How to Spot Phishing Emails and Fake Refunds After a Travel Booking Hack

A booking number, hotel name, travel date, or exact fare does not prove a refund message is genuine. After a reservation system is hacked or its data is exposed, criminals can use those real details to make a convincing email, text, in-app message, or phone call. Treat an unexpected cancellation or refund demand as untrusted until you verify it outside the message.

Do not click its link, call its number, open an attachment, reply with a code, or send money. Open the airline, hotel, or booking platform’s official app or type its known web address yourself, inspect the reservation and refund status, then contact the provider through a phone number or chat channel you found independently. Never pay a surprise “refund,” rebooking, or release fee by wire transfer, gift card, cryptocurrency, or payment app.

The quickest way to tell whether the message is safe

Use this sequence whenever a travel message creates pressure:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Pause. Do not interact with the message or its attachment.
  2. Open a trusted channel. Launch the provider’s official app or type its address yourself rather than following a link in the message.
  3. Check the booking. Look for the reservation, payment status, cancellation notice, and any refund case in your account.
  4. Confirm independently. Call or chat using a number or contact route on the official site, a booking confirmation you already trusted, or your card statement.
  5. Refuse unusual payment. A legitimate refund should not require you to send a new payment through an irreversible method just to receive money you are owed.

If the provider cannot confirm the notice, assume it is a phishing attempt and preserve the evidence.

Why a real booking detail can appear in a fake message

A data exposure can reveal names, travel dates, confirmation numbers, room or flight details, and prices. Criminals use those fields to personalize a lure. The information may be accurate because it came from a compromised account, partner, inbox, or reservation system; it is not proof that the sender is the airline, hotel, or booking platform.

The visible sender name and logo are also weak evidence. An attacker can display a familiar name, register a look-alike domain, copy a real template, or place a deceptive phone number in a message. The Federal Trade Commission warns that travel phishing emails can look as if they came from an airline or hotel a traveler recognizes. Its definition of phishing is a message that appears to come from a known source and seeks identifying information that can be used to invade accounts or open new ones.

Think of the message as a claim that needs independent confirmation. A correct confirmation number answers only “does this booking exist?” It does not answer “who sent this?” or “where will my payment go?”

Red flags in travel phishing and fake-refund messages

Unexpected urgency

Scammers try to eliminate the time you would normally spend checking. Common deadlines include “your reservation will be deleted today,” “your payment failed,” “your refund expires in one hour,” or “confirm now to keep the room.” A genuine disruption can be time-sensitive, but urgency is a reason to verify through another channel, not a reason to obey the message.

Look-alike identity

Inspect the complete sender address, not just the display name. Be cautious with extra words, substituted characters, unusual top-level domains, misspellings, or a domain that belongs to a separate company. A logo, branded colors, or a familiar signature can be copied. Search results can also contain paid listings or look-alike pages, so do not use an advertisement or an unfamiliar result as your verification source.

Requests for secrets

Unexpected demands for a password, full card number, security code, one-time login code, passport details, or a photograph of identity documents are strong warning signs. A one-time code is not a harmless “verification” detail: it can authorize a login or payment while you are speaking to the criminal. Enter credentials only after navigating to the provider yourself, and never disclose a code to a caller or message sender.

Irreversible payment methods

Wire transfers, gift cards, cryptocurrency, and payment-app-only requests are classic scam indicators because recovery is difficult once the money is sent. The same warning applies to a request to “pay a small fee” before a refund is released, to transfer money to a personal name, or to use a different card than the one used for the reservation. Do not let a low amount make the request seem safe.

An unverifiable refund story

A credible provider should be able to identify the reservation, explain the applicable cancellation or refund terms, and give you a case or transaction record that the provider itself can locate. A sender who refuses to provide policy details, gives only a chat screenshot, changes the story, or cannot be confirmed by an official representative has not established that a refund is real.

Step-by-step verification without using the suspicious message

  1. Stop all interaction. Do not click, reply, call, download, or forward the message to another person for testing. If it is open in a browser, close the tab without entering information.
  2. Navigate independently. Use the official app already installed on your device or type the address you know into the browser. Do not copy an address from the message, a QR code, or a search result that you have not checked.
  3. Sign in and inspect the reservation. Check whether the itinerary is still active, whether a payment failed, whether a cancellation exists, and whether a refund case appears in the account. Look for the same status in the provider’s normal message center, if it has one.
  4. Review the original payment record. Compare the transaction on your card or bank statement with the amount and merchant shown in the message. A mismatch does not by itself prove fraud, but it is a reason to stop and ask the issuer or provider.
  5. Contact the provider independently. Use the phone number on the official website, a booking confirmation you already trusted before the suspicious message, or the payment-card statement. Tell the representative the exact sender address, subject, callback number, and claim being made. Ask whether the provider sent it and whether any action or payment is actually due.
  6. Record the result. Save the original email, full headers, text screenshots, URLs, receipts, case numbers, and chat logs. Note the time, sender address, domain, payment destination, and any account changes. These details help the provider, bank, and investigators connect the message to the transaction.

How the scam changes across email, SMS, in-app messages, and phone calls

Channel Typical impersonated party Requested action Link or callback risk Common payment demand Independent verification route Chance of reversal after payment
Email Airline, hotel, booking platform, or “refund department” Click a refund or cancellation link; upload identity or card data Look-alike domain, attachment, or phone number in the signature Wire, gift card, cryptocurrency, payment app, or a new card charge Official app or site, then a number from that site or a trusted confirmation Depends on the payment rail; irreversible methods are often difficult to recover
SMS Carrier, hotel, or reservation support Tap a short link to “keep” or “restore” a booking Shortened URL hides the destination; reply may confirm your number Payment-app transfer, card details, or a small “verification” fee Check the reservation in the official app and call the provider independently Fast reporting may help; recovery is harder after a completed transfer
In-app message Platform support or a host account Move the conversation off-platform or pay outside the reservation flow External link, QR code, or request for a personal phone number Bank transfer, cryptocurrency, gift card, or direct payment Use the platform’s official support entry point and reservation record Off-platform payments generally have fewer protections than the original booking channel
Phone call Fraud team, airline desk, hotel manager, or bank representative Read a one-time code, install software, or “secure” funds Caller ID can be spoofed; caller supplies a number to dial back Wire, payment app, gift card, or transfer to a “safe” account Hang up and call a number from the official site, trusted confirmation, or card statement Immediate contact with the bank or service may permit a stop; there is no guarantee

Four fake-refund stories and the safe response

“Your hotel payment failed—pay again to keep the room.”

Open the reservation through the official app or site and check the payment status. If the booking is genuinely at risk, the provider’s own account page or independently confirmed support agent can explain the next step. Do not pay through a new link or send money to a person.

“Your flight was canceled—pay a rebooking or service fee.”

Verify the flight directly with the airline or the booking company that issued the ticket. Ask which itinerary was canceled, what alternatives exist, and whether a fee is authorized under the ticket terms. A caller who demands immediate payment through a wire, gift card, cryptocurrency, or payment app is not made legitimate by knowing your flight number.

“Your refund is waiting—confirm your card or identity here.”

Check the refund case in your account and ask the provider what information it actually needs. Do not enter a full card number, security code, password, or one-time code into the supplied page. A page that asks for more secrets than the provider can explain is a credential- or payment-harvesting attempt.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“Your booking will be deleted today unless you verify.”

Ignore the deadline and inspect the booking independently. If the account shows no cancellation, report the message. If it does show a problem, resolve it through the provider’s authenticated support route rather than the message’s link or number.

If you clicked, entered information, or paid

You clicked but entered nothing

Close the page and do not download anything it offered. Update the device and browser, run the security checks available on your device, and watch for follow-up messages. If a file was downloaded or a program was installed, disconnect the device from sensitive accounts until it has been checked.

You entered a password or one-time code

Change the exposed password immediately, beginning with your email account because it can reset other accounts. Use a unique password and enable multifactor authentication where available. Sign out other sessions, review recovery email addresses and phone numbers, remove unfamiliar devices or applications, and inspect recent sign-ins and transactions. If the same password was reused elsewhere, change those accounts too.

You supplied card or bank details

Call the card issuer or bank using the number on the statement or card. Explain that the information was disclosed in a phishing attempt and ask what monitoring, replacement, or transaction controls are appropriate. Review pending and completed transactions frequently and report anything you do not recognize.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You sent money

Contact the card issuer, bank, payment app, or wire service immediately and ask whether the transfer can be reversed. The Federal Trade Commission’s recovery guidance is direct: “Ask them to reverse the payment and refund your money.” Do not wait for the scammer to answer or send an additional payment supposedly needed to unlock the first one. Recovery depends on the payment method and how quickly the provider can act, so there is no guaranteed outcome.

Contain the booking account after a suspected compromise

  • Change the booking account password and any reused password.
  • Secure the email account tied to the reservation, including its password, multifactor settings, forwarding rules, recovery methods, and active sessions.
  • Review the itinerary, stored payment methods, traveler profiles, loyalty balances, saved documents, and contact details for changes you did not make.
  • Remove unfamiliar devices, connected applications, and authorized support sessions.
  • Ask the airline, hotel, or booking platform to flag the account and reservation for suspected fraud and to confirm the correct contact details.
  • Tell other travelers on the reservation not to trust messages about the booking until the provider confirms the situation.

Preserve evidence and report the incident

Keep the original message in its original form when possible. For email, save the full headers rather than only a screenshot; headers can help show the sending infrastructure. Preserve the complete URL without opening it again, screenshots of the page, phone numbers, caller details, receipts, payment instructions, chat transcripts, and account-alert emails. Write down the exact time zone and time of each contact, the destination of any payment, and every password or account change you made.

Notify the real airline, hotel, or booking platform so it can protect the reservation and warn other customers. Notify your bank or card issuer even if no unauthorized charge has appeared yet. Report phishing or financial loss to the Federal Trade Commission at ReportFraud.ftc.gov, and use the relevant local law-enforcement or national cybercrime reporting channel. Give investigators the evidence package rather than deleting the message after taking a screenshot.

A practical decision rule for any future refund message

  • Real booking detail plus an unexpected request: treat as suspicious until the account and provider confirm it.
  • Pressure plus a secret request: stop; do not disclose credentials, card data, identity documents, or one-time codes.
  • Payment before refund: reject the request unless an independently verified provider explains the charge and the payment appears in the normal booking flow.
  • Any doubt: use the official app or a known contact route, not the message.

These checks work because they separate two questions scammers deliberately blur: whether your trip exists and whether the person contacting you is authorized to handle it. Verify the second question independently before you surrender access, identity information, or money.
