When an AI service rejects a request as too long, count the complete request for the exact model and interface, remove low-value or repeated material, count again, and leave room for the answer. Keep the task, non-negotiable constraints, evidence, and required output format. If the necessary material still cannot fit, process it in coherent sections and carry a compact, fact-preserving summary into a final prompt.
There is no universal “maximum number of words.” Context limits differ by model, version, endpoint, message format, attachments, conversation history, generated output, and—in some systems—internal reasoning tokens.

What a context-window error means
An AI model’s context window is the amount of tokenized information it can use for one request. It may include your current instructions, previous messages, tool definitions, response schemas, uploaded files, images, and the space reserved for the model’s answer. A request can therefore fail even when the visible prompt looks short, and a prompt that fits one model may fail on another.

The remedy depends on which part of the request consumed the available space.

The four quantities to distinguish
| Quantity | What it includes | Why it matters |
|---|---|---|
| Input tokens | Your instructions, conversation history, files, images, tool and schema definitions, and other request fields | These are the tokens the model must read before generating an answer. |
| Output allowance | The maximum response tokens you request or the interface reserves | Input plus possible output may have to fit within the model’s context allocation. |
| Reasoning tokens | Internal deliberation used by some reasoning models | Some APIs count them toward the context budget even though you do not see them. |
| Conversation state | Earlier turns, tool results, cached prefixes, and retained instructions | A short new message can overflow because the conversation already contains a large history. |
Do not diagnose the problem from a word or character count alone. Tokenization changes with language, spelling, capitalization, punctuation, code, and the surrounding text. OpenAI’s help documentation gives rough English planning figures of about four characters per token, about three-quarters of a word per token, and about 100 tokens per 75 words. Those are estimates, not a certification that a request fits.
Count the complete request before cutting text
The first useful action is measurement against the target model, not guesswork. Use the provider’s tokenizer, input-counting endpoint, SDK helper, or the usage information returned by a test call. Select the same model, endpoint, message roles, tools, response format, files, and images that the production request will use.
What to include in the count
- Every system, developer, and user message, including repeated rules inherited from earlier turns.
- Tool declarations, function parameters, JSON schemas, and response-format definitions.
- Conversation history that the service sends again, even if it is collapsed in the user interface.
- Text extracted from PDFs, web pages, spreadsheets, or other uploaded files.
- Images or other multimodal inputs, which may be represented with model-specific token costs.
- The requested maximum output and any reasoning-token allowance documented for the endpoint.
A practical measurement sequence
- Identify the exact model and interface. Record the model name or snapshot, API endpoint or chat product, region or edition when relevant, and the date of the documentation you are using. Limits and overflow behavior can change between model versions.
- Freeze the real request. Export the actual messages and attachments rather than measuring a simplified copy. Include automatic conversation history and hidden-looking configuration that your client sends.
- Run the provider’s count. If the service offers an input-token endpoint or tokenizer, use it with the same encoding and model. If it reports input, output, and reasoning separately, save all three figures.
- Compare the total with the documented allocation. A request that is barely below the ceiling may still fail or truncate because the answer needs space. Treat the limit as a boundary, not a target.
- Set a headroom budget. Reserve enough capacity for the shortest useful answer, expected reasoning, tool results, and modest growth in conversation state. The exact reserve is application-specific; do not assume a universal percentage.
- Count again after every major edit. A shorter-looking rewrite can tokenize less efficiently, while a compact table or code block can add structural tokens.
OpenAI’s concise remedy is “Shorten or rephrase the prompt.” That instruction is useful only after you know what the complete request contains. Deleting visible prose while leaving a huge chat history, schema, or attachment unchanged may not solve the overflow.
Remove low-value material in a safe order
Shortening works best when you remove information that cannot change the required answer before touching evidence or hard constraints. Make a copy of the original prompt, then edit in passes so that every deletion is reversible.
Pass 1: eliminate duplication
- Keep one authoritative statement of the task; delete repeated versions in the system, user, and follow-up messages.
- State a constraint once. For example, write “Use valid HTML and return only the specified JSON fields” rather than repeating the same rule after every section.
- Remove duplicated source passages, repeated chat turns, and pasted answers that no longer affect the current decision.
- Replace long lists of synonymous adjectives with one measurable requirement.
Pass 2: remove non-decision-making background
Ask of each paragraph, example, and data field: “Would the answer change if this disappeared?” Delete scene-setting, historical detail, unused metadata, and examples that illustrate a rule already stated. Keep background when it changes interpretation, safety, eligibility, calculations, or the requested format.

Pass 3: compress wording without weakening meaning
Use direct verbs, labels, and compact lists. Replace “It is important that the response should, wherever possible, make sure to” with “The response must.” Combine related constraints into a single bullet, and use a small table when repeated labels would otherwise consume space. Do not remove qualifiers such as dates, units, geographic scope, confidence, exceptions, or source attribution; those are often the facts that prevent a wrong answer.
Pass 4: remove stale conversation state
Start a new conversation or summarize earlier turns when old context is no longer needed. Retain decisions, unresolved questions, definitions, and user preferences that still govern the task. Do not assume a collapsed history is free: if the client sends it, it counts.

What must survive trimming
- The single-sentence goal and the audience or decision the answer supports.
- Hard constraints: required exclusions, safety boundaries, jurisdiction, date range, version, and budget.
- Evidence needed to make the decision, including numbers and their qualifications.
- The desired output structure, fields, length range, and validation requirements.
- Known ambiguities and the rule for resolving them.
Reorganize the prompt before deleting essential evidence
A clear structure reduces repetition and helps a model distinguish instructions from reference material. Put the high-priority task first, then constraints, data, and output requirements. For long-context work, Google’s guidance says the specific question generally works better at the end, after the context. That placement helps the model encounter the complete reference before the final request, but it does not remove the need to count tokens.
A compact prompt pattern
Task: Decide which configuration meets the stated requirements and explain the trade-offs for a technical reader.Constraints:- Use data dated 2026-10-17 or earlier.- Do not infer values that are not supplied.- Return a table followed by three bullet points.Evidence:<essential source facts only>Question: Based on that evidence, which configuration should be selected, and why?
Use explicit labels such as Task, Constraints, Evidence, and Output. Keep the labels stable across requests so a template can be maintained centrally. If a field is optional, omit it instead of sending an empty explanation.
Convert prose rules into testable requirements
“Be comprehensive” is expensive and ambiguous. “Cover causes, recovery steps, and one limitation in 600–800 words” is easier to follow and easier to validate. Replace subjective instructions with observable checks: required headings, permitted sources, exact units, number of examples, or a JSON schema. This often saves tokens while improving reliability.

Separate instructions from source text
Use delimiters or labeled sections so the model can tell what it may quote from and what it must obey. Do not repeat the same instruction immediately before and after a large document. If the source contains instructions of its own, state which source instructions are data rather than commands.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteSplit material that genuinely cannot be cut
When every remaining passage is necessary, shortening is no longer the right operation. Process the material in coherent chunks, preserve the facts needed for synthesis, and use a compact intermediate representation in the final request. OpenAI recommends dividing large inputs into smaller parts for this situation.
Choose boundaries that preserve meaning
- Split by chapter, document, customer, time period, product, or other natural unit rather than by an arbitrary character count.
- Keep tables, captions, footnotes, and their headings with the rows or paragraphs they qualify.
- Use a small overlap only when a definition or argument crosses a boundary; excessive overlap recreates the original overflow.
- Give every chunk an identifier and record its date, source, and scope.
Use a map-and-synthesize workflow
- Define the final decision. Specify the claims, comparisons, calculations, or quotations the final answer must contain.
- Extract from each chunk. Ask for only the facts relevant to that decision, with source identifiers, units, dates, uncertainty, and conflicts.
- Normalize the extracts. Use the same field names and format for every chunk so that summaries can be compared mechanically.
- Resolve conflicts. Ask a separate pass to identify contradictions and preserve both values with their provenance instead of silently choosing one.
- Compress the intermediate record. Remove prose that does not affect the final decision, but retain caveats and citations needed to interpret each fact.
- Synthesize from the record. Send the compact extracts, the original decision criteria, and the final output requirements—not all of the raw documents again.
- Audit coverage. Check that every required section has evidence and that no chunk was omitted or counted twice.
When a summary loses too much
A summary is not automatically safe. It can erase exceptions, minority findings, units, or source dates. Require each extracted item to include its scope and provenance, and keep the raw chunk available for verification. For high-stakes work, have the final pass cite the chunk identifier supporting each material claim.
Provider-specific behavior to account for
Provider guidance describes different failure and management mechanisms. Apply the rule for the model and endpoint you actually use rather than treating one provider’s prompt formula as universal.
| Provider or model family | Documented behavior or advice | Practical response |
|---|---|---|
| OpenAI | Help documentation gives rough token estimates, warns that tokens are not words, and recommends removing unnecessary or repeated context or splitting large inputs. An API conversation can count input, generated output, and reasoning tokens; a large prompt may lead to truncated output. | Use the exact model’s tokenizer or counting method, reserve output and reasoning headroom, and inspect the endpoint’s current context and truncation rules. |
| Anthropic Claude | Input alone beyond the context window returns a 400 invalid_request_error stating “prompt is too long.” Documentation describes context compaction and context editing for growing conversations. Treatment of prior thinking blocks depends on the model, and cached prefixes still occupy context even when caching changes cost. |
Compact or edit old turns, then recount the resulting request. Do not assume caching makes a long context physically smaller. |
| Google Gemini | For long context, the question generally works better at the end after the context. Google advises omitting unneeded tokens and notes that longer queries generally increase time to first token. Caching can help repeated use of the same context. | Put the complete reference first and the focused question last, remove irrelevant material, and use caching for repeated context only when its context size still fits. |
Documentation and behavior can change by model snapshot and endpoint. Check the current model page before hard-coding a limit or assuming that an error will be handled by truncation, rejection, or automatic compaction.

Choose the right recovery method
| Situation | Best first move | Preservation risk | Operational cost |
|---|---|---|---|
| Repeated instructions or background | Deduplicate and rewrite into labeled requirements | Low, if hard constraints are retained | Low; usually one edit and recount |
| Large but mostly irrelevant source | Extract only decision-relevant passages or fields | Medium; verify that omitted context cannot change the answer | Low to medium |
| All source material is necessary | Chunk, extract, and synthesize | Medium to high; provenance and exceptions need auditing | Higher latency and multiple model calls |
| Growing multi-turn conversation | Compact or edit old turns, then start from the compact state | Medium; preserve unresolved decisions and definitions | Medium, with recurring maintenance |
| Same large context used repeatedly | Use provider-supported caching after confirming fit | Low for content, but caching does not expand the context window | Potentially lower repeated-input cost, with provider-specific behavior |
The comparison is about practical trade-offs, not a benchmark ranking. No shortening method guarantees a better answer: deleting context can improve focus or remove evidence the model needed.
Common mistakes and their fixes
Using a word-count target as proof
Symptom: A 10,000-word document is assumed to fit because a calculator says it is below a supposed limit.
Fix: Count the tokenized, complete request for the exact model and include messages, tools, files, output, and reasoning allowances.
Cutting constraints before repetition
Symptom: The request fits, but the answer violates a date range, format, safety rule, or exclusion.
Fix: Restore hard constraints and remove duplicated examples, adjectives, and background first. Mark non-negotiable requirements with a concise label.
Leaving the chat history untouched
Symptom: A newly shortened message still triggers overflow.
Fix: Inspect what the client actually sends. Compact old turns, remove obsolete tool results, or begin a new request with a verified state summary.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Filling the entire window with input
Symptom: The request is accepted but the response is truncated or unexpectedly brief.
Fix: Reserve output and reasoning headroom, then lower the input budget or explicitly request a concise response.
Best Value
Assuming cached content is free space
Symptom: A cached prefix lowers repeated-use cost but the request still overflows.
Fix: Treat cached tokens as part of the context unless the exact provider documentation says otherwise; caching changes reuse economics, not the physical meaning or size of the context.
Splitting in the middle of a concept
Symptom: Chunk summaries disagree or omit a definition found at a boundary.
Fix: Split on semantic units, attach headings and metadata, and use controlled overlap only where needed.
Trusting an unverified summary
Symptom: The final answer sounds coherent but contains an unsupported number or missing exception.
Fix: Preserve source identifiers, dates, units, and caveats in each extraction, then audit the synthesis against those records.

How to prevent the error in an application
Build context management into the request pipeline instead of waiting for a production rejection. Keep instructions in a versioned template, deduplicate inherited rules, and store conversation state as structured facts rather than an unbounded transcript. Before sending, run a model-specific counter and reject or compact requests that exceed a configurable input budget. Reserve output capacity separately, because a request that fits as input may still leave too little room for the answer.
For chunked workflows, persist chunk identifiers, extraction results, and conflict decisions. Make the final synthesis reproducible by recording which compact facts were sent. When a provider changes a model snapshot or endpoint, rerun representative counts and verify whether tool schemas, reasoning tokens, truncation, and caching are treated the same way.
