To share Microsoft 365 Family or Microsoft 365 Premium, the subscription owner opens Microsoft’s Services & subscriptions sharing page, chooses Share, and sends an email invitation or copies an invitation link. Each person must accept the invitation and join the owner’s Microsoft family group before the shared apps and storage become available.
Only Family and Premium support this arrangement. Microsoft allows the owner to invite up to five additional people. Copilot and other AI features included with these plans remain available only to the subscription owner.

Which Microsoft 365 plans can be shared?
Sharing depends on the subscription edition, not simply on having a paid Microsoft account. The account that starts the process must own an active Microsoft 365 Family or Microsoft 365 Premium subscription. A person who received benefits from somebody else cannot use those benefits to invite additional members.

The owner is the account that purchased or currently holds the eligible plan. If you signed in with an account that is using somebody else’s shared subscription, the sharing controls will not appear because that account is not the subscription holder.

Before you send an invitation
Check these conditions first so the invitation does not fail or leave the recipient in an incomplete family-group state:
- Sign in with the Microsoft account that owns the Family or Premium plan.
- Confirm that the subscription is active and that an unused sharing place remains.
- Ask the recipient which email address they want to use. It should be an address they can access and, preferably, the address associated with their Microsoft account.
- Tell the recipient that accepting the invitation joins them to your Microsoft family group. Someone already in another Microsoft family group must leave that group before joining yours.
- Make sure the proposed member is not already receiving a full-benefit shared subscription that prevents Microsoft from offering another one.
Sharing does not transfer ownership of the subscription. You remain responsible for the plan, renewals and stopping access later.
How the subscription owner shares Microsoft 365
- Open the Services & subscriptions sharing page. Use a browser and sign in with the Microsoft account that owns the eligible Family or Premium plan.
- Select Share. The control is on the subscription’s management area. If you see Start sharing, select it to begin.
- Choose an invitation method. Enter the recipient’s email address to send an invitation directly, or choose the option to copy an invitation link and deliver it through your normal messaging service.
- Send the invitation. Each household member receives an individual invitation. Do not assume that one acceptance enrolls everyone else in the household.
- Check the sharing dashboard. Microsoft displays the invitation status. A pending invitation remains pending until the recipient accepts it. The sharing instructions describe a 48-hour acceptance window for the invitation covered by that process; if it expires, send a new invitation.
If Start sharing is absent, first verify that the signed-in account owns Family or Premium rather than Personal, Basic or somebody else’s shared plan. Also check that the subscription is active, a sharing place is available and the intended recipient meets Microsoft’s eligibility rules.

An email invitation is easiest when you know the person’s preferred address and want Microsoft to deliver the message directly. A copied link is useful when the recipient uses another mailbox or when you want to send the invitation in a private message. Treat the link as an invitation for the intended household member; do not post it publicly.

How an invited household member joins
- Open the invitation email. Select Accept in the Microsoft 365 invitation message. If the recipient does not already have a Microsoft account, Microsoft may ask them to create or sign in to one.
- Join the family group. Select Join now. This step is required; merely opening the email does not activate the benefits.
- Start using Microsoft 365. Choose Start using Microsoft 365 apps. If the apps are not installed on the device, select Install and follow the setup prompts.
- Allow the account update to finish. Apps and storage may not reflect the new entitlement immediately. If OneDrive still shows the previous quota, wait for Microsoft’s update window and then refresh the storage page.
A recipient who belongs to a different Microsoft family group must leave that group before accepting the new invitation. Microsoft family-group membership is separate from simply sharing a document or a calendar, so resolve the group conflict before retrying the invitation.
What members actually receive
Family and Premium sharing is an entitlement to the plan’s supported apps and storage, not a copy of the owner’s Microsoft account. A member normally receives access to the Microsoft 365 desktop apps and the plan’s OneDrive storage allocation associated with the subscription.
Apps and device use
The invited person signs in with their own Microsoft account and can install the Microsoft 365 apps on their devices through the Start using Microsoft 365 apps page. Their documents and settings remain tied to their account. Sharing therefore avoids the need to hand over the owner’s password or use one account on every household device.

Storage entitlement follows the subscription’s current allocation and rollout status. Microsoft’s announced rollout for new Family and Premium subscriptions describes 2 TB of pooled OneDrive storage for the household. “Pooled” means the allowance is shared across the subscription rather than automatically providing a separate, isolated 2 TB block to every member.

Existing subscribers require more care. Microsoft pages returned in October 2026 describe different dates for moving existing Family and Premium subscriptions to pooled storage: one page says April 1, 2027, while another says May 2, 2027. Because those dates conflict, check Microsoft’s current storage guidance for the subscription’s start and renewal status before relying on a transition date. The amount shown in your account can depend on when the plan began and whether it has renewed under the new arrangement.
Copilot and other AI features
Included AI features do not follow the app or storage entitlement to additional members. Microsoft’s support wording is explicit: “AI features are only available to the subscription owner and cannot be shared.” A household member can use the shared Microsoft 365 apps and storage, but should not expect the owner’s included Copilot access or other plan-level AI features to appear in that member’s account.
What remains private
Joining the owner’s family group does not give the owner access to the member’s personal Microsoft data. Each member keeps control of their own:

- Personal files and OneDrive folders
- Email and mailbox content
- Appointments and personal calendars
- Contacts
- Photos
- Personal OneNote notebooks
Family groups can have deliberately shared locations, including a Family inbox, Family calendar and shared OneNote areas. Those locations are different from each person’s private account data. A member must intentionally place information in a shared location or share it with other people; accepting the Microsoft 365 invitation does not do that automatically.

How to monitor invitations and members
Use the sharing dashboard on the Services & subscriptions page as the authoritative status view. It distinguishes invitations that are still pending from members who have completed the acceptance and family-group steps.
If an invitation is still pending
Confirm that the recipient opened the same address to which the invitation was sent. If the 48-hour window described in Microsoft’s sharing instructions has passed, send a fresh invitation rather than repeatedly opening the old message. A new invitation also helps when the original email was deleted or filtered.
If you need to replace a household member
Manage the member from the sharing page rather than sending an additional invitation blindly. Removing one person ends that person’s shared benefits, after which the available place can be offered to somebody else. Their personal files are not deleted by the change, but they may lose access to the subscription’s extra storage and fully functional desktop apps when the benefit expires.
Troubleshooting common sharing problems
The invitation never arrived
- Verify that the owner typed the recipient’s preferred email address correctly.
- Ask the recipient to search junk, spam and quarantine folders for a Microsoft 365 message.
- Check the owner’s dashboard to confirm that the invitation was actually sent and is still pending.
- If necessary, resend the invitation or use a copied invitation link delivered privately.
The Share or Start sharing control is missing
- Sign out and back in with the account that owns the subscription.
- Check that the plan is Family or Premium, not Basic or Personal.
- Confirm that the plan is active and still has an available sharing place.
- Check whether the proposed member is ineligible because they already receive a full-benefit shared subscription.
The invitee cannot join
The most common structural cause is membership in another Microsoft family group. The invitee must leave that group before accepting the new invitation. They should also be signed in to the Microsoft account that they intend to keep using for Microsoft 365.
OneDrive still shows the old quota
First confirm that the recipient accepted the invitation and selected Join now. Microsoft says the storage update can take up to two hours. After that period, refresh the storage page, sign out and back in if needed, and check the account shown in the OneDrive settings.
The apps ask for a purchase after joining
Verify that the person completed the family-group join step rather than only accepting the email. Then open Start using Microsoft 365 apps while signed in to the invited account. If the account is still shown as unlicensed, the owner should review the sharing dashboard for a completed member status and an active subscription.
What happens when sharing stops?
Sharing can end because the owner removes the member, the member leaves the family group or the owner’s subscription expires. The member’s personal files remain intact. Ending the entitlement does not erase those files or personal account data.

Microsoft lists the extra OneDrive storage and fully functional desktop apps among the benefits that end. After the benefit expires, the former member can still view and print Office files, but cannot edit existing documents or create new ones with the desktop apps until an eligible license is restored.
Before removing someone, give them time to review storage usage and move or copy files if their account is close to the post-sharing limit. This is especially important when the household has been using a pooled allowance and the remaining members will have less available capacity after the change.
Choosing between sharing and separate subscriptions
Sharing an existing plan is usually the practical route when the household needs Microsoft 365 apps and storage for several people and the owner has available places. A separate subscription becomes more relevant when a person needs benefits that are not shareable, wants to remain outside the owner’s family group or needs an account arrangement independent of the owner.

Do not choose Premium solely because it can be shared. The useful question is whether the people in your household need the particular apps, storage arrangement and owner-only features offered by that edition.

- Use the subscription owner’s account to start the invitation.

- Resolve any existing Microsoft family-group membership before acceptance.
- Keep personal files, mail and notebooks in private locations unless you intentionally want to share them.

- When somebody leaves, plan for the loss of extra storage and desktop editing before removing the benefit.
