How to transfer an Office 2021 license to a new PC

Yes—if your Office 2021 copy is a qualifying one-time purchase, you can move it to another computer that you own. Install it on the replacement PC through the Microsoft account linked to the purchase, activate it when prompted, and remove Office from the old computer. Microsoft generally limits moves to once every 90 days, except when hardware failure forces an earlier transfer.

The exact procedure depends on how Office was obtained. Retail account-linked copies follow the normal account download, while some no-key copies that came preinstalled with a PC must be reinstalled through the Microsoft Store. Volume licenses, employer-managed copies, Workplace Discount Program purchases, standalone applications and some third-party or preinstalled editions require different handling.

What “transfer Office 2021” actually means

A transfer replaces the installation on your old computer with an installation on the new one. It is not permission to keep Office active on both machines. Microsoft describes one-time-purchase Office as licensed for one install at a time, and its transfer terms require you to remove the software from the previous computer and retain no copy.

The standard consumer transfer is for a computer that belongs to you. Microsoft’s terms allow a move to another computer you own no more than once every 90 days. A hardware failure is an explicit exception, so a failed machine can be replaced sooner when the transfer is necessary. The 90-day interval is a license condition, not a guarantee that every activation will complete automatically; the edition, account and acquisition channel still matter.

This guide covers Office 2021 one-time purchases. It does not assume that an organization-managed or unusual license can use the same process.

Check your license before touching either computer

Confirming the edition and source first prevents most “maximum activations” and “wrong account” problems. Use the category that matches how you obtained Office.

License or source Use the ordinary consumer transfer? What to do
Office Home & Student, Home & Business or Home one-time purchase linked to your Microsoft account Usually yes Install from the associated Microsoft account, then activate on the replacement computer.
Product key already redeemed to a Microsoft account Yes, through that account Do not try to redeem the key again. Sign in to the account that owns the product and select Install.
Preinstalled Office with no product key and activation without a Microsoft account Not necessarily Check for the Microsoft Store reinstall route described below.
Office Professional Plus, Office Standard, volume licensing or a work/school installation Not established by the consumer instructions Follow the organization’s licensing and IT process.
Workplace Discount Program, standalone applications, third-party purchase or other special channel May differ Verify the entitlement and installation instructions for that channel before moving anything.

If an employer or school supplied Office, stop and ask its administrator. An organization may control both the license and activation, so signing in with a personal account can install the wrong entitlement.

Prepare the transfer

Have these items ready before starting:

  • The Microsoft account used when Office was purchased, set up or redeemed.
  • Access to the new computer and an internet connection for download and activation.
  • The exact Office edition shown in your account or original purchase record.
  • Purchase or account information in case Microsoft’s Activation Wizard requests additional verification.
  • A plan to uninstall Office from the old computer after the new installation is working.

It also helps to write down the product name exactly as it appears in the account. “Office 2021” is a product generation, not one universal entitlement: Home & Student, Home & Business, Home, Professional Plus and standalone apps can have different rights. Match the new installation to the owned product instead of choosing the first Office download you see.

Do not buy or redeem another key simply because the original key is not accepted. Once a key has been redeemed, Microsoft says it is associated with an account and is no longer the normal reinstall credential.

Standard method: move an account-linked Office 2021 purchase

1. Sign in with the original Microsoft account

  1. On the new computer, open the Microsoft account dashboard that was used for the Office purchase or initial setup.
  2. Locate the owned Office product. Confirm that the edition shown there matches the copy you intend to move.
  3. Select Install for that product and download the installer offered by Microsoft.

If the product is missing, you may be signed in to a different Microsoft account. Search your account records and original setup messages before attempting another key. Microsoft’s installation guidance says that a previously redeemed key does not need to be entered again for a reinstall.

Do not confuse the account used for Windows with the account that redeemed Office. They may be the same, but they do not have to be. The account that owns the Office entitlement is the one that must show the product and provide the Install button.

2. Install Office on the replacement computer

  1. Run the downloaded installer and let it complete.
  2. Open an Office application such as Word or Excel.
  3. Accept the license terms when asked.

Office often begins activation the first time an application is opened. If an Activation Wizard appears, follow the options it presents rather than repeatedly reinstalling the software. Reinstalling the same files does not change which account owns the license or reset the transfer interval.

3. Complete transfer activation

Microsoft’s different-device activation guidance specifically directs users performing a transfer under the license terms to follow the telephone-activation procedure when it is presented. Keep your account and purchase details available. A telephone prompt does not mean you should purchase another license; it is an activation route for the existing entitlement.

Read every screen before proceeding and select the option describing installation on a different device or a transfer, if one is offered. If the wizard reports that the edition is not eligible, stop and compare the product name in the account with the installer you used. An activation error caused by a mismatched edition will not be fixed by entering the same key repeatedly.

4. Remove Office from the old computer

After confirming that the new installation opens and activates, uninstall Office from the original computer. Microsoft’s transfer policy requires removal from the prior computer and says you cannot retain a copy. If the old machine still works, remove Office before giving it away, recycling it or allowing another person to use it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The transfer is complete only when the old installation has been removed. Installing on the new computer while leaving the old copy in place creates concurrent use that the one-install license does not grant. If the old PC is being kept as a backup, it still cannot retain a usable Office copy under this one-install arrangement.

Special route: Office that came preinstalled without a product key

Some computers arrive with a preinstalled Office product that has no product key and can activate without a Microsoft account. Microsoft says certain products in this category must be reinstalled through the Microsoft Store app rather than through the ordinary account download.

  1. Open the Microsoft Store app on the computer.
  2. Open Library.
  3. Find the Office product listed in the library.
  4. Select its cloud-download button.
  5. Follow the installer and activation instructions shown by the Store.

This is not a universal replacement for the retail account process. First verify that your copy is one of the preinstalled, no-key products covered by the Store instructions. A retail key that was redeemed to an account should still be reinstalled from that associated account.

If the Store library does not show the product, do not assume that any Office listing is equivalent. Check how the original PC supplied Office, whether it was a trial or a paid entitlement, and which account or device was used for activation. Preinstalled software can be tied to a particular purchase channel rather than to a transferable retail key.

Transfer timing and ownership limits

The 90-day rule

For Office Home & Business, Office Home & Student and Office Home one-time purchases, Microsoft says the software can be installed on only one PC or Mac at a time. A transfer to another computer belonging to you is generally allowed no more than once every 90 days. The previous installation must be removed, and you must not keep a copy.

“Once every 90 days” is not a promise that a transfer request made on day 90 will bypass every activation check. Microsoft can still require the account-linked installation, removal of the old copy and the activation procedure it presents. Keep the exact date of your last move if you regularly replace hardware.

When hardware failure changes the timing

Hardware failure is an exception to the 90-day interval. If the old computer has failed and you need to move Office sooner, preserve your account and purchase information and follow the activation support process on the new machine. The exception does not turn the license into a second installation; the old computer still cannot retain a usable copy.

Describe the failure accurately if an Activation Wizard or support representative asks why the transfer is occurring early. A normal upgrade and a failed machine are different circumstances under Microsoft’s terms. Keep any available purchase record and the account email ready so the entitlement can be checked without guessing.

Moving your license to someone else

Giving Office to another person is different from replacing your own computer. Microsoft describes an ownership-transfer route specific to the European Economic Area. It requires contacting customer support, verifying identity and license rights, supplying the recipient’s email address, and having Microsoft cancel the original entitlement before sending the new licensee instructions.

Do not treat that EEA procedure as a general worldwide resale process. If you are outside the EEA, or if the license came from an employer, school or another restricted channel, check the terms that apply to that entitlement. Simply handing someone your product key or account password is not the same as an approved ownership transfer.

Troubleshooting common transfer errors

“Product key already used”

This message normally means the key has already been redeemed. Microsoft’s guidance is to sign in with the Microsoft account associated with the key and install Office from that account. Entering the same key again will not create a second entitlement.

If you have several Microsoft accounts, try the one used at initial setup and check each account’s owned products. Keep the key private; sending it to another person or posting it publicly can create an ownership problem that account-based installation cannot solve.

“I’ve reached the maximum number of activations”

First check that the edition installed on the new computer is the same edition shown in your account. Then confirm that Office has been removed from the old computer. If the transfer is within the normal 90-day period, or if the old machine failed, follow the Activation Wizard’s instructions; Microsoft’s different-device guidance may direct you to telephone activation.

There is no single fix for every activation-limit message. The result can depend on the edition, account, purchase channel and exact error, so record those details before contacting Microsoft support. Include whether this is an ordinary replacement or a hardware-failure transfer and whether the old installation was removed.

The old computer no longer works

A failed computer qualifies for the hardware-failure exception to the 90-day interval. Sign in to the account that owns Office on the replacement computer, install the matching product, and use the activation procedure Microsoft presents. Keep evidence of the entitlement available if support asks you to verify the transfer.

You do not need to keep trying to boot a failed PC merely to start the transfer. The important points are that the replacement belongs to you, the Office edition matches the entitlement and the old machine will not continue using the license.

You cannot access the Microsoft account

The normal reinstall process depends on the account originally associated with Office. Use Microsoft’s account-recovery support route and recover that account before buying or redeeming anything else. The available support material does not promise a universal recovery outcome, so do not assume that a new key will restore the old license.

Gather the original receipt, order email, product name and any setup information while attempting recovery. Those details can help distinguish an account-access problem from a product that was never linked to that account, but they do not guarantee that Microsoft can restore access.

The account shows a different edition

Stop the installation if the account lists a different product from the one you purchased. For example, a Home & Student entitlement is not interchangeable with Home & Business or Professional Plus. Check the original receipt, setup information and acquisition channel, then use the instructions for that exact edition.

The new PC has a trial or another Office version

A preloaded trial or a different Office edition can make the activation screens confusing. Identify the product shown in the account before accepting a different offer. Install the owned Office product from the account or the applicable Store route, and remove the old installation once the transferred copy is working. Do not treat a trial prompt as proof that your purchased license has disappeared.

Retail account purchase versus organization-managed license

The Microsoft account workflow is intended for an eligible one-time purchase that you control. A volume license or work/school copy may be assigned to an organization, use a deployment system, or require administrator activation. In that situation, uninstalling and reinstalling through a personal account can violate the organization’s process and may not activate.

Ask the organization’s IT administrator which installer, account and device limit apply. Do not infer transfer rights from the consumer 90-day rule when the license is organization-managed. Professional Plus and Standard editions are especially likely to require an administrator’s instructions rather than the consumer dashboard.

When buying a replacement license is appropriate

If Microsoft cannot confirm your entitlement, you cannot recover the associated account, or your copy came from a channel with different restrictions, a separate purchase may be necessary. Microsoft identifies Office Home & Business 2021 as a one-time-purchase edition, but availability, sellers and listing terms vary. Treat any new purchase as a new license: it does not transfer, reactivate or repair the old entitlement.

Before spending money, verify the old account and edition with Microsoft. A replacement key will not solve a problem caused by installing the wrong edition or leaving the previous installation active. Compare the product name and license type, not just the word “Office,” when evaluating a replacement listing.

Quick decision checklist

  • Do you own a retail, one-time Office 2021 copy? Use the Microsoft account linked to the purchase.
  • Was the product key already redeemed? Reinstall through that account; do not redeem it again.
  • Is the copy preinstalled, has no key and activates without an account? Check Microsoft Store > Library for the cloud-download option.
  • Are you moving to your own replacement computer? Observe the 90-day rule unless hardware failure requires an earlier move.
  • Is the old installation still present? Remove it and retain no copy.
  • Does an Activation Wizard appear? Follow its instructions, including telephone activation when Microsoft specifies it for a transfer.
  • Is the license from work, school, a volume program or another special channel? Use that channel’s administrator or support process.
  • Are you trying to give Office to another person? Check whether the EEA-specific ownership process applies; do not simply hand over the key or account.

Frequently asked questions

Can I leave Office installed on the old PC if nobody uses it?

No. Microsoft’s transfer terms require removing the software from the previous computer and retaining no copy. The one-time purchase is a one-install entitlement, so an unused second installation is still not the same as a permitted concurrent installation.

Do I need the original 25-character key to reinstall?

Usually not if the key was already redeemed. Microsoft says the redeemed key is associated with the Microsoft account, and reinstalling is done by signing in to that account and selecting the owned product’s Install option.

Does the 90-day rule apply when my hard drive or PC dies?

Microsoft identifies hardware failure as an exception to the normal 90-day interval. Use the account-linked installation and the activation procedure shown for the different device, and be prepared to verify the entitlement.

Can I transfer Office 2021 to a family member?

Replacing your own computer is not the same as transferring ownership. Microsoft documents an ownership-transfer procedure for the European Economic Area that involves support, identity and rights checks, the recipient’s email and cancellation of the original entitlement. It is not presented as a general worldwide resale route.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why does Microsoft ask for telephone activation?

Microsoft’s different-device guidance directs transfers made under the license terms to the telephone-activation procedure when that option appears. It is a way to activate the existing entitlement, not an instruction to buy another license.

What if the old PC was supplied by my employer?

Ask the employer’s IT administrator. A work or school installation may be a volume license controlled by the organization, with its own deployment method, account and device rules. The consumer account workflow and 90-day rule may not apply.

What if Microsoft Store does not list my preinstalled Office?

Verify that the product is actually a no-key preinstalled edition covered by the Store reinstall instructions. Retail Office whose key was redeemed to an account should be installed from that associated account instead. If the product or entitlement is unclear, check the original purchase and setup information before buying anything.

What to remember

An eligible Office 2021 one-time purchase follows a replace-not-duplicate model: install the matching product on the new computer from the account that owns it, complete activation, and remove Office from the old computer. The transfer is generally limited to once every 90 days, with hardware failure as an exception. Product source and edition determine whether those steps apply, and some preinstalled no-key copies must go through the Microsoft Store instead.

Frequently Asked Questions

Can I transfer Office 2021 without the product key?

Yes, when the key was previously redeemed. Sign in to the Microsoft account associated with the redemption and install the owned Office product from there; Microsoft says the redeemed key normally is not needed again.

Can Office 2021 be installed on two computers at once?

No. A qualifying one-time purchase is licensed for one PC or Mac at a time. The new installation replaces the old one, which must be removed with no copy retained.

How often can I move Office 2021 to another PC?

Microsoft generally allows a transfer to another computer you own no more than once every 90 days. Hardware failure is an explicit exception to that interval.

What should I do when Office says I have reached the maximum number of activations?

Confirm that the new installation matches the edition in your Microsoft account, remove Office from the old PC, and follow the Activation Wizard. Microsoft’s different-device instructions may direct you to telephone activation.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Can I give my Office 2021 license to someone else?

That is an ownership transfer, not a normal device replacement. Microsoft documents a support-based process for the European Economic Area; it requires verification, the recipient’s email and cancellation of the original entitlement.

How do I reinstall Office that came with a PC and had no key?

For certain preinstalled products that activate without an account, use the Microsoft Store app: open Library, find the Office product, select the cloud-download button and follow the installer. Retail account-linked copies use the account download instead.

Does this process work for a work or school copy of Office?

Not necessarily. Volume, Professional Plus, Standard and other organization-managed licenses can use different installers and activation rules. Follow your employer’s or school’s IT instructions.

The Bottom Line

For an eligible retail Office 2021 one-time purchase, sign in to the owning Microsoft account on the new PC, install the matching edition, complete the activation steps—including telephone activation if Microsoft presents it—and uninstall Office from the old PC. Respect the 90-day transfer limit, use the hardware-failure exception only when applicable, and check the Microsoft Store route for certain no-key preinstalled copies.
