The quickest way to take a screenshot of a Google Sheet is to show the cells you need and use your computer’s screenshot tool to capture the full screen, a window, or a selected region. If you need a clean, shareable document instead of a picture of the screen, select the cells and use File > Print in Google Sheets, then choose Selected cells and export or print.
Choose between a screen image and a Sheets export
A screenshot records the visible display. It is ideal when you want to show the sheet exactly as it appears, including column widths, colors, formulas displayed as values, and—if you select the whole screen or window—the surrounding interface. It does not automatically include rows or columns that are off-screen, and a very long sheet may require several captures.
Google Sheets’ print workflow creates a formatted print document or PDF. It can target selected cells, the current sheet, or the entire workbook, and it provides controls for page breaks, margins, headers and footers, orientation, and paper size. Use this route when readability and pagination matter more than reproducing the screen.

Prepare the Google Sheet before capturing
- Open the spreadsheet on a computer and navigate to the tab containing the data.
- Resize columns and rows, zoom the browser if necessary, and scroll until the important values are visible.
- Hide unrelated rows or columns only if doing so does not change what your audience needs to understand.
- For a partial capture, place the entire wanted area inside the region you plan to select. A screenshot tool cannot recover content that is outside the captured area.
- If the sheet contains private data, check the visible cells, browser tabs, notifications, and account information before saving or sharing the image.

Capture a selected range
- Arrange the sheet so the required cells are visible.
- Open Snipping Tool from the Start menu.
- Choose the rectangular or window capture option, then select the area containing the range.
- Review the preview and save it in the format your workflow requires, such as PNG or JPEG.
A rectangular selection is usually best for a clean range because it excludes browser tabs and other windows. A window capture is useful when you want the complete Google Sheets browser window.
Use Print Screen
Pressing the Print Screen key follows the Windows configuration for screen capture. If your keyboard or Windows settings use a different Print Screen behavior, open Snipping Tool and choose the capture mode there instead of relying on a shortcut.
Chromebook: full, partial, or window screenshot
Google’s Chromebook Help documents three capture choices. Press the dedicated Screenshot key when your Chromebook has one, or open the screen-capture menu with Shift + Ctrl + Show windows.
- Open the capture controls.
- Choose Full screen, Partial screenshot, or Window screenshot.
- For a selected range, choose partial capture and drag around the visible cells.
- For the browser window, choose window capture and select the Google Sheets window.
Google says screenshots are automatically copied to your clipboard and saved in Downloads by default; the save location can be changed. The clipboard copy lets you paste the image directly into an email, document, or chat without first browsing for the file.

Mac: capture the visible sheet with macOS controls
Use macOS’s built-in screenshot controls to capture the entire display, a window, or a selected portion. Select the rectangular region around the visible cells when you want only part of the sheet, or capture the Google Sheets window when the surrounding browser frame is useful context. Before sharing, open the saved image and check that no account details, unrelated tabs, or notifications were included.
Create a selected-cells PDF or printout in Google Sheets
When the goal is a clean document, Google’s Print from Google Sheets – Computer instructions provide the more controlled method. Google specifically says, “If you want to print part of a spreadsheet, select the cells or sheet.”
- In the sheet, select the cells you want to include. If you want a whole tab, select that sheet instead.
- Choose File > Print.
- In the print settings, choose Selected cells, Current sheet, or Workbook, matching your intended output.
- Adjust paper size, orientation, margins, scale, page breaks, and headers or footers as needed.
- Continue to the print dialog or save as PDF.
Chrome proceeds to its print dialog. Firefox and Safari automatically download a PDF, according to Google’s instructions. Frozen rows or columns can be repeated across pages through the headers and footers controls, which helps readers identify columns in a multi-page export.
Keyboard paths
Google’s Workspace shortcut reference lists Ctrl + P for PC and ChromeOS and Command + P for Mac for printing from Sheets. Shortcuts can vary with language and keyboard. Make a long or wide sheet readable
When a screenshot is enough
Use several region captures when the audience needs to see the sheet as it appears on screen and the content is only modestly larger than the viewport. Name the files in reading order and, if necessary, annotate where one image continues into the next.
When to switch to PDF
Use print settings for a sheet that spans many rows, many columns, or several pages. Page breaks, orientation, paper size, margins, and scale let you trade detail for a readable layout. A PDF also avoids asking readers to reconstruct a long spreadsheet from unrelated screen fragments.
When an image of an exact range is a recurring need
The Chrome Web Store listing for SnapSheet – Spreadsheet Screenshot Tool says it can copy Google Sheets ranges as PNG images, accept manually entered ranges, and process files locally in the browser. The listing displayed version 1.0.3 and an update date of July 2, 2026. Those are listing claims, not an independent test; review the extension’s current permissions and privacy information before installing it.
Common problems and fixes
The screenshot cuts off columns or rows
The capture contains only the pixels inside the selected region or window. Zoom out, widen the browser window, hide unneeded columns, or capture additional regions. For a single readable file, use File > Print and select the cells or sheet.

The image includes browser tabs or private information
Use a partial or window capture rather than a full-screen capture. Close unrelated tabs and notifications, then inspect the saved image before sending it.
The printed output contains the wrong part of the workbook
Return to the sheet, select the intended cells, reopen File > Print, and verify that the destination is Selected cells rather than Current sheet or Workbook.
The PDF breaks across pages badly
Change orientation, paper size, scale, margins, or page breaks. Repeat frozen rows or columns using the headers and footers controls when a multi-page table needs column labels.
The Chromebook file is hard to find
Check Downloads, the default save location documented by Google, or paste the clipboard copy directly into the destination app. You can change the save location in the Chromebook screenshot controls.
