared
If a file is absent from results, it may be outside the index, hidden, or in a different location. Microsoft’s missing-files checklist recommends these checks:

- Search for the file name in File Explorer under This PC.
- Check whether hidden files are shown.
- Try a wildcard search, such as
*.doc, to find Word documents by extension. - For a result that appears in search, use Open file location to see where it is stored. Some files may have moved during a Windows 11 upgrade.
- If the missing files are in OneDrive, follow Microsoft’s separate OneDrive missing-files steps linked from its checklist.
If you are not using a temporary profile, you can also open Advanced indexing options, select Advanced, then choose Troubleshoot search and indexing if the wizard appears. Microsoft has listed Search and Indexing among legacy inbox troubleshooters slated for removal, while noting that older Windows 11 releases continue to run legacy troubleshooters. Its current availability is not settled for every Windows 11 build: if the option is absent, continue with the settings and file-location checks above. See Microsoft’s troubleshooter deprecation guidance.

If searches fail only in Outlook, check that Outlook is an indexed location and confirm the search scope. Microsoft’s Outlook-specific instructions for incomplete or missing results include rebuilding the Instant Search catalog. That procedure is for Outlook search issues; it is not a general fix for unrelated Windows Search symptoms. Follow Microsoft’s Outlook catalog rebuilding steps.

When to consider Windows system repair
DISM and System File Checker are broader repair tools for missing or damaged Windows system files. They are not the first response when a folder was never included in the index or initial indexing is still in progress. If there are signs of broader system-file corruption, follow Microsoft’s instructions for using DISM and System File Checker.
