To track UPI merchant payments reliably, record every sale with its UPI identifiers and status, match those records to your acquiring bank or payment provider’s transaction and settlement reports, then compare the expected net amount with the credit that actually reaches the agreed merchant account. Keep unmatched payments, reversals, refunds and adjustments in an exception log until they are resolved.
UPI network settlement and your merchant payout are different layers. A transaction can be successful in the customer’s app while your provider report, settlement file or bank statement is delayed, netted or awaiting an adjustment. The workflow below shows how to confirm a payment, match it to an order, verify settlement and escalate a discrepancy without relying on a customer screenshot alone.

What a successful UPI merchant payment actually means
There are three separate questions in a UPI collection:
- Did the customer’s payment request succeed? The acquiring bank or provider should show a success, failure, pending, reversal or refund status tied to transaction identifiers.
- Can the payment be matched to a sale? Your order, invoice or point-of-sale record must contain the same transaction evidence, amount and merchant identity.
- Did the money reach the agreed destination? The provider’s settlement report and your bank or merchant-pool statement must support the expected credit, after documented fees, refunds, reversals or adjustments.
NPCI describes itself as the settlement agency for inter-bank UPI transactions. It calculates participating members’ net debit and credit positions from acquiring, issuing and adjustment activity. That member-level process does not mean every merchant sees an individually labelled bank credit at the instant a customer confirms payment. Your acquiring-bank or provider agreement controls the payout destination and timing.

Confirm the merchant setup before tracking payments
UPI merchant acceptance begins with an acquiring-bank relationship. NPCI says the bank onboards the merchant, supplies the UPI infrastructure and defines details such as the merchant identifier, merchant category code and UPI ID. Write these values down before building a reconciliation sheet or integration.
- Acquiring bank or payment provider name and support channel
- Merchant ID and terminal ID (MID/TID), where issued
- UPI ID, QR identifier or other merchant address used at checkout
- Merchant category code (MCC), if shown in onboarding records
- Account or merchant pool into which collections are expected
- Settlement cycle, deductions and adjustment rules in the merchant agreement
- Acceptance mode: QR, intent, application-based or collect
Keep the onboarding agreement and current provider help route with your accounting records. A QR standee displays your provider-issued details; it does not itself enable acceptance, prove a payment or perform reconciliation.
Choose a transaction record that can be reconciled
Create one row for every expected collection, even when the payment later fails or is reversed. Use a stable sale or invoice reference generated by your own system, and preserve the provider’s identifiers exactly as displayed. NPCI’s merchant-intent guidance names a transaction ID, a transaction reference number and a success or failure status. It describes the transaction reference as a customer reference number useful for reconciliation and disputes. Other acceptance modes may expose different fields, so use the corresponding identifiers in the bank or provider record.

|---|---|---|
| Sale, order or invoice reference | Connects the payment to what you sold | Generate it before requesting payment and never reuse it |
| Amount and currency | Detects wrong-order, partial and duplicate payments | Store the requested amount and the received amount separately |
| Date and time with timezone | Places the transaction in the correct business day or settlement cycle | Use one stated timezone for reports and retain the provider timestamp as supplied |
| UPI transaction ID | Primary lookup key in many provider and bank systems | Copy without truncation or punctuation changes |
| Transaction reference number | Useful customer-facing reference for reconciliation and disputes | Retain it even when your integration also has another internal ID |
| MID/TID or UPI ID | Confirms which merchant configuration received the money | Check it when a business has multiple stores, terminals or QR codes |
| Provider or bank status | Separates success from pending, failed, reversed, refunded and adjusted items | Record status changes with timestamps rather than overwriting history |
| Refund, reversal or adjustment reference | Links a later debit or credit to the original collection | Keep the original transaction ID in the same record or a linked table |
| Settlement batch or report reference | Connects the transaction to a payout or settlement file | Populate it when the provider makes it available |
Daily workflow for tracking and reconciliation
1. Capture the payment request and the sale
At checkout, create the order or invoice first. Store the amount, currency, customer-facing reference, merchant configuration and timestamp. When the payment flow returns, append the UPI transaction ID, transaction reference and status. Do not mark an order as paid solely because a customer shows a screenshot or because a payment intent was launched.

2. Confirm status from the merchant channel
Use the acquiring bank’s merchant dashboard, API response, application report or other agreed channel to verify the status. Keep successful collections separate from failed, pending, reversed, refunded and adjusted records. A pending record remains an exception until the provider reports a final state; do not create a second payment request merely to make the order appear settled.
3. Export the provider or bank evidence
For each business day or settlement cycle, download the transaction report and the settlement evidence supplied by the acquiring bank or provider. Preserve the original file or export date. Report layouts vary, so identify which columns represent transaction status, gross amount, fees, refunds, adjustments, net amount, settlement date and settlement reference.
4. Match transactions to your sales ledger
Match using identifiers first, then test the amount, merchant identity and date or time. A practical matching order is:
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Exact transaction ID or transaction reference plus the expected sale reference.
- Exact transaction ID or transaction reference plus amount and merchant ID/TID.
- Amount, timestamp window and merchant ID/TID only when an identifier is missing; mark this as a lower-confidence match and review it manually.
Never treat amount alone as proof of a match. Two customers can pay the same amount, and a duplicate or partial payment can otherwise be assigned to the wrong invoice.

5. Reconcile the settlement amount to the bank credit
Calculate the amount your agreement says is payable for the relevant cycle, then compare it with the actual credit in the merchant bank account or merchant pool statement. Show gross collections, documented fees, refunds, reversals and adjustments as separate lines. Use the provider’s settlement report to explain a difference; do not invent a fee or assume that a customer’s successful status equals a settled bank credit.
NPCI’s merchant FAQ says funds are received immediately after customer confirmation into the merchant pool or merchant bank account according to the merchant agreement. Treat that as agreement-dependent guidance, not a universal payout timetable for every provider arrangement.
6. Close the day with an exception list
Assign every unmatched item an owner and next action. A day is not fully reconciled while a record is merely marked ‘checked’ without evidence of where the money or status ended up. Historical NPCI member-bank guidance calls for settlement files and adjustment reports and daily reconciliation of payable and receivable general-ledger accounts. That is bank-operation guidance; merchants should follow the current procedure and service levels of their own provider.

| Status or symptom | What it establishes | What to do next |
|---|---|---|
| Success in provider or bank record | The merchant channel reports a successful transaction | Match the identifiers and amount to the sale, then await or verify settlement |
| Customer says paid, no merchant record | A customer assertion, not merchant-side confirmation | Ask for the transaction reference and time; search the acquiring-bank channel and open a provider case if absent |
| Pending | No final outcome is established | Keep the order on an exception list and check the provider’s current status procedure |
| Failed | The attempted transaction did not complete according to the merchant channel | Do not record it as collected; retain the failed reference for support and duplicate detection |
| Reversed | A previously reported transaction was later undone | Link the reversal to the original payment and remove the amount from settled sales |
| Refunded | Funds were returned or scheduled to be returned under the provider’s process | Record refund amount, date, reference and the original transaction |
| Report transaction without a sale | Money evidence exists without a matching internal order | Search alternate stores, terminals and dates; hold in suspense until identified |
| Bank credit differs from expected net settlement | The payout and ledger do not agree | Compare fees, refunds, reversals, adjustments and batch totals before escalating |
Understand the settlement layers
At the network layer, NPCI nets positions among participating members and settles those positions. Banks then use NPCI settlement reports alongside their own reports to reconcile and raise adjustments for exceptional transactions. At the merchant layer, your provider must expose enough evidence to connect a customer payment to your sale and to the credit expected under your agreement.

A payment aggregator may handle and transfer funds as well as provide reconciliation, management information and transaction-to-fund-flow matching. An arrangement that acts as a payment gateway may provide technology infrastructure without handling the funds. The Reserve Bank of India’s 17 September 2019 discussion paper describes this distinction as a conceptual service-role difference, not as a current commercial checklist. Confirm the actual role, report access and payout path in your contract.
Build an exception log that can be audited
Use a separate log rather than hiding unresolved items in a comments column. Each row should contain:
- Internal order or invoice reference
- UPI transaction ID and transaction reference
- Amount, currency, merchant ID/TID and timestamps
- Current provider status and the date it last changed
- Expected settlement cycle and actual bank-credit date, if any
- Difference amount and suspected cause
- Case or grievance number, owner and next review date
- Final resolution, adjustment reference and approval
Useful exception categories include a customer-confirmed payment missing from the merchant report, a report transaction with no sale, a duplicate or wrong-amount payment, a bank credit that does not equal expected settlement, and a refund or adjustment without a linked original transaction.

How to investigate common discrepancies
The customer says the payment succeeded, but you cannot see it
- Ask for the transaction ID or transaction reference, amount and exact payment time. Avoid requesting unnecessary personal information.
- Search the acquiring-bank or provider channel for that identifier across the correct merchant ID/TID and date range.
- Check whether the record is pending, reversed, refunded or posted under another store or QR configuration.
- If the provider has no matching record, retain the customer’s reference and open a status or grievance request with the acquiring bank.
Do not deliver goods solely on a screenshot. A screenshot can be useful evidence for a support case, but the merchant channel and settlement records determine whether the collection is confirmed.

The provider report shows success, but the bank credit is missing
Check that you are looking at the correct settlement cycle and destination account. Compare the batch total with the bank statement, then identify documented fees, refunds, reversals, reserve or adjustment entries in the provider report. If the transaction is successful but not included in a later settlement batch, include its identifiers and report evidence in an acquiring-bank case.
The bank credit is present, but no sale matches it
Search all merchant IDs, terminals, QR codes and business-day boundaries used by the organization. Check for a delayed report or a manually entered sale. Keep the amount in a suspense or unidentified-receipts account until a reviewer links it to an order; never force a match because the amounts look similar.
A refund or adjustment has no original payment
Search by the adjustment or refund reference, then by amount and date range. Ask the provider for the linked original transaction when the report does not expose it. Record the adjustment separately and preserve the relationship once identified.

Escalate with a complete evidence pack
NPCI directs merchants to their acquiring bank to raise a grievance or check a transaction’s status. Send a concise evidence pack:
- Merchant name, MID/TID and UPI ID or QR configuration
- UPI transaction ID and transaction reference
- Order or invoice reference, amount and currency
- Transaction timestamp with timezone
- Provider status and the report or API response showing it
- Relevant settlement-batch line and bank-credit statement entry
- Description of the mismatch and the action already taken
- Any refund, reversal, adjustment or earlier case reference
Ask for a specific outcome, such as confirmation of final status, settlement batch membership, adjustment linkage or the expected correction route. Keep the case number in the exception log and update it when the bank or provider responds.
Compare providers and reconciliation workflows by evidence, not slogans
When evaluating an acquiring bank or provider, ask for sample reports and the exact operational answers below. Capabilities differ by arrangement, so treat these as questions to verify rather than universal features.
| Decision area | Questions to ask | Why it affects reconciliation |
|---|---|---|
| Payout arrangement | Is the destination a direct merchant account or a pool account? What cycle and deductions apply? | Determines when and where you verify the credit |
| Evidence access | Do reports expose transaction IDs, references, statuses, settlement totals and adjustment lines? Can records be downloaded? | Determines whether transactions can be matched and audited |
| Exception process | Where are grievances filed, which references are required and how is status tracked? | Shortens the path from an unmatched payment to a resolution |
| Integration mode | Does the operation need QR, intent, application-based or collect acceptance? | Changes the identifiers and customer flow you must capture |
| Ledger integration | Can exports be joined to order, invoice and bank-statement records? | Reduces manual matching and unexplained suspense balances |
Set controls for reliable daily close
- Use one canonical time zone. Store the provider timestamp as supplied and convert it consistently for business-day reporting.
- Preserve immutable evidence. Save original exports and API responses; append corrections instead of overwriting the first status.
- Separate duties. The person approving refunds or adjustments should not be the only person reconciling the bank credit.
- Protect identifiers. Restrict report access, mask customer data not needed for reconciliation and transmit case evidence through the provider’s approved channel.
- Review duplicate risks. Flag repeated transaction IDs, repeated sale references and same-amount payments received close together.
- Age exceptions. Sort unresolved items by age and amount, and escalate according to the provider’s current service instructions.
- Reconcile both directions. Start with sales expected to collect, then separately inspect bank and provider receipts that have no internal sale.
A practical end-of-day checklist
- Confirm the report period, timezone, merchant IDs and terminals included.
- Export transaction and settlement evidence and retain the originals.
- Match successful transactions to orders using stable identifiers.
- Move pending, failed, reversed, refunded and adjusted records into their correct status buckets.
- Calculate expected settlement from gross collections and documented deductions.
- Compare that amount with the actual merchant-account or pool-account credit.
- Log every unmatched transaction, unexplained credit and amount difference.
- Assign owners, case numbers and next-review dates.
- Have a reviewer approve the close and retain the reconciliation totals with the bank evidence.
This process answers the four questions that matter at close: which sales were paid, which payments are still unresolved, what the provider says should settle, and what actually reached the account. It also leaves the acquiring bank with the identifiers needed to investigate an exception.
