Track every ride-hailing platform in one year-round ledger, but keep each platform’s gross payments, fees, adjustments, tips, and bank payouts distinct. Add a regular mileage log and save receipts as costs occur. Your platform’s annual summary and tax forms are useful cross-checks—not a substitute for records of all income and business use.

This guide covers U.S. federal recordkeeping and tax context. State and local rules can differ.

What should I track as an Uber or Lyft driver?

Use a spreadsheet, bookkeeping tool, or paper record that you can keep and export. Create separate entries for each platform and, if relevant, each vehicle. Record activity weekly or monthly rather than reconstructing it from memory at tax time.

Record What to capture
Income by platform Gross ride payments, tips, bonuses, referral or other promotion payments, and other earnings. Keep tips separately identifiable.
Fees and adjustments Platform and service fees, tolls or toll reimbursements, cancellations, other adjustments, and any applicable third-party fees or taxes. Use the categories shown on the platform statement.
Payouts Amount and date deposited, matched to the relevant platform statement and bank record.
Vehicle use Date, business destination or area, business purpose, business miles, and annual total miles. Odometer start and stop readings and trip miles can help support the log.
Expenses Date, amount, category, business purpose where relevant, and receipt or other supporting record.
Source documents Platform statements and exports, receipts, bank records, mileage details, annual summaries, and tax forms.

For mixed personal and business use, keep enough detail to distinguish business mileage from total vehicle use. The IRS says to record expense or business-use details at or near the time and support them with sufficient documentary evidence; it considers a weekly log accounting for that week timely. See IRS Publication 463.

Keep a durable mileage record

A mileage app, spreadsheet, or paper vehicle mileage logbook can work if it captures the necessary details and you retain a copy. The IRS sample log includes fields for odometer readings, trip miles, expense type, and amount. A logbook is optional, not IRS-approved merely because it resembles the sample.

Save expense evidence as it happens

If you use the actual vehicle-expense method, organize records for costs such as fuel, oil, insurance, registration, repairs, maintenance, depreciation, or lease costs. Other potentially relevant business costs may include a business share of phone service, platform fees, tolls, parking, city or airport fees, and customer amenities. Uber lists examples in its U.S. driver tax information. These are categories to document and evaluate, not expenses that are automatically deductible for every driver.

How to reconcile platform earnings with deposits

Do not treat the payout in your bank account as your gross receipts. Compare the platform’s earnings statement with your ledger and bank deposits, accounting for fees and adjustments so the difference is explainable.

  1. Enter the platform statement’s income categories in your ledger, keeping gross payments, tips, bonuses, fees, and adjustments separate.
  2. Match the statement’s payout amount and date to the corresponding bank deposit. Record the deposit separately from gross earnings.
  3. Investigate unmatched amounts or timing differences using the detailed statement, not just the annual summary.
  4. Repeat weekly or monthly, then compare your ledger totals with annual platform documents before filing.

Uber says deposits reflect net earnings after fees and insurance coverage, while its Form 1099-K reports gross payments by riders. Lyft says ride-payment totals can include rider payments, tips, toll reimbursements, cancellation fees, platform fees, and third-party fees and taxes; those totals generally exceed the driver’s bank deposit. The platforms’ categories and documents are described in their respective Uber tax information and Lyft tax information.

How to use Uber and Lyft summaries

Download each platform’s records and keep them with your own ledger. Platform summaries provide useful detail, but they do not replace your responsibility to account for income and business use across all work.

Platform document What it can help you check Important distinction
Uber annual and monthly summaries Yearly earnings, potential expenses, and online miles; monthly summaries are also available. Uber’s online miles include waiting for a trip, driving to pickup, and on-trip miles. The annual summary is not an official tax document. Uber describes Form 1099-K as reporting annual on-trip gross earnings and Form 1099-NEC as covering certain promotion and miscellaneous payments.
Lyft Annual Summary Earnings and related expenses, ride count, and online miles. It distinguishes ride payments from non-ride earnings such as bonuses. Lyft says its Form 1099-K does not include bonuses, which may instead appear in non-ride earnings. Form thresholds vary by state.

Platform form availability and thresholds can change or vary by location. Check the current platform guidance for your account and location; do not infer that income is absent because a form was not issued.

If you drive for more than one platform

Keep each platform’s entries and statements separate during the year, then combine the records for your tax-year totals. This makes it easier to trace a discrepancy to a platform’s gross-payment figure, fee category, payout, or bank record.

Which vehicle-cost method and mileage rate apply?

The standard mileage method and actual vehicle-expense method require different records. For qualifying business miles in 2026, the IRS rate is 72.5 cents per mile for January 1 through June 30 and 76 cents per mile for July 1 through December 31. The IRS announced the midyear change because of fuel-price increases. Apply the rate for the date the miles were driven, not one rate to the entire year.

2026 mileage period IRS business rate Source
January 1–June 30, 2026 72.5 cents per qualifying business mile Internal Revenue Service, 2025 rate announcement
July 1–December 31, 2026 76 cents per qualifying business mile Internal Revenue Service, 2026 midyear rate announcement

Under IRS rules, a taxpayer generally cannot deduct the covered actual vehicle costs for a year in which they use the standard mileage rate. For an owned vehicle, using standard mileage in its first year of business use can affect later method choices; lease rules also restrict changes. Actual-expense users need detailed cost records and must allocate costs between business and personal use. Business parking and tolls may be treated separately under IRS rules even when using standard mileage, but not every charge necessarily qualifies. Review Publication 463 or consult a qualified tax professional before selecting a method; eligibility depends on your vehicle and tax history.

Tax details to keep in view

The IRS says gig income is reportable even when the work is part-time or temporary, no Form 1099 arrives, or payment is made in a form other than cash. Its current gig-work guidance says a self-employed person generally must file a return if net earnings from self-employment are $400 or more; estimated tax payments may also be needed during the year. See the IRS Gig Economy Tax Center.

Keep tips separately identifiable in your ledger. An IRS update dated March 31, 2026 describes a qualified-tips deduction of up to $25,000 per tax return per year for tax years 2025 through 2028, subject to eligibility, reporting, and other requirements. This is not an automatic exclusion from income: the IRS says tips must still be included in total reported income. Check current IRS guidance before claiming it: IRS Tax Tip 2026-26.

Choose a tracking setup you can maintain

The right setup is the one that captures the records above, separates platforms and gross from net, and leaves you with an accessible copy. Before relying on any tool, check whether it can export records and whether you can preserve them if you change services.

  • Spreadsheet or paper log: flexible and inexpensive, but you enter and reconcile figures yourself. Use separate tabs or sections for platforms, mileage, expenses, and payouts.
  • Mileage-tracking app: may reduce manual mileage entry, but confirm it records details that let you identify business use and retain or export your data. It does not automatically establish that a trip or expense qualifies for a deduction.
  • Platform summaries: convenient for that platform’s own earnings, expenses, and miles, but do not consolidate other platforms or replace your own supporting records.
  • Bookkeeping or tax software: may help organize imports and year-end categories; confirm how it handles platform statements, gross payments, fees, and personal-versus-business vehicle use.

Year-end recordkeeping checklist

  • Download annual summaries, detailed weekly or monthly statements, mileage details, and any official tax forms from every platform.
  • Save receipts and other records supporting expenses and vehicle costs.
  • Compare platform totals with your ledger and bank deposits; investigate discrepancies rather than treating deposits as gross income.
  • Combine your platform totals only after preserving platform-level detail, and include income even if no information return was issued.
  • Keep tips distinct and apply the mileage rate for the dates the qualifying business miles occurred.
