How to share photos privately with a link that expires

For a link that expires automatically, use an Apple iCloud Link: Apple says it stops working after 30 days and can be stopped sooner. If you need to choose a calendar date, Dropbox provides expiration on eligible Professional and team plans. Google Photos does not document a scheduled expiry for shared-album links; instead, you invalidate the current URL by turning link sharing off and back on. In every case, anyone who obtains a link may be able to open it, and stopping the link cannot erase copies someone already downloaded.

Choose the right kind of expiry

The important distinction is whether the service removes access on its own, lets you pick the cutoff, or requires you to revoke the link manually.

As an Amazon Associate I earn from qualifying purchases.

Service Expiry method Early control Link audience
Apple iCloud Link Automatic expiration after 30 days Stop sharing before 30 days from the iCloud Links section Anyone with the link can view the selected photos and videos
Dropbox shared link Sender selects an expiration date on eligible Professional and team plans Edit the link permissions or stop sharing before the selected date Access is controlled by possession of the shared link
Google Photos shared album No scheduled expiry is described in the cited help; reset the URL manually Turn link sharing off, then on again to create a new link A shared album link can be shared onward while link sharing is enabled

Pick iCloud when a fixed 30-day window is acceptable and you want the service to enforce it automatically. Pick Dropbox when a specific date matters and your plan includes the expiration control. Pick Google Photos when you already use a shared album and can remember to revoke or reset the link yourself.

Automatic expiry versus a chosen date

These controls solve slightly different problems. An iCloud Link is useful when you want a standard window for every share and do not want to maintain a calendar of deadlines. Dropbox is better for a client handoff, event gallery, or project where everyone should lose access on one known date. Google Photos puts the responsibility on you: there is no documented scheduled cutoff, so the link remains usable until you turn sharing off or reset it.

Do not confuse an expiration date with a promise that no one retained the images. Expiration changes whether the service will serve the shared items through that URL. It cannot reach into a recipient’s phone, computer, backups, messages, or screenshots.

What “private” means for a link

A link is a bearer credential: possession of the URL can be enough to view the shared items. Apple explicitly says that anyone with an iCloud Link can view the selected photos and videos. Google’s shared-album documentation likewise warns that a link can be shared with other people. A recipient can forward the message, copy the URL, or place it somewhere public without asking you.

That is different from sharing directly with named accounts. If the service offers person-level sharing and the recipients are known, use that method when restricting access to specific identities matters more than convenience. If you use a link, treat it like a password: send it only through a private channel, check the selection before creating it, and disable or reset it as soon as the sharing window ends.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Expiry and revocation control future access through the service. They do not recall files that a recipient has already saved. Google says turning off sharing does not delete photos or videos that someone downloaded or copied. Apple’s iCloud terms similarly state that content copied from a Shared Album to another device or computer is not deleted when the shared content is removed.

When a link is the wrong tool

If the photos are highly sensitive or the audience must be limited to named people, a broadly usable URL may not meet your privacy requirement. A link can be forwarded even when the original recipient is trustworthy. In that situation, prefer person-level sharing where your service supports it, and use a link only when the convenience is worth the forwarding risk.

Before you create any link

  1. Make a dedicated selection. Select only the photos and videos intended for this recipient or group. Do not link an entire library when a smaller collection will do.
  2. Inspect the selection. Check for accidental screenshots, documents, location-sensitive images, or other people who did not consent to sharing.
  3. Decide the cutoff. Use iCloud’s automatic 30-day period, choose a Dropbox date, or set a reminder to reset a Google Photos link.
  4. Choose a private delivery channel. Send the URL in a direct message or other channel limited to the intended recipients; do not post it in a public profile, forum, or group that includes people outside the audience.
  5. Plan the shutdown. Know where the service’s stop, expiry, or link-reset control is before you send the URL.

Set the audience and deadline together

Write down which people should receive the collection and when their access should end. If two audiences have different deadlines, create separate selections and links rather than trying to manage one URL for everyone. For Google Photos, put the reset date on a calendar because the service will not perform that step for you. For Dropbox, record the selected date and the account time zone so the 11:59 p.m. cutoff is not misunderstood.

Check the service before promising anything

Feature availability is part of the setup. iCloud Links are not available in every country or region. Dropbox expiration is limited to the listed Professional and team plans. Google Photos gives you a reset control, not a documented scheduled expiry. Test that the relevant option appears in your account before telling recipients exactly when a link will stop working.

Option 1: Share with an Apple iCloud Link

How the 30-day window works

Apple Support states: “iCloud Links automatically expire after 30 days, but you can stop sharing them sooner.” The 30 days is a service policy, not a promise that recipients will delete anything they received. After the link’s access period ends, people should no longer be able to use that iCloud URL to view the shared items through Apple’s service, but any copies they made remain outside your control.

Steps

  1. In your Apple photo-sharing workflow, select the specific photos and videos you want to send.
  2. Create an iCloud Link for that selection.
  3. Send the generated URL privately to the intended recipients. Remind them not to forward it if the images are sensitive.
  4. Open the iCloud Links section when you want to review active links.
  5. Stop sharing the link there if the recipients no longer need access. You do not have to wait for the automatic 30-day expiry.

If you need to end an iCloud share early

Use the iCloud Links section rather than merely deleting the message in which you sent the URL. Stopping the link changes access at Apple’s service; deleting your sent message cannot invalidate a URL that someone already copied. If you created more than one iCloud Link for the same photos, review the active-link list and stop each one that is no longer needed.

Important limitation: regional availability

Apple notes that iCloud Links are not available in every country or region. If the option is missing, unavailable to a recipient, or behaves differently in your location, use another service with a control your account supports rather than assuming the link will work everywhere.

When iCloud is the best fit

  • You want an automatic, fixed-duration link without selecting a date.
  • A 30-day maximum is suitable for the event, trip, or project.
  • You want the ability to stop the link early from the iCloud Links section.

Option 2: Set a date on a Dropbox shared link

Check plan eligibility first

Dropbox documents link expiration for customers on listed Professional and team plans. The feature is not a universal setting for every Dropbox account, so verify that your plan is eligible before promising a recipient that the URL will stop working on a particular day.

Steps

  1. Put the photos in the Dropbox file or folder you intend to share. Keep the shared location limited to the intended collection.
  2. Create the shared link, or open the link’s permission controls if it already exists.
  3. Set an expiration date in the link settings. Choose the date using the account’s displayed controls and confirm the change.
  4. Copy the link and deliver it privately.
  5. Return to the link permissions if you need to change the date, revoke access sooner, or confirm the setting.

When exactly does Dropbox shut the link off?

Dropbox Help says: “After the expiration date, the link is disabled.” Its documented cutoff is 11:59 p.m. on the chosen day in the user’s time zone. Tell recipients the time-zone basis when the exact cutoff matters, such as a client handoff or a time-limited event gallery.

Common Dropbox failure mode

If you cannot find an expiration control, first check the account plan. An ineligible plan is a feature limitation, not a problem with the photos or URL. Do not rely on a manually written date in your message as a substitute: a note saying “please stop viewing this after Friday” does not disable the link.

Changing a Dropbox deadline

A selected date is a permission setting, not a permanent property of the file. Return to the link permissions to confirm or edit it. If the handoff ends early, disable or revoke the link instead of waiting for the scheduled date. If the project runs longer, update the setting before the original deadline rather than creating an untracked second URL.

Option 3: Use Google Photos and reset the link

There is no documented scheduled expiry here

The cited Google Photos help describes owner-controlled link reset, not an automatic date-based expiration. That makes Google Photos workable for sharing that you can actively monitor, but it is a poor fit when you might forget to revoke access.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Steps to create and later invalidate the URL

  1. Create or open the shared album containing only the photos you want to disclose.
  2. Enable link sharing and copy the generated URL.
  3. Send it privately to the intended recipients.
  4. When access should end, turn link sharing off.
  5. To invalidate the old URL and continue sharing with a new one, turn link sharing back on. Google’s help states: “To reset the link, turn link sharing off and then back on.”
  6. Distribute the new URL only to people who should still have access.

Why removing a collaborator is not enough

While link sharing remains enabled, removing a named collaborator does not stop someone who holds the original album link from viewing it. If the URL itself has escaped your intended group, disable link sharing and reset the link rather than only editing the collaborator list.

What to do when the audience changes

Suppose an album was sent to a large group and one person should no longer have access. Removing that person from the collaborator list does not solve the link problem if link sharing is still on. Turn link sharing off to invalidate the existing URL. If some people still need the photos, turn sharing back on to create a fresh URL and send that new address only to the revised audience.

When Google Photos is the best fit

  • You already organize the images in a Google Photos shared album.
  • You can set a calendar reminder and perform the off-then-on reset yourself.
  • You need a fresh URL after the audience changes, rather than a fixed automatic expiry.

How to send the link with less risk

Use one link per audience when possible

If two groups should not see each other’s photos, create separate selections and separate links. A single URL is easier to forward and harder to contain once it reaches a larger group.

Keep the message minimal

Send the URL with a short note identifying the collection and its intended audience. Avoid placing sensitive details in the same public or broadly visible channel as the link. The message does not add technical protection, but it reduces accidental forwarding and makes the expected end date clear.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not mistake obscurity for access control

A long or random-looking URL is still usable by anyone who obtains it. Do not publish it in a page, social post, shared document, or group chat that includes unintended viewers.

If you suspect the link was forwarded

Act on the URL, not just on the conversation. Stop the iCloud Link from the iCloud Links section, disable or edit the Dropbox link, or turn Google Photos link sharing off and reset it. Then create a new, smaller selection or new URL if legitimate recipients still need access. Assume anyone who opened the old link may have saved a copy.

How to verify that sharing ended

  1. Use the owner controls. Confirm that the iCloud link is stopped, the Dropbox link has expired or been disabled, or Google Photos link sharing is off and the old URL has been reset.
  2. Check the old URL from a separate context. If you can safely test without exposing private photos, use a browser session that is not signed in to the owner account. A successful owner-side toggle is the authoritative control; a cached page or already-open session may not represent new access.
  3. Review the selection and account activity. Make sure you did not leave a duplicate album, folder, or second link active.
  4. Tell recipients the sharing window is closed. This is a courtesy and a reminder, not a deletion mechanism.

Do not promise that a revoked link has erased downloaded files. Once a recipient has downloaded, copied, captured, or otherwise saved an image, the service cannot remove that separate copy from the recipient’s device or backups.

What a successful shutdown does and does not prove

An owner-side status showing that a link is stopped, expired, or reset confirms the service will no longer honor that URL for new access. It does not prove that every recipient closed an open browser tab, deleted a download, or removed a copy from a backup. Keep those two outcomes separate when explaining the result to other people.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Decision guide for common situations

You need “send now, close automatically in about a month”

Use an iCloud Link if it is available in your country or region. Its 30-day automatic expiry removes the need to remember a shutdown date, while the owner can stop it sooner if plans change.

You need access to end on a specific calendar date

Use Dropbox only after confirming that the account is on an eligible Professional or team plan. Set the date in the link permissions and account for the documented 11:59 p.m. cutoff in your time zone.

You need to change the audience after sending

With Google Photos, turn link sharing off and back on to invalidate the old URL, then send the new URL only to the revised audience. Removing a collaborator without resetting link sharing leaves the old link usable.

You are sharing highly sensitive images

A bearer link may be forwarded and saved. Prefer person-level sharing where the service supports it and the recipients can use it. If you still use a link, minimize the collection, deliver it privately, set the shortest practical window, and explain that recipients must not redistribute the files.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You cannot guarantee that everyone will stop viewing on time

Choose a service with an owner control you will actually use. iCloud supplies a fixed automatic limit, Dropbox supplies a selected date only on eligible plans, and Google Photos requires a manual off-and-on reset. No choice prevents someone from retaining a copy made while access was active.

What expiry cannot solve

  • Forwarding: Anyone who receives the URL may pass it to someone else before the expiry or reset.
  • Downloads: Stopping access does not delete copies already downloaded or copied.
  • Screenshots and recordings: A viewer can preserve an image outside the sharing service while the link works.
  • Wrong selection: Expiry does not undo an accidental disclosure that happened during the active period.
  • Regional or plan limits: iCloud Link availability varies by country or region, and Dropbox expiration depends on eligible plans.

A practical shutdown checklist

  • Confirm the intended photos and videos were the only items shared.
  • Identify every active URL for the collection.
  • For iCloud, stop the link from the iCloud Links section if you are ending access early.
  • For Dropbox, verify the expiration date and time-zone behavior, or edit the link permissions to disable it sooner.
  • For Google Photos, turn link sharing off; turn it back on only if you need a new URL for a revised audience.
  • Assume recipients may retain copies, and avoid claiming that revocation deleted them.

Frequently Asked Questions

Which service gives me an automatic expiry without choosing a date?

Apple iCloud Links automatically expire after 30 days, and Apple says you can stop sharing sooner. Availability varies by country or region.

Can I choose the exact day a photo link stops working?

Dropbox documents a selectable expiration date for listed Professional and team plans. The link is disabled at 11:59 p.m. on that date in the account holder’s time zone.

Does Google Photos automatically expire a shared-album link?

The documented control is manual, not scheduled. Turn link sharing off to end access; turn it off and back on to reset the old URL and create a new one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If I remove a Google Photos collaborator, is the old link safe?

No. While link sharing remains enabled, someone holding the original album URL may still view it. Disable link sharing and reset the URL.

Can revoking a link delete photos someone downloaded?

No. Google says downloaded or copied photos and videos are not deleted when sharing is turned off. Apple likewise says copies made on another device or computer remain after shared content is removed.

How should I share a link containing sensitive photos?

Use the smallest practical selection, send the URL through a private channel, avoid public posts, prefer person-level sharing when available, and stop, expire, or reset the link as soon as the access window ends.

The Bottom Line

Use an iCloud Link for an automatic 30-day limit, Dropbox for a chosen date on an eligible plan, and Google Photos when you can manually turn sharing off or reset the URL. Send links privately, share only the necessary photos, and remember that revocation stops future service access but cannot retrieve copies already saved.
