How to share Microsoft 365 Family benefits with household members

Yes—an eligible Microsoft 365 Family subscription owner can share benefits with up to five other people. The owner sends each person an email invitation or sharing link from the Microsoft account Services & subscriptions page. Every invitee must accept the invitation and join the owner’s Microsoft family group before the subscription benefits appear.

Family, Premium, and Pro subscriptions are shareable. Basic and Personal subscriptions are not. Sharing does not expose anyone’s private files or messages, but some benefits—including Microsoft’s AI features and extended storage—remain reserved for the subscription owner.

Who can share Microsoft 365 benefits?

Sharing is controlled by the subscription plan, not by whether people live at the same address. Microsoft’s current support guidance identifies three shareable plans: Microsoft 365 Family, Microsoft 365 Premium, and Microsoft 365 Pro. The owner of one of those plans may share with up to five additional people, for a maximum of six people using the subscription owner’s family group.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft 365 Basic and Microsoft 365 Personal do not include the sharing entitlement. Someone who is merely using another person’s shared subscription also cannot re-share that subscription. Only the account that owns the eligible subscription gets the Share control.

Plan names, included features, and availability can change by market. If the account dashboard does not show a Share option, confirm the plan name and that the subscription is active before trying other fixes. Microsoft’s plan-comparison page is the best place to verify current entitlements in your country; do not assume that a feature listed for one plan or region applies to another.

What must be true before an invitation works?

  • The sender must be signed in as the active subscription owner.
  • The subscription must be Family, Premium, or Pro.
  • The recipient needs a Microsoft account. Microsoft offers account creation during acceptance if the person does not already have one.
  • The recipient must join the owner’s Microsoft family group. Accepting an email alone is not enough.
  • A recipient who belongs to another Microsoft family group must leave that group before joining the owner’s group.
  • Microsoft’s sharing instructions say an invitation must be accepted within 48 hours.

These family-group rules are an account-management requirement. They do not turn a household into one shared login, and they do not give the owner control of another person’s account. Each person should have a distinct Microsoft account so licenses, files, settings and sign-in activity remain associated with the right individual.

Before sending invitations, make a simple list of the intended members and the Microsoft account each person will use. This avoids filling a slot with an old address, a work account or an account the recipient cannot access. The owner can invite as many as five other people, but the limit applies to active additional members, not to an unlimited number of historical invitations.

How the subscription owner sends a share invitation

  1. Open the sharing page. Sign in to the Microsoft account that purchased the subscription, then open Services & subscriptions. Locate the eligible Microsoft 365 plan and select Share. The button may be absent when the signed-in account is not the owner or the plan cannot be shared.
  2. Choose an invitation method. Select the email option to send an invitation directly, or create a sharing link and copy it to a message you control. Use a separate invitation for each person; the limit is five additional people.
  3. Enter or send the recipient’s address. For email sharing, enter the person’s email address and send the invitation. For a link, send the copied link privately to the intended recipient.
  4. Tell the recipient to complete the family-group step. The recipient must open the message or link, choose the button Microsoft displays—usually Accept or Get started—and then select Join now. Until Join now is completed, the benefits are not attached to that person’s account.

Do not send an invitation to an address the recipient cannot access. The invitation is time-limited, and forwarding an expired invitation will not complete the setup. A private sharing link is also easier to control than posting it publicly; send it only to the intended household member.

If the owner needs to replace one member with another, stop the old share first or otherwise make sure a slot is available, then issue a new invitation. The person using a shared subscription cannot perform this replacement because only the subscription owner can manage sharing.

How a household member accepts the invitation

  1. Open the invitation within 48 hours. Use the email or sharing link while signed in to the Microsoft account that should receive the benefits.
  2. Review the account shown. If Microsoft displays a different account, sign out and reopen the invitation with the intended account. Otherwise, the benefits may attach to the wrong identity.
  3. Select Accept or Get started. The wording can vary between Microsoft’s invitation pages.
  4. Select Join now. This is the step that adds the account to the subscription owner’s family group.
  5. Leave another family group if prompted. Microsoft accounts can belong to only one family group at a time for this purpose. Leave the existing group, then reopen the invitation and join the owner’s group.
  6. Open the account dashboard. After the family-group membership is active, the person can use the shared Microsoft 365 benefits and install eligible apps from their own account.

Each person should continue using their own Microsoft account. Sharing benefits does not require sharing passwords, and separate accounts preserve individual files, mail, calendars, and settings. If a person has both a personal Microsoft account and an employer or school account, check the account name shown during acceptance carefully; the invitation should be accepted by the account intended for personal subscription use.

Which benefits are shared—and which are not?

Apps and OneDrive access

Microsoft describes desktop applications such as Word, Excel, PowerPoint, and Outlook as subscription benefits. A joined member can sign in with their own account, install the eligible applications, and use the subscription on supported devices. OneDrive benefits are also part of the shared entitlement, subject to the storage model and rollout that applies to the account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Sharing grants a license entitlement; it does not merge application profiles or personal content. A member should activate the apps with the same Microsoft account that accepted the invitation. Using a different account can make an otherwise valid share appear to be missing.

AI features and extended storage

Microsoft’s current sharing instructions reserve AI features and extended storage for the subscription owner. Joining a Family, Premium, or Pro plan therefore does not automatically give every member the owner’s AI allowance or any owner-only storage enhancement. Exact entitlements can change, so check the plan comparison and the account’s current services page rather than relying on an older description of the plan.

This distinction matters when comparing plans for a household. Count the people who need the core apps and OneDrive access separately from people who specifically need owner-only AI or expanded storage features. A share can be working correctly even when those restricted features are absent for a member.

The five-device sign-in limit

Microsoft says each person can be signed in to Microsoft 365 on five devices at the same time. This is a per-person limit, not five devices for the entire household. When a person exceeds the limit, Microsoft automatically signs out the first device. They can sign back in on that device after signing out elsewhere.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For planning purposes, count devices per account rather than per family group. Six people could each have their own five-device sign-in allowance, while one person who uses more than five devices may see an automatic sign-out even if no one else is using the subscription.

Can family members see one another’s OneDrive files?

No. Microsoft’s subscription-sharing FAQ states: “No, the personal data of each person sharing a subscription remains private.” Family-group membership does not automatically grant the owner access to a member’s OneDrive files, email, appointments, contacts, photos, or notebooks.

A person can still choose to share an individual file, folder, notebook, calendar, or other item. A family inbox, family calendar, or shared OneNote may also exist as a separate collaborative location. Those shared locations are different from each person’s private content, and creating a family group does not copy private data into them.

Consequently, sharing Microsoft 365 is not a substitute for deliberately setting up a shared folder or family calendar. If a household needs collaboration, the relevant item must be shared through its own sharing controls; the subscription invitation alone does not grant access.

How Microsoft 365 storage is changing

Storage is the most time-sensitive part of the sharing rules. Microsoft’s dedicated storage-change guidance describes 2 TB of pooled cloud storage for Microsoft 365 Family and Premium. “Pooled” means the allowance is managed across the plan rather than treated as an automatically separate, permanently fixed quota for every member. Microsoft also says files remain private even when the storage pool is shared.

For existing Family and Premium subscribers, that dedicated page says the change generally takes effect after the first renewal on or after May 2, 2027. Other Microsoft Support pages currently show different rollout dates—for example, October 7, 2026 for new Family and Premium subscribers and April 1, 2027 for existing subscribers at renewal. Localized pages can show still other dates.

Because Microsoft’s pages do not agree on one universal date, do not assume that a date shown for another account applies to yours. Check the storage details in the subscription owner’s live account, and treat the renewal date and plan shown there as controlling. If a newly joined member still sees the free OneDrive quota, first confirm that the invitation was accepted and that Join now was completed; then allow time for the account change to propagate and refresh the storage view.

A pooled allowance also means the household should monitor usage collectively. One person’s large photo or video collection can consume a substantial part of the available pool even though other members’ files remain private. The storage model changes how capacity is allocated, not who can open another person’s files.

How to stop sharing with one person

  1. Sign in as the subscription owner and open the Microsoft account Services & subscriptions sharing page.
  2. Find the person in the list of shared members.
  3. Choose the control to stop or revoke that person’s share and confirm the change.
  4. Tell the person to sign in again after the change has propagated if an application still shows the old subscription state.

Stopping the share removes that person’s Microsoft 365 subscription benefits, but it does not automatically remove them from the family group. If they should no longer belong to the group at all, family-group membership must be managed separately.

  • Classic Office Apps | Includes classic desktop versions of Word, Excel, PowerPoint, and OneNote for creating documents, spreadsheets, and presentations with ease.
  • Install on a Single Device | Install classic desktop Office Apps for use on a single Windows laptop, Windows desktop, MacBook, or iMac.
  • Ideal for One Person | With a one-time purchase of Microsoft Office 2024, you can create, organize, and get things done.
  • Consider Upgrading to Microsoft 365 | Get premium benefits with a Microsoft 365 subscription, including ongoing updates, advanced security, and access to premium versions of Word, Excel, PowerPoint, Outlook, and more, plus 1TB cloud storage per person and multi-device support for Windows, Mac, iPhone, iPad, and Android.

Microsoft says the person’s files remain intact after benefits end. They can still view and print Office files, but they cannot edit or create files in the desktop applications without an applicable license. Their OneDrive quota returns to the free allowance, so they should review storage usage and delete or move files if the account exceeds that allowance.

Give the former member time to review files before removing the share, especially if their OneDrive usage depends on the subscription. Revoking access is different from deleting an account: the Microsoft account and its personal files remain, while the subscription entitlement changes.

Troubleshooting common sharing failures

There is no Share button

  • Verify that the signed-in account purchased or owns the subscription; a member using someone else’s share cannot re-share it.
  • Check that the plan is Family, Premium, or Pro rather than Basic or Personal.
  • Confirm that the subscription is active and appears under Services & subscriptions.

The recipient cannot join

  • Make sure the invitation is less than 48 hours old. Ask the owner to send a new invitation if it expired.
  • Check that the recipient is signed in to the intended Microsoft account.
  • If Microsoft reports that the recipient is already in a family group, have that person leave the current group, then reopen the invitation and select Join now.

The invitation was accepted, but apps do not show the subscription

  • Confirm that the recipient completed both acceptance and Join now; accepting a message without joining the group does not activate benefits.
  • Sign out of Microsoft 365 applications and sign back in with the account that joined the family group.
  • Allow time for account changes to propagate, then refresh the account dashboard.

OneDrive still shows the free quota

  • Check the invitation status and family-group membership first.
  • Refresh the storage page after waiting for the account change to appear.
  • Compare the account’s current storage terms with the rollout rules for its plan and renewal date. The pooled-storage transition is not simultaneous for every subscriber.

A member lost editing access after being removed

This is expected when the share is revoked. The person’s existing files are not deleted, but desktop Word, Excel, PowerPoint, and other Office applications can become view-and-print only until that person obtains an applicable license. Review OneDrive usage before the account returns to the free quota.

A practical decision checklist for a household

  • Count users: Include no more than five additional people beyond the owner.
  • Confirm the plan: Family, Premium, and Pro qualify; Basic and Personal do not.
  • Use separate accounts: Each person should accept the invitation with their own Microsoft account.
  • Check family-group status: Anyone already in another group must leave it first.
  • Explain the boundaries: Private files stay private, while AI features and extended storage may remain owner-only.
  • Plan for devices: Each person has a five-device simultaneous sign-in limit.
  • Verify storage in the live account: Family and Premium storage is moving to a pooled 2 TB model on a rollout schedule tied to plan and renewal.
  • Keep control of invitations: Accept invitations within 48 hours and resend expired ones.

What happens when someone leaves the household?

If the owner stops sharing, the former member keeps their Microsoft account and personal files. The subscription benefits end, and the account may return to the free OneDrive quota. The person is not automatically removed from the owner’s family group, so the owner must handle subscription sharing and family-group membership as two separate actions.

If the person leaves the family group themselves, they also lose access to benefits that depend on that group. Before leaving or accepting a different family invitation, they should check that important files are safely stored and that they understand the storage limit that will apply afterward.

Frequently asked questions

Can I share Microsoft 365 Personal?

No. Microsoft identifies Family, Premium and Pro as shareable plans. Personal and Basic do not provide the owner with a Share control for additional people.

Can a person who receives my invitation invite someone else?

No. Only the account that owns the eligible subscription can manage sharing. A member using another person’s subscription cannot re-share it.

Does accepting the email activate the subscription immediately?

Not by itself. The recipient must accept or get started and then select Join now to enter the owner’s family group. If benefits do not appear, check that both steps were completed.

What if the invitee does not have a Microsoft account?

Microsoft prompts the person to create one during acceptance. The new account should be the identity the person intends to use for the shared apps and OneDrive benefits.

Can the owner read a member’s private OneDrive files?

No. Microsoft says each person’s personal data remains private. A member must explicitly share a file, folder or other item for the owner to access it.

  • Business apps: Bookings

What happens to files when sharing is revoked?

The files remain intact. The former member can still view and print Office files, but desktop apps may become view-and-print only, and OneDrive storage returns to the free allowance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why does one member have less storage than expected?

Storage rules are changing and are tied to the plan and renewal schedule. Confirm that the person joined the family group, then check the owner’s live storage details rather than relying on an older per-person description.

How many devices can each person use?

Microsoft says each person can be signed in on five devices at once. If that limit is exceeded, the first device is automatically signed out.

Bottom line for household sharing

An eligible Microsoft 365 Family, Premium or Pro owner can invite up to five other people, but every recipient must accept the invitation and join the owner’s family group. Use separate Microsoft accounts, expect private data to remain private, and treat AI access and expanded storage as owner-only unless the current plan terms explicitly say otherwise. Because Microsoft is changing Family and Premium storage to a pooled model on a staggered schedule, confirm the storage and renewal details shown in the account before making household storage plans.
