How to Sync Notes Across Devices in an Open-Source Notes App

The reliable way to sync notes depends on the app, the operating systems you use, and the storage service you choose. In Joplin, notes are saved locally first and then synchronized through one selected target. Install Joplin on the original device, choose a target available on every device, complete the first upload, and only then connect the other devices. Obsidian uses a different, file-based vault workflow, so its settings and platform caveats do not map directly to Joplin.

This guide uses Joplin for the complete walkthrough and then contrasts Obsidian to show why an open-source notes app cannot be configured from a universal set of menu instructions.

What note synchronization actually does

Synchronization keeps copies of your notes aligned; it is not the same as opening one remote document directly. Joplin describes its applications as offline first: data is saved locally on the device. When synchronization is configured, the app compares local changes with the selected target and transfers the changes so another Joplin installation can obtain them.

That design has two practical consequences. You can read and edit notes without an internet connection, and a sync failure does not immediately make your local notes disappear. However, synchronization is also not a complete backup. If a note is deleted and that deletion propagates, the deletion can eventually reach every device. Keep an independent backup of important notebooks.

Why the app and operating system matter

Joplin documents support for Windows, Linux, macOS, Android, and iOS. The synchronization target must also be reachable and configurable from every device in your workflow. A provider that works on a desktop but cannot be configured on your phone is not a complete solution for a desktop-and-phone setup.

Other applications make different choices. Obsidian stores Markdown and related files in a local vault and synchronizes that folder by methods documented separately for each operating system. Follow the instructions for the application you actually use rather than copying Joplin menu steps into another app.

Prepare before turning on sync

  1. Choose one primary device. Put your existing notes on that device first. If notes are scattered across computers or phones, import or consolidate them before the first upload so one installation contains the intended starting set.
  2. List every device and operating system. Record whether each device runs Windows, Linux, macOS, Android, or iOS, and make sure the app is available on each one.
  3. Decide who will host the synchronized data. You can use a managed service, a server or storage account you administer, or a local folder shared through your own storage arrangement. The choice affects setup effort, control, and recovery.
  4. Create or verify the account and access details. Depending on the target, you may need an account, a server address, an access key, or a folder path. Keep these details available while configuring each device.
  5. Plan a separate backup. Export or copy important notes before making large changes. A second copy stored independently from the sync target protects against accidental deletion, account loss, or a damaged local database.

Choose a Joplin synchronization target

Joplin lists seven target types. The documentation does not establish a universal winner, current prices, uptime figures, or reliability rankings, so choose according to your devices, hosting preference, and maintenance tolerance.

Target Where data is kept What you must arrange When it fits
Joplin Cloud A hosted account operated for Joplin synchronization An account and the credentials required by Joplin You want a managed setup rather than maintaining a server
Nextcloud A Nextcloud server, self-managed or provided by an administrator Server URL, account access, and the Joplin connection settings You already use Nextcloud or want control of the server environment
S3 Object storage in an S3-compatible account Endpoint or region details, bucket information, and access credentials You are comfortable managing object-storage settings
WebDAV A WebDAV server or account Server address, username, password, and any required path Your existing storage service exposes WebDAV
Dropbox A Dropbox account Account authorization in Joplin You already maintain that account across the devices involved
OneDrive A OneDrive account Account authorization in Joplin Your workflow already uses that storage service
Local filesystem A folder on a disk or a location made available to each installation A consistent, accessible folder arrangement and a way to expose it to every device You control the storage path and do not need a hosted target

For each option, ask four questions: Can every device reach it? Who controls the account or server? What happens if that account is unavailable? How will you make an independent backup? Do not assume that choosing a target automatically encrypts your notes end to end; Joplin’s separate end-to-end encryption feature must be enabled and initialized correctly.

Joplin: complete first-device setup

1. Install Joplin and gather the notes

Install Joplin on the device that contains your notes, then create, import, or organize the notebooks there. Because Joplin is offline first, the data is present locally before synchronization is configured. Open several representative notes and attachments to confirm that the collection you intend to synchronize is complete.

2. Open synchronization settings

Open Joplin’s Settings on mobile or Preferences/Options on desktop, then select the Synchronisation section. The exact label and placement can vary by platform and app version. Choose one of the targets listed in the table and enter the credentials, server information, or folder location requested for that target. Use the same account, server, bucket, or path on every later device.

Do not mix targets for one notebook set. If one device points to a local folder while another points to a hosted account, they are not participating in one shared synchronization arrangement, even if the notes look similar.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Start the first synchronization

Run Synchronise from Joplin’s toolbar or synchronization settings. Watch the status information and leave the app running until the initial upload finishes. The first run may transfer the complete notebook set, including resources such as images or other attachments, so allow enough time for the transfer and do not put the device to sleep if that would interrupt it.

Joplin specifically cautions against configuring additional devices before this initial upload completes. If another installation begins by downloading while the first device is still uploading, the second device may not initially show the full data set. Wait for a successful completion message or an idle state that confirms the first upload has finished.

4. Confirm the remote copy

After the first synchronization, check the target using the service’s own interface when one is available, or run another synchronization and inspect Joplin’s status. Open a few notes and attachments on the original device, then confirm that no error remains in the synchronization log. This check separates an incomplete upload from a later device-setup problem.

Add a second device

1. Install the same application

Install Joplin on the second computer or phone and start it without creating a competing set of notes. If the app asks whether to import or create local data, keep the installation ready to receive the synchronized collection.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Select the identical target

Open the synchronization settings and choose the same target type, account, server, bucket, or folder used on the first device. A provider name alone is not enough: a different account or server location creates a different synchronization space.

3. Run the initial download

Start synchronization and let the initial download complete. Keep the app open and connected until the status indicates that the operation has finished. The first run on this device should populate the notebooks and resources from the remote target; do not start editing important notes until that process is done.

4. Repeat one device at a time

Connect additional devices individually. For each one, select the same target and wait for its initial download before moving on. A one-at-a-time sequence makes it easier to identify which installation has an authentication, network, or configuration error.

5. Understand ongoing synchronization

Once the initial setup is complete, Joplin says that an edit on one device will automatically synchronize with the others within a few minutes when the applications are running. This is product guidance rather than an independently measured speed guarantee. A manual Synchronise command is available when you need to push or fetch changes immediately.

Automatic synchronization still requires the app to be open often enough to perform it and the device to have network access. If a phone has restricted background activity, open Joplin and run a manual synchronization after making or receiving important changes.

Enable Joplin end-to-end encryption safely

Joplin’s end-to-end encryption (E2EE) is an additional feature, not an automatic property of every synchronization target. It encrypts synchronized note data when initialized and used as documented. The order matters because other devices must receive the encryption keys from the already initialized device.

  1. Choose one device for initialization. Joplin recommends using a desktop or terminal installation for the initial encryption setup.
  2. Enable E2EE in the encryption settings. Create a master-key password when prompted.
  3. Complete the first encrypted synchronization. Let the initial encrypted upload finish on the device where E2EE was enabled.
  4. Keep the master-key password safe. Joplin states that this password cannot be recovered. A password manager or another secure offline record is appropriate; do not place it in an unprotected note that is being synchronized.
  5. Synchronize the next device. Configure the same target, start synchronization, and enter the master-key password when Joplin requests it so the device can receive the key.
  6. Proceed sequentially. Repeat the process for each remaining device, waiting for each one to receive the key before configuring the next.

Do not manually enable encryption on multiple devices in parallel. That can create separate key setups instead of allowing each device to inherit the first device’s encryption state.

What to do when synchronization fails

The second device has no notes

First check that the first device completed its initial upload. Then compare the target type, account, server address, and folder or bucket location on both installations. A successful login to the wrong account can look like an empty notebook collection. Run synchronization again only after confirming that the second device is pointed to the same remote location.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Only some notebooks or attachments appear

Leave the device connected and run another synchronization. If the first device was still uploading when the second device was configured, the second installation may have started with an incomplete view. Confirm completion on the original device, then allow the second device’s download to finish. Check the synchronization log for an individual resource or attachment error.

Authentication or server errors appear

Recheck the account, password, access key, server URL, endpoint, and required path for the selected target. For a self-managed server, verify that the account can access the intended directory or bucket. For a local filesystem target, confirm that the folder exists and is reachable from the device; a path that exists on one computer may not exist on another.

Changes are not arriving automatically

Open Joplin on the device that contains the newest edit and run a manual synchronization. Check whether the device is online and whether the application is allowed to run in the background. The documented “within a few minutes” behavior assumes that Joplin is running and able to connect; it is not a guarantee while the app is suspended or offline.

Encryption prompts keep returning

Use the device where E2EE was first initialized as the reference. Confirm that its encrypted synchronization completed, then synchronize other devices one at a time and enter the same master-key password. Do not create a new encryption setup on a second device merely because the key has not arrived yet.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A deletion appeared everywhere

Synchronization is designed to propagate changes, including deletions, to the server and eventually to each device. Stop making further edits if a deletion was accidental, then use an independent export or backup to restore the note. Do not treat the sync target as the only recovery copy.

Backups, migration, and account changes

Keep a separate backup schedule even when synchronization is working. Export important notebooks or copy the local data using a method appropriate to your operating system, and store at least one copy outside the synchronized account. Test that a backup can be opened or imported before relying on it.

When moving to a new target, do not switch every device at once. Finish synchronization on the original target, make an independent backup, configure one chosen device for the new target, and verify that the complete collection arrives. Only then migrate the remaining devices. This staged approach leaves a known-good copy while you validate the new arrangement.

How Obsidian differs

Obsidian is not open source, but it is a useful contrast because its synchronization model is file based. Notes live as files in a local vault, and its documentation describes several ways to synchronize that folder: Obsidian Sync, iCloud, OneDrive, Google Drive, Syncthing, and Git.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Platform-specific caveats

  • Obsidian recommends iCloud for macOS and iOS workflows, while warning that iCloud Drive on Windows can cause file duplication or corruption.
  • Git requires manual push and pull operations; saving a note does not by itself publish the change to another device.
  • Obsidian advises against using more than one synchronization service on the same vault because competing services can create conflicts or corruption.

Those details illustrate the broader rule: identify whether your app synchronizes a database, an application-managed collection, or ordinary files. Then follow that app’s current instructions for each operating system. Do not apply Joplin’s target selection, encryption sequence, or automatic-sync expectations to a file-based vault.

A practical checklist

  • All existing notes are collected on one primary device.
  • Every device and operating system in the plan supports the chosen app.
  • The selected Joplin target is available and configured on every device.
  • The first upload from the primary device has completed before another device is connected.
  • Each additional device uses the same account, server, bucket, or folder.
  • Initial downloads finish before you begin editing on a new device.
  • E2EE, if used, is initialized on one device first and the master-key password is stored safely.
  • An independent backup exists and is tested.
  • No second synchronization service is pointed at the same Obsidian vault.

Following this sequence keeps the first copy authoritative, makes configuration errors easier to isolate, and prevents a sync target from being mistaken for a backup.
