How to transfer your files and settings to a new Mac or iPad

By Freedom251 Team · · 10 min read

The correct transfer method depends on the destination. A new Mac can receive data from another Mac, a Time Machine backup or startup disk, a Windows PC, or—during first-time setup—a nearby iPhone or iPad. A new iPad uses Quick Start from an iPhone or iPad, an iCloud backup, or a backup made with Finder, Apple Devices, or iTunes.

These are separate workflows: Mac Migration Assistant is not a whole-device Mac-to-iPad transfer tool. Choose the destination and source first, then follow the matching procedure below.

Choose the transfer method before you begin

New device Existing source Method Best fit
Mac Another Mac Migration Assistant during Setup Assistant or later Move accounts, applications, files and selected settings from the old Mac.
Mac Time Machine backup or startup disk Migration Assistant Use a backup or an available Mac startup volume instead of connecting the old computer directly.
Mac Windows PC Migration Assistant on the Mac plus Windows Migration Assistant on the PC Transfer supported user data over a wired or wireless network.
Mac Nearby iPhone or iPad Setup Assistant’s Set up with iPhone or iPad Bring over supported settings and iCloud content while the Mac is being set up for the first time.
iPad Nearby iPhone or iPad Quick Start Copy data and settings directly from the previously configured device.
iPad iCloud backup Restore during iPad setup Use an online backup when the old device is unavailable or a direct transfer is impractical.
iPad Computer backup Restore with Finder, Apple Devices, or iTunes Use a backup stored on a Mac or Windows PC.

Prepare both devices

  • Install available operating-system updates on the computers before a Mac-to-Mac migration. Updated systems reduce compatibility surprises during the transfer.
  • Connect Mac laptops to power. For an iPad Quick Start transfer, keep both devices powered until the process finishes.
  • For wireless Mac migration, turn on Wi-Fi on both Macs, connect them to the same network, and place them close together.
  • A direct Thunderbolt or Ethernet connection is often faster than Wi-Fi. Check the ports on both Mac models before buying a cable; a cable is optional, not required for every migration.
  • If antivirus, firewall, or VPN software is installed on either Mac, Apple advises turning it off temporarily during Migration Assistant. Re-enable it after the transfer and any restart are complete.
  • Keep the old Mac or source iPhone/iPad available until you have checked the new device. Migration Assistant transfers information; it does not erase the old Mac or replace macOS on the new one.

Move data from one Mac to another

During first-time setup

  1. Start the new Mac and proceed through Setup Assistant until it asks whether to transfer information.
  2. Choose the option for another Mac, a Time Machine backup, or a startup disk, depending on your source.
  3. On the old Mac, open Migration Assistant from the Utilities folder and choose to transfer information to another Mac. Leave the old computer awake and connected.
  4. On the new Mac, select the old Mac when it appears. Confirm that the security code shown on both computers matches before continuing.
  5. Select the categories to copy. Available categories can include applications, user accounts, other files and folders, privacy and security settings, and system and network settings.
  6. Start the transfer and leave both Macs connected and near each other if you chose Wi-Fi. The duration depends on the amount of data and the connection.

Apple describes Migration Assistant as a tool that transfers documents, apps, user accounts and settings from one Mac to another. It does not turn the old Mac into a duplicate that is consumed or reformatted; the source remains intact.

After the new Mac has already been set up

You can run the same utility later. Open System Settings > General > Transfer or Reset and open Migration Assistant, or launch Migration Assistant from the Mac’s Utilities folder. Select the source type and categories, authenticate when requested, and let the Mac restart if the assistant requires it. This route is useful when you initially skipped migration or want to bring data over after confirming that the new Mac starts normally.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Wireless versus direct cable

Wireless transfer is convenient when both Macs are on the same Wi-Fi network. A direct Thunderbolt or Ethernet connection is often faster, particularly for a large photo, video, or application library. The correct cable depends on the ports fitted to both computers, so identify the Mac models and their ports before purchasing anything. Do not buy a cable merely because Migration Assistant is available; Wi-Fi remains a supported option.

What happens at the end

The new Mac restarts after migration. Migration Assistant can display a summary of issues it detected, such as an application that could not be moved or one that is not compatible. Read that summary before deleting anything from the old Mac.

Move data from a Time Machine backup or startup disk

  1. Open Migration Assistant on the new Mac during Setup Assistant or later from the Utilities folder/System Settings path.
  2. Choose the source option for a Mac, Time Machine backup, or startup disk.
  3. Select the available backup or disk when it appears. If more than one source is listed, identify it by its name and date.
  4. Choose the data categories you want: applications, user accounts, files and folders, privacy and security settings, or system and network settings, as offered by the assistant.
  5. Confirm the transfer and leave the backup drive connected until Migration Assistant reports completion.

This approach is useful when the old Mac is unavailable but its backup or startup volume is accessible. The assistant still lets you select categories rather than requiring an all-or-nothing copy.

Move data from a Windows PC to a Mac

  1. On the new Mac, open Migration Assistant and choose From a Windows PC.
  2. Install and open Windows Migration Assistant on the PC, then follow its prompts so the two computers can find each other.
  3. Use either a wired or wireless network connection, as documented by Apple. Keep both computers connected and awake while the assistant compares the available data.
  4. When the same security code appears on both computers, verify it and continue.
  5. Select the categories offered by Migration Assistant and start the transfer.

Do not expect a complete Windows environment on macOS. In particular, network settings and passwords are not transferred from a PC. Applications may also need Mac versions or fresh installation, and Migration Assistant can identify compatibility problems in its completion summary.

Set up a new Mac with a nearby iPhone or iPad

This is an initial-setup convenience, not a replacement for a full Mac migration from another computer. Apple lists these requirements:

  • The new Mac must use macOS Sequoia 15.4 or later.
  • The nearby iPhone must use iOS 18.4 or later, or the nearby iPad must use iPadOS 18.4 or later.
  • The iPhone or iPad must already be set up.
  • Wi-Fi and Bluetooth must be enabled.
  1. Start the new Mac and continue through Setup Assistant.
  2. Choose Set up with iPhone or iPad when the option appears.
  3. Keep the source device close to the Mac and follow the onscreen authentication prompts.
  4. Allow the Mac to use the source device’s iCloud settings and select the offered setup choices.

The Mac can receive settings such as Wi-Fi, Appearance, and Accessibility. Supported Apple-app content is retrieved according to the iCloud settings on the source device; Apple identifies Photos, Messages, Notes, Calendar, Passwords, and Contacts among the content that can be involved. This option does not copy a complete Mac user account, Windows files, or every application from the iPhone or iPad.

Transfer an old iPhone or iPad to a new iPad

Apple lists three main routes: Quick Start, an iCloud backup, and a backup made with Finder, Apple Devices, or iTunes. Choose the route that matches what you still have access to.

Option 1: Quick Start from a nearby iPhone or iPad

  1. Turn on the new iPad and place it near the previously set-up iPhone or iPad.
  2. On the current device, make sure Wi-Fi and Bluetooth are enabled.
  3. Follow the setup prompts that appear on both screens, using the current device to authenticate when requested.
  4. Keep the devices close together and connected to power until the transfer completes.

Quick Start occupies the source device for several minutes, and the total time varies with network conditions and the amount of data. Plan not to use that iPhone or iPad during the transfer. An iPad enrolled in Apple School Manager or Apple Business cannot use this Quick Start route to transfer from the current device; use an organization-approved backup and restore process instead.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft

Option 2: Restore an iCloud backup

  1. Start the new iPad and proceed through setup until it offers transfer or restore choices.
  2. Choose the iCloud backup method and sign in with the Apple Account associated with the previous device.
  3. Select the relevant backup when the available backups are shown.
  4. Leave the iPad connected to Wi-Fi and power while the restore and subsequent content downloads finish.

This route is appropriate when the old iPhone or iPad is not beside you but its backup is available. The backup is the source of the data and purchased content that can be restored; anything never included in that backup must be recovered through its own app or service.

Option 3: Restore a computer backup

  1. Connect the new iPad to the Mac or Windows PC that contains the previous device’s backup.
  2. During iPad setup, choose the computer-backup route.
  3. On a Mac, use Finder; on Windows, use Apple Devices or iTunes, according to the software installed on that computer.
  4. Select the backup made from the prior iPhone or iPad and follow the restore prompts.
  5. Keep the iPad connected until the computer reports that the restore has completed.

The backup must belong to the previous iPhone or iPad you are replacing. A Mac backup of a Mac user account is not an iPad backup and cannot be restored as a complete iPad setup.

What may not transfer cleanly

Applications and versions

Transfer scope is not guaranteed for every application. An incompatible app, or an app for which a newer version is already installed on the destination, may not transfer or may not be usable. Migration Assistant provides a summary when it detects such issues. Use that summary to identify apps that need a compatible version or a separate reinstall.

Settings from a Windows PC

Migration Assistant can bring supported user data from a PC, but network settings and passwords do not transfer from Windows. Be prepared to reconnect to networks and enter credentials on the Mac.

Mac-to-iPad expectations

There is no single, whole-device Mac-to-iPad migration procedure in the workflows described here. A Mac account, its desktop, and its macOS applications cannot be restored onto an iPad through Mac Migration Assistant. If one particular file must be available on the iPad, use the file-sharing or cloud-sync method supported by that file’s app; the correct method depends on the file type and the app that opens it.

Troubleshoot a migration that stalls or fails

The computers or devices do not appear

  • For Mac-to-Mac wireless migration, verify Wi-Fi is on for both computers, they are on the same network, and they are physically close.
  • Temporarily turn off antivirus, firewall, and VPN software on the Macs, then reopen Migration Assistant.
  • For a PC transfer, confirm that Windows Migration Assistant is open on the PC and that both systems are connected to the same wired or wireless network.
  • For iPad Quick Start, turn on Wi-Fi and Bluetooth on the current device, move the devices closer, and connect them to power.

The transfer is taking a long time

Large libraries take longer than small ones. Wi-Fi conditions and the amount of data directly affect the duration. On a Mac, switch to a suitable direct Thunderbolt or Ethernet connection if both computers support it and the wireless transfer is impractical. Do not disconnect a source or power off a device simply because the progress indicator pauses.

The new device reports missing or unusable apps

Read Migration Assistant’s final issue summary. Check whether the app requires a newer or different platform version, then install a compatible edition separately. Keep the original Mac or backup until you have confirmed that important documents and accounts are present.

The Mac was set up without migration

Run Migration Assistant after setup from System Settings > General > Transfer or Reset, or open it from the Utilities folder. You do not need to erase the new Mac merely because you skipped the transfer during first boot.

Which route should you use?

  • Choose Mac Migration Assistant from another Mac when you want the broadest Mac-specific transfer of accounts, applications, files, and selected settings.
  • Choose a Time Machine backup or startup disk when the old Mac is unavailable but its storage is accessible.
  • Choose Windows Migration Assistant when replacing a PC, while planning to recreate network connections and passwords.
  • Choose Set up with iPhone or iPad only when you are starting a qualifying new Mac and mainly want supported iCloud content and settings from that nearby device.
  • Choose iPad Quick Start when the old iPhone or iPad is nearby and not managed by Apple School Manager or Apple Business.
  • Choose iCloud or computer restore when the iPad’s source device is unavailable or you already maintain a usable backup.

Keeping the source device, backup, or old Mac until the destination has been checked is the safest finish. The right workflow preserves what each Apple platform supports without treating a Mac and an iPad as interchangeable destinations.
