A Microsoft-looking link is not automatically safe. Before opening it, reveal the real destination by hovering over the link without clicking, then compare the domain and the rest of the address with the organization and task described in the message. If the destination, sender, request, or timing does not make sense, leave it unopened and report the message through your email or Teams app.

Microsoft’s consumer guidance is explicit: “If you suspect that an email message, or a message in Teams is a scam, don’t open any links or attachments that you see.” Microsoft’s phishing guidance also identifies mismatched sender domains and suspicious links as warning signs.

The fastest safe check

Use this sequence whenever a message asks you to sign in, review a document, approve a payment, reset a password, or open an unexpected attachment:

  1. Pause. Do not click the link or open an attachment while you decide whether the request is legitimate.
  2. Reveal the destination. On a computer, place the pointer over the link without selecting it. Your mail or chat app should show the address, usually in a status area or preview. On a phone, use the link’s context menu or press-and-hold preview if your app offers one; do not follow through to the page.
  3. Read the actual domain. Compare the domain shown in the preview with the organization the message claims to represent. A familiar logo, display name, or Microsoft-related hostname does not establish where the link ultimately leads.
  4. Check the request. An unexpected sign-in, urgent payment, password reset, file share, or security alert deserves independent verification, even when the sender name looks familiar.
  5. Stop if anything conflicts. Leave the message unopened and report it with your mail or chat service’s phishing-reporting control. If you need the service, navigate to its official website or app independently instead of using the message link.

Hover inspection is a useful safety step, not a guarantee. A carefully constructed address can still look plausible, and a benign-looking message can be part of a compromised account. Treat the preview as evidence to evaluate, not as a certification.

Why a Microsoft-looking link can still be dangerous

Display text and branding can be copied

Attackers can reproduce Microsoft logos, colors, writing style, and familiar product names. The text you see in a message is only a label; it may point somewhere else. Microsoft describes phishing as messages that pretend to come from reputable companies and calls out suspicious links and mismatched domains as warning signs. The sender’s display name can also be changed, so a message that appears to come from an administrator, colleague, or Microsoft support address may not have been sent by that person or organization.

A Microsoft-related hostname is not the same as Microsoft owning the destination

Read a web address from the right-hand end of the hostname, not from the first familiar word. In an illustrative address such as microsoft-login.example, the registrable domain is example, not Microsoft. Likewise, a hostname such as microsoft.com.attacker.example belongs to attacker.example; “microsoft.com” appears only as a subdomain label. These examples show why the complete hostname matters more than a prominent word near the beginning.

Paths, query strings, and tracking parameters can make an address long or confusing, but the organization’s domain is the key comparison point. If the message claims to be from a particular company and the revealed domain does not belong to that company, do not continue. When the domain is unfamiliar but the message might be genuine, verify through a known contact or an independently opened official site rather than experimenting with the link.

Unexpected context is a warning even when the domain appears familiar

A message can use a real service to host a file or redirect while still being part of a scam. The fact that an address contains a well-known provider’s name does not explain who created the content, who will receive your credentials, or what happens after the click. Consider the whole request: Was the message expected? Does the sender normally contact you this way? Is the action consistent with an outstanding task? A mismatch in any of these details is a reason to stop.

How Microsoft Safe Links changes what you see

Safe Links is an organizational control in Microsoft Defender for Office 365, not a consumer promise that every Microsoft-looking URL is safe. In supported environments, the service scans links in messages and may rewrite them through a Microsoft Safe Links address. It can check a destination when a user clicks, depending on the organization’s license, policy, application, and covered service. Microsoft documents support for email, Teams, and supported Office apps in its Safe Links overview.

What you may notice What it means What you should do
A long URL containing a Microsoft Safe Links address The original link may have been wrapped so the service can scan it and check it at click time. Use the hover preview to inspect the original destination when your client shows it. Do not treat the wrapper’s hostname as proof that the destination or sender is trustworthy.
A warning page before the site opens Safe Links may have identified a suspicious message, phishing attempt, malicious website, scan in progress, or an error. Stop and follow your organization’s security process. Do not bypass a warning simply because the message appears to come from Microsoft.
No warning appears Safe Links did not block the click under the applicable conditions, or the message was outside the protection’s scope. Coverage depends on licensing, policy, app, and service. Continue to evaluate the sender, request, and destination yourself; absence of a warning is not a safety certificate.

Microsoft notes that Safe Links protection can fail to trigger in some conditions. Policies determine which links are rewritten, which users and services are covered, and how warnings are handled. A business should therefore describe Safe Links as an additional layer, not as a replacement for user judgment or reporting.

Authentication does not prove the identity you think it proves

Spoofing and impersonation are different

Microsoft’s anti-phishing documentation distinguishes two related techniques. Spoofing is forging the sender’s email address or domain to make it look like a trusted source. Impersonation is mimicking a trusted user, domain, or brand. A lookalike domain can be operated by an attacker while still having correctly configured DNS records.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That is why a message can pass SPF, DKIM, or DMARC checks and still not be from the organization you have in mind: an attacker may configure valid records for the lookalike domain they control. Authentication helps mail systems assess whether a domain authorized a message; it does not, by itself, establish that the domain is the legitimate Microsoft tenant, supplier, bank, or colleague being imitated. Read the destination and the context as separate questions.

Do not “fix” delivery by trusting every Microsoft 365 domain

For administrators, Microsoft warns against adding your Microsoft 365 domains to allowed senders or allowed domains lists as a shortcut for delivery problems. Such an exception can permit malicious messages that spam and phishing filters would otherwise block. Review the specific policy, sender, and authentication results instead of creating a broad allow-list entry. The detailed tuning guidance is in Microsoft’s anti-phishing protection tuning documentation.

How to inspect a link without opening it

Desktop mail and webmail

  1. Move the pointer over the linked text or button without clicking. Wait for the address preview to appear.
  2. Read the complete hostname, including the ending domain. Do not rely on the first recognizable word, the logo, or the sender’s display name.
  3. Compare the destination with the claimed task. A password-reset message that leads to an unrelated domain, a misspelled company name, or an unexpected file host should be treated as suspicious.
  4. Look for inconsistencies between the visible link text and the preview address. Microsoft’s consumer guidance specifically recommends hovering to reveal an address that may differ from the company name suggested by the message.
  5. Close or report the message if you cannot independently establish why the destination is needed.

Phone and tablet apps

Touch interfaces do not provide a permanent hover state. Use the app’s link preview, context menu, or press-and-hold action if available, and read the destination before selecting an option that opens it. If the app cannot show the destination safely, do not use the message link. Open the organization’s known app or type its official address yourself.

Messages in Teams

The same rule applies to Teams chats and channels: do not open an unexpected link or attachment merely because it appears inside a Microsoft product. Microsoft includes Teams in its consumer warning and Safe Links coverage documentation. Preview the destination where the client allows it, verify the request through a separate channel, and report a suspicious message using your organization’s established Teams or security workflow.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What to do when the link is suspicious

  1. Leave it unopened. Do not test the link in a private window, on a spare device, or after disabling security controls. Those actions do not make an untrusted destination trustworthy.
  2. Do not reply with information. Avoid sending passwords, one-time codes, payment details, identity documents, or internal files in response to the message.
  3. Verify independently. Use a bookmarked official site, a phone number from a contract or statement, or a colleague’s known contact method. Do not use contact details supplied in the suspicious message.
  4. Report it. Use your email application’s Report phishing or equivalent control. Microsoft provides Outlook-specific and other-client reporting guidance in its phishing help. Reporting gives the service and your organization information to investigate and improve filtering.
  5. Preserve useful evidence. If your organization has a security team, retain the message as directed by its procedures. Do not forward it broadly, because forwarding can expose colleagues to the same link.

A warning from Safe Links, your mail client, or your browser is a stop signal. Microsoft’s Safe Links documentation describes warning pages for suspicious messages, phishing attempts, malicious websites, scans in progress, and errors. Do not override a warning simply because the message uses Microsoft branding or a Microsoft-looking wrapper.

If you already clicked or entered information

You clicked but did not submit anything

Close the page, avoid downloading files, and notify your organization’s IT or security team if the message involved a work account or device. Do not return to the message to investigate further. Your security team can determine whether additional device or account checks are needed.

You entered a password or other credentials

Contact your organization’s IT or security team immediately if the account is managed by work or school. Follow the organization’s compromised-account process and change the affected password through a known, independently reached account page, not through the suspicious message. If it is a personal Microsoft account, use Microsoft’s official account-recovery guidance reached independently. Do not ask someone to revisit the suspicious link to “confirm” what happened.

You supplied payment or identity information

Contact the relevant bank, payment provider, or identity-support service through a trusted phone number or official app. Tell your security team what was submitted and when. Prompt reporting can help the organization revoke sessions, reset credentials, investigate mail rules, and warn other recipients.

Guidance for Microsoft 365 administrators

Set expectations about Safe Links coverage

Document which licenses, users, policies, and applications receive Safe Links protection. Microsoft’s documentation covers email, Teams, and supported Office apps, but the exact behavior depends on the policy applied to the user and the organization’s product configuration. Explain that rewritten URLs are an intermediary control and that the original URL may be visible in a hover preview.

Keep warnings actionable

Tell users what to do when a warning appears: stop, capture the message according to policy, and report it. Avoid language suggesting that a warning-free click is guaranteed safe, because Microsoft documents conditions in which Safe Links protection may not trigger.

Use allow lists sparingly

Do not add your Microsoft 365 domains to allowed senders or allowed domains merely to solve delivery complaints. Microsoft’s tuning guidance warns that this can allow malicious messages that filtering would otherwise block. Investigate the specific sender, authentication results, and policy interaction instead.

Common situations and the safest response

Situation Safe response
The visible text says “Microsoft 365 sign-in,” but the hover destination uses an unrelated registrable domain. Do not open it. Navigate independently to the service and report the message.
The URL is wrapped in a Microsoft Safe Links address. Use the preview to inspect the original destination and remember that the wrapper is a protective intermediary, not proof of identity.
The sender passes SPF, DKIM, or DMARC, but the domain is a lookalike. Treat authentication and identity separately. Verify the sender and request through a known channel.
A Safe Links warning appears for a message you expected. Stop and ask the sender through an independent contact method or your security team. Do not bypass the warning.
A colleague’s familiar account sends an unusual urgent request. Assume the account or display name could be impersonated or compromised until independently verified.
You cannot safely preview the destination on your device. Do not open the link. Use the organization’s official app or site reached without the message.

Limits of URL inspection

Visual inspection can expose a mismatched domain, deceptive link text, or an unexpected redirect, but it cannot prove that every page or file is harmless. A legitimate domain can host user-generated content, an account can be compromised, and a malicious operator can register a convincing lookalike domain with valid authentication records. The practical goal is risk reduction: avoid unexpected links, verify important requests independently, and report messages that do not fit the context.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft’s guidance supports caution rather than a promise that one check catches every attack. When you are unsure, leaving the link unopened is the correct outcome.

A compact decision rule

  • Expected message, matching destination, ordinary request: still inspect the destination and use normal account protections.
  • Unexpected message or mismatched domain: do not click; verify independently and report it.
  • Microsoft-looking wrapper or branding: treat it as a clue about a security service or presentation, not proof that the final destination is safe.
  • Authentication passes but the identity is uncertain: continue with independent verification; SPF, DKIM, and DMARC do not settle the identity question by themselves.
  • Credentials already submitted: contact IT/security or the official account-recovery service immediately, using a route that does not depend on the suspicious message.

The reliable habit is simple: inspect the destination without opening it, compare the real domain with the claim, and stop when the message or request does not make sense. Microsoft branding and Microsoft-related hostnames can support a security workflow, but neither replaces that check.
