How to transfer files and apps from an old Mac to a new MacBook

Apple’s Migration Assistant is the safest general-purpose way to move documents, applications, user accounts, and settings from an old Mac to a new MacBook. You can transfer directly between the two Macs or restore from a Time Machine backup; the old Mac is not erased, and the new Mac’s macOS is not replaced. A backup drive is optional for direct migration, not a requirement.

Prepare both Macs, keep them powered and nearby, then follow the route that matches your situation. Do not wipe or sell the old Mac until you have opened your important files and apps on the new one.

Choose the right migration route

Migration Assistant is built into macOS and can be run while the new MacBook is being set up or later. Apple documents two practical Mac-to-Mac routes:

Route Best when What you need Important limitation
Direct Mac-to-Mac transfer Both Macs are available and the old Mac starts normally Both computers, power, and a nearby Wi-Fi connection Transfer time depends on the amount and condition of data; Apple does not publish a universal speed or duration
Time Machine backup You already have a current backup, or want a separate backup before moving The Time Machine backup disk and the new MacBook Large restores can take hours and may appear to pause

Apple’s main instructions are in Transfer to a new Mac with Migration Assistant. Its backup-specific procedure is in Restore your Mac from a backup.

Prepare both Macs before starting

A few minutes of preparation prevents many failed or confusing transfers.

  • Install available macOS updates. Apple’s instruction is: “Make sure macOS is up to date on each Mac.” The Macs do not have to run the same macOS version, but updating both reduces avoidable compatibility problems.
  • Connect both laptops to power. A migration can run for a long time, and an interruption caused by a drained battery is avoidable.
  • Enable Wi-Fi and keep the Macs near each other. This is the normal setup for a wireless direct transfer. Avoid moving either computer while the migration is running.
  • Temporarily turn off third-party antivirus, firewall, or VPN software. Apple advises disabling these until migration finishes because they can interfere with the connection. Turn protection back on afterward.
  • Decide whether you are transferring directly or from Time Machine. A separate drive is useful if you want an additional backup or already have a Time Machine disk, but it is not required for a direct transfer.
  • Keep the old Mac intact. Migration Assistant copies information; it does not delete the source Mac. Do not sign out, erase, or reset the old computer until you have checked the new one.

Transfer directly from the old Mac

The new MacBook initiates the process, while the old Mac is designated as the source. The labels differ slightly between macOS releases, so use the wording shown on your screen.

Start during the new MacBook’s first setup

  1. Turn on the new MacBook and proceed through Setup Assistant until it asks how you want to transfer information.
  2. Choose From a Mac, Time Machine or startup disk. This option covers a direct Mac source as well as a backup or startup disk.
  3. On the old Mac, open Migration Assistant. You can find it in the Utilities folder, or locate it with Spotlight.
  4. When the old Mac asks what you want to do, choose To another Mac.
  5. Wait for the old Mac to appear in the source list on the new Mac, then select it.
  6. If a security code appears on both computers, compare the codes carefully. Continue only when they match.
  7. On the new Mac, select the categories you want to move. Migration Assistant can include documents, applications, user accounts, and settings.
  8. Start the transfer and leave both Macs connected to power and near each other until Migration Assistant reports completion.

The process does not replace macOS on the new Mac. It adds the selected information to the installation already on that Mac.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Start after the new MacBook has already been set up

You do not have to erase the new Mac or restart setup to migrate later. Open Migration Assistant from the new Mac’s Utilities folder or with Spotlight, then choose the source option for a Mac, Time Machine, or startup disk. Open Migration Assistant on the old Mac and choose To another Mac. Select the old Mac on the new computer, verify the security code if one is shown, choose the information to transfer, and begin.

On current macOS releases, Apple’s Mac Help path is System Settings > General > Transfer or Reset > Open Migration Assistant. The exact wording or location can vary by release; follow the equivalent Migration Assistant command displayed on your version. Apple’s general guide is Transfer your information to Mac from another computer or device.

Select only what you need

Migration Assistant presents transfer categories before copying begins. You can move the whole account and its contents, or leave categories unchecked if you are intentionally starting fresh. A selective transfer can be useful when the old Mac contains obsolete material, but record what you leave behind so you do not mistake an omitted folder for a failed migration.

Restore from a Time Machine backup

Use this route when the old Mac is unavailable, when its internal storage is unreliable but the backup is readable, or when you want the safety of a separate backup. The backup disk must be connected to the new MacBook before Migration Assistant can use it.

  1. Connect the Time Machine backup disk to the new MacBook.
  2. Open Migration Assistant during first setup, or launch it later from Utilities, Spotlight, or System Settings > General > Transfer or Reset > Open Migration Assistant.
  3. Choose From a Mac, Time Machine or startup disk, then select the connected Time Machine disk when it appears.
  4. Choose the relevant backup. If more than one date is available, select the one that contains the files and account state you need.
  5. Wait while Migration Assistant calculates the storage to be restored.
  6. Select the categories, accounts, or individual items offered by the assistant.
  7. Start the restore and leave the disk connected. Apple notes that a large Time Machine transfer may take hours and may appear to pause; do not disconnect it merely because the progress display seems unchanged.

The backup route can present an account decision before copying. Read that prompt carefully if the new Mac already has a user account with the same name as an account in the backup.

What moves, and what may not work immediately

Migration Assistant is designed to carry over the main contents of a Mac account, but “transfer” does not mean that every application will be ready to use without attention.

Information What to expect
Documents and personal files Selected documents and other supported user data can be copied to the new Mac.
Applications Applications can be included, but an incompatible app may not transfer or may not be usable. An app may also be skipped when a newer version is already installed on the new Mac.
User accounts User accounts can be migrated. A same-name account on the destination creates a replace-or-rename choice.
Settings Supported settings can be selected in Migration Assistant. The cited Apple instructions do not guarantee that every credential, network setting, license, or service state will be reproduced identically.

After migration, expect some applications to request a sign-in, an update, a fresh permission approval, or publisher-specific reactivation. Paid software licenses and activation rules belong to each app’s publisher; Apple’s general migration instructions do not promise that those entitlements transfer automatically. Check the publisher’s instructions for any application that is essential to your work before retiring the old Mac.

Handle an account with the same name

If the new MacBook already contains an account with the same name as the account being migrated, Apple may offer two choices:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Replace the existing account: the incoming account takes its place. Use this only when you are certain the destination account contains nothing you need.
  • Rename the old account: the incoming account is given a different name so both accounts remain. This preserves both sets of data but can leave you with two home folders to organize.

Read the names and descriptions in the dialog rather than choosing quickly. If you are unsure, preserve both accounts and sort out files after you have confirmed the migration succeeded.

Verify the new MacBook before retiring the old Mac

Use a deliberate check instead of assuming that a completed progress bar means every workflow is ready.

  1. Sign in to the migrated user account on the new MacBook.
  2. Open several important folders and documents, including files stored outside the usual Documents folder.
  3. Launch the applications you rely on most. Record any app that is missing, refuses to open, asks for an update, or requests activation.
  4. Install updates and complete publisher-specific sign-ins or license checks for those apps.
  5. Confirm that your working files are present before deleting duplicates or reorganizing accounts.
  6. Turn antivirus, firewall, and VPN software back on if you disabled them.
  7. Make a fresh backup of the new Mac before erasing or selling the old one.

The old Mac remains a useful fallback while you complete these checks. Keep it available until your important data and applications have been tested on the new MacBook.

Troubleshoot the common failure points

The two Macs do not appear to each other

  • Confirm that Migration Assistant is open on both Macs and that the old Mac is set to To another Mac.
  • Check that both computers are awake, connected to power, nearby, and have Wi-Fi enabled.
  • Temporarily disable third-party antivirus, firewall, and VPN software as Apple recommends.
  • Install pending macOS updates, restart both Macs, and try the pairing sequence again.
  • If the old Mac still cannot be used as a source, switch to a readable Time Machine backup if you have one.

The transfer appears stuck

Do not interrupt a large Time Machine restore solely because the display has paused; Apple specifically warns that large transfers can take hours and may appear to pause. Keep the backup disk connected and allow additional time. For a direct transfer, confirm that neither Mac has gone to sleep and that both remain on power. If the process has actually failed, restart both computers and begin again rather than deleting the old Mac’s data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An application is missing or will not launch

First determine whether the app was incompatible or whether a newer version was already present on the new Mac. Then check the app publisher’s current macOS requirements, install the appropriate update, and complete any requested sign-in or activation. Migration Assistant cannot guarantee compatibility or licensing for every third-party application.

The destination account contains unexpected duplicates

This usually follows the replace-or-rename decision. Sign in to the account you intend to use, locate the migrated home folder, and compare files before deleting anything. If both accounts are needed, keep them separate until you have identified which documents belong to each one.

The Time Machine disk is not offered

Check the physical connection, confirm that the disk is readable in macOS, and reopen Migration Assistant. If the disk contains no usable backup or cannot be read, direct migration from the old Mac is the alternative when that Mac is still operational. Do not treat an unverified backup as your only copy of important files.

Do you need an external hard drive or cable?

External drive: optional, but useful

An external hard drive for Mac Time Machine backup is a sensible preparation purchase when you want a separate safety copy or plan to migrate from a backup. Apple supports restoring from a Time Machine disk, but direct Mac-to-Mac migration does not require one. Choose storage capacity and connection type that are compatible with your Macs; Apple’s support instructions do not endorse a particular brand or model.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Cable: only for a specific hardware case

Do not buy a cable as a standard step. Apple’s general Mac Help documentation describes a Thunderbolt-cable procedure for a narrow older-Mac scenario. Whether it applies depends on the exact models and ports involved. Check both Macs against Apple’s procedure before buying hardware, and verify that the cable supports the required Thunderbolt connection. For the normal wireless Migration Assistant flow, no cable is required.

When to choose each route

  • Choose direct Mac-to-Mac migration when both Macs are available, the old Mac starts normally, and you want the simplest path without buying storage.
  • Choose Time Machine migration when you already maintain a current backup, want an independent recovery copy, or cannot rely on the old Mac’s internal drive.
  • Use both approaches at different times when you migrate directly first and then create a new Time Machine backup of the finished MacBook. The backup is protection for the new computer, not a requirement for the original transfer.

Migration Assistant gives you a supported way to move the core contents of an old Mac to a new MacBook, but the final responsibility is verification: test files, accounts, and essential applications while the old computer and any backup remain available.
