Tailoring a resume means changing emphasis for a particular role—not adding skills or duties you do not have.
What to look for in the job posting
Read the full posting and sort its details into four groups: qualifications the employer requires, qualifications it prefers, recurring duties, and named tools or systems. Note the role’s own terms for skills and tasks. CareerOneStop recommends using posting language for relevant experience, especially required or desired skills, and making work history easy to scan: CareerOneStop’s Resume Guide.

Administrative and office roles can overlap, but their duties vary. O*NET lists tasks for administrative assistant and secretary roles such as scheduling, correspondence, maintaining files, answering calls, greeting visitors, database entry, preparing meeting materials, arranging travel, and coordinating supplies or events. General office clerk work may combine phones, bookkeeping, word processing, office equipment, and filing. Use the posting—not a generic list—to decide which duties belong near the top of your resume. See O*NET’s administrative assistant profile and O*NET’s general office clerk profile. These are U.S. occupational descriptions, not a claim that every employer expects every listed task.
Choose the evidence that best matches the role
For each important requirement, identify a specific example from paid work, school, volunteering, or another relevant setting. A job title does not have to match the target title if the work demonstrates the needed capability. For example, customer-facing work may provide evidence of handling inquiries; a volunteer role might demonstrate scheduling or maintaining records. Describe what you actually did and the setting in which you did it.

When comparing different postings, prioritize the duties and tools that are both prominent in the particular posting and supported by your experience:
- Core duties: calendars and scheduling, reception and phone handling, records and filing, data entry, correspondence, invoice or bookkeeping support, and event or travel coordination.
- Tools: word-processing, spreadsheet, database, email, calendar, phone, or office equipment tools specifically named by the employer and genuinely used by you.
- Scope: whom you supported, whether the work served an individual or department, customer contact, records handled, or coordination across teams.
- Qualifications: education, certifications, languages, or experience the posting explicitly requires or prefers.
Update the resume in order of importance
- Adjust the summary, if you use one. Put the most relevant strengths and experience first. Keep the description consistent with the details in your work history.
- Prioritize relevant skills. Include skills and tools that matter to this posting and that you can support with examples. Do not list every office task or software category simply because it appears in occupational descriptions.
- Refine work-history bullets. Bring the strongest matching examples forward within each role. Give enough context to show who or what the work supported, rather than presenting a bare task label.
- Check the whole document. Make sure job titles, dates, skills, and accomplishments agree across the summary, skills section, and work history.
Write bullets that show the work and its relevance
A useful bullet explains the action, relevant context, and a real result or service provided. For instance, instead of writing only “Scheduled appointments,” explain whose appointments you scheduled and what records or coordination the work involved—if those details are accurate for your experience. Instead of “Answered phones,” specify the kind of inquiries you handled or whom you connected with, when that information is truthful and useful.

Add numbers only when you have reliable figures. A supported count or workload measure can make the scope clearer; an invented or guessed metric weakens accuracy. If you cannot verify a number, describe the work and its context without one.

Use the employer’s wording accurately
Use a posting’s terms when they accurately name work you have done. If the employer asks for “calendar management” and you maintained appointments and calendars, that phrase may describe your experience clearly. If you performed a related but different task, describe that task plainly rather than copying a term that overstates your qualifications. Selective, accurate wording helps a reader connect your evidence to the role without turning the resume into a list of unsupported keywords.

Make the final relevance check
- Can a reader quickly find evidence for the posting’s most important duties and qualifications?
- Does each named tool or skill reflect experience you can describe honestly?
- Do your bullets explain relevant context or results instead of listing only task names?
- Are the resume’s titles, dates, skills, and accomplishments consistent?
- Have you left out unrelated tasks that crowd out stronger evidence?
This approach is general resume-writing guidance, not a guarantee of selection or of how any employer screens applications. The occupational examples cited here describe U.S. roles; an individual posting is the best guide to its employer’s actual needs.
