If Google Calendar is adding meeting invitations before you decide to attend, change Settings > General > Event settings > Add invitations to my calendar. Choose When I respond to the invitation in email for the strictest control, or Only if the sender is known to keep automatic additions from trusted contacts, your organization, or people you have previously contacted. If the entries are flights, hotels, deliveries, or similar details extracted from messages, use Outlook’s separate Events from email controls instead.
First identify what is being added
“Invitation” can describe two different calendar behaviors. A conventional meeting invitation is sent to your email address by another person or calendar system. Google Calendar has a setting that decides whether those invitations appear automatically. Outlook also has ordinary meeting invitations, but it separately offers Events from email, which reads supported travel, delivery, and reservation details from messages and creates calendar entries.

Look at one unexpected entry before changing anything:
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- It names an organizer, attendees, a meeting time, and an RSVP response: treat it as a calendar invitation. Follow the Google Calendar path below if the affected calendar is owned by Google.
- It describes a flight, hotel, rental car, or package delivery and came from a message: it is probably an Outlook event extracted from email. Use the Outlook section.
- The entry is on a shared calendar: confirm which account owns that calendar. A setting changed in one account cannot control invitations being processed by another account.
These controls stop future additions; they are not an automatic cleanup tool. Existing entries need to be removed or declined separately.

Stop automatic invitations in Google Calendar
Google exposes three invitation behaviors. The setting is available in the desktop web version of Google Calendar and is the most direct answer when meeting invitations are appearing without an RSVP.
Open the invitation setting
- On a computer, open Google Calendar while signed in to the account that owns the affected calendar.
- Select Settings.
- Under General, choose Event settings.
- Find Add invitations to my calendar.
- Select the behavior that matches how much automatic activity you will accept, then leave the settings page after the change is saved.
Google describes the path as “under ‘General,’ click Event settings and then Add invitations to my calendar.” If you cannot find the control, check that you are in the correct Google account and that an administrator has not limited the available choices.
Choose “When I respond to the invitation in email” for deliberate approval
This is the most restrictive option. An invitation is not added merely because it was sent to you; it is added after you respond to the invitation email. Use it when an unexpected meeting on the calendar is more disruptive than the extra RSVP step.
The trade-off is manual work. You must open the invitation email and respond before the event is placed on the calendar. A message that you read but do not answer will not provide the approval needed for automatic placement.
Choose “Only if the sender is known” for a trust filter
This option automatically adds invitations when Google considers the sender known. Google lists three ways a sender can qualify: the address is in your contacts, the sender is part of your organization, or you have previously interacted with that person. Invitations from unknown senders arrive by email instead of being added automatically.
It preserves convenience for ordinary work and personal contacts while filtering unfamiliar senders. There is a privacy-related consequence: Google warns that selecting this option might reveal to a sender that the sender is not in your contacts. If a trusted person’s invitation is still treated as unknown, adding the address to contacts is one documented way to establish the relationship. Prior interaction or organizational membership can also qualify the sender.

Understand “From everyone” before leaving it enabled
From everyone automatically adds all invitations sent directly to your email address. It is convenient when you want every invitation visible immediately, but it provides no sender-based filtering. If random or unwanted meetings are the problem, this is the least protective choice.

Google notes a special case for invitations sent to a Google Group: responding to the invitation email may still be required before the event is added. Therefore, changing to From everyone does not guarantee that every group invitation will appear without a response.
Compare the three Google choices
| Setting | What is added automatically | Manual action required | Protection against unexpected invitations |
|---|---|---|---|
| From everyone | All invitations sent directly to your email address. | None for direct invitations; Google Group invitations may still require a response. | Lowest. Unknown senders can place events on the calendar. |
| Only if the sender is known | Invitations from contacts, people in your organization, or people you previously interacted with. | Respond to invitations from unknown senders if you decide to add them. | Moderate. It filters unknown senders but can disclose that a sender is not recognized as a contact. |
| When I respond to the invitation in email | Invitations only after you respond to the invitation email. | Yes, for every invitation you want placed on the calendar. | Highest. Reading or receiving an invitation alone does not add it. |
What the Google change does—and does not—change
It applies to new invitations only
Google Calendar states: “Your updated settings only apply to new invitations.” Changing the preference will not remove meetings that are already visible. Review those entries individually and decline, delete, or leave them according to the event’s normal controls and your organization’s policy.
This distinction also matters when testing. Send or receive a new invitation after saving the setting; an old event remaining on the calendar is not evidence that the preference failed.
It does not decide who can see pending invitations
Automatic addition and calendar-sharing visibility are separate controls. If you share a calendar, people who have permission to view or edit events may be able to see all invitations, including invitations that are not yet visible on the calendar. To limit that visibility, turn off Let others see all invitations if they have permission to view or edit my events in the calendar’s sharing settings.
People with availability-only permission cannot see event details. That permission level is different from the invitation-visibility setting, so review both when privacy—not just unwanted entries—is the concern.

Fix a Google Calendar setting that seems not to work
The option is missing in a work or school account
A Google Workspace administrator can set an organization default and can restrict the least-restrictive invitation level users are allowed to choose. The three administrator-supported levels correspond to invitations from everyone, known senders, or invitations added after the user responds by email.
If your account does not show the choice you need, ask the administrator to review the organization’s Calendar invitation policy. The administrator may have intentionally prevented users from selecting a less restrictive behavior.
An administrator changed the policy, but behavior has not changed
Google’s Admin Help says administrator changes can take up to 24 hours to reach users, although they usually take less time. Test again with a newly sent invitation after that propagation period. Existing calendar entries are not altered by the policy change.

Google announced expanded administrator controls on August 14, 2026. The rollout for Rapid Release and Scheduled Release domains was gradual and could take up to 15 days for the feature to become visible; Google listed the controls as available to all Google Workspace customers. A domain’s rollout status can therefore explain why an administrator sees controls before an individual user does.
A sender is still marked unknown after you interacted
Under Only if the sender is known, Google advises checking whether your Google Account allows Google products to save contact information when you interact with people. Without that account permission, previous interaction may not be used to recognize the sender. Adding the address to your contacts is another documented route for a trusted sender.
Unwanted events continue appearing on Android
If the known-sender behavior is enabled but unwanted events continue to appear on an Android device, review which installed apps have access to the calendar. Another app with calendar permission may be creating or displaying entries independently of Google Calendar’s invitation preference. Remove access only for apps you no longer trust or need, then test with a new invitation.

The calendar belongs to another account
Many people use several Google accounts in the same browser or phone. Confirm the account shown in Calendar settings and the account that received the invitation. If an invitation is processed by a work account while you change a personal account’s settings, the event can continue to appear as before. For a shared calendar, identify the owner and the account that has editing or subscription access before changing policy.

Stop Outlook from creating events from email
Outlook’s Events from email feature is different from meeting-invitation handling. It extracts supported details from email—such as flights, hotel bookings, rental cars, and package deliveries—and can add the resulting event to a calendar. If an entry has no meeting organizer or RSVP but mirrors information in a message, use this control.
Change the setting on the web
- Open Outlook on the web or Outlook.com with the account that owns the calendar.
- Open Settings.
- Choose Calendar.
- Open Events from email.
- For each event category you do not want displayed, choose Don’t show event summaries in email or on my calendar.
- Repeat the choice for every relevant category; the controls are managed by event type rather than as one universal invitation switch.
Microsoft says Outlook for Windows does not provide these event settings, so use the web settings even if you normally read mail in the Windows application.
Decide whether to hide summaries, calendar entries, or both
Outlook lets you control the presentation of each supported category. Depending on the category and account interface, the available behavior can retain summaries, prevent calendar display, or show both. Select Don’t show event summaries in email or on my calendar when you want neither the message summary nor the calendar entry for that type.
| What you are seeing | Correct control | Why |
|---|---|---|
| Meeting request with organizer and RSVP controls | Invitation handling for the calendar service, such as Google Calendar’s Add invitations to my calendar. | This is a person-to-calendar invitation. |
| Flight, hotel, rental-car, or package-delivery entry mirrored from an email | Outlook web: Settings > Calendar > Events from email. | This is an email-derived event, not an RSVP decision. |
Account and regional limits in Outlook
Microsoft documents Events from email for Microsoft accounts such as Outlook.com and Microsoft 365 accounts, with regional and service-plan limitations. Its current documentation lists availability across North America, Asia Pacific, Europe, Australia, the United Kingdom, Switzerland, India, Japan, Korea, and Latin America. It excludes certain 21Vianet, Germany, and government environments.
If Events from email is absent, first verify that you are using Outlook on the web with the intended account. If the control is still unavailable, consult Microsoft’s current support documentation for the account’s region and service plan; availability and category coverage can change.

Remove invitations that are already on the calendar
Neither Google’s invitation preference nor Outlook’s email-event preference is a historical cleanup command. After changing the setting, open entries that were already added and handle them one at a time:
- Unwanted meeting invitation: use the event’s decline or remove action, according to the options shown by your calendar.
- Legitimate event added under the wrong account: remove the duplicate only after confirming the original invitation or calendar remains available to you.
- Email-derived reservation or delivery event: remove the existing entry separately after disabling that event category in Outlook.
Do not use deletion as a substitute for changing the preference. Without the preference change, the next new invitation or supported email can create another entry.
A practical decision guide
You want trusted work contacts to appear automatically
In Google Calendar, select Only if the sender is known. Keep important colleagues in contacts when appropriate, and remember that organizational membership or previous interaction can also make a sender known. This preserves automatic scheduling for familiar people while holding unknown senders for review.
You want every event approved manually
Select When I respond to the invitation in email. This is the clearest choice when a calendar should represent only meetings you have actively accepted or otherwise answered through the invitation message.
You receive travel and delivery entries in Outlook
Open Outlook’s web settings and change the individual categories under Events from email. Do not search for a Google-style invitation option: the feature is based on information extracted from email, not on who sent a meeting request.
You manage a Google Workspace domain
Set the organization default and the least-restrictive level users may select in the administrator controls. Communicate that the policy affects future invitations only, allow for propagation time after a change, and expect gradual feature visibility during the 2026 rollout described by Google.
Quick Recap
Quick verification checklist
- Identify whether the entry is an RSVP invitation or an event extracted from email.
- Confirm which account owns the calendar that shows the entry.
- For Google Calendar, open Settings > General > Event settings > Add invitations to my calendar.
- Choose Only if the sender is known or When I respond to the invitation in email instead of From everyone when filtering is required.
- Test with a new invitation; the setting does not remove existing events.
- Review Google sharing visibility separately if collaborators can see pending invitations.
- For Outlook email-derived entries, use the web path Settings > Calendar > Events from email and change each event type.
- If a Google Workspace option is unavailable, ask the administrator to review the Calendar invitation policy and allow up to 24 hours for a policy change to propagate.
