Do not click, reply, download, or share information from a suspicious Teams message. First inspect the sender and request, then verify the person or organization through a separate trusted channel. If it remains concerning, use the message’s More options menu, choose Report this message, select Security concern – spam, phishing, or malicious content, and select Report. The exact control depends on your organization’s Teams settings.
What phishing looks like in Microsoft Teams
Phishing is a deceptive message intended to make you reveal information, send money, install something, or open a harmful link or file. In Teams, the message may arrive as a chat, group conversation, or channel post. The sender can pretend to be a colleague, supplier, manager, help-desk worker, recruiter, or another organization.

A Teams warning can add useful context, especially for a new external contact, but it is not a complete safety decision. A message without a warning can still be fraudulent, and a warning does not prove that the sender is malicious. Judge the identity, request, timing, and destination together.

| Signal | Why it deserves attention | Safe response |
|---|---|---|
| Unfamiliar, infrequent, or externally marked sender | The account may be impersonating someone or may not be who the display name suggests. | Inspect the actual name and email address; verify the person independently. |
| Urgent demand or threat | Pressure is designed to prevent normal checking, such as “pay now,” “your account will close,” or “keep this confidential.” | Stop and confirm through a known channel before acting. |
| Request for money, passwords, verification codes, or personal information | These are valuable targets and are rarely appropriate to provide in an unexpected chat. | Do not disclose the information. Use your organization’s established process. |
| Unexpected link, attachment, or sign-in page | The destination may steal credentials, deliver malware, or redirect you to a counterfeit service. | Do not click or open it. Navigate independently if access is genuinely needed. |
| Impersonation or mismatched context | The wording, role, project, or request does not fit what you know about the supposed sender. | Ask the real person through another communication method. |
| Spelling or formatting anomalies | Errors can be a clue, but polished messages can also be fraudulent and a typo alone proves nothing. | Treat writing quality as one minor signal, not a decision rule. |
Inspect the sender instead of trusting the display name
Open the profile and read the address
A display name is easy to copy. Check the sender’s profile and the email address shown for the account. Look for an unfamiliar domain, a subtle substitution, or a person you rarely contact. Compare the address with a known address from your directory, a previous verified conversation, or an official company page you reach independently.
Be cautious with lookalike identities. An attacker might use a familiar name, a similar spelling, a newly created account, or a personal address while claiming to represent your employer or a supplier. An external label is a reason to check more carefully, not proof that the message is unsafe.
Do not let a complete profile, logo, job title, or familiar writing style settle the question. Those details can be copied or obtained from public information. The useful question is whether the account and request match information you can confirm outside the suspicious conversation.

Check whether the request fits the relationship
Ask whether this sender normally contacts you in Teams, whether the subject belongs to your work, and whether the requested action follows your organization’s normal approval path. A finance request from someone who has never handled payments, or a sudden request from an executive to buy gift cards, needs independent confirmation even if the profile looks familiar.
Consider the combination of signals rather than assigning points or a numerical score. An ordinary link from a known colleague may need only routine care; an unexpected external sender asking for a payment, password, or verification code deserves a much stronger pause.
Verify the request through a separate trusted channel
Do not use the suspicious message’s link, phone number, reply button, or contact details to verify it. Those details may be controlled by the same attacker. Instead, choose a channel you already trust.
- For a colleague, call a known number, start a fresh conversation from your directory, or ask in person.
- For a supplier or customer, use the contact information in an existing contract or approved vendor record.
- For a purported bank, cloud service, or government office, type the organization’s known web address yourself or use a saved bookmark; do not follow the message’s sign-in link.
- For a payment or account-change request, use the organization’s documented approval and callback process.
Ask a neutral confirmation question that does not reveal what the suspicious sender told you. For example: “Did you send a Teams message asking me to change the bank details?” A legitimate contact can confirm or deny the request without asking you to click the original content.
Verification should be independent in both direction and source. Starting a new Teams chat from a directory entry is different from replying to the original thread, but a known telephone number, an approved vendor record, or an in-person check may be stronger when money or credentials are involved.
Do not interact with unexpected links or files
Preview text is safer than opening content, but it does not make a destination trustworthy. Do not click an unexpected link merely to inspect where it goes, and do not open an attachment to see what it contains. A link can lead to a counterfeit sign-in page even when the visible text appears familiar. A document can contain malicious content or instructions designed to bypass your organization’s controls.

If you genuinely need the referenced document or service, reach it independently through a known bookmark, your organization’s normal application launcher, or a verified contact. Do not enter a password, one-time verification code, payment-card number, bank detail, or other sensitive information into a page reached from the suspicious message.
Previewing a message can help you read its context without accepting a conversation, but previewing is not a guarantee of safety. Read only what Teams displays without activating links, downloading files, or following instructions in the message.

Report a suspicious Teams message
Microsoft’s documented reporting path applies to a concerning chat or channel message when your organization has enabled the feature.
- Go to the chat or channel containing the message.
- Open the message’s More options menu.
- Select Report this message.
- Choose Security concern – spam, phishing, or malicious content.
- Select Report.
- Look for the confirmation that the report was sent.
Do this after preserving any details your security team may need, but do not continue the conversation while you investigate. Reporting does not require you to reply to the sender. If the message is in a channel, report the specific post that contains the suspicious request or content rather than trying to resolve it publicly.
A confirmation means the report was submitted through Teams; it is not a promise that the sender has already been removed or that every related message has been investigated. Continue to follow your organization’s security process for urgent, financial, or account-compromise situations.
When the reporting option is missing
The menu and available reasons vary by organization. Your administrator may have disabled reporting, limited it to particular users, or configured a different security workflow. If Report this message or the security-concern reason is absent, do not assume the message is safe. Follow your organization’s incident-reporting instructions or contact the Teams administrator using a known internal channel.

That option is for a trusted message that was incorrectly flagged, not for disputing a suspicious message without verification.
If a trusted message was flagged
When you recognize the sender and independently confirm the content, open the flagged message, select More options, and use the option to report it as not a security concern when Teams provides that choice. Microsoft limits that route to messages with URL warnings, so its absence does not indicate that the original message is malicious or legitimate. If you are not certain, leave the warning in place and use your organization’s normal security contact instead of accepting the conversation casually.
Understand Teams warnings and their limits
Teams can show context-aware phishing-content warnings for some external conversations. Microsoft describes this protection as available worldwide on mobile, desktop, and web for one-to-one and group chats involving new external first-time contacts. Microsoft also describes additional phishing and fraud protection for mobile users in China.

This scope does not mean every Teams message is checked in the same way. Internal conversations, established contacts, channel posts, and other situations may have different signals or no warning at all. Treat a warning as evidence to examine the message more carefully, not as a guarantee that every other message is safe.

For a separate external-chat warning about possible spam, phishing, or impersonation, Microsoft advises checking the sender’s name and email address, previewing the message, and accepting the conversation only when you trust the sender. Choosing Block stops further Teams communications from that sender.
Blocking and reporting serve different purposes. Blocking stops further Teams communications from the account; reporting sends the concern through the organization’s configured handling process. When phishing is confirmed, use both controls when they are available and consistent with workplace procedure.
If phishing is confirmed
Microsoft’s guidance is direct: “If phishing is confirmed, don’t engage with the user.” Do not argue with the sender, ask for an explanation, or test additional links. Use the reporting workflow, and block the user from the contact card when that control is available.
After reporting, delete the suspicious message if your organization’s procedure permits it. If your security team asks you to preserve evidence, retain the message, sender address, timestamps, links, and attachments as instructed instead of deleting them.
If the same account contacts you again, do not treat a second message as independent confirmation. It may be part of the same attempt. Record the new contact and notify the security team according to the same process.
If you clicked, opened, or replied
Act promptly, but avoid improvising a recovery process that conflicts with workplace policy.
- Stop interacting with the message. Do not provide additional information or follow-up codes.
- Record what happened: the message, sender, time, link or file, and any information you entered or sent.
- Report the Teams message and notify your organization’s security or help-desk channel immediately.
- If you entered a work password, follow your organization’s approved credential-change and account-recovery process.
- If you disclosed payment or financial information, contact the responsible finance or fraud team through a known channel.
- If a file ran or your device behaves unexpectedly, disconnect it from networks only as your organization’s incident procedure directs and contact support.
There is no single recovery sequence that applies to every workplace. Your organization may require specific evidence, resets, device isolation, or escalation steps, so use its instructions as the authority.
Include where the interaction occurred when you report it: Teams chat, group conversation, or channel; which account contacted you; and whether you clicked, opened, replied, or shared anything. If you are unsure what was exposed, say so plainly rather than guessing. Prompt, accurate details help your security team choose the appropriate response.

Examples: how the same cues combine
“Urgent invoice” from a supplier
An external contact sends a payment request with a new bank account and a deadline in the next hour. The combination of an external sender, financial request, urgency, and possible account-change fraud is high risk. Do not open the attachment or use the supplied phone number. Verify the change through the supplier record and your payment-approval process, then report the Teams message.
“Your account will be disabled” sign-in link
A message claims that you must sign in immediately to avoid losing access. The threat and unexpected link are warning signs. Open the service through your normal bookmark or application launcher and check for an alert there. If no independent confirmation exists, report the message and do not enter credentials into its page.
Familiar colleague requesting a verification code
A known colleague’s account may have been compromised, or someone may be impersonating them. A request for a one-time code is sensitive even when the name is familiar. Call the colleague or use another trusted method, and never send the code through Teams.
Unexpected shared document
A message says a document contains a disciplinary notice, contract, or payroll change and asks you to enable content or sign in. The emotional subject and file action are designed to rush you. Verify the document through the normal records system or the supposed sender’s known contact details.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →A polished message from a new external contact
The message has perfect spelling, a professional logo, and a plausible request to review a file. Those qualities do not establish authenticity. A first-time external contact and an unexpected file still require independent verification. If Teams displays a warning, inspect the sender and preview the content without accepting or opening it until you trust the source.
Common mistakes that make phishing worse
- Trusting a familiar name: identity is established by the account and independent confirmation, not the display name alone.
- Clicking to inspect a URL: do not use the suspicious destination as an investigation tool.
- Assuming a warning is the only test: messages without warnings still require judgment.
- Using spelling as a verdict: errors are only a possible clue; professional writing can still conceal fraud.
- Replying to challenge the sender: engagement can confirm that your account is active and gives the attacker another opportunity.
- Deleting before reporting: your organization may need the original message and metadata.
- Using a search result or number from the message to verify an organization: reach the official service independently.
- Assuming a blocked sender is fully investigated: blocking limits further Teams communication but does not replace reporting or other organizational controls.
A practical decision path
- Pause. Do not click, open, reply, pay, or share information.
- Inspect. Check the sender’s actual address, external status, request, timing, and destination.
- Verify. Contact the person or organization through a trusted channel you selected independently.
- Report. Use More options → Report this message → Security concern – spam, phishing, or malicious content → Report.
- Escalate. If the control is missing, use your organization’s security procedure or contact its administrator.
- Recover. If you interacted with the message, preserve the details and notify the appropriate security team immediately.
If the message involves money, credentials, or a verification code, treat independent confirmation as mandatory even when the sender appears familiar. If it involves only an unexpected document or link, the same pause-and-verify habit still applies.
What Teams reporting can and cannot do
Reporting sends the concern into the organization’s configured handling process; it does not replace identity verification, payment controls, password hygiene, or incident response. Microsoft does not provide a universal statistic in the cited guidance for Teams phishing prevalence, warning effectiveness, or reporting outcomes, so a warning or submitted report should not be interpreted as a measured guarantee of protection.
The safest habit is consistent: treat unexpected requests as untrusted until independently confirmed, avoid disclosing sensitive information, and use the reporting control whenever it is available.
Frequently Asked Questions
Is a Teams phishing warning proof that a message is malicious?
No. A warning is useful context, but it is not a final verdict. Check the sender’s name and email address, the request, and the surrounding context. Messages without warnings can still be fraudulent.
Best Value
What should I do if I do not see “Report this message”?
Reporting controls depend on your organization’s Teams settings. Do not assume the message is safe. Follow the organization’s security-reporting procedure or contact a Teams administrator through a known internal channel.
Should I reply to the sender to verify the request?
No. Do not use the suspicious message, reply button, supplied phone number, or link to verify it. Contact the person or organization through a separate trusted channel.
Can I click a link just to see where it goes?
No. The destination itself may be counterfeit or harmful. If access is genuinely needed, open the service through a known bookmark, your normal application launcher, or an independently verified website.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsWhat does blocking a sender do in Teams?
Microsoft says choosing Block for the external-chat warning stops further Teams communications from that sender. Blocking does not replace reporting or your organization’s incident process.
Can I report a message as “not a security concern”?
Microsoft says that option is available only for messages with URL warnings. Use it only after independently confirming that a trusted message was incorrectly flagged.
What if I already clicked, opened a file, replied, or shared information?
Stop interacting, record what happened and what information was shared, report the Teams message, and notify your organization’s security or help-desk channel immediately. Follow its approved password, account-recovery, financial-fraud, or device-response procedure.
Should I delete a suspicious message after reporting it?
Microsoft’s general guidance says to delete it after reporting, but preserve it instead if your organization’s security team asks for evidence or its procedure requires retention.
