How to Stop Outlook From Changing Words or Adding Unwanted Corrections

If Outlook replaces words you typed, shows predicted completions, changes capitalization, or underlines text, use the control for that specific behavior. The correct path depends on whether you use new Outlook for Windows, classic Outlook for Windows, Outlook on the web, or Outlook for Mac. AutoCorrect replacements, text predictions, automatic formatting, and spelling or grammar marks are separate features, so turning off one does not necessarily stop the others.

Identify what Outlook is doing before changing a setting

Watch the symptom in a new message and match it to the behavior below. This prevents disabling useful proofing when the actual problem is a single AutoCorrect entry or a prediction banner.

What you see Feature involved Control to use
A word is replaced immediately after you type it or press Space AutoCorrect replacement Turn off “Replace text as you type,” or delete the specific entry
A faint word or phrase appears ahead of the cursor but your text has not changed Text predictions Turn off text predictions
The first letter changes to uppercase, quotation marks change shape, or punctuation is reformatted Automatic capitalization or auto-formatting Use Editor settings or Spelling & Typing options
A colored underline or proofing alert appears without changing your text Spelling or grammar checking Change spelling and grammar checking settings

Also note whether the behavior occurs in every message or only with one word. A single unwanted replacement usually calls for deleting one AutoCorrect entry, while unwanted changes throughout your messages call for the main switch. The moment at which the change happens is useful evidence: an immediate change after a space or punctuation points to AutoCorrect; a suggestion that remains pale until you accept it points to text predictions; a change at the beginning of a sentence points more often to capitalization.

Test in a new draft rather than an old message that contains previously changed text. Outlook will not restore the original spelling merely because you changed a setting. If the same word behaves differently in two drafts, first confirm that both drafts are open in the same Outlook client and use the same authoring language.

New Outlook for Windows and Outlook on the web

New Outlook and Outlook on the web use the Editor panel for automatic corrections and formatting. Microsoft currently documents these AutoCorrect and auto-capitalization controls as available only for English in these clients. If your Outlook language is different, the controls may not appear or may behave differently.

Turn off automatic replacement and capitalization

  1. Open a new message or a reply.
  2. On the message ribbon, select Editor.
  3. Select Editor Settings.
  4. Turn off the AutoCorrect and automatic-capitalization option that is changing your text.
  5. Close the settings panel and type a test sentence in the same message.

The Editor settings area also includes auto-format options. Use those when Outlook changes punctuation, list formatting, quotation marks, or similar presentation details rather than replacing a word. The exact switches shown can vary with the client build and language.

Do not confuse the Editor button with the general Settings menu. Editor controls apply while you are composing, whereas account and mail preferences are opened from the main Outlook settings area. If you are reading a message or viewing the mailbox, open a draft first so the composing ribbon is visible.

Disable text predictions separately

Predictions do not work like a completed-word replacement. Outlook displays a suggested word or phrase while you type, and you can continue typing to dismiss an individual suggestion. To disable the feature entirely:

  1. Open Settings.
  2. Go to Mail.
  3. Select Smart suggestions.
  4. Clear Text predictions.

Suggested replies are a separate Smart suggestions setting. Turning off text predictions does not necessarily remove the suggested-reply buttons that can appear below a message, so clear that option separately if those responses are the distraction. Dismissing a single suggestion by continuing to type is temporary; the dedicated setting is the way to prevent future suggestions.

If the Editor control is missing

  • Confirm that you are in new Outlook or Outlook on the web, not classic Outlook for Windows.
  • Check the authoring language. Microsoft’s current guidance limits these new-Outlook and web AutoCorrect controls to English.
  • Try the Editor menu inside an actual draft; account or reading views do not expose the same controls.
  • If you only see a suggested word, use Settings > Mail > Smart suggestions rather than looking for an AutoCorrect switch.
  • Check whether the account is using a managed work configuration. The available switches can be constrained by an organization, so an absent control is not proof that you are looking in the wrong menu.

New Outlook and the web app can receive interface changes independently of classic Outlook. A help article or screenshot for one version may therefore show labels that are not present in another. Match the product name displayed in your Outlook window before following a path.

Classic Outlook for Windows

Classic Outlook has a separate AutoCorrect dialog and a separate prediction setting. This is the most precise client when you want to remove one replacement while keeping other corrections.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Stop all automatic word substitutions

  1. Select File in the Outlook window.
  2. Select Options, then choose Mail.
  3. Select Editor Options.
  4. Open Proofing, then select AutoCorrect Options.
  5. On the AutoCorrect tab, clear Replace text as you type.
  6. Select OK to close the AutoCorrect dialog, then select OK again to close Outlook Options.

This switch stops automatic substitutions made from the AutoCorrect list. It does not turn off spelling or grammar underlines, and it does not control predictive completions. If a correction has already appeared in the draft, delete or retype that word after changing the setting to verify the result.

Delete only one unwanted replacement

If most AutoCorrect behavior is useful, remove the offending entry instead of disabling the feature:

  1. Open File > Options > Mail > Editor Options > Proofing > AutoCorrect Options.
  2. On the AutoCorrect tab, locate the incorrect trigger in the Replace list.
  3. Select that entry.
  4. Select Delete, then confirm with OK.

AutoCorrect entries are shared by Office programs that support the feature. Removing an entry from Outlook can therefore change the same replacement behavior in another supported Office application on that installation. This is a useful cleanup when the same substitution appears in multiple programs, but it is also why you should check with other users of the computer before deleting a commonly used entry.

Deleting an entry is different from adding an exception to a single message. The deletion changes the stored list, while correcting a word manually changes only the current draft. If the trigger is a specialist term, abbreviation, name, or product code, removing just that trigger preserves ordinary capitalization and typo corrections elsewhere.

Turn off predictive completions

  1. Open a message draft.
  2. Select File > Options > Mail.
  3. Clear Show text predictions while typing.
  4. Select OK.

This setting is independent of Replace text as you type. You may disable predictions while leaving automatic substitutions active, or do the reverse. A faint completion that never replaces text is not evidence that AutoCorrect is still enabled.

Suppress spelling and grammar marks

When the text remains unchanged and only a colored underline appears, open File > Options > Mail > Spelling and Autocorrect. Adjust Check spelling as you type and the available grammar-checking controls. These settings remove proofing indicators; they do not remove AutoCorrect entries or prediction suggestions.

Consider leaving checking enabled if you rely on Outlook to catch mistakes. If the underlines are disruptive while drafting, turn off the live indicators and perform a manual review before sending when your version provides that command.

Outlook for Mac

Current Outlook for Mac groups its writing controls under Spelling & Typing. The labels differ from Windows, and Microsoft documents an important limitation: new Outlook for Mac does not support adding or removing individual AutoCorrect entries.

Change automatic corrections and substitutions

  1. In the macOS menu bar, select Outlook.
  2. Select Settings.
  3. Open Spelling & Typing.
  4. Under Automatic Corrections and Typing Substitutions, turn off the option that matches the behavior: Correct Spelling Automatically, Smart Quotes, Smart Dashes, or Text Replacement.
  5. Close Settings and test in a new draft.

For a legacy Outlook for Mac interface, Microsoft documents Outlook > Settings > AutoCorrect. Clear Replace text as you type there. If the legacy panel is not present, use the current Spelling & Typing screen instead.

Mac exposes several smart-punctuation choices separately. If only quotation marks or dashes are changing, disable that individual switch instead of turning off spelling correction. This keeps unrelated assistance available.

Disable predicted text

  1. Open Outlook > Settings > Spelling & Typing.
  2. Turn off Show Text Predictions.
  3. Return to a draft and type several words to verify that suggestions no longer appear.

When one Mac replacement must be removed

Microsoft says new Outlook for Mac does not provide controls for adding or removing individual AutoCorrect entries. Outlook on the web likewise supports AutoCorrect but does not provide editing of the AutoCorrect list. If you need to delete one entry rather than disable all substitutions, use a supported desktop Outlook route where the AutoCorrect list is available, such as classic Outlook for Windows. The change may affect other Office programs that share that list.

If you use only a Mac or browser, the practical choice is usually to disable the overall replacement feature, then type the affected term manually. Do not expect the web interface to expose the same Replace list found in classic Windows.

Automatic formatting and capitalization are separate from word replacement

Some changes feel like “Outlook correcting me” even though AutoCorrect did not replace a word. Examples include an initial capital letter, smart quotation marks, smart dashes, automatic list formatting, or punctuation changes. In new Outlook and on the web, open Editor > Editor Settings and review the auto-format options. On Mac, review the individual Smart Quotes, Smart Dashes, and capitalization-related switches under Outlook > Settings > Spelling & Typing.

Change only the option producing the unwanted result. Leaving spelling checks or useful substitutions enabled while disabling smart punctuation preserves more assistance than switching every writing feature off. After each change, type a short sentence containing an initial, a quotation mark, a dash, and a numbered line so you can identify which control actually solved the problem.

Proofing marks are warnings, not replacements

A red, blue, or other colored underline does not mean Outlook changed the word. It is feedback from spelling or grammar checking. If the wording is correct but the underline is distracting, adjust the checking controls rather than AutoCorrect. In classic Outlook for Windows, use File > Options > Mail > Spelling and Autocorrect. On Mac, use the spelling and grammar controls in Spelling & Typing.

Disabling proofing indicators also means Outlook will no longer flag genuine errors while you compose. If you still want a final check, leave automatic underlines off and run a manual spelling or grammar review before sending, when that command is available in your client. A proofing warning by itself is not evidence that a stored replacement entry needs to be deleted.

Choose the smallest change that solves the problem

Your goal Recommended action What remains enabled
Keep corrections except for one offensive or technical term Delete that AutoCorrect entry in classic Outlook for Windows Other AutoCorrect substitutions, unless separately disabled
Stop every automatic replacement Clear Replace text as you type in classic Outlook, or the AutoCorrect control in new Outlook/web Predictions and proofing marks unless separately changed
Stop faint suggested words Turn off text predictions in Smart suggestions, Mail settings, or Mac Spelling & Typing AutoCorrect substitutions and spelling checks
Stop quotation, dash, or list changes Turn off the relevant auto-format or smart-punctuation option Unrelated writing assistance
Remove colored underlines Adjust spelling and grammar checking AutoCorrect and predictions unless separately disabled

This separation matters when troubleshooting. Turning off AutoCorrect will not remove a suggestion banner, and turning off text predictions will not prevent a known replacement entry from firing. Apply one setting, test, and then change the next feature only if the symptom remains.

Troubleshoot settings that appear not to work

The word still changes after AutoCorrect is disabled

  • Check whether the change is actually a text prediction being accepted, rather than an automatic replacement.
  • Look for automatic capitalization or formatting in the Editor or Spelling & Typing settings.
  • Type a different test word and observe exactly when the change occurs: immediately, after pressing Space, or only after accepting a suggestion.
  • Verify that you changed the settings in the same Outlook client where the problem occurs. New Outlook, classic Outlook, web, and Mac do not share identical menus.
  • Start a fresh draft after saving the setting. Existing text may still contain the earlier replacement and can make the change appear ineffective.

The setting is unavailable

  • In new Outlook or on the web, verify the authoring language because Microsoft currently documents AutoCorrect and auto-capitalization there for English.
  • On Mac, determine whether you are using the current or legacy interface; the menu path differs.
  • If your organization manages Outlook policies, an administrator may control which features are exposed. The support guidance describes user settings but does not establish that every managed account can change them.
  • Make sure you are changing Outlook rather than a different Office application. A shared AutoCorrect list can make a correction appear to originate elsewhere.

Only one program is affected

Classic Outlook’s AutoCorrect list can apply across Office programs that support it, so a change made in one program can appear in another. If the issue occurs only in Outlook, compare the client and account settings first; do not assume that deleting a shared entry is necessary. If it occurs across supported Office programs, review the shared entry before changing multiple applications independently.

A suggestion disappears but returns later

Dismissing one prediction by continuing to type affects that suggestion in that message. To stop the prediction feature across future messages, turn off the dedicated Text predictions or Show Text Predictions setting for your client. Suggested replies have their own control and can remain visible even after text predictions are disabled.

Do I need an Outlook accessory or repair tool?

No physical accessory, replacement part, or repair product is established as necessary for unwanted corrections. These behaviors are controlled by Outlook’s built-in writing settings. Change the relevant switch or list entry first; buying a printed guide or configuration tool does not replace the settings described here.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A quick verification checklist

  1. Identify the client: new Outlook for Windows, classic Outlook for Windows, web, or Mac.
  2. Classify the symptom as replacement, prediction, formatting or capitalization, or proofing feedback.
  3. Apply the narrowest matching setting.
  4. Start a fresh draft and test a normal word, a technical term, and punctuation.
  5. If you removed an AutoCorrect entry in classic Outlook, remember that supported Office programs may use the same list.
  6. Keep a manual final proofing step if you turn off spelling or grammar indicators.
  7. If the behavior persists, record when it changes and which interface produced it before changing another setting.

Microsoft’s support pages consulted for these procedures were current on October 13, 2026, but Outlook menu labels and feature availability can change between releases. If an option moves, search the current client’s Settings or Editor panel for the exact terms shown above rather than applying a setting from a different Outlook version.

Frequently Asked Questions

How do I stop Outlook from changing words as I type?

First identify your client. In classic Outlook for Windows, go to File > Options > Mail > Editor Options > Proofing > AutoCorrect Options and clear Replace text as you type. In new Outlook or on the web, open a draft, choose Editor > Editor Settings, and turn off the AutoCorrect option. Mac users should open Outlook > Settings > Spelling & Typing and disable the matching automatic-correction switch.

Why does Outlook show a word that I did not type?

A faint word or phrase is usually a text prediction, not an AutoCorrect replacement. Disable it in Settings > Mail > Smart suggestions by clearing Text predictions, in classic Outlook by clearing Show text predictions while typing, or on Mac by turning off Show Text Predictions under Spelling & Typing.

Can I remove just one bad AutoCorrect replacement?

Yes, in classic Outlook for Windows. Open File > Options > Mail > Editor Options > Proofing > AutoCorrect Options, select the unwanted trigger in the Replace list, and choose Delete. New Outlook for Mac does not support adding or removing individual entries, and Outlook on the web does not provide AutoCorrect-list editing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will deleting an AutoCorrect entry affect Word or other Office apps?

It can. Microsoft documents that the AutoCorrect list applies across Office programs that support the feature. Removing an entry in classic Outlook may therefore change the same substitution elsewhere on that installation.

How do I stop Outlook from changing quotation marks or dashes?

Those are formatting or smart-punctuation behaviors rather than ordinary word replacement. In new Outlook or the web, review Editor > Editor Settings and its auto-format options. On Mac, use Outlook > Settings > Spelling & Typing and turn off Smart Quotes or Smart Dashes as appropriate.

How do I remove red or blue lines without disabling AutoCorrect?

The lines are proofing feedback. In classic Outlook, use File > Options > Mail > Spelling and Autocorrect and adjust Check spelling as you type and grammar controls. On Mac, use the spelling and grammar controls under Spelling & Typing. These settings are separate from substitutions.

Why can’t I find AutoCorrect in new Outlook?

Check that you are composing in new Outlook or the web app, open a draft, and use Editor > Editor Settings. Microsoft currently documents the new-Outlook and web AutoCorrect and auto-capitalization controls for English, so a different authoring language or a managed account can affect what appears.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do I need to buy software or hardware to stop Outlook corrections?

No. The documented remedy is to change Outlook’s built-in settings or AutoCorrect list. An accessory, replacement part, repair tool, or printed manual is not required for this settings problem.

The Bottom Line

Match the symptom to the feature before changing anything: AutoCorrect replaces text, predictions suggest text, formatting controls alter punctuation or capitalization, and proofing controls add underlines. Use the path for your exact Outlook client, delete one shared AutoCorrect entry when appropriate, and test in a fresh draft so you disable no more assistance than necessary.
