A useful wildlife record connects one real encounter with accurate evidence, date, and location. Photograph or record the organism yourself, check the metadata, identify it only as precisely as the evidence permits, and then apply the local project’s own submission rules.
What makes a wildlife observation useful
Start with the encounter, not with a species name. A record has scientific value when another person can tell what was observed, when it was observed, and where it was observed. On iNaturalist, a verifiable observation normally has an accurate date, accurate georeferencing, a photo or sound, and a wild organism rather than a captive or cultivated one.

That standard is practical rather than intimidating. You do not need to know the species before posting. A careful record labelled “insect,” “plant,” or “fungus” can be more useful than a confident but unsupported species guess because it puts the observation in front of people who know that group.

Before you leave the encounter
Record the actual organism or trace
Make the observation about what you saw or heard at the time and place of the encounter. Photograph the animal, plant, fungus, track, nest, feeding sign, or other trace without moving it unnecessarily. Note circumstances that may help later—whether the animal was on a particular plant, whether the plant was flowering, or whether the sound came from a wetland, woodland, garden, or building.
Do not substitute a picture found online, in a book, or in a message from another person. The attached evidence should document your own encounter. If you saw an organism but could not make a recording, you can still create a record on iNaturalist, but other members will have no media to evaluate and the observation will be marked Casual.
Protect the organism and yourself
- Keep a safe distance from wildlife and never handle an animal, destroy a plant, or disturb a nest for a photograph.
- Do not enter restricted land or sensitive habitat to obtain a closer view.
- Use a flash only when it is safe and permitted; repeated flashes can disturb nocturnal animals.
- Check whether a local project has special rules for protected species, breeding sites, or access permits.
Capture evidence that can be identified
Take more than one useful view
One sharp image can be enough, but several views often reveal the feature an identifier needs. Keep the files tied to the same organism and the same encounter.
Outdated Drivers Are Slowing You Down
One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware matchPC Slower Than It Used to Be?
A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11- For insects and other small animals, try a side view, a top view, and a close view of wings, legs, antennae, or markings when those features are visible.
- For plants, include the whole plant or its growth form, then closer images of leaves, stems, flowers, fruit, bark, or other diagnostic parts. A flower or fruit photographed together with leaves can be especially helpful.
- For fungi, show the cap or surface, underside, stem, and the material on which it is growing when practical.
- For tracks, galls, nests, or feeding damage, include both the sign and enough surrounding context to show scale and habitat.
Keep the subject in focus and fill enough of the frame for details to be visible. A phone is sufficient; the goal is diagnostic information, not artistic perfection. A clip-on smartphone macro lens is an optional aid for tiny features, not a requirement. If you use one, the resulting image must still represent the organism accurately.
Record sounds responsibly
A sound recording can document birds, frogs, insects, and other vocal organisms when a photograph is impractical. Record the original call rather than a playback, and note background conditions such as wind, traffic, or running water. Do not approach or repeatedly lure an animal merely to improve the recording.

Keep different encounters separate
Create a new observation for a new encounter. If you photograph the same stationary tree again the next day, the later visit is a separate observation rather than a new media file attached to yesterday’s record. This preserves the date and location history that projects use to understand change over time.
Check date, time, and location before uploading
Why metadata needs a manual check
Phones and cameras can store capture dates and coordinates in media metadata, but transfers, screenshots, exports, and editing programs can remove or alter that information. Open the observation’s date and map fields and compare them with your field notes. Correct an implausible date or location before submission.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →- Confirm that the date is the day of the encounter, not the day you copied the file to a computer.
- Check the map pin or coordinates against the place where you made the observation.
- Verify the time zone if the observation crossed midnight or the device was travelling.
- Remove unrelated images whose dates or locations refer to a different event.
Accuracy matters more than false precision. If a phone placed the point several metres away within the same site, adjust it to the best defensible location. If you cannot determine the exact point, use the project’s accepted uncertainty or location settings instead of inventing coordinates.
Consider sensitive locations
Rare species, nests, caves, and privately managed sites can be vulnerable to disturbance or collecting. iNaturalist and local projects may offer location obscuring or restrictions, but the settings and policies differ. Read the relevant project instructions before publishing a precise point. An obscured location can still support conservation work while reducing risk.
Choose an identification you can defend
Use the narrowest reliable level
Select the most specific taxon supported by the evidence, not the most specific name suggested by an app. Many organisms cannot be identified to species from one photograph. A genus, family, order, or broad group such as “Plants,” “Insects,” or “Fungi” is appropriate when distinguishing features are missing.

A broad identification is not a failure. On iNaturalist it helps specialists find the record and propose a better identification. Add a note explaining uncertainty when two similar species cannot be separated from your views.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Treat automated suggestions as leads
Computer-vision suggestions can point you toward a group to investigate, but they are not proof. Compare the suggestion with visible features, geographic plausibility, habitat, and the possibility of look-alike species. Never select a species solely because it appears first in an automated list.
Do not overinterpret a single clue
Colour can change with lighting, age, season, or camera processing. Size estimates are unreliable without a scale. A distinctive-looking pattern may occur in several species. Prefer a less specific identification over a claim that the photograph cannot support.
Preserve the truth of your photographs and recordings
Media are evidence, so edits should improve usability without changing what was present. iNaturalist guidance treats cropping, ordinary adjustments that preserve general accuracy, focus stacking, and noise reduction as acceptable examples. These changes can make a small feature easier to inspect while retaining the original appearance.
Do not remove or replace scene elements, replace the background, add details with generative fill, or otherwise create an identifying feature that was not recorded. If an edit materially changes colour, shape, or context, upload the unaltered file instead or explain the change clearly. Keep the original file so you can provide it if a project requests verification.

Submit an observation on iNaturalist
- Create the record. In the mobile app or website, start a new observation and select the photo or sound files from the encounter.
- Review the evidence. Remove files showing unrelated organisms or a different visit. Add additional angles of the same subject when they provide useful information.
- Set date and place. Check the date, map point, and any location-accuracy setting against your notes and the original media.
- Add an identification. Choose a defensible broad group or taxon. Leave the identification at that level if the evidence cannot separate similar species.
- Review other fields. Mark captive or cultivated status accurately and add habitat or encounter notes that help interpretation.
- Submit and monitor. Reopen the record after saving to ensure that the media, date, map, and identification all refer to the same encounter. Respond to identification comments when you can provide useful information.
iNaturalist’s edit page groups information under evidence, identification, and other data. It allows you to correct media, location, date, and identification after submission, so an honest correction is preferable to leaving an error in place.
What “verifiable” and “Research Grade” mean
Verifiable does not mean identified to species
A verifiable iNaturalist observation has an accurate date, accurate coordinates, photo or sound evidence, and a wild rather than captive or cultivated organism. Such observations normally enter the community as Needs ID. The status describes the record’s evidence and review state, not your expertise.
Research Grade is a later community outcome
Research Grade generally requires community agreement at species level or another eligible lower taxonomic level, along with the platform’s other data-quality conditions and exceptions. It is not a submission requirement and cannot be promised immediately. The grade can change if later community assessments change. Submit a sound record first; let the community determine whether the evidence supports the higher status.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Submit to a local biodiversity project
Because no single “local biodiversity project” has one universal form, check its current instructions before you upload. A project may accept records through iNaturalist, a government portal, a university database, an email form, or a dedicated app. It may limit observations by place, target taxa, date range, media type, or survey protocol.
Questions to answer before choosing the portal
- Protocol: Does the project require a transect, timed count, quadrat, checklist, or other standardized method?
- Fields: Must you provide observer name, effort, habitat, abundance, weather, recorder model, or permission details?
- Coverage: Is your location inside the project boundary and is your observation within its accepted date range?
- Evidence: Are photographs, sound files, specimens, or only particular file formats accepted?
- Review: Does a staff member or expert need to verify the record, and is a target taxonomic level required?
- Privacy: Does the project obscure sensitive coordinates or require you to report them privately?
On iNaturalist, collection projects can filter records by place, taxa, media, data quality, establishment means, and observed date. Those filters show what the platform can select; they do not establish the requirements of an unnamed external project.

Match the same encounter across systems
If you submit to both iNaturalist and a local project, keep the date, coordinates, media, and taxon consistent. Use the same observation identifier or file naming convention in your notes when possible. Do not attach a photo from a later visit simply because the first image was unclear; create a separate record and explain the relationship.
Common mistakes and how to fix them
“I uploaded a picture but the record is still Casual”
Check whether the media is actually attached to the observation and whether it depicts the organism or its trace. A media-less record is allowed, but iNaturalist marks it Casual because others have no evidence to evaluate. Add your own photo or sound from the encounter if you have one.
“The map shows the wrong place”
Inspect the original file and the observation map for metadata loss or a device-location error. Move the point to the defensible location and set an appropriate uncertainty rather than copying coordinates from a nearby landmark.
“Someone says my species name is wrong”
Review the identifying features and accept a broader taxon if the photograph cannot distinguish the alternatives. Community disagreement is part of the identification process; it does not invalidate the observation itself.
“My edited photo looks clearer, but reviewers question it”
Provide the original file and describe the adjustments. Avoid background replacement, object removal, generative fill, or edits that create details. A less dramatic but faithful image is stronger evidence.
“I found several organisms in one frame”
Create separate observations when the organisms are different subjects, especially if they have different dates, locations, or identifications. Multiple files in one observation should document the same subject and encounter.
A field-to-submission checklist
- Did you observe this organism or trace yourself?
- Are the photo or sound files from the same encounter?
- Do they show enough detail or context for another person to evaluate?
- Are the date and location accurate after transfer or editing?
- Have you created a new observation for a later visit?
- Is the identification no more specific than the evidence allows?
- Have you avoided edits that remove, replace, or generate visual details?
- Have you checked privacy, access, and wildlife-disturbance concerns?
- Have you read the local project’s current protocol and required fields?
- After saving, did you reopen the record and verify every field?
The practical standard to remember
iNaturalist Help summarizes the basic approach as: “Just make observations of wild organisms that have photos or sounds, locations, and dates.” That is a useful minimum, not a demand for specialist knowledge. A careful broad identification, truthful media, and corrected metadata give identifiers and biodiversity projects a record they can evaluate and reuse.
