How to Troubleshoot a Failed UPI Payment at a Shop in India

By Freedom251 Team · · 11 min read

If a UPI payment at a shop shows pending, failed, or declined, do not immediately pay a second time. Open the transaction in your UPI app, note its status and reference number, and ask the shop to check its own merchant app or bank records. A debit in your account is not, by itself, proof that the shop received confirmation.

The correct next step depends on whether this was an ordinary UPI fund transfer or a merchant payment. RBI’s cited framework allows auto-reversal by T+1 for a debited transfer whose beneficiary was not credited, but gives a T+5 outer limit when a merchant payment was debited without confirmation at the merchant location. The framework also specifies ₹100 per day for delay beyond the applicable limit.

What to do before leaving the checkout

1. Stop and read the live transaction status

Open the UPI application you used and go to its transaction history. Select the payment made to the shop. Record the exact status, amount, payee name or virtual payment address, transaction reference number, and time. Use the status currently shown in the app, not a notification that appeared earlier and not a screenshot supplied by either party.

The labels differ between UPI applications. You may see successful, pending, failed, declined, reversed, or a similar term. Treat those labels as transaction states, not as interchangeable descriptions. A pending payment has not reached a final outcome; a declined or failed payment is a different state and normally provides a support or complaint route.

2. Ask the shop to verify its receiving records

Request that the cashier or owner check the shop’s UPI merchant application, bank statement, transaction view, or point-of-sale receipt system. Give them the amount, approximate time, and reference number from your app so they can search for the matching entry. The merchant’s own receiving channel is stronger evidence than a customer screenshot because it shows whether the acquiring side recorded the payment.

If the shop cannot find a matching credit or confirmation, do not assume either that the payment definitely failed or that it definitely succeeded. Keep the transaction open in your app while you decide whether to wait, contact support, or use another payment method.

3. Do not make a second payment by default

Paying again while the first transaction is pending can create two completed payments. First follow the app’s instructions and determine whether the merchant has a confirmed receipt. If the shop must release the goods immediately and the first transaction has no final status, ask for a written or digital record of any second payment and retain both references so a duplicate can be traced later.

UPI status labels and what each one means

Status or situation What it establishes What to do next
Successful, and the shop sees the matching entry The payer’s app and the merchant’s receiving records agree. Keep the receipt or reference number until the purchase is complete.
Successful in the payer app, but the shop cannot find it Your app reports completion, but the merchant has not confirmed receipt through its own channel. Ask the shop to search by reference, amount, and time; the merchant should contact its acquiring bank if the entry remains missing.
Pending The transaction has not reached a final outcome. A debit may coexist with a delayed beneficiary or merchant confirmation. Do not treat it as a final failure or as proof of merchant credit. Follow the app or bank’s status instructions.
Failed or declined The attempted payment was not completed. The reason may be technical or related to the transaction details or limits. Save the reference and debit evidence, then use the app’s issue-reporting route or contact the participating bank.
Reversed or refunded The payment has been returned or sent back through the payment system. Confirm that the credit appears in the source bank account before trying another payment.
No record or unknown status You do not yet have enough evidence to decide whether the shop was paid. Refresh the transaction history, check the bank account, and ask the bank or app provider to identify the transaction.

How to check and report the payment in your UPI app

  1. Open transaction history. Select the payment made at the shop rather than starting a new payment. Check the status, reference number, amount, payee, and timestamp.
  2. Compare the debit with the transaction record. Look at the linked bank account’s transaction list or statement. A debit confirms that funds left the account, but it does not alone prove that the merchant received confirmation.
  3. Save evidence. Keep the reference number, the exact error or status text, the bank debit entry, and any receipt issued by the shop. Avoid sharing your UPI PIN, one-time passwords, or full banking credentials with anyone.
  4. Use the transaction’s support option. Menu names vary by application. In BHIM, NPCI describes opening the transaction and using Report Issue for a declined transaction. Other applications may use Help, Raise a complaint, Dispute, or Contact support.
  5. Describe the outcome precisely. State whether the shop received nothing, whether your account was debited, whether the status is pending or failed, and whether a second payment was attempted. Include the reference number so the support team can trace the transaction.
  6. Keep the complaint number. A support ticket or bank service-request number lets you prove when the issue was reported and helps you follow up if the reversal does not arrive within the applicable time limit.

If the app shows a provider-specific error code, do not infer its meaning from a generic internet list. Ask the app provider or your bank to interpret that code for your account and transaction.

What the shop should check

Search the merchant-side transaction view

The shop should search its merchant application, bank statement, settlement or transaction screen, and any connected receipt system. It should match the amount and time with the reference number supplied by the customer. A notification may be delayed or dismissed, so the searchable transaction record is more useful than a sound or banner alert.

Contact the acquiring bank for a missing merchant record

NPCI’s FAQ directs a merchant to raise a grievance or check the status of a UPI transaction with its acquiring bank. The acquiring bank is the bank that receives and processes payments for the merchant. The shop should provide its merchant identifier, the customer’s reference number, amount, date, and time.

Do not ask for sensitive credentials

A merchant does not need the customer’s UPI PIN, one-time password, debit-card PIN, or full bank login to verify a payment. The reference number and the merchant’s own receiving records are sufficient for a status investigation.

RBI reversal timelines: T+1 versus T+5

The transaction type determines which outer limit applies. In the RBI circular dated 20 September 2019, T means the transaction date and the stated period is the outer limit for resolving a failed transaction. The circular says the prescribed turnaround time is the outer limit for resolution, not a promise that every case will settle sooner.

Transaction type Problem covered Auto-reversal limit in the cited RBI framework Who should start the investigation
UPI fund transfer The payer was debited but the beneficiary was not credited. T+1 day, with reversal by the beneficiary bank if it cannot credit the beneficiary. The customer through the UPI app or participating bank.
UPI merchant payment The payer was debited but confirmation did not reach the merchant location. Within T+5 days. The customer through the app or bank; the merchant through its acquiring bank for merchant-side status.

The framework specifies compensation of ₹100 per day when the reversal is delayed beyond the applicable limit. Ask the bank how to claim or receive that compensation if the deadline passes without resolution. The figures above come from the 2019 circular; if your bank or app cites a later rule for your transaction, follow the current rule supplied by that institution.

How the 48-hour statement fits in

An NPCI FAQ describes a pending UPI transfer in which beneficiary-bank credit is delayed as potentially taking up to 48 hours. That statement is an example for the described pending condition, not a guarantee for every pending merchant payment and not a replacement for the RBI outer limits. Check the live status with your UPI app or bank rather than waiting solely because 48 hours has been mentioned.

Choosing the right escalation route

Customer: UPI app first

For a failed, pending, or disputed payment, raise the transaction issue in the UPI application you used. The app can route the complaint to the participating bank or payment-service chain and attach the transaction reference automatically.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Customer: participating bank next

Contact the bank account provider if the app cannot resolve the issue, the deadline is approaching, or the transaction does not appear correctly in the app. Supply the reference number, debit date, amount, payee, status, and any complaint number already issued.

NPCI complaint handling

NPCI’s complaint facility handles status and complaints for transactions routed through member institutions. Use the transaction details from your app and bank so the complaint can be matched to the correct member institution.

Merchant: acquiring bank

A shop with a missing receipt, an unconfirmed credit, or a merchant-side status problem should contact its acquiring bank. The merchant should not rely on the customer’s screenshot as the only proof of settlement.

Suspected fraud or unauthorised activity

If you did not make the payment, do not recognise the payee, or believe someone used your account without permission, contact your bank promptly through its official channel. NPCI directs fraud, unidentified, and unauthorised transaction complaints to the customer’s bank. Secure the account and follow the bank’s instructions rather than treating the matter as an ordinary failed payment.

When is it safe to try again?

What you see Recommended decision Reason
Failed or declined, no debit in the bank account After checking the details and limits, you can retry once the app or bank indicates that the first attempt ended. There is no debit to reconcile, but the first reference should still be retained.
Failed or declined, debit visible Do not make an immediate second payment unless the app or bank has clearly identified the first transaction as reversed or instructs you to proceed. The debit may still require reversal or investigation.
Pending, debit visible Wait for a final status or obtain instructions from the app or bank; ask the shop to keep checking its records. A pending transaction is not the same as a final failure.
Successful in your app, no merchant confirmation Ask the merchant to search its acquiring-bank records before paying again. The merchant’s receiving channel must establish whether the payment reached the shop.
Reversed or refunded and credit visible Make a new payment only after confirming the return of the first amount. The original transaction has been financially unwound.

Common reasons a UPI payment fails

Communication or network disruption

RBI’s definition of a failed transaction includes communication-link disruption and timeouts. A poor mobile connection, an interrupted bank response, or a timeout can leave the payer with an uncertain status even when the payment screen has closed. Record the reference and let the app or bank determine the final outcome.

Invalid PIN or beneficiary information

NPCI’s UPI glossary places invalid PINs and incorrect beneficiary details among business-decline examples. Recheck the payee name shown before authorising a new attempt, and never disclose the PIN to the cashier or anyone claiming to be support.

Transaction-limit or account rules

Transaction limits are another business-decline category. The applicable limit can depend on the bank, account, payment type, and security rules. Ask your bank for the reason instead of assuming that changing the amount will always solve it.

Provider-specific error codes

Technical and business declines are broad categories, not a complete dictionary of every bank’s error code. The provider that generated the code is the reliable source for its meaning and the corrective action.

Scenario playbooks

Scenario: the screen says failed and no money left the account

  1. Save the failed reference and error text.
  2. Check that the payee details and amount are correct.
  3. Review any limit or PIN message supplied by the app.
  4. Use the app’s report-issue route if the same payment keeps failing.
  5. Retry only after the first attempt is clearly closed and the shop still needs payment.

Scenario: the screen says failed but the account was debited

  1. Do not treat the debit as merchant confirmation.
  2. Ask the shop to search its own records using the reference, amount, and time.
  3. Report the transaction through the app and keep the bank debit evidence.
  4. For a merchant payment, track the T+5 outer limit in the cited RBI framework; for an ordinary UPI fund transfer with no beneficiary credit, track T+1.
  5. Contact the bank if the applicable limit passes without reversal or a clear resolution.

Scenario: the payment is pending at the shop

  1. Leave the transaction open in the app and note its current status.
  2. Ask the shop to check its merchant and bank records, not just a notification.
  3. Follow the app or bank’s pending-transaction instructions.
  4. Do not initiate a second payment merely because the cashier cannot yet see the credit.
  5. Escalate with the reference if the status remains unresolved or the relevant timeline is exceeded.

Scenario: your app says successful but the shop says payment not received

  1. Show the reference number and amount, but do not share credentials.
  2. Ask the merchant to search its acquiring-bank transaction view.
  3. Have the merchant contact its acquiring bank if no matching record appears.
  4. Raise a transaction issue with your app or bank as well, because the payer’s account was involved.
  5. Keep the purchase receipt and both parties’ complaint numbers until the status is settled.

Scenario: you paid twice

Keep the references for both payments and identify which one the merchant received. Report the duplicate to the app or bank and ask the merchant to retain its transaction records. Do not cancel or dispute the wrong transaction by guessing; give support both amounts, times, and references.

Information to gather before contacting support

  • UPI transaction reference or retrieval number.
  • Date and approximate time, including the time zone shown by the app.
  • Amount and currency.
  • Payee name, virtual payment address, or merchant identifier as displayed.
  • Current status and the exact error message.
  • Bank-account debit or reversal entry.
  • Shop receipt, merchant confirmation, or the shop’s statement that no matching payment was found.
  • Any app ticket, bank service-request, or NPCI complaint number.

Providing this set of details prevents support staff from treating a pending merchant payment as an ordinary person-to-person transfer and helps them apply the correct timeline.

Practical checklist for future shop payments

  • Check the payee name and amount on the authorisation screen.
  • Wait for the app’s final result instead of relying only on a notification sound.
  • Keep the reference number until the shop confirms receipt and the purchase is complete.
  • Use the merchant’s receiving record, not a screenshot alone, to settle a disagreement.
  • Never reveal a UPI PIN or one-time password to a merchant or caller.
  • If a debit and missing confirmation occur, start the app or bank complaint promptly and mark the applicable T+1 or T+5 date.

Key terms

  • Technical decline: NPCI’s broad category for a decline associated with technical or network issues.
  • Business decline: A decline category that can include an invalid PIN, incorrect beneficiary details, or a transaction-limit rule.
  • Merchant payment: A UPI payment made to a shop or other merchant location, with a separate confirmation and reversal treatment in the RBI table.
  • Acquiring bank: The merchant’s bank for receiving and processing payments.
  • Auto-reversal: Return of the debited amount under the applicable failed-transaction timeline when the beneficiary or merchant confirmation was not completed.
  • T+1 and T+5: The one-day and five-day outer limits described for the two transaction cases in the cited RBI framework.
