In the United States, an electronic signature can have legal effect, but whether a particular signature is valid depends on the transaction, your intent, the applicable law, and any requirements set by the document issuer.
How to sign a PDF without printing it
- Open the PDF in an editor or e-signature app. Choose one that lets you fill in forms and add a signature. Available controls vary by app.
- Complete the form and locate the signature area. Use the designated signature field if there is one. If not, follow the sender’s directions about where to sign.
- Add your signature. Depending on the app and the recipient’s instructions, type your name, draw a mark with a mouse, finger, or stylus, or insert an image of your handwritten signature. These are methods described in Section508.gov’s PDF signature guidance.
- Review and save the signed PDF. Check that the form is complete and the signature appears in the right place. Save or export the finished file, and keep a copy. Confirm how the recipient wants you to return it; not every recipient accepts every signing method.
Using a certificate-based signature in Acrobat
If the recipient or workflow calls for a certificate-based digital signature, Adobe’s documented Acrobat path is All tools > Use a certificate > Digitally sign. Select or configure a Digital ID, sign, and save the PDF. Acrobat also documents an option to lock the document after signing. Interface labels may change; see Adobe’s instructions for adding digital signatures to PDFs.

Accessibility when completing PDF forms
Accessible PDF signature forms should work with keyboard-only navigation, use a logical tab order, and give clear instructions and cues. If you cannot reach or identify the signature control, ask the form provider for an accessible version or an alternative signing process.
Can you type your name on a PDF and have it count as a signature?
Sometimes. A typed name can be an electronic signature when it is used with the intent to sign and is associated with the relevant record. Under the US federal ESIGN Act, an electronic signature is not limited to a handwritten-looking image: the definition includes an electronic sound, symbol, or process attached to or logically associated with a contract or record and adopted with intent to sign. A name typed into a signature field may therefore serve as a signature, but appearance alone does not settle whether it meets the rules for a particular transaction.

Intent and attribution matter. The recipient, a contract, an agency rule, or applicable state law may require a particular process or stronger evidence of who signed. Follow the form issuer’s instructions and use a more controlled signing workflow if the document calls for one.
What makes an electronic signature legally valid in the United States?
Federal baseline: ESIGN
The federal Electronic Signatures in Global and National Commerce Act (ESIGN) applies to covered transactions in or affecting interstate or foreign commerce. Under 15 U.S.C. § 7001(a)(1), “a signature, contract, or other record relating to such transaction may not be denied legal effect, validity, or enforceability solely because it is in electronic form”. Section 7001(a)(2) also says a contract cannot be denied effect solely because an electronic signature or record was used in its formation. Read the 2023 edition of 15 U.S.C. Chapter 96 from the US Government Publishing Office.

This is a rule against rejecting a covered signature solely for being electronic; it is not a guarantee that every electronic mark satisfies every legal or procedural requirement. State law and rules for a particular transaction can matter as well. Adobe’s US overview of electronic-signature law describes UETA’s adoption in 49 states, the District of Columbia, Puerto Rico, and the US Virgin Islands, and New York’s separate ESRA framework. That vendor overview is not a substitute for checking the law that governs your document.
Consumer disclosures have additional consent rules
When a law requires a consumer disclosure to be provided in writing, ESIGN includes additional provisions for electronic delivery. These include affirmative consent to receive the disclosure electronically, information about paper options and withdrawal of consent, disclosures about access and retention requirements, and electronic confirmation that the consumer can access the information in the required format. A signature mark by itself does not establish that these separate requirements have been met.

Some documents and proceedings have special rules
ESIGN has statutory qualifications and exceptions. Adobe’s US legal overview identifies examples such as wills, codicils, testamentary trusts, adoption, divorce, and other family-law matters. State law, a court or agency, the contract, or the recipient may impose additional requirements. Do not assume that an ordinary PDF-signing method is sufficient for a document in one of these categories; check the governing rules and the recipient’s instructions.
Electronic signatures and digital signatures are not the same thing
| Method | What it involves | When to consider it |
|---|---|---|
| Simple electronic signature | A typed name, drawn mark, image of a handwritten signature, or another electronic process used with intent to sign. | When the recipient accepts the method and the transaction does not call for a more specific process. |
| Certificate-based digital signature | A digital certificate from a trust service provider or certificate authority authenticates identity and is cryptographically bound to the document. | When a workflow calls for stronger identity evidence or document-integrity controls, or the recipient specifically requires a certificate-based signature. |
Adobe describes certificate-based signatures as a distinct signature type and explains how Acrobat can validate one and lock a signed PDF. A certificate can help link an identity to a document, but it is not automatically required for every signature, and software alone cannot decide whether a signature meets all legal requirements. See Adobe’s overview of signature types.

Keep the signed record accessible and reproducible
For records covered by ESIGN’s retention provisions, the electronic record must accurately reflect the information in the contract or record and remain accessible to people entitled to access it. Where a law requires a record to be retained, it may not satisfy that requirement if it cannot be retained and accurately reproduced for later reference. Save the completed PDF in a form you can open and provide again, and retain the associated signing record if your workflow creates one.

When a particular signing workflow is required
Some documents have rules beyond the general federal baseline. For example, IRS guidance for Forms 8878 and 8879 addresses electronic signing through an Electronic Return Originator (ERO) using software with identity verification. In that covered workflow, the electronic record must be tamper-proof, and the ERO must capture specified records. This is an agency-specific process, not a rule for signing PDFs generally. Check the IRS FAQ for e-file signature authorization if you are signing one of those forms.

How to choose a signing method
- Start with recipient acceptance. Follow the form issuer’s instructions and check any special rules for the document and jurisdiction.
- Match identity checks to the workflow. A typed or drawn mark may be accepted for a routine agreement; use identity verification or a certificate-based signature when the process calls for it.
- Consider document integrity and records. If it matters that changes be detectable or that a signing history be retained, choose a workflow that provides suitable integrity features and records.
- Check accessibility and usability. Make sure you can navigate the fields and signature control, including by keyboard if needed.
