The safest way to move from a Mac to a Windows PC is to treat files, photos, and passwords as three separate transfers. Apple’s iCloud for Windows can expose all three on a Windows computer when both devices use the same Apple Account, but it is a synchronization service rather than a complete Mac-to-PC migration utility. Set up iCloud, let the Mac finish uploading, download the data you need on Windows, and then make independent local copies before changing anything on the Mac.
The sequence below covers the exact steps, cloud-only files, photo fidelity, password-export security, storage limits, and the checks that prevent an incomplete move.

What you need before starting
Have the Mac and Windows PC connected to reliable internet, and sign in to the same Apple Account on both. The Windows workflow uses iCloud for Windows installed from the Microsoft Store; Apple’s documented steps target Windows 11 or later. Features and requirements can vary by region and system configuration, so check the current iCloud for Windows listing if a feature or menu is missing.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- On the Mac, allow iCloud Drive and iCloud Photos to finish syncing before you begin downloading on Windows.
- On Windows, reserve enough disk space for any files and photos you intend to keep offline. Cloud placeholders do not use the same amount of local storage as downloaded copies.
- Plan where independent copies will live. A folder outside the iCloud folders, included in your normal Windows backup, is safer than treating a synchronized folder as your only archive.
- Keep the password CSV in a controlled location only for the brief period needed to import it, then delete it securely.
Every Apple Account includes 5 GB of iCloud storage. That quota covers iCloud Drive, Photos, and other iCloud data. When it is full, Apple says new photos and videos stop uploading and iCloud Drive and other iCloud apps stop staying current across devices. Check available storage before relying on the cloud as the only route.

Choose synchronization or a separate local copy
iCloud gives you two useful outcomes, and they are not the same. Leaving an item in iCloud keeps it available to connected devices and lets Windows show a cloud-backed version. Copying a downloaded item to a folder outside iCloud creates an independent Windows copy that will not disappear if you later remove the iCloud item.
| Choice | What happens | Best use | Important trade-off |
|---|---|---|---|
| Keep data in iCloud | Windows and other connected devices continue to access the synchronized item. | Working on the same files or photos from several devices. | Items can remain cloud-only until downloaded, and the data continues to consume iCloud storage. |
| Download and copy outside iCloud | A separate local Windows copy is created in an ordinary folder. | Building a PC archive or a backup independent of Apple’s sync folder. | You must include that folder in your Windows backup and manage later changes yourself. |
| Download selectively | Only chosen files, folders, photos, or videos occupy local disk space. | Limited PC storage or a staged move. | Items not downloaded remain unavailable offline. |
| Pin with “Always keep on this device” | A selected iCloud Drive item is kept locally after it downloads. | Frequently used files that must open without internet access. | Pinned content uses local disk space and still belongs to the synchronized iCloud set. |
Transfer files with iCloud Drive
1. Turn on iCloud Drive on the Mac
- Open System Settings on the Mac.
- Select your name, then iCloud.
- Choose Drive and turn on Sync this Mac.
- Enable Desktop & Documents Folders only if those folders should be included in iCloud. Turning it on changes which Desktop and Documents content participates in synchronization, so allow the initial upload to finish before moving on.
Open iCloud Drive in Finder and wait for the files you need to finish uploading. A file visible on the Mac is not necessarily available to Windows yet; the Windows copy cannot download data that has not reached iCloud.
2. Enable iCloud Drive on Windows
- Install iCloud for Windows from the Microsoft Store on the Windows PC.
- Sign in with the same Apple Account used on the Mac.
- Enable iCloud Drive in the app, then apply the change.
- Open File Explorer and select iCloud Drive in the navigation pane.
Some entries may appear as cloud placeholders. Apple’s guidance is explicit: “You must download a file before you can open it.” Select a file or folder and allow the download to complete before opening it. For a file that must remain available offline, use its context menu and choose Always keep on this device.

3. Make an independent Windows copy
After the required items have downloaded, copy them from iCloud Drive into a normal folder such as a folder in your Windows user profile or an external drive. Copy rather than move when the Mac or another Apple device should retain its iCloud version.

Apple warns that moving an item out of iCloud Drive removes it from iCloud Drive and from connected devices. That behavior is different from copying: a copy leaves the synchronized original in place while creating a separate Windows file. Open several copied files from the new folder, check their names and sizes, and add the folder to your regular backup.
4. Confirm the file transfer
- Compare the top-level folders you expected with what appears in File Explorer.
- Open representative documents, images, and archives from the independent local folder, not only from the iCloud location.
- Check that files marked for offline use show as downloaded before disconnecting the PC from the internet.
- Keep the Mac data untouched until the local Windows copy and your backup have been verified.
Transfer photos and videos
1. Finish iCloud Photos syncing on the Mac
On the Mac, confirm that iCloud Photos is enabled and wait for synchronization to finish. Photos that are still uploading cannot be downloaded reliably on the Windows side. If iCloud storage is full, new photos and videos may never reach the cloud, so resolve the storage condition or use another separately managed copy for those items.
2. Download through iCloud for Windows
- Open iCloud for Windows and turn on Photos for the same Apple Account.
- In File Explorer, open the iCloud Photos folder.
- Select the photos and videos you need and choose the download action provided by the folder.
- Wait for the downloads to finish before copying them elsewhere.
For a smaller selection, sign in to iCloud.com/photos in a browser, select the required items, and download them. The browser route is useful when you do not want the entire library exposed in File Explorer, while the iCloud for Windows folder is more practical for a larger staged download.
3. Create a separate photo archive
Copy downloaded photos and videos from the iCloud Photos location into a separate local folder on the PC. Include that folder in Windows backup software or another backup routine. Keeping an archive outside the synchronized folder prevents a later iCloud change from being your only copy.

When disk space is limited, download in batches and verify each batch before starting the next. Do not delete the Mac library merely because a thumbnail appears on Windows; a thumbnail or cloud entry does not prove that a full local file has been saved.
4. Understand Shared Album limitations
Shared Albums are not a full-fidelity archive. Apple says that photos and videos copied from Shared Albums are not full resolution and do not include comments or likes. Use the original iCloud Photos library when preserving the highest available file quality and album metadata matters. Treat Shared Album downloads as viewing or sharing copies rather than a complete library migration.
Transfer saved passwords
1. Export passwords from the Mac
- Open the Mac Passwords app.
- Choose File > Export All Passwords to File.
- Save the resulting CSV in a restricted location that other users and cloud-sync folders cannot access.
- If you need only a subset, select the relevant passwords and use the option to export selected passwords instead.
The CSV is readable text, not an encrypted backup. Apple’s warning is direct: “Passwords you export are not encrypted and are visible to anyone who has access to the file.” Do not email it, upload it to a shared drive, leave it in Downloads, or place it in a folder that automatically synchronizes to multiple devices.

- Open iCloud for Windows and sign in to the same Apple Account.
- Open iCloud Passwords.
- Choose Add Password > Import Passwords.
- Select the CSV exported from the Mac.
- Review the list of entries that iCloud Passwords reports it could not import.
The Windows import adds eligible entries; it does not replace existing iCloud Passwords entries. If the app reports duplicates or rejected rows, keep the original CSV until you have checked the resulting list, then correct only the entries that need attention.

3. Delete the exposed file
After confirming that the intended credentials are present, delete the CSV from the Mac, Windows PC, Recycle Bin, and any temporary location used during the transfer. Apple specifically advises deleting the file after importing. If the CSV was ever copied to another device or backup, remove those copies too.
4. Know what the export cannot include
The Mac export does not include Wi-Fi passwords, passwords shared with a group unless you created that group, or access to accounts that use Sign in with Apple. Those categories require separate recovery or sign-in arrangements. Do not assume that a successful CSV import represents every credential stored on the Mac.

iCloud Drive shows a file but it will not open
The item is probably cloud-only. Select it in File Explorer and wait for the download, then open it. If it must work without internet access, choose Always keep on this device and wait for the status to show that the local copy is ready.

A file disappeared from the Mac after organizing Windows folders
Check whether it was moved out of iCloud Drive rather than copied. Moving removes the item from iCloud Drive and connected devices. Restore it from the Windows destination if needed, or copy it back into iCloud Drive only after deciding which location should be authoritative.

New photos are missing on Windows
Return to the Mac and confirm iCloud Photos has finished syncing. Then check iCloud storage capacity. A full 5 GB account prevents new photos and videos from uploading, so Windows cannot download content that never reached iCloud.
Photos appear but the archive is incomplete
Check whether you downloaded from a Shared Album. Shared Album copies are not full resolution and omit comments and likes. For an archive, download from the main iCloud Photos library and copy the downloaded files into your independent folder.
Password import reports failures
Inspect the app’s list of entries it could not import. Compare those entries with the Mac Passwords app, paying particular attention to Wi-Fi credentials, group-shared passwords, and Sign in with Apple accounts, which the Mac export does not include. Existing iCloud Passwords entries are not replaced by the import.

Apple notes that iCloud features can vary by region and system requirements. Confirm that the PC meets the current iCloud for Windows requirements and that the Microsoft Store version is being used. If a feature is unavailable in your region or Windows configuration, keep the Mac data intact and use a separately managed local copy for files or photos rather than deleting the source.
Verification checklist before retiring the Mac
- Open several documents from the independent Windows folder outside iCloud Drive.
- Open representative downloaded photos and videos, including items from different dates or folders.
- Confirm that the Windows backup includes the independent file and photo folders.
- Review iCloud Passwords on Windows and verify important entries individually.
- Confirm that the password CSV and all temporary copies have been deleted.
- Check that any files you intentionally left synchronized still appear on the Mac and other connected devices.
- Keep the Mac available until these checks pass; iCloud synchronization is not proof that a separate local archive exists.
What this method does not migrate
iCloud for Windows gives Windows access to supported iCloud Drive files, iCloud Photos, and iCloud Passwords. It does not clone the Mac’s operating system, applications, settings, local-only data, or every password category into Windows. The documented workflow also does not establish a universal direct-cable migration process. Plan separate replacements for Mac applications and review other local data that was never stored in iCloud.
For most people, the practical order is: finish Mac synchronization, enable the matching iCloud features on Windows, download what must be offline, copy files and photos into independent folders, import passwords through the dedicated iCloud Passwords screen, and then remove the plaintext CSV. That sequence preserves the cloud copy while creating a verifiable Windows archive.
