How to share your Outlook calendar availability with someone outside your organization

To let an external contact see when you are free without exposing meeting subjects or locations, share the calendar with the Can view when I’m busy permission. In new Outlook or Outlook on the web, open Calendar, select Share calendar, enter the person’s email address, choose that busy-only level, and select Share. The recipient must accept the invitation before the calendar appears in their calendar list.

What the external person will see

The Can view when I’m busy setting exposes availability blocks rather than the contents of your appointments. It is the appropriate starting point when someone needs to schedule with you but does not need your meeting subjects, locations or descriptions.

As an Amazon Associate I earn from qualifying purchases.

Outlook also documents two broader view-only levels:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Permission What the recipient can generally view When to use it
Can view when I’m busy Only whether time is free or occupied Scheduling with an external person while minimizing disclosure
Can view titles and locations Busy times plus appointment titles and locations When context about the appointment is genuinely needed
Can view all details Full calendar details permitted by the share Only when the recipient needs detailed read-only context

These are view-only permissions. For a work or school account in new Outlook, Microsoft says an external person cannot be given editor or delegate access. Do not promise that an outside contact can create, change or cancel your appointments, or answer meeting requests for you. See Microsoft’s explanation of sharing limits at Share and access a calendar with edit or delegate permissions in Outlook.

Choose the smallest amount of information that solves the scheduling problem

Start by asking what the other person actually needs. If they only need to propose a time, busy-only is enough. It shows that a period is occupied without explaining whether you are meeting a customer, traveling, taking leave or handling a personal appointment.

Titles and locations can be useful when the recipient coordinates related work and needs context about why a slot is unavailable. All details may be appropriate for a trusted read-only collaborator, but it exposes substantially more information. Details can include descriptions, attendees and other information that you did not intend to circulate outside your organization, so treat this level as an exception rather than a default.

Do not confuse the permission level with the status of an individual event. A meeting marked Private has its own protection, but you should still grant only the calendar permission that is necessary.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before you share: check the account and privacy requirements

You need a calendar that your organization allows you to share

External sharing is controlled partly by your Microsoft 365 organization. An administrator can disable sharing altogether or limit it to people inside the organization. If Share calendar is missing, disabled, or refuses an external address, that may be an intentional tenant policy rather than an Outlook error. Ask your Microsoft 365 administrator or IT support which external-sharing policy applies; do not assume a particular setting or try to bypass it.

The recipient needs an account that can accept the invitation

Microsoft’s support guidance says a person using Gmail or another non-Outlook webmail address needs a Microsoft 365 or Outlook.com account to accept an Outlook calendar-sharing invitation. The invitation can be sent to that person’s email address, but acceptance and access still depend on signing in with an eligible Microsoft account.

Decide whether busy-only is enough

Review the calendar for information that could be disclosed by a broader permission. If the other person only needs to find an open appointment slot, use busy-only. If they need to know why you are unavailable or where a meeting is held, choose a broader level deliberately rather than defaulting to all details.

Confirm which calendar you are sharing

Many Outlook accounts contain more than one calendar, such as a primary work calendar and additional calendars for projects or personal planning. The share applies to the calendar you select. Before sending the invitation, verify its name and make sure it contains the availability you intend to expose. Sharing the wrong calendar can either reveal information unnecessarily or leave the recipient with an incomplete schedule.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Decide whether one person or a link is appropriate

A named invitation is tied to a recipient and requires acceptance. A published link is easier to distribute but can be copied or forwarded. Use an invitation when you know exactly who should have access; consider publishing only when browser viewing or a subscription is the real requirement.

Share availability by sending a named invitation

The following flow is documented for new Outlook and Outlook on the web. Button names can differ by Outlook version, account type and service updates; use the matching Outlook tab when your screen is not identical.

  1. Open Calendar. Sign in to Outlook and switch to the Calendar view.
  2. Choose Share calendar. If you have more than one calendar, select the specific calendar whose availability you want to expose.
  3. Enter the recipient. Type the outside person’s email address. Confirm the address before sending, particularly if the calendar contains sensitive scheduling information.
  4. Set the visibility level. Select Can view when I’m busy for availability only. If you intentionally need to disclose more, select Can view titles and locations or Can view all details.
  5. Send the invitation. Select Share. Outlook sends an invitation to the address you entered.
  6. Have the recipient accept it. The person must open the invitation, sign in with a Microsoft 365 or Outlook.com account when prompted, and accept. Acceptance adds the shared calendar to their calendar list; simply receiving the email does not complete the share.

Before selecting Share, pause to check the address and permission one more time. An accidental all-details share can expose more than intended, while a misspelled address may send the invitation to someone else or make troubleshooting confusing.

Microsoft’s step-by-step guidance is available in Share an Outlook calendar as view-only with others and Share your calendar in Outlook on the web.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What the recipient must do after receiving the email

They should accept the invitation, not just open the message

The invitation contains the action that adds your calendar to the recipient’s calendar list. Until it is accepted, the recipient may be unable to view your availability even though the message arrived successfully. Ask them to check junk or spam folders if the invitation is not visible.

A non-Outlook address can still require Microsoft sign-in

An address ending in a non-Outlook webmail domain does not by itself provide access. According to Microsoft, the external recipient needs a Microsoft 365 or Outlook.com account to accept the invitation. They may need to create or use that account, then reopen the invitation while signed in.

Read-only means read-only

The recipient can view the level you granted, but cannot edit your calendar through an external work or school share. If they need a change made, they must contact you or use your normal scheduling process.

What to tell the recipient

Include a short note with the invitation explaining that the calendar is view-only and, if you chose busy-only, that they will see availability rather than meeting details. Tell them which Microsoft account to use if they have more than one. This prevents a common misunderstanding in which the person opens the message in one account and then reports that the calendar is empty or inaccessible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Private appointments and the limits of privacy controls

Microsoft says that, for events marked Private, most people who have calendar access see only the time; they do not see the subject, location or other details. That behavior is an additional event-level safeguard, not a replacement for selecting the correct sharing permission.

Microsoft documents an exception for delegates who are explicitly allowed to view private events. New Outlook does not permit external delegates, so an outside recipient should not be treated as a delegate who can see private-event details. Use busy-only sharing when you want the entire external view to stay at the availability level, and mark individual appointments Private when appropriate for your organization’s workflow.

Private status does not turn a broad share into a busy-only share for every event. If you grant titles and locations or all details, non-private appointments can still display information at that level. Review both controls when protecting confidential scheduling data.

If Share calendar is unavailable or the invitation fails

The sharing control is missing or disabled

  • Confirm that you are in the Calendar view and have selected the calendar you intend to share.
  • Try the current new Outlook or Outlook on the web interface, where Microsoft documents the general sharing flow.
  • If the control remains unavailable, ask your Microsoft 365 administrator or IT support whether external calendar sharing is disabled or restricted to internal recipients.

The external address cannot be added

An organization policy may block external recipients. Verify that the address is typed correctly, then ask IT whether external sharing is allowed for your account and calendar. Do not infer from another employee’s settings that your account has the same permissions; policies can differ by organization, group or calendar.

The recipient cannot open or accept the invitation

  • Have the recipient check spam, junk and quarantine folders for the invitation.
  • Ask them to open the invitation while signed in to a Microsoft 365 or Outlook.com account, as Microsoft requires for recipients using non-Outlook webmail addresses.
  • If they have multiple Microsoft accounts, have them use the account associated with the invitation and then try again.
  • Resend the invitation after confirming the address and permission level. If resending is also blocked, contact the administrator rather than repeatedly changing settings.

The recipient sees more or less than expected

Check the permission shown for that recipient in the sharing controls. Busy-only, titles-and-locations and all-details are distinct levels. Also check whether the appointment itself is marked Private. Interface labels and behavior can change with Outlook updates, so compare the result with the current Microsoft support instructions.

The calendar appears but looks stale

Ask the recipient to refresh their calendar list or reopen Outlook after accepting. If you changed the permission, they may need to refresh before the new visibility level appears. Confirm that they accepted the latest invitation, especially if you sent more than one invitation or changed the recipient’s address.

Publish a calendar link instead of inviting a named person

Outlook on the web also offers calendar publishing. This is a different access method from a named sharing invitation: Outlook creates links that can be given to anyone who has them.

Method Recipient experience Access characteristic Best fit
Named sharing invitation The recipient accepts an invitation and adds the calendar to their calendar list Associated with a specific email recipient and permission level One person or a defined group that needs controlled, view-only access
HTML publishing link View the published calendar in a web browser Anyone who obtains the link may be able to use it; the link can be forwarded Browser viewing without a calendar subscription
ICS publishing link Subscribe to the calendar in a compatible calendar application Read-only subscription; it does not grant editing rights Someone who needs the published schedule to appear in their calendar app

Microsoft documents HTML and ICS publishing, including the read-only nature of ICS, in Share your calendar in Outlook on the web. Publishing availability is also subject to account and organization settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use the least visibility needed when publishing

Choose the minimum publication detail that meets the recipient’s need. A published link is not the same as a named invitation: it can be copied or forwarded, so do not distribute it as though it were tied to one person. Treat the link as access and share it only through a channel you trust.

HTML versus ICS

HTML is suited to someone who needs to look at your schedule in a browser from time to time. ICS is suited to someone who wants the published calendar to appear in a compatible calendar application and update as a subscription. Both are read-only approaches; neither gives the recipient the ability to edit your Outlook calendar.

Unpublish when the link should stop working

If you no longer want a published link to provide access, remove or unpublish the calendar through Outlook’s publishing controls. Anyone who previously received the link may still have a copy, so revoke publication promptly when the sharing purpose ends.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Invitation or published link: which should you choose?

  • Choose a named invitation when you know the recipient, want them to accept access explicitly, and need a clear view-only permission such as busy-only.
  • Choose HTML publishing when browser viewing is sufficient and a subscription is unnecessary, while recognizing that link holders may forward it.
  • Choose ICS publishing when the recipient needs a read-only subscription in a compatible calendar application rather than an Outlook calendar-list entry.
  • Do not use either method to promise editing. External recipients of new Outlook work or school calendar shares cannot be assigned editor or delegate access.

For a single client, consultant or family member, a named invitation usually offers the clearest boundary because you know who was invited and can change or remove that person’s permission. For a group that needs occasional browser access, an HTML link may be simpler, but the forwarding risk is higher. If someone asks for an editable calendar, explain the external limitation and agree on another scheduling workflow instead of granting more visibility than they need.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How to stop sharing or change what is visible

Return to the calendar’s sharing controls and review the recipient or publication entry. Reduce a recipient from all details to titles and locations or busy-only when less information is sufficient, or remove the person’s access when the scheduling relationship ends. For a published calendar, unpublish the HTML and ICS links. The exact control names can vary by Outlook version, but the goal is the same: remove the named share or publication that currently grants access, then have the recipient refresh their calendar list.

When changing an invitation, tell the recipient what changed. If you reduced access, ask them to refresh so an old display does not lead them to believe they still have the previous level. If you stopped publishing, assume the link may have been copied and do not continue distributing it.

Frequently asked questions

Can I share only my free/busy status with someone using Gmail?

Yes, you can send the invitation to a Gmail address, but Microsoft says the recipient needs a Microsoft 365 or Outlook.com account to accept it. They must sign in with that account when accepting.

Can an external person edit my Outlook calendar?

Not through an external work or school share in new Outlook. External options are view-only. They cannot create, change or cancel your appointments or act as your delegate.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does the recipient see private meeting subjects?

For events marked Private, Microsoft says most people with access see only the time. Delegates explicitly allowed to view private events are an exception, but new Outlook does not permit external delegates. Busy-only remains the clearest general privacy choice.

Why did the recipient receive an email but not see my calendar?

The invitation must be accepted before the calendar is added. Have the recipient check junk or quarantine folders, open the invitation while signed in to the correct Microsoft account, and retry. Multiple Microsoft accounts can also cause the invitation to be opened under the wrong identity.

What if my organization blocks external sharing?

Contact your Microsoft 365 administrator or IT support. An organization can disable sharing or restrict it to internal recipients, and there is no user-side permission choice that should be used to bypass that policy.

Is an ICS link editable?

No. Microsoft describes an ICS publication as a read-only subscription. It lets a compatible calendar application display the published schedule; it does not grant editing rights.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Is a published link safer than an invitation?

Neither should expose more detail than necessary. A named invitation requires the recipient to accept, while a link can be forwarded to anyone who obtains it. Use busy-only or the minimum publication detail and unpublish links when they are no longer needed.

Can I share more than one calendar?

Yes, if your account and organization permit it, but each share applies to the calendar you select. Verify the calendar name before sending each invitation so you do not expose the wrong schedule or omit a calendar the recipient actually needs.

Key limitations to remember

  • Busy-only is the privacy-preserving choice for ordinary availability sharing.
  • The recipient must accept the invitation before the shared calendar is added.
  • A recipient using Gmail or another non-Outlook webmail service needs a Microsoft 365 or Outlook.com account to accept, according to Microsoft’s guidance.
  • External people cannot receive editor or delegate permissions in new Outlook work or school sharing.
  • Your organization may disable external sharing or restrict it to internal users.
  • HTML and ICS publishing are alternatives to invitations; ICS is read-only, and a link can be forwarded.

Frequently Asked Questions

What is the best Outlook permission for sharing availability externally?

Choose Can view when I’m busy. It shows free and occupied periods without exposing ordinary appointment subjects, locations or descriptions.

Does a Gmail user need an Outlook account?

Microsoft says a recipient using Gmail or another non-Outlook webmail address needs a Microsoft 365 or Outlook.com account to accept the invitation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can an external recipient edit my calendar?

No. New Outlook work or school sharing provides external recipients with view-only access, not editor or delegate rights.

Why can’t the recipient see the calendar after I shared it?

They must accept the invitation first, then sign in with the Microsoft account associated with the invitation. Spam filtering, multiple accounts and organization policies can also interfere.

What is the difference between HTML and ICS publishing?

HTML lets someone view the published calendar in a browser. ICS lets someone subscribe in a compatible calendar application. Both are read-only, and a published link can be forwarded.

The Bottom Line

For a person outside your organization, open Outlook Calendar, choose Share calendar, select the correct calendar, enter the recipient’s address and choose Can view when I’m busy. Send the invitation and have the recipient accept it with a Microsoft 365 or Outlook.com account. If sharing is disabled, the address is rejected or an editor is requested, your organization’s policy—not a different permission level—may be the reason. Use HTML or ICS publishing only when a link or subscription is genuinely more useful, and keep its visibility minimal.
