Start by backing up the old laptop, then use the built-in migration or backup option when available; use cloud storage or an external drive when you mainly need to move files. These methods copy or restore selected data—they do not guarantee that every app, password, license, or device setting will come across.
Choose the transfer method for your laptops
First identify the operating system on both devices. A Windows 11 setup can restore a Windows Backup; macOS includes Migration Assistant for Mac-to-Mac moves; Apple provides Windows Migration Assistant for PC-to-Mac transfers. If you only need personal files, OneDrive or an external drive may be simpler.

Prepare the old laptop before moving anything
- Install available operating-system updates and make a separate backup of important data.
- Check Desktop, Documents, Downloads, Pictures, Music, Videos, browser bookmarks, mail, and any application-specific folders you rely on.
- Make sure you can sign in to the relevant accounts, especially the Microsoft account used for Windows Backup or OneDrive.
- Do not erase, reset, trade in, or otherwise retire the old laptop until you have checked the new one.
Migration is not a guaranteed full clone. Installed desktop software, saved passwords, license activations, local-only data, and hardware-specific settings may need attention even when a migration tool reports completion.

Restore through Windows Backup during setup
For a new Windows 11 PC, Microsoft describes Windows Backup as an integrated setup route. On the old PC, use Windows Backup to back up data with your Microsoft account. During initial setup of the new PC, sign in with that same account and choose the available restore option when prompted. Windows can restore backed-up files and supported settings, and help reinstall Microsoft Store apps. Confirm the restore choices shown on your particular PC; feature availability can vary by region and may change. Use OneDrive when you mainly need files
On the old PC, sync the folders you need to OneDrive. On the new PC, sign in to the same Microsoft account and open the synced files in File Explorer or OneDrive. Microsoft’s support page lists 5 GB of free OneDrive storage with a Microsoft account and 1 TB with Microsoft 365; check the current plan details before relying on those amounts, since they can change. Copy files with an external drive
If cloud space or internet is limited, copy folders to a USB drive, SD card, or external hard drive. On the old PC, open File Explorer and copy the folders you need to the drive; safely eject it, connect it to the new PC, and copy the files into their destination folders. Microsoft specifically recommends checking Documents, Desktop, Downloads, Favorites, Music, Pictures, and Videos. Open the copied folders on the new PC and confirm that important files are present. Consider direct transfer for large or unusual collections
For large media libraries, unusual folder structures, or limited internet access, Microsoft also describes transfer software that can use a local network or Ethernet connection. This avoids cloud-storage limits but requires choosing and configuring suitable software. For a small, specific set of files, manual copy and paste is often more straightforward. Run Migration Assistant
Migration Assistant is included with macOS. You can use it during the new Mac’s initial setup or later from Applications > Utilities > Migration Assistant. It can transfer selected documents, apps, user accounts, and settings from another Mac, a Time Machine backup, or another supported disk. Review the categories before proceeding and check the transfer summary for issues afterward. The process does not delete information from the old Mac or replace macOS on the new one. Prepare for a wireless move and account conflicts
Before wireless migration, update macOS on both computers, keep the Macs near each other, and make sure Wi-Fi is on. If antivirus, firewall, or VPN software is active, Apple advises disabling it during the transfer. If an account with the same name already exists on the new Mac, Migration Assistant asks whether to replace that account or rename the incoming one. Read that prompt carefully so you do not replace an account you meant to keep.

Use the Windows Migration Assistant version for the new Mac
Download Apple’s Windows Migration Assistant and select the build that matches the macOS installed on the destination Mac. Apple’s current compatibility article lists version 3.2.0.0 for Windows 10 or later moving to macOS 27, Tahoe 26, Sequoia 15, or Sonoma 14; it lists other versions for specific earlier macOS releases. Know what can move—and what may not
Apple says the migration can include email and some mail settings, contacts, calendars, Outlook tasks for supported macOS versions, music and other media, browser home pages and bookmarks, documents and other files in the home folder, photos, and selected desktop, language, and location settings. Do not assume network settings and passwords will transfer: Apple’s general user-guide description says they do not, while its detailed article notes known Wi-Fi networks on macOS 13 or later. If the Windows PC has multiple user accounts, repeat the process while signed in to each account whose data you need. Large transfers may take hours and can appear to pause. Connect the computers and recover if migration fails
Keep the computers nearby with Wi-Fi and Bluetooth enabled. Older Windows PCs may need a Bluetooth adapter; for Macs on macOS 13 or earlier, Apple directs users to use the same network or a direct Ethernet connection as specified in its instructions. If migration fails, check that the setup steps were followed and that the Assistant version matches the Mac. If it still does not work, copy important files using external storage or file sharing instead.

Check the new laptop before retiring the old one
- Open key folders and a sample of important files, including documents, photos, downloads, and any work stored outside the usual folders.
- Check that browser bookmarks and mail data you need are present, and sign in to important accounts.
- Open essential applications. Reinstall missing desktop software from its publisher and check whether it needs a separate license activation.
- Only after confirming the data and apps you depend on should you wipe, recycle, or hand off the old laptop.
If the old device runs Windows 10, note that Microsoft ended free Windows Update software updates, technical assistance, and security fixes for Windows 10 on October 14, 2025. The PC still works, but Microsoft recommends moving to Windows 11. Microsoft’s Windows 10 support information
